Directions for Enrolling Applicants for Grade 9into PowerSchool

Log into PowerSchool at http://powerschool.cthss.cen.ct.gov/admin/using your ID and password

Protocol

•Enroll applicants once all materials are received and scored.•The first school enrolling the applicant into PowerSchool (regardless of where they are listed in priority order on the student’s Application) is the one who enters all student information, including the scores, which are assigned based on the rubrics/score charts listed on the following pages.

3When enrolling an Applicant, begin by clicking “Enroll New Student”

This will log you into your home school, so you must switch to the Applicant School by clicking on the blue link School: and switch to the Applicant School. Be sure the 11-12 Year is the Term at the top of the page also.

After clicking “Enroll New Student”the window to the left will appear.

Enter the applicant’s information inthe fields as shown in the exampleon the next page.

Enter Last Name, First Name, and Middle

Enter the Date of Birth in format shown

Leave the Student number field blank

Enter Phone Number including area code

Enrollment Date will default to current date

Select Entry Code E1

Select Full Day for Full Time Equivalency

Enter the applicant’s current grade level

Leave the Track field Blank

Select the District of Residence

Students are not exempted from fees

Select the checkbox to enroll without linkingor copying information

Click Submit when finished

After you clicked Submit, the system checked to see if the applicant you entered had been entered into the system by another school. If the window below does not appear,proceed to the next page.

If the window below appears, the applicant you’re enrolling probably has the samelast name and birth date, or the same phone number as someone in the system. • If you determine that the applicant has been enrolled by another school, click on the name of the student below and then proceed to Page 8 - Update the School Applied To. • If the student you’re enrolling does not match the student shown, click the Enroll button on the bottom right and continue on the following page.

After enrolling the Applicant and entering basic demographic information, click Submit. Next, continue on to the student’s General screen to complete additional demographic fields.

Be sure to enter include all current demographic information, all parent/guardian information, and the emergency contact information. Please fill in as much information as you have from the student’s Application.

*Note - Scroll down the screen – there are many fields. When finished, be sure to click Submit.

After submitting all demographic information for the Applicant, continue by clicking the Applicant Entry link on the left side of the screen.

On the Applicant Entry screen, select the school the applicant applied to, as well as the Trade Choices, and enter the name of the Last School Attended (Applicant’s middle/junior high school).

Update the List of Schools Applied to: If the Applicant has already been enrolled by another school but your school is not listed here, update the student’s record to include the additional school. Select the school in the appropriate line number as it is listed on the student’s application (Priority 1 uses Line 1, etc.)

Pages 10 - 15 provide an overview of how to complete the CMT/Acuity Language Arts, Math, Applicant Attendance, Applicant Grades, Reasons for Attending, and Activities fields.

Be sure to begin by selecting whether the score types are from CMT or Acuity.

Enter the Admissions Points for Grades using the following information:

Each applicant receives a number of admissions points for their averages in Math, Science, English, and Social Studies.

Please add the correspondingpoints for each core subject grade from the student’s transcript.

You will need to total their points for Grades, and select the Total value from the Grades dropdown list. Be sure to include a value for each of the core subject areas in the equation.

The following pages provide information on how to update the

system for the following:

• Applicants are sent an Acceptance Letter• Applicants are sent a Waiting List Letter • An applicant notifies the school of Acceptance• An applicant Cancels his/her application/acceptance

Make sure you are loggedinto the Applicant Schoolin the proper term

Search for the student using the options providedto the right.

Then click the Applicant Entry link to the left

If the first priority school sends an acceptance letter, populate the “Letter Sent School 1” field as shown. If the second school sends an acceptance letter, populate the “Letter Sent School 2” field, etc. Wait List letters should follow the same process as described above.

When applicants accept admission to a school, enter the date of acceptance in the appropriate “Student Accept” field and check the Acceptance box to the school.

All dates for entry should follow this format : MM/DD/YYYY

Click Submit when finished.

After entering the date in the appropriate Student Accept (Stu_Accpt#) field and completing the check box to indicate the student has accepted admission to the school, the next step is to direct the accepted Applicant to be sent to the accepted school in PowerSchool during the end of year rollover, and set the student up for Scheduling for the 2012-2013 year.

To do this, while in the student’s record, click on the Scheduling Setup link on the bottom of the menu on the left.

On the Scheduling Setup screen, complete the fields as indicated below for incoming 9th graders, then select the accepted school name from the Next School Indicator drop down menu. When finished, click Submit. This will allow this student to be seen by the schedulers at that school on the PowerScheduling side.

Applicants Cancelling Application or Acceptance

Once a student indicates to the school that they wish to cancel application and/or acceptance, there are actions that need to be taken in PowerSchool.

On the student’s Applicant Entry screen, remove the date from the Student Accept field next to the school’s line of entry and click the Cancel check box field. Next, remove the check mark next to the school name in the Student Confirmed Acceptance area. Staff should not remove dates, mark checks or remove checks for a school other than their own.

Click Submit.

If your school is in the Next School Indicator box, remove the check from Schedule this Student, and remove the school name from the Next School Indicator, and click Submit.

If another school name appears as the next school, leave the page as is, as the student may have already accepted at another school.

Next, return to the student’s Scheduling Setup page.

Once the school has begun scheduling, all course requests and or scheduled classes that have been entered in PowerScheduler for the student cancelling should be removed/dropped. This may require notifying the individual responsible for Scheduling.
