Admission Custom, Setup ACT Major Codes Setup

Purpose:

The ACT Major Codes Setup table contains the plan codes and descriptions obtained from ACT that are then loaded into the system. Changes or additions to this table can also be done by running the SQR (program ADH504).

NOTE: To determine whether there are changes or additions to the table, you’ll need to manually compare the setup table with the ACT Tape load file’s record description sent to us via hard copy by ACT. The contact person for this information at the current time is:

NOTE: Verify the ACT Major Codes Setup table is valid before running the ACT Tape Load Student Interest and Special Help report.

Displaying the ACT Major Codes Setup Table

Complete the following steps to display the ACT Major Codes Setup page:

1. UWP Satellite System, AD Custom Reports, Setup, ACT Major Code Setup

2. Enter the Plan ID, Plan Description or click the Search button to display all Plan IDs and descriptions.

3. Click the Add a New Value button to create a new ACT Major Codes.

Postal and Ext Org ID Setup

Purpose:

The Postal and Ext Org ID setup pages are used ro define the external organizations and postal codes for Illinois and Iowa schools that are eligible for special funding. Information entered on these pages is then used by the Tuition Reduction Report (ADH013).

Display the Postal and Ext Org ID Setup pages

Complete the following to display the Postal and Ext Org ID setup pages.

• UWP Satellite System, AD Custom Reports, Setup, Postal and Ext Org ID Setup

Entering External Org ID Parameters

Complete the following steps to enter the External Organization ID codes associated with the high school from which the student graduated.

1. Enter the code assigned to the school from which the student graduated in the External Org ID field.

2. Press TAB to display the description associated with the high school.

3. Click the plus (+) sign to insert another high school External Organization code or click the minus (-) sign to remove an existing postal code.

4. Click the Save button.

Entering Postal Code Parameters

Complete the following steps to enter the Postal codes associated with the high school from which the student graduated.

1. Click the plus (+) sign to insert another postal code or click the minus (-) sign to remove an existing postal code. 1.

2. Enter the zip code assigned to the school from which the student graduated in the Postal Code field.

3. Click the Save button.

ACT Religious Codes Setup

Purpose:

The ACT Religious Codes Setup table contains the religious codes and descriptions obtained from ACT that are then loaded into the system.

To determine whether there are changes or additions to the table, you’ll need to manually compare the setup table with the “ACT Student Profile Section – Background Information” sent to us via hard copy by ACT. The contact person for this information at the current time is:

Purpose:

Admission Custom, Process Placement Test Scores (ADH500)

Purpose

This process loads the Math, English, and Foreign Languages test scores that are received from Madison and post them in the system. The file is located in is_prod:[data.incoming.sysdl]

NOTE: The Placement test scores are now 154 columns and the file extension is now .p .

The following steps must be completed each time Placement scores are received from Madison:

1. Load the file which is located in is_prod:[data.incoming.sysdl]

2. Place the file in your drop box and run the Staging process.

3. Review the report generated.

Using Search/Match or Biographical Details (Add/Update a Person) page determine if those people listed on the report have a valid Emplid. If they do not, then they will need to be added to the database.

4. Post the file to the system.

NOTE: This file is only posted when all errors are been corrected. If you receive a second file before the first file is posted, you will need to resolve all errors in both files before posting.

Each of the steps are outlined in this section of the documentation.

Step 2 -- Staging Process -- Displaying the Test Sc ores page

Complete the following navigation:

• UWP Satellite System, AD Custom Reports, Process, Placement Test Scores

NOTE: Select either Add or Update/Display as the action. Selecting Add requires the user to enter a new Run Control ID; whereas, selecting Update/Display allows the user to use an existing Run Control ID.

Entering Test Score File Parameters

Complete the following steps to define the parameters.

1. Enter UWPLT in the Institution field.

2. Enter the Admit term. This is the term in which the individual has applied to be admitted to UW-Platteville.

3. Mark the Stage Run radio button.

4. Mark the following check boxes to indicate the type of test.

• Math/English – mark this checkbox to load the Math/English test scores.

• Foreign Language – mark this checkbox to load the Foreign Language test scores.

NOTE: Mark both checkboxes to load the Math/English and Foreign Language test scores.

4. Enter the Input file name.

5. Click the Save toolbar button.

6. Click the Run toolbar button to display the Process Scheduler Request dialog.

Step 3 – Review the Report

NOTE: Using Search/Match or Biographical Details (Add/Update a Person) page, determine if those people listed on the report have a valid Emplid. If they do not have a valid Emplid, then they will need to be added to the database. All individuals must have a valid Emplid before posting the file.

To review the report generated in step 2, complete the following steps:

1. Click the Process Monitor link on the Test Scores page to display the Process List page.

2. Locate the ADH500 report and click on the Details link.

NOTE: The Run Status must be Success and the Distribution Status must be Posted in order for the Details link to be active. If necessary, click the Refresh button to update the page.

3. On the Process Detail page, click the View Log/Trace link.

4. Click on the ADH500_xxxx.PDF link on the View Log/Trace page.

NOTE: If you want to keep the report for historical purposes, you can print the report or rename the report and save it.

ADH500 Report

The ADH500 report provides list of individuals whose WEMPT test scores are included in the file which was loaded but who do exist in the data base.

