Now that you’ve done all your searches, you would want to export your results somewhere to store, organize and cite them in your paper. This aim of this session is to share with you the basics of EndNote to help you get started in using this software.

What is EndNote?

A bibliographic management tool that:

•Stores citations

•organizes citations

•Formats citations

EndNote is a bibliographic tool, similar to Mendeley, Zotero and Ref Manager if you are familiar with some of them. It helps you to store, organize and format citations.

To back-up or archive or distribute your EndNote library, compress your library into .enlx format. In that way, the library and data folder will be zipped into a single file, and can be easily stored, including on the cloud. But do not work on EndNote directly in the cloud, as the file will be corrupted.

Create a New Library1. Search Windows > EndNote 2. Click on File > New 3. Enter a filename: My EndNote Test Library (.enl)4. Select location to save the library (e.g. Desktop)5. Click Save

To create a library, click on file and new. Make sure you know where are the .enl and .data files as they must always be together. If you need to rename your EndNote library, remember to rename both your .enl and data files.

Like a house with many rooms, you can create a new “group sets” and/or new “groups”. This is useful if you are working on multiple projects, or on different chapters of your thesis. We recommend that you create a single EndNote library for a single project or paper. If not, there may be duplicate records in each library and EndNote will not be able to format a reference with two different identification numbers, e.g. {Smith 1987, #345} in one library vs. {Smith 1987, #200} in another. Its best to merge separate libraries before inserting EndNote citations.

Direct Export: PubMed1. Select records, select Citation manager, then Create File

Note that exporting to “Citation manager” has a limit of 200 publications.

Direct Export: PubMed2. If clicking on .nbib files does not work, select Open With

and choose EndNote.

3. If prompted to choose an import filter, search and choose PubMed

Import File: PubMed1. To export all (>200) records, select File, MEDLINE format,

then Create File

To export more than 200 citations at a time, save your citations as File in MEDLINE format.

Import File: PubMed2. On the menu bar, click on File >

Import > File… A dialogue box “Import File” appears.

3. Import File: Browse for the saved file, and Choose...

4. Import Option: Choose PubMed.

5. Click Import.

6. The references are now saved into the EndNote library, under the group “Imported References”.

Direct Export: Scopus1. Select records to export

3. Double click the downloaded file or click “Open with” to transfer records to your EndNote library

By default, abstract and keywords are not selected. If you would like to read the abstract in EndNote, please remember to select them.

Online Search(For Known Citations)

Valid only for freely available databases.

a) Go to Tools > Online Search

b) Under Name, look for database

c) Click Choose

d) Enter keyword(s) in search box

e) Retrieve records from 1 through XX. Enter the desired number.NOTE: Retrieved records will be saved into temporary library

f) Add or drag selected records into your local folder

Online search is convenient if you just want to retrieve a handful of known citations for which you have the full titles and/or authors. However, it is not suitable for exploratory keyword search, as you will have no control over the exact content and quantity of literature you will retrieve from the database.

Import PDFs1. Click on File > Import > File…

or Folder... A dialogue box “Import File” appears.

2. Import File: Browse for the saved PDF file or folder, and Choose...

3. Import Option: Select PDF.

4. Click Import.

5. The references are now saved into the EndNote library, under the group “Imported References”.

*Note. Digital Object Identifier (DOI) needs to be present. If not, even though the PDF will be imported, you will need to do extensive editing of the reference information.

Manual Data Entry(Unpublished/Metadata not available)

1. In References, click on New Reference or use the shortcut Ctrl + N

Come to manual data entry. This is useful as not all citation can be found in database or Google Scholar. For example unpublished works such as gov documents, blogs, statistics, wordpress etc.

2. Select the reference type from the dropdown menu

3. Enter information such as author, year, title, etc.

4. Press Ctrl +S to save or close the window and you will be prompted to save

Remove Duplicates1. To remove duplicates in entire library, click on All References.2. Click on References > Find Duplicates3. Choose which records to keep. 4. Alternatively, click Cancel, select duplicated references, and drag

• Use MS Word to insert citations into your paper.

• Create a paper with properly formatted references, bibliography, figures & tables.

• Do NOT edit the references in Word.

• Any editing should be done in EndNote Library only.

• To locate citation and bibliography fields, change the MS Word’s Field Shading option.

Insert CitationsGo to EndNoteThis tool will take you to the EndNote program where you can select (highlight) references for insertion into MS Word.

Insert Selected Citation(s)This tool will insert the selected reference(s) in EndNote into MS Word document at the location of the cursor.

• Convert to plain text before sending document to your Supervisor, publisher or IVLE, as the field codes may interfere with other software or be corrupted

• A second copy of the Word document will be created with no field codes.

• In MS Word, click on EndNote X8 tab > Bibliography Group > Convert Citations and Bibliography > Convert to Plain Text
