Setting up invoice matching rulesACCOUNT MANAGER

Step 1 – Create/Upload Invoices

When entering a single invoice:In Account Manager > VA Account / Invoices / Invoices menu:

• Click on “New” button• Enter all necessary details• Click “OK” and “Save”• Invoice will be created in “Registered” status

Step 1 – Create/Upload Invoices

* These include external account number, concern code, reference number, invoice creation data, users name, payment date for invoice, invoice amount, customer number and name of payer.

When uploading invoices in bulk In Account Manager >VA Account / Invoices / Invoices menu:

• Enter in provided excel file. Ensure all required fields complete* • Click on “Upload Invoice File” button• Select File to upload -> Upload File• Invoice will be created in “Registered” status

In Account Manager > VA Account / Invoices / Matching Rules menu:

• Select “Invoice Matching” tab > New Invoice Matching Rule

• Enter Priority+, Scope* and Status as “Active” (i.e. enabled)

• Select fields and the AND/OR combination you wish to use in the match rule

• Assign a Match Rate% or Value (by default 100% match) to each field. The system will compare the

transaction data to the invoices and/or funds allocation rules created to match transactions accordingly.

Step 2 – Setup Invoice Matching Rules

+ The Priority setting allows multiple rules to be used in order of importance (top priority being 1)

* The Scope setting allows the matching rule to be set at a high level (i.e. customer level) or a low level (i.e. at virtual account level).