The system attempts to match an individual from the file to a UW-Platteville applicant as follows:

Last Name, First Name, Birth date

Applicants for the user-defined admit term

Last Name

If a match cannot be determined by the system, the individual’s name, test date, test scores and the message NO POTENTIAL MATCH are included on the report.

The next part of the report provides a listing of those individuals whose test scores were not loaded. You can then use this information to review and verify the correct Emplid was associated with the individual.

NOTE: In the event, the individual has does not have a valid Emplid, Admissions or Recruitment needs to add the individual. When the individual is added to the database, you must enter the first name, last name, and middle initial, birth date and gender exactly as it appears on the report.

Using Search/Match or Biographical Details (Add/Update a Person) page, determine if those people listed on the report have a valid Emplid. If they do not have a valid Emplid, then they will need to be added to the database. All individuals must have a valid Emplid before posting the file.

It is recommended that you note on the report the Emplid for those individuals listed on the report. This should assist you in entering the Emplid in Step 4.

Step 4 – Assigning Emplid

Each individual within in the WEMPT testing file must have an Emplid assigned before posting of test scores. Using the ADH500 report, review and assign Emplid as outlined in Step 3.

To assign an Emplid, complete the following steps:

1. Display the WEMPT Update Stage Table using the following navigation:

• UWP Satellite System, AD Custom Reports, Process, WEMPT Update Stage Table

2. Set the Search by field to the desired value and enter the appropriate information in the field.

NOTE: If the Search Results displays multiple records, click on the record of interest.

3. If the Emplid field is blank, then enter the individual’s newly created Emplid.

After all individuals have been reviewed and assigned an Emplid you can proceed to step 5 – Posting Test Scores.

Step 5 – Posting Test Scores

NOTE: All individuals whose test scores are included in the file MUST have a valid Emplid assigned otherwise the process will not post the WEMPT test scores.

Complete the following navigation:

NOTE: Select either Add or Update/Display as the action. Selecting Add requires the user to enter a new Run Control ID; whereas, selecting Update/Display allows the user to use an existing Run Control ID.

Math/English (WEMP) Test Billing

Purpose

The WEMP test billing process will be run every semester to charge the WEMP test fee to students’ accounts. Only students who are entering the specified semester as new registered freshmen will be charged for this test fee. Transfer students or any other student with an admit type other than new freshman (NF) will be excluded from this group post.

When the program is run to charge the initial test fee of $20.00, a report will be produced that will list all of the new registered freshmen and the amount ($20.00) they were charged. The total number of students’ processed, total amount that will be posted and the number of errors encountered are included at the bottom of the report. If any errors are encountered in a student’s account, an error message will appear on the report; and the test fee will not be charged to that student’s account. Upon successful completion of this process, the group posting process will need to be run to post these charges to the students’ accounts. The Group ID needed to complete the group posting process can be found at the top of this report.

Access Method

Complete the following steps to display the page.

1. UWP Satellite System, AD Custom Reports, Process, Math/English Test Billing

2. Click Add a New Value tab to create the new run control identification. To use existing run control identification, click Find an Existing Value tab.

• If you click Add a New Value tab, enter the new identification in the Run Control ID field and click Add.

• If you click Find an Existing Value tab, click Search to display a list of valid run control identifications. Double-click on the desired run control.

Defining the Parameters

Complete the following steps to define the parameters:

1. Enter the term for which you want to generate the report in the Term field. For example, to generate the report for the fall 2009 term, enter 0800 in the Term field.

2. Enter ‘UWPLT’ in the Business Unit field.

3. Enter MIS in the Account Type field.

4. Enter 000000001300 in the Item Type field.

5. The description “Test Fee (WEMPT)” associated with the Item Type will be displayed in the Item Description field.

6. Enter the due date in the format mm/dd/yyyy where “mm” represents the two-digit month, “dd” represents the two-digit day and “yyyy” represents the four-digit year. The date entered in this field should be the same date as when the group posting process will be run.

7. Click the Save toolbar button to save the report parameters.

8. Click the Run toolbar button to display the Process Scheduler Request dialog.

WEB Process Scheduler Request Parameters

Complete the following steps to generate the report via the WEB:

1. Click on the arrow to the right of the Server Name field and select PSNT.

2. In the Process List portion of the page complete the following steps to generate the report.

A. Mark the checkbox under Select to define the report to want to generate.

B. Click on the arrow to the right of the Type field and select Web.

C. Click on the arrow to the right of the Format field and select PDF.

When the report is run this will allow you to view a copy of the report over the web.

3. Click on the OK button to start the Process.

Process Monitor Link

Use the Process Monitor Link to review the status of scheduled or running processes. You can view all processes to see the status of any job in the queue and control any processes you’ve initiated.

Complete the following steps:

1. Click on the Process Monitor Link at the top of the page.

2. Click the Refresh button to check the status of the process.

If the Run Status is listed as ‘Success’, then your report has run successfully.

3. Click on the ‘Go Back’ link at the bottom of the Process Monitor page to return to the Report page.

Report Manager Link

Use the Report Manager Link to view the various reports you have generated. The Report Manager Link provides a secured mean to view report content and see content detail messages.

Complete the following steps:

1. Click on the Report Manager Link.

2. Click the Administration tab to display the Report list.

3. Locate the report you want to view.

4. At the far right side of the page, click the Detail link associated with the report to display the Report Detail page.

NOTE: If necessary log into the system.

5. Locate the XXXX.PDF file where XXXX represents the name of the file you want to view in PDF format. This information should appear in the File List portion of the page.

