ATTENTION: Kieran Kandola

PROJECT NO.: 13033.003.E.002 DATE: 2014-06-04

RAI NO.: RFI-AV-001 REQUESTED BY: Leonard Ramos

ITEM NO. DESCRIPTION: :

1 As mentioned during the site visit there are some discrepancies and missing items in the

equipment list. Given that Appendix A Pricing Schedule list provided is locked for editing,

is it possible to get an unlocked version for the purpose of adding line items to the

equipment list. Or would you like those items added in a separate document? Please

provide direction as to how to address missing items.

- Any discrepancies are to be identified by the bidder and approved by the

consultant and the City and will be issued as an addendum.

2 There are discrepancies between the various documents provided within the RFP, being

the Scope of Work, the Floorplans, the Pricing Schedule, and the signal diagrams. We

have listed below some of the items we have found (a. thru ee.). Can the City provide an

overarching statement as to which documents should take precedence, or how to

proceed with the conflicts?

- I will have the consultant provide the clarifications and/or revisions to the

drawings and specifications by the June 6 deadline. Any remaining

discrepancies and/or conflicts will be subject to the provisions of the CCCD 2

General Conditions and CNW Supplementary Conditions.

Page 20: ADDENDUM #4 NWIT-14-18 Supply and Install Audio Visual …2014. 6. 7. · NWIT-14-18 Addendum #4 Page 2 of 2. C. APPENDICES Appendix A – Pricing Schedule (14 Pages)

2 REQUEST FOR INFORMATION

3 RJ45 Patch Bay list in every room equipment listed as "custom". In scope, there is 1x 24

Ports RJ45 Patch Bay asked for theater (1.14.37 asked for professional grade), all others

just ask wall plate RJ45 port need to terminate back to rack room Patch Bay. Who will

supply those patch bay and how many ports are they?

- AV contractor shall provide patch bay and size accordingly.

4 In Scope, there are wall plates in Room 307(1.6.2, 1.6.3), but it is not on floor plan

drawing. We also could not find it in system flow drawing.

- See section 27 41 00.00, sub-section 1.6.2 and 1.6.3 for details.

- All equipment and cabling have been shown for diagrammatic purposes only.

Please refer to AV-0, detail 5.

5 Wall Mount IP-based volume control (1.6.4) is not in the drawing (Floor plan or system

drawing)

- See section 27 41 00.00, sub-section 1.6.4 for details.

- All equipment and cabling have been shown for diagrammatic purposes only.

Please refer to AV-0, detail 5.

6 Room 308, the loudspeakers are for background music and XLR Microphone Input

(1.7.2), but we could not find the plate location on floor plan; It is also not showed on

system drawing.

- See section 27 41 00.00, sub-section 1.7.2 for details.

- All equipment and cabling have been shown for diagrammatic purposes only.

Please refer to AV-0, detail 5.

7 Room 309, needs headphone jacks located at both sides of display. These will need a

headphone amplifier for those outputs, this is not in the equipment list.

- AV contractor to propose a design to meet the specification.

- All equipment and cabling have been shown for diagrammatic purposes only.

Please refer to AV-0, detail 5.

Page 21: ADDENDUM #4 NWIT-14-18 Supply and Install Audio Visual …2014. 6. 7. · NWIT-14-18 Addendum #4 Page 2 of 2. C. APPENDICES Appendix A – Pricing Schedule (14 Pages)

3 REQUEST FOR INFORMATION

8 All plates asked for stereo inputs, however the design appears to only allow for

unbalanced signal runs to the DSP processor. These should be balanced audio runs to

avoid noise issues over distance; as such they will require balancing transformers.

Given many rooms feature only a single mono channel of speakers, we would also

suggest that transformers in these rooms sum to a single mono channel as well to

minimize costs of input channels within the DSP.

- AV contractor to propose a design to meet the specification.

- All equipment and cabling have been shown for diagrammatic purposes only.

Please refer to AV-0, detail 5.

9 Box numbers are not matched in some of rooms between floor plan & system flow

drawing. For example Room 405.1(dance studio), there are 3 input plates in scope and in

the system drawing, but there is only one on floor plan drawing.

- See section 27 41 00.00, sub-section 1.9 for details.

- All equipment and cabling have been shown for diagrammatic purposes only.

Please refer to AV-0, detail 5.

10 AV Box schedule does not match the floor plan and system flow drawings.

- AV contractor to follow floor plan regarding AV boxes.

11 Section 1.9 refers only to Rooms 403.1 & 404.1, however Section 2.12 refers to Meetings

Rooms 433.1 & 434.1. There appears to be no Scope of work definition of these two

rooms.

- Will be addressed on the next Addendum

12 Rooms 301 & 401.2 are in the floorplan and AV signal drawings, however are not

referenced in the equipment list.

- Room 301 and Room 401.2 are lobby area.

- All equipment and cabling have been shown for diagrammatic purposes only.

Please refer to AV-0, detail 5.