Loading ACT Codes

Purpose

When a student takes the ACT test, he/she enters a code defined by ACT for the major that they are most interested in pursuing. The code's description needs to be retrieved for reporting purposes. Since ACT's major codes are different from UW-Platteville's major codes, we need to insert ACT's major codes/descriptions into a setup table which will be used by the ACT Tape Load reports in retrieving the code's description.

This program will take the incoming ACT Major Codes File and insert the Major Code, Effective Date, Effective Status, and Description fields into a setup table (AD_H_ACTPLN_TBL). If there is a faulty row in the ACT Major Codes file, that row will not be inserted into the table and an error message will be displayed in the SQR.log.

NOTE: This process doesn’t generate a report. It is not certain that the incoming file from ACT will have the same layout every time it is sent. Therefore, the layout of the file received from ACT will have to be checked and possibly edited by hand in order for ADH504 to read and edit the file successfully.

Access Method

Complete the following steps to display the page.

1. UWP Satellite System, AD Custom Reports, Process, Load ACT Major Codes

2. Click Add a New Value tab to create the new run control identification. To use existing run control identification, click Find an Existing Value tab.

• If you click Add a New Value tab, enter the new identification in the Run Control ID field and click Add.

• If you click Find an Existing Value tab, click Search to display a list of valid run control identifications. Double-click on the desired run control.

Defining the Parameters

1. Enter the complete path and file name of the incoming file in the Input File field. The system defaults the path and file name to:

H:\Wgroups\Dev\InBox\ACTMajorCodes.txt

2. Click the Save toolbar button to save the Report parameters.

3. Click the Run toolbar button to display the Process Scheduler Request dialog.

WEB Process Scheduler Request Parameters

Complete the following steps to generate the report via the WEB:

1. Click on the arrow to the right of the Server Name field and select PSNT.

2. In the Process List portion of the page complete the following steps to generate the report.

B. Click on the arrow to the right of the Type field and select Web.

ACT Truncate Spaces

Purpose

The ACT Truncate Spaces process removes the existing spaces in the ACT Tape file at column 784.

Displaying the Load ACT Supplementary Information p age

Complete the following navigation to display the page.

• UWP Satellite System, AD Custom Reports, Process, ACT Truncate Spaces

• Click Search to display a list of valid run control identifications. Click on the desired run control.

Running the Process

Complete the following navigation.

1. Enter the complete path and filename of the incoming ACT tape file in the Incoming ACT filename field.

The incoming file must be located in your drop box.

Enter the path as follows:

New Freshman Registration Fee

Purpose

The New Freshman Registration Fee process provides a method to select incoming freshman who are enrolled in classes. Those students are then placed in a group that is charged a user-defined fee through the Student Financials Group Posting process.

NOTE: After completing the New Freshman Registration Fee process, contact Student Financials so they can run the Group Posting process.

Displaying the New Freshman Registration page

Complete the following steps:

1. UWP Satellite Systems, AD Custom Reports, Process, New Freshman Registration Fee.

2. Click Add a New Value link to create the new run control identification. To use existing run control identification, click Find an Existing Value link.

• If you click Add a New Value link, enter the new identification in the Run Control ID field and click Add.

• If you click Find an Existing Value link, click Search to display a list of valid run control identifications. Double-click on the desired run control.

Create Posting Group

Enter the following information on the Transfer Reg Fee page to create the posting group.

1. Enter or select the term for which the transfer registration fee applies.

2. Enter UWPLT in the Business Unit field.

3. Enter MIS in the Account Type field.

4. Enter the Item Type (000000001245) assigned to the Transfer Registration Fee in the Item Type field.

5. Enter the due date charge for the New Freshman Registration fee.

NOTE: The system displays the current date by default. The date entered in this field is considered the due for the charge; therefore, the value in this field can be the current or future date. If you enter a past date, the system will not post the charges.

7. Click the Save button.

8. Click the Run button to create the posting group.

WEB Process Schedule Request Parameters

1. Complete the following steps to process the request.

2. Click on the arrow to the right of the Server Name field and select PSNT.

3. In the Process List portion of the page complete the following steps.

Admission Custom Report

Reports A-D Options Admission Activity Counts (ADH049, ADH050)

Purpose

The Admission Activity Counts reports produce a count of all current admission students for a user-defined term and academic career. The Admissions Activity Counts report excludes the extension and study abroad students. Based on the description selected on the Process Scheduler page, the system produces one of the following reports:

By Academic Level (ADH049) – A detail and summary report that groups students by their academic level is produced. The reports produce counts broken down in the following order:

• Academic Program

• Admit Type

• Program Action

• Academic Level

NOTE: Students who have the academic level set as blank or zero are listed as Not Set.

By Residency & Citizenship (ADH050) – this report groups students by their residency and citizenship. The report produces counts broken down in the following order:

• Academic Program

• Admit Type

• Program Action

• Residency Type

• Citizenship

Access Method

Complete the following steps to display page:

1. UWP Satellite System, AD Custom Reports, Reports A-D, Admission Activity Counts

• If you click Add a New Value tab, enter the new identification in the Run Control ID field and click Add.

Purpose

The Admissions Labels and Yellowsheets program generates two comma-delimited files. One file is used by the Admissions office to produce labels. The second file is used for data entry purposes. The program selects students with an Academic Program of BILSA, LAE, EMS, SABAD and SPECL.

Access Method

Complete the following steps to display the page:

1. UWP Satellite System, AD Custom Reports, Reports A-D, Admissions Labels/Yellowsheets

2. Click Add a New Value tab to create the new run control identification. To use existing run control identification, click Find an Existing Value tab.

Defining Parameters

Complete the following steps to define the parameters:

1. Select the term for which you want to generate the labels and yellow sheets. Only students with an admit term matching the term entered in this field and a program of EMS, LAE, BILSA, or SABAD are included.

NOTE: The report will be placed in your drop box on the network upon completion.

2. Enter the beginning date in the Begin Date field in the format mm/dd/yyyy where “mm” represents the two-digit month, ‘dd’ represents the two-digit day and ‘yyyy’ represents the four-digit year.

3. Enter the ending date in the End Date field in the format mm/dd/yyyy where “mm” represents the two-digit month, ‘dd’ represents the two-digit day and ‘yyyy’ represents the four-digit year.

NOTE: The system selects students based on the date entered in the EFF Date field on the Application Entry page.

4. Enter the file name for each of the files.

A. Enter the name of the label file in the Label File Name field. For example, enter Labels0915.

B. Enter the name of the yellow sheet file in the Yellowsheet File Name field. For example, enter Yellowsheet0915.xls .

5. Click the Save button to save the parameters.

6. Click the Run button to display the Process Scheduler Request page.

New Freshman Honors Program (ADH019)

Purpose

The New Freshman Honors Program report provides a listing of all freshmen admitted for a given term who are in the top 15% of their high school graduating class or have an ACT Composite score of 27 or higher. The report generates the following files:

ADH019.lis – This report provides a listing of all students meeting the user-defined parameters.

ADH019.dat – This is a comma-delimited file that may be used for Cass Certification.

ADH019.err – This report provides a listing of students meeting the user-defined parameters who have incomplete addresses.

ADH019.Form_dat – This is a comma-delimited file that may be used for mail merge purposes.

ADH019.xls – This is a tab-delimited file that can be brought into Excel. Information in this spreadsheet is identical to ADH019.lis.

Access Method

Complete the following steps to display the page:

3. Enter the beginning date in the Date From field in the format mm/dd/yyyy where ‘mm’ represents the two-digit month, ‘dd’ represents the two-digit day, and ‘yyyy’ represents the four-digit year.

NOTE: The system selects only those students who have been admitted within the date range entered in the Date From and Date To field. In order to select students who were admitted during the month of April, enter 04/01/2009 in the Date From field and 4/31/2009 in the Date To field.

4. Enter the ending date in the DateTo field in the format mm/dd/yyyy where ‘mm’ represents the two-digit month, ‘dd’ represents the two-digit day, and ‘yyyy’ represents the four-digit year.

5. Enter the filename, and extension in the File Name field. For example to save the file with the filename NF_0800, enter ‘NF_800.xls’ in the File Name field.

NOTE: The report will be placed in your drop box on the network upon completion.

6. Mark Include Academic Plan check box when you want the student’s academic plan included in the listing.

7. Click the Save button to save the parameters.

8. Click the Run button to display the Process Scheduler Request dialog.

Admissions Application Fees Report (ADH001)

Purpose

The Admissions Application Fees report produces a list of students and the amount of the application fee they have paid. This report is generated by Admissions and given to Cashiering as a daily deposit report.

NOTE: This report produces two files: ADH001 that can be given to Cashiering as a daily deposit report and a user-defined file that is placed in the drop box.

Access Method

Complete the following steps to display the page:

2. Click Add a New Value tab to create the new run control identification. To use existing run control identification, click Find an Existing Value tab.

5. Enter the name of the file in the Filename field. For example, enter “Appl_Fees_0800.xls” in the Filename field. The system places the “Appl_Fees_0800.xls” file in your drop box.

6. Click the Save button to save the parameters.

7. Click the Run button to display the Process Scheduler Request dialog.

ACT Tape Load Religion/Interest (ADH057)

Purpose

The ACT Tape Load Religion and Interest report for creates a comma-delimited file that can be used to by Admissions or Recruitment.

Access Method

Complete the following steps to display the page:

1. UWP Satellite System, AD Custom Reports, Reports A-D, ACT SPS Religion/Interest

2. Click Add a New Value link to create the new run control identification. To use existing run control identification, click Find an Existing Value link.

• If you click Add a New Value link, enter the new identification in the Run Control ID field and click Add.

• If you click Find an Existing Value link, click Search to display a list of valid run control identifications. Double-click on the desired run control.

Defining the Parameters

Complete the following steps to define the parameters:

1. Enter the term for which you want to generate the report.

NOTE: The system selects those students admitted for the user-defined term who have submitted their ACT test scores.

2. Mark one of the following admit type radio buttons.

• All Admit Types – mark this radio button to select all students regardless of their admit type.

• New Freshman Students – mark this radio button to select only students whose admit type is NF.

• Reentrant Students – mark this radio button to select only students whose admit type is RE.

• Transfer Students – mark this radio button to select only students whose admit type is TR.

3. Click on the down arrow t the right of the ACT Religion Selection field to select the religion type to be included on the report.

4. Click on the down arrow t the right of the ACT Interest Selection field to select the interests to be included on the report.

NOTE: When this field is blank, the system does not include any special information on the report.