Page 22: ADDENDUM #4 NWIT-14-18 Supply and Install Audio Visual …2014. 6. 7. · NWIT-14-18 Addendum #4 Page 2 of 2. C. APPENDICES Appendix A – Pricing Schedule (14 Pages)

4 REQUEST FOR INFORMATION

13 The AV-325 Drawing and the Scope of work for Room 406.1 (1.11.5) refer to the need for

a DM Transmitter, however the Equipment list makes no reference to this.

- See section 27 41 00.00, sub-section 1.11 for details.

- All equipment and cabling have been shown for diagrammatic purposes only.

Please refer to AV-0, detail 5.

14 Throughout the Atrium and 1st floor Ballrooms/Meeting rooms, 4" ceiling speakers have

been specified. Based upon the ceiling height in this space, we believe that 6" speakers

are required at minimum from both a frequency response, and power handling capacity.

- AV contractor to propose a design to meet the specification.

- All equipment and cabling have been shown for diagrammatic purposes only.

Please refer to AV-0, detail 5.

15 Throughout the Scope of work (ie: 1.12.7) it calls for Class D Amplifiers, yet the

equipment list (ie: 2.7.1) calls for a QSC CX108V which is not Class D.

- AV contractor to provide approved equivalent. See section 27 41 00.00, sub-

section 2.7.

16 The Scope of Work for the Theatre projector (1.14.5) calls for an interchangeable lens,

however neither this nor the equipment list provide any information for the zoom ratio of

the lens required. The floor-plan (AV-3) does not provide detail on the location of the

projector relative to the screen, as such it is not possible to confirm the image throw

distance and therefore lens ratio. Please provide the distance from the projector location

to the screen.

- See section 27 41 00.00, sub-section 2.1 for screen information.

- See AV-4 for projector location and lens ratio.

17 Please confirm for all the “digital signage” monitors throughout the facility that there is no

infrastructure/hardware required for sources or source transmission. ie:(Cat 5

Transmitter/Receivers)

- Digital signage PC/Player provided by others.

Page 23: ADDENDUM #4 NWIT-14-18 Supply and Install Audio Visual …2014. 6. 7. · NWIT-14-18 Addendum #4 Page 2 of 2. C. APPENDICES Appendix A – Pricing Schedule (14 Pages)

5 REQUEST FOR INFORMATION

18 Drawing AV-356 refers to an output from the Audio DSP to IR Radiators for listening

assistance, however the Spec calls for Listen Technologies LT-800 transmitters which

are FM (RF) based. Confirm that indeed this should be RF not IR.

- See section 27 41 00.00, sub-section 1.14.29 for details.

- All equipment and cabling have been shown for diagrammatic purposes only.

Please refer to AV-0, detail 5.

19 There appears to be no reference to any House audio pickup microphone in the theatre

to in turn feed the Green Room/Dressing Room, Pre-function area, with audio to

accompany the Video from the camera.

- See AV-355 for an illustration on how the audio can be distribute throughout the

facility.

20 The Theatre Pre Function area shows speakers, however there is no reference made to

these speakers, any amplification for them, or any Signal distribution to them in any of

the other RFP documentation.

- Will be addressed on the next Addendum

21 The Scope of work refers to a DSP system for the Theatre audio, as do the AV-XXX

Drawings, however the equipment list does not make any reference to this. Please

confirm the specification for this.

- Refer to section 27 41 00.00, sub-section 1.14. for details.

22 1.14.28 refers to a paging microphone for the AV Booth in the theatre; however no

reference made in the equipment list or the AV-XXX Drawings.

- AV contract to provide a paging microphone.

23 Drawing AV-317 refers to an RJ45 patch pay, but no reference is made to provision of

this patch bay within the RFP, please confirm who will provide this.

- AV contract to provide RJ45 patch bay

Page 24: ADDENDUM #4 NWIT-14-18 Supply and Install Audio Visual …2014. 6. 7. · NWIT-14-18 Addendum #4 Page 2 of 2. C. APPENDICES Appendix A – Pricing Schedule (14 Pages)

6 REQUEST FOR INFORMATION

24 Drawing AV-350 calls for 32" monitors, The Equipment list and Scope of work call for 42"

Monitors. Please confirm the correct size.

- See section 27 41 00.00, sub-section 2.1 for more details.

- All equipment and cabling have been shown for diagrammatic purposes only.

Please refer to AV-0, detail 5.

25 Additionally, Drawing AV-350 calls for a display in the Theatre Control room, no

reference made to this in the AV Scope of work or equipment list.

- Will be addressed on the next Addendum

26 There are also 3 x 46" monitors specified for the Theatre pre function area, but no

signals being fed to them from anywhere. Typically these should receive at minimum the

stage video feed, and/or potentially a digital signage feed. These monitors are not

referenced on the AV Signal drawings, nor the scope of work, but are referenced in the

Equipment list.

- Will be addressed on the next Addendum

27 There is reference made to the capability of room Lighting control for the Main Building,

and house lighting for the theatre, from the touch panels however no information

provided as far as the systems themselves. For the theatre specification of a DMX

interface for this interface is clear, section 3.1.6 appears to suggest all lighting interface

will be RS232 implying perhaps this is the case for the Main building? Please confirm

the brand/model and design architecture of these lighting systems. Please also provide

clarity for the functionality and programming division of responsibilities, ie: is the intent

that the AV system simply recall 3 - 4 presets that are programmed and administered

within the lighting systems, or for more advanced functionality.