5. Enter the complete file name in the File Name field. For example, to name the comma-delimited file ACT_0710.xls, enter ‘ACT_0710.xls” in the File Name field.

6. Click the Save button to save the parameters.

7. Click the Run button to display the Process Scheduler Request page.

WEB Process Scheduler Request Parameters

Complete the following steps to generate the report via the WEB:

1. Click on the arrow to the right of the Server Name field and select PSNT.

2. In the Process List portion of the page complete the following steps to generate the report.

A. Mark the checkbox under Select to define the report you want to generate.

B. Click on the arrow to the right of the Type field and select Web.

ACT Tape Load No Application or Prospect Record (AD H047)

Purpose

The ACT Tape Load for students with no application or prospect record creates a comma-delimited file that can be used to by Admissions or Recruitment.

Access Method

Complete the following steps to display the page:

1. UWP Satellite System, AD Custom Reports, Reports A-D, ACT Students – No Prspct/No App

2. Click Add a New Value tab to create the new run control identification. To use existing run control identification, click Find an Existing Value tab.

• If you click Add a New Value tab, enter the new identification in the Run Control ID field and click Add.

• If you click Find an Existing Value tab, click Search to display a list of valid run control identifications. Double-click on the desired run control.

Defining the Parameters

Complete the following steps to define the parameters:

1. Enter the beginning date range in the Begin Date field. Enter the date in the following format: MM/DD/YYYY where “MM” represents the two-digit month, “DD” represents the two-digit day, and “YYYY” represents the four-digit year.

2. Enter the ending date range in the End Date field. Enter the date in the following format: MM/DD/YYYY where “MM” represents the two-digit month, “DD” represents the two-digit day, and “YYYY” represents the four-digit year.

NOTE: The system selects those students whose ACT Tape Load date falls within the dates entered in the Begin and End Date fields.

3. Enter the complete file name in the File Name field. For example, to name the comma-delimited file ACT_0800.xls, enter ‘ACT_0800.xls” in the File Name field.

4. Click the Save button to save the parameters.

5. Click the Run button to display the Process Scheduler Request page.

WEB Process Scheduler Request Parameters

Deposits Paid by Date (ADH064)

Purpose

The Deposits Paid by Date report generates a listing of students whose enrollment deposit has been posted to their Student Account within the user-defined date range. The report is used by Admissions to ensure all enrollment deposits posted within the date range have been entered.

NOTE: The results of the report will be placed in your drop box.

Access Method

Complete the following navigation to display the page:

1. UWP Satellite System, AD Custom Reports, Reports A-D, Deposits Paid by Date

2. Click Add a New Value tab to create the new run control identification. To use existing run control identification, click Find an Existing Value tab.

• If you click Add a New Value tab, enter the new identification in the Run Control ID field and click Add.

• If you click Find an Existing Value tab, click Search to display a list of valid run control identifications. Double-click on the desired run control.

Cleanup MAAD Ethnicity/SSN (ADH065)

Purpose

The Cleanup MAAD Ethnicity/SSN report provides a listing of Undergrad applicants for a user-defined admit term who have either an invalid ethnicity code or have multiple ethnicity codes with either NORESP or NSPEC. In addition, it updates the Social Security Number of applicants who have their SSN as ‘999-99-9999’ to the correct format: ‘999999999’.

NOTE: The report named MAAD_Errors.CSV will be placed in your drop box on the network upon completion.

Access Method

1. UWP Satellite System, AD Custom Reports, Reports A-D, Cleanup MAAD Ethnicity/SSN

2. Click Add a New Value tab to create the new run control identification. To use existing run control identification, click Find an Existing Value tab.

• If you click Add a New Value tab, enter the new identification in the Run Control ID field and click Add.

• If you click Find an Existing Value tab, click Search to display a list of valid run control identifications. Double-click on the desired run control.

Defining the Parameters

Enter the following information on the Excess Credits page.

1. Verify UWPLT appears in the Academic Institution field. If necessary, enter UWPLT in the Academic Institution field.

2. Enter the four-digit Admit Term for which you want to generate the report in the Admit Term field. For example, if you want to generate the report for the fall 2009 term, enter ‘0800’ in the Admit Term field. If necessary, click the Look Up glass to the right of the Term field and click the Look Up button on the Look Up Term page. Once you locate the admit term of interest, click on the appropriate value

3. Click the Save button to save the parameters.

4. Click the Run button to display the Process Scheduler Request page.

WEB Process Scheduler Request Parameters

Complete the following steps to generate the report via the WEB:

1. Click on the arrow to the right of the Server Name field and select PSNT.

Reports E-I Options English WEMPT Mailing Labels (ADH053)

Purpose

The English WEMPT Mailing Labels program has the capability of producing two first-class mailing label files for two different sets of students:

• New freshmen that have not yet enrolled in the upcoming term and have scored an English placement level of 00 or 22 on the WEMP regional test. This will be run for a user-defined term.

• Students who have scored a placement level of 00 or 22 on the WEMP test. This will be run for a user-defined test date.

Regardless which set of students the files are to be produced for, one mailing label file will contain those students who have scored a placement level of 00 on the English portion of the WEMP test, and the second mailing label file will contain those students who have scored a placement level of 22 on the English portion of the WEMP test.

Access Method

Complete the following steps to display the page:

1. UWP Satellite System, AD Custom Reports, Reports E-I, English WEMPT Mailing Labels

2. Click Add a New Value tab to create the new run control identification. To use existing run control identification, click Find an Existing Value tab.

• If you click Add a New Value tab, enter the new identification in the Run Control ID field and click Add.

• If you click Find an Existing Value tab, click Search to display a list of valid run control identifications. Double-click on the desired run control.

B. Remove the checkmark from the Run Test Dates check box and enter the term for which you want to generate labels. Labels will be generated for new freshman enrolled in the term field. For example, for new freshmen who are entering in the fall 2009 term (0800) enter “0800” in the Term field.

2. Enter the file name, including file extension, of the first label file in the Level 00 File Name field. For example, enter “Placement_Level_00_Label_File.xls” to save the file.

NOTE: The report will be placed in your drop box on the network upon completion.

• This first label file contains new freshmen that scored a 00 on the English portion of the WEMP test.

3. Enter the file name, including file extension, of the second label file in the Level 22 File Name field. For example, enter “Placement_Level_22_Label_File.xls” to save the file.

NOTE: The report will be placed in your drop box on the network upon completion.

• This second label file will contain new freshmen that scored a 22 on the English portion of the WEMP test.

4. Click the Save button to save the parameters.

Incoming Freshman Report (ADH016)

Purpose

The Incoming Freshman Report generates a listing of students meeting the conditions defined on the Admissions Report page. This is a comma-delimited file that may be opened using Excel. The file can be modified to generate a report or to generate labels.

Access Method

Complete the following steps to display the page:

1. UWP Satellite System, AD Custom Reports, Reports E-I, Incoming Freshman

2. Click Add a New Value tab to create the new run control identification. To use existing run control identification, click Find an Existing Value tab.

• If you click Add a New Value tab, enter the new identification in the Run Control ID field and click Add.

• If you click Find an Existing Value tab, click Search to display a list of valid run control identifications. Double-click on the desired run control.

Defining the Parameters

1. Enter the term for which you want to generate report in the Term field. The system selects students who have been admitted for the term.

2. Enter the beginning date range in the Begin Date field.

3. Enter the ending date range in the End Date field.

5. Mark one of the following radio buttons to define the student’s gender.

Male – selects only students with the Gender field defined as Male on the Application Maintenance or Application Entry panel. Female – selects only students with the Gender field defined as Female on the Application Maintenance or Application Entry panel. Unknown – selects only students with the Gender field defined as Unknown on the Application Maintenance or Application Entry panel. All Genders – selects all students regardless of how the Gender field is marked on the Application Maintenance or Application Entry panel.

6. Mark one of the following radio buttons to define the Program Action.

All Actions – selects all students regardless of the Program Action defined on the Application Maintenance or Application Entry panel. ADMT, COND, MATR – selects students with the Program Action field defined as ADMT, COND, or MATR on the Application Maintenance or Application Entry panel. WADM, WAPP – selects students with the Program Action field defined as WADM, or WAPP on the Application Maintenance or Application Entry panel. DENY – selects students with the Program Action field defined as DENY on the Application Maintenance or Application Entry panel. WAIT – selects students with the Program Action field defined as WAIT on the Application Maintenance or Application Entry panel. APPL -- selects students with the Program Action field defined as APPL on the Application Maintenance or Application Entry panel.

Incoming Freshman Appointments (ADH060)

Purpose

The Incoming Freshman Appointments report provides a tab-delimited listing of the incoming freshman students who have been assigned an enrollment appointment for a user-defined term and date range. This information is used by Admissions to verify incoming freshman have been assigned to the correct enrollment appointment for Pioneer Passage.

Access Method

Complete the following steps to display the page:

1. UWP Satellite System, AD Custom Reports, Reports E-I, Incoming Freshman Appointments

2. Click Add a New Value tab to create the new run control identification. To use existing run control identification, click Find an Existing Value tab.

• If you click Add a New Value tab, enter the new identification in the Run Control ID field and click Add.

• If you click Find an Existing Value tab, click Search to display a list of valid run control identifications. Double-click on the desired run control.

Defining the Parameters

Complete the following steps to define the parameters:

1. Enter the term for which you want to generate report in the Term field. The system selects students who have been admitted for the term.

2. Enter the appropriate career in the Academic Career field.

3. Enter the beginning date range in the Begin Date field. This is the first date for the enrollment appointment associated with Pioneer Passage.

4. Enter the ending date range in the End Date field. This is the last date for the enrollment appointment associated with Pioneer Passage.

5. Enter the filename in the File Name field. For example, enter NF_0710.XLS.

6. Click the Save toolbar button to save the parameters.

7. Click the Run toolbar button to display the Process Scheduler Request page.

WEB Process Scheduler Request Parameters

Complete the following steps to generate the report via the WEB:

1. Click on the arrow to the right of the Server Name field and select PSNT.

2. In the Process List portion of the page complete the following steps to generate the report.

Purpose

The Enrolled Students by High School Report generates a list of students who are currently enrolled for a specific term at a user-defined high school. The report lists all enrolled students alphabetically for the user-defined high school.

Access Method

Complete the following steps to display the page:

2. Click Add a New Value tab to create the new run control identification. To use existing run control identification, click Find an Existing Value tab.

Ethnic Sex Program Action Summary (ADH066)

Purpose

The Ethnic & Sex (Program Action Summary) report produces a count of all incoming undergraduate minority applicants (NF, TR, TRR, or RE). Undergraduate applicants with a program of BILSA, EMS, LAE are included in the report. Applicants must have the primary check box marked on the Regional page in order to be included in the report. Those applicants whose ethnicity group on the Regional page is defined as WHITE, NORESP, NSPEC, or OTHERACE are not reported.