- AV system will recall preset from the room lighting. AV contractor to coordinate

with electrical contractor prior to install.

Page 25: ADDENDUM #4 NWIT-14-18 Supply and Install Audio Visual …2014. 6. 7. · NWIT-14-18 Addendum #4 Page 2 of 2. C. APPENDICES Appendix A – Pricing Schedule (14 Pages)

7 REQUEST FOR INFORMATION

28 In the Line drawings for the Theatre it shows a requirement for a 32input/8output

standard analog signal stagebox compatible with the K1 console, however in the

equipment list it states a requirement for 32 outputs, and a total of 6 digital outputs in

both AES/EBU and SPDIF formats. The Soundcraft stagebox does not support SPDIF

nor do the line drawings seem to require it, for the AES/EBU signal support it requires an

optional card. Please confirm correct requirements for the stagebox so it can be

accurately priced.

- AES/EBU and SPDIF not required.

29 The Control room Monitor speakers are specified in the Equipment list with a reference to

see drawings for the quantity, however there is no reference to these speakers in the

drawings - either the line drawings, or the floorplans.

- AV contractor to provide two (2) control room monitor speakers

- All equipment and cabling have been shown for diagrammatic purposes only.

Please refer to AV-0, detail 5.

30 Typically the AV Intercom master station would reside at the stage manager’s

console onstage in the theatre.

- See section 27 41 00.00, sub-section 1.14.26 for details.

31 The AV Signal drawings show 4 dressings rooms, 319, 320,320, and 324. Equipment list

and Floorplan show 3 rooms, 319, 320, 326. Please confirm that one of the Room 320’s

referenced in the signal drawings is a duplicate, and that room 324 should in fact be

designated 326.

- Dressing room numbers are 319, 320 and 326.

32 Drawing AV-3 shows an intercom box in the Corridor (Room 316) however this is not

referenced in the the Signal Drawings (AV-357). Please confirm the corridor input is

indeed required.

- AV contractor to provide an intercom box in corridor 316.

Page 26: ADDENDUM #4 NWIT-14-18 Supply and Install Audio Visual …2014. 6. 7. · NWIT-14-18 Addendum #4 Page 2 of 2. C. APPENDICES Appendix A – Pricing Schedule (14 Pages)

8 REQUEST FOR INFORMATION

33 Room 426, the scope of 1.13.3 is copied from 1st floor. There an 8 channel amplifier is

requested, but in system drawing and equipment list this shows as a 2 channel amplifier.

Please clarify and confirm.

- AV contractor to provide 2 channel amplifier

34 1.4.7.2 - States that the final BoM needs to be submitted 4 weeks prior to the ordering of

equipment. Based upon the project schedule this is impossible. Please confirm actual

requirements.

- Have bidder state what drawing or specification section contains this reference.

35 1.5.4 states we need to pay at our cost for the services of a certified professional

(engineer) for structural certification of any mounting etc. We believe this is inefficient

and would be better served by utilising the project’s structural engineer, however if not, it

is not clear on what the parameters are for what needs to be certified in order to

determine what costs we are likely to face. Please provide clarity.

- Have bidder state what drawing or specification section contains this reference.

- I agree. Please revise in the next addendum- “The owner will retain and pay for a

structural engineer to design the support and seismic restraint of equipment.”

36 1.6.6.4/5/6 - States we are responsible for any infrastructure like backing and structural

reinforcement, millwork, etc. if we don't flag it as missing from drawings etc. The

drawings don’t appear to indicate this, although reference was made in the site

walkthrough to the fact that all backing was in place.

- Have bidder state what drawing or specification section contains this reference.

- Add to next addendum –“Plywood backing for the attachment of the wall

mounted TV monitor supports has been provided.”

If this is indeed a contractual requirement, we need specification of all infrastructure that

has been allowed for.

- Add change next addendum – “All other required supports of the AV equipment

will be by the base building architect and the base building structural engineer,

retained and paid for by the Owner. Any additional backing, supports and/or

reinforcement of existing building elements will be undertaken by the Owner, at

the Owner’s expense, if required.”

Page 27: ADDENDUM #4 NWIT-14-18 Supply and Install Audio Visual …2014. 6. 7. · NWIT-14-18 Addendum #4 Page 2 of 2. C. APPENDICES Appendix A – Pricing Schedule (14 Pages)

9 REQUEST FOR INFORMATION

37 1.9.3 states that the AV contractor must have their Infocomm CTS designation. This

doesn't make sense as a company doesn't hold a CTS designation, individuals do.

Please clarify.

- Have bidder state what drawing or specification section contains this reference.

38 1.9.4 states unionised requirement where applicable. Please confirm this is not

applicable in this project.

- Yes. I will check with PCL – if bidder is working on site before turnover. Please

advise if there are any City requirements, especially after turnover.

39 The spec calls for Clearcom Intercom, please confirm that Pro Intercom is an acceptable

alternate manufacturer.

- Bidder is to submit specifications for review by the consultant.