NOTE: If you are running this report repeatedly during the business day, you will need to run Populate IR Ethnicities process in order to update the Ethnicities before running this report. The path is UWP Satellite System, Institutional Reporting, Process, Populate IR Ethnicities.

At the end of the report the system lists those students whose ethnicity group on the Regional page is defined as ACAMLAOV, ASIAN, or HISPA or those students who do not have citizenship defined on the Citizenship Detail page.

A Exel spreadsheet is placed in your drop box which lists the following information for each student included on the Ethnic& Sex (Program Action Summary) report. This report can be used for verify the counts on ADH066.

Access Method

Complete the following steps to display the Labels for Undergrad Parents page:

Reports J-R Options Labels for Undergrad Parents (ADH033)

Purpose

The Parent Mailing Labels process produces a file containing the name and address of all parents or guardians whose children are enrolled for a specific academic career and term. The file will be used to produce CASS certified mailing labels for the Visitor’s Center.

NOTE: If a parent or guardian address isn’t entered, no label is generated. This file contains a list of the student’s Empl IDs for reference purposes.

Access Method

Complete the following steps to display the page:

The Military Admit Status report generates a list of the students currently enrolled at UW-Platteville whose Military Status is defined as “Other Vet” on the Regional page. The individual may have been a member of one of the military forces, reserves, or coast guard.

Purpose

The Transcript Request for New Freshman Report provides a list of new freshman attending UW-Platteville, grouped by High School. The purpose of this report is to provide a list of new freshman by high school which is used by the high school counselor. The report also generates a label file to send the lists to the students High School.

1. Enter the term for which you want to generate the report in the Term Field. The system selects students who have been admitted for the term.

2. Enter the four digit (yyyy) graduation year in the Graduation Year field in the following format: yyyy; where “yyyy” represents the four-digit year.

3. Enter the complete file name (ADH018) and the extension in the Label File Name field. For example, enter ‘ADH018.xls’ in the Label File Name field.

4. Click the Save button to save the parameters.

5. Click the Run button to display the Process Scheduler Request dialog.

WEB Process Scheduler Request Parameters

Complete the following steps to generate the report via the WEB:

1. Click on the arrow to the right of the Server Name field and select PSNT.

2. In the Process List portion of the page complete the following steps for the report you wish to generate.

A. Mark the checkbox under Select to define the report to want to generate.

C. Click on the arrow to the right of the Format field and select PDF.

When the report is run this will allow you to view a copy of the report over the web.

NF Registration Labels (LBLH003)

Purpose

The NF Registration Labels program produces labels for all new freshmen that are not yet enrolled in the user-defined term or date range. The following information is included on the labels: student name, credit load, Emplid, admit type (NF), program, plan, English and Math placement test scores and the message “Foreign Language Competency Met” if the student has met the foreign language competency requirements and “Foreign Language Competency NOT Met” if the student has not met the foreign language competency requirements.

NOTE: An Excel spreadsheet is placed in your drop box. The information in this spreadsheet is then use to create labels.

Access Method

Complete the following steps to display the page:

1. UWP Satellite System, AD Custom Reports, Reports J-R, NF Registration Labels

2. Click Add a New Value tab to create the new run control identification. To use existing run control identification, click Find an Existing Value tab.

• If you click Add a New Value tab, enter the new identification in the Run Control ID field and click Add.

• If you click Find an Existing Value tab, click Search to display a list of valid run control identifications. Double-click on the desired run control.

Defining the Parameters

Complete the following steps to define the parameters:

1. Complete one of the following:

A. Mark the Run Test Dates checkbox and enter the beginning and ending date for which you want to generate labels.

B. Remove the checkmark from the Run Test Dates check box and enter the term for which you want to generate labels. Labels will be generated for new freshman enrolled in the term field. For example, for new freshmen who are entering in the fall 2009 term (0800) enter “0800” in the Term field.

2. Enter UWPLT in the Institution field.

3. Enter the career for which you want to generate the labels in the Academic Career field.

4. Enter the file name of the output file including the file extension, in the Output File Name field. For example to generate the file named LBLH003.xls, enter ‘LBLH003.xls’ in the Output File Name field.

5. Click the Save button to save the parameters.

6. Click the Run button to display the Process Scheduler Request page.

WEB Process Scheduler Request Parameters

Complete the following steps to generate the report via the WEB:

Admissions, Reports S-Z Options Student by High School (ADH 032)

Purpose

Prospective Students by High School for a Given Term produces a report listing the prospective and/or admitted students for a user-defined term.

Prospective students with the Recruiting Status of Inquiry, Prospect, Suspect, or Applicant that attend a user-defined high school and have the Admit Term equal to the user-defined term are listed on the report when the Prospect List checkbox is marked. Admitted students with a Program Action of Application, or Admit that attend a user-defined high school and have the Admit Term equal to the use-defined term are listed on the report when the Admissions List checkbox is marked.

ADH032.lis -- This report provides a listing of all students meeting the user-defined parameters.

ADH032.xls – This is a tab-delimited file that can be used with Excel. This file is identical to ADH032.lis.

Mailing labels are created for the students meeting the user-defined criteria. An error report is produced listing any prospective or admitted student data errors. The error report can be used to make the necessary corrections to the prospect student’s record.

Information on the Prospective Students by High School for a Given Term includes:

• Recruiting Status

• Program and Plan

• Recruiter Name

• Graduation Date

• Composite, Math, English, Reading and Science AT scores

• Extracurricular Activities

Information on the Admitted Students by High School for Given Term includes:

• Program Action

Defining the Parameters

Complete the followings steps to define the parameters:

NOTE: Marking both checkboxes generates the Admission and Prospect Listing.

2. Verify the Institution field is set to UWPLT.

4. Enter the term for which you want to generate the report in the Term field. Only prospective or admitted students whose Admit Term is equal to the value entered in this field are selected.

5. Enter the code associated with the high school for which you want to generate the report.

6. Verify the filename (including extension) for the label file is correct in the Label Output File field. For example, enter HS800.xls in the Label Output File field.

NOTE: The report will be placed in your drop box on the network upon completion.

7. Click the Save button to save the parameters.

8. Click the Run button to display the Process Schedule Request page.

WEB Process Scheduler Request Parameters

Tuition Reduction Report (ADH013)

Purpose

The Tuition Reduction Report is used by Admissions to select students from particular Illinois and Iowa schools or Zip codes who are eligible for special funding. This report requires the user to define the External Organization codes on the Ext Org ID page and the Zip codes on the Zip Code page. The Tuition Reduction report uses the information defined on both of the Setup pages to accurately select and print the students eligible for tuition reduction. After generating this report, use Excel to display and print the results.

Displaying the Tuition Reduction Report Page

NOTE: The Postal and Ext Org setup tables must be defined before the Tuition Reduction Report can be run.

Complete the following steps to display the page

1. UWP Satellite System, AD Custom Reports, Reports S-Z, Tuition Reduction Report.

2. Click Add a New Value tab to create the new run control identification. To use existing run control identification, click Find an Existing Value tab.

• If you click Add a New Value tab, enter the new identification in the Run Control ID field and click Add.

• If you click Find an Existing Value tab, click Search to display a list of valid run control identifications. Double-click on the desired run control.

Entering Tuition Reduction Report Parameters

1. Enter term for which you want to generate the report in the Term field.

2. Mark one of the following radio buttons in the Report Selection portion of the page.

New Freshmen – mark this radio button to generate the report for new freshman.

Continuing Students – mark this radio button to generate the report for continuing students.

3. Enter the name of the file in the File Name field. Enter the file name you want assigned to the report. For example, enter “Tuition_Reduction_New_Freshman.xls” to create the report with the name “Tuition_Reduction_New_Freshman”.

NOTE: The report will be placed in your drop box on the network upon completion.

4. Click the Save button to save the parameters.

5. Click the Run button to display the Process Scheduler dialog.

TSI Applicants (ADH061)

Purpose

The TSI Applicant report selects students who qualify for the Tri-State Initiative. After reviewing the report, the user will run the Process TSI Students to place the students in the user-defined student group and place the user-defined service indicator.

Two reports are produced:

ADH061 is a listing of the TSI applicants and the region they are assigned to.

User-defined file is an Excel spreadsheet containing information about each of the TSI applicants. This file is placed in your drop box.

NOTE: The Process TSI Students is can be found using the following navigation:

• UWP Satellite System, TriState Initiative Setup, Process, Process TSI Students

NOTE: The TSI Applicants report will be placed in your drop box upon completion.

Displaying the TSI Applicants page

Complete the following to display the page.

1. UWP Satellite System, AD Custom Reports, Reports S-Z, TSI Applicants

2. Click Add a New Value tab to create the new run control identification. To use existing run control identification, click Find an Existing Value tab.

• If you click Add a New Value tab, enter the new identification in the Run Control ID field and click Add.

3. Enter the ending date in the format mm/dd/yyyy where ‘mm’ represents the two-digit month, ‘dd’ represents the two-digit day, and ‘yyyy’ represents the four-digit year. The system selects those students whose application has been entered within the date range defined.

4. Enter the filename, including the extension. For example, enter ‘TSI_0710.dat’ in the File Name field.

The report will be placed in your drop box upon completion.

5. Click the Save button to save the parameters.

6. Click the Run button to display the Process Scheduler Request page.

Unregistered/Registered Student Listing (ADH508)

Purpose

The Registered and Unregistered Student Listing report produces a comma-delimited file. A flag on the file indicates whether or not the student is registered for the user-defined term.

NOTE: Student who are term activated but have not registered are listed as Not Registered.

Access Method

Complete the following steps to display the page:

1. UWP Satellite System, AD Custom Reports, Reports S-Z, Unreg/Reg Student Listing

2. Select Add to create the new run control identification. To use existing run control identification, click the If you click Add a New Value tab, enter the new identification in the Run Control ID field and click Add.

• If you click Find an Existing Value tab, click Search to display a list of valid run control identifications. Double-click on the desired run control.

Defining the Parameters

1. Verify the Academic Institution is UWPLT.

2. Enter the term for which you want to generate the report in the Term field. Students whose Admit Term matches the value set in the field are selected.

3. Enter the file name (including extension) of the report for the unregistered students in the File Name field. For example, enter ‘830_students.xls’ to generate a file for students whose admit term is 830.

4. Click the Save button to save the parameters.

5. Click the Run button to display the Process Scheduler Request page.
