Purpose of the Account Management System

Big Brothers Big Sisters has implemented the Account Management System (AMS). Active Directory (AD) is the tool agency administrators use to create user accounts on the national Microsoft Exchange server. The AMS is a tool that allows management of AD via a web interface. Creating AD accounts enables users to authenticate (securely login) to AIM, and the Learning Center. Note: National IT must first create the user account for the agency administrator prior to local agency administrators creating user account for agency staff. This system also helps enable pass-through authentication for access to other Big Brothers Big Sisters applications as well, like the Agency Connection. Having better demographic information (i.e. Name, Agency Name, Job Name, Birthdates, etc.) will allow us to provide access and information to each person specific to the needs of their job or role in the Learning Center. Agency Administrators will need to update existing accounts, create accounts for new staff, and disable or delete accounts for staff that have left the organization.

It will give you a broad overview of what the AMS is, what it is used for, and how the information created in this system feeds into the Learning Management System (LMS - also known as Learning Center) or other applications. The Importance of Accurate Information

The information housed in the AMS relates directly to the Learning Center, AIM and other applications. For this reason, it is extremely important that all fields in the AMS are completed accurately. Anything created in the AMS directly effects what the staff will see in the LMS and other systems when they log in. Example: Incorrect job title will cause problems viewing and registering for courses in the Learning Center or an incorrect access level will cause problems using the Agency Connection Use the glossary and reference guides to make the correct selections in the employee profiles.

Pre-Implementation Process & Future Maintenance

Prior to implementing this process for the first time (and whenever you have a new hire), you must gather information from your staff that is not available in our current LMS (Learning Center). We have provided you with a file entitled “Account Management System Input” Form. We recommend the following process for the initial data gathering:

Step Action

1 Distribute “Account Management System Input” form to all staff via email.

2 Give staff a designated amount of time to complete the form and return it back to you.

3 Edit existing accounts or create new accounts based on the information received.

Note: A sample of the form is provided in the appendix of this document. All fields required are defined in the “Field Definitions” section.

Logging into the AMS

Note: National IT must first create the user account for the agency administrator prior to local agency administrators creating user account for agency staff. To do so, submit a ticket at the Agency Resource Center. To Log into the system:

1 Launch http://useradmin.bbbs.org

2 Enter your user name and password. (firstname.lastname,

initial password is 1millionkids)

3 Domain Name should be left defaulted to BBBS.

4 Click the LOGON button.

PLEASE NOTE: You must disable your pop-up blockers prior to logging on to this system. Please see the APPENDIX for more information on disabling pop-up blockers.

AMS Screen Layout

The AMS screen is broken down into three major sections. Section 1 indicates the tab you are on. What appears in Section 2 is determined by the tab you have chosen in Section 1 and what appears in Section 3 is determined by what has been selected in Section 2.

Section 1

Tab Description

Agency Accounts This is the default tab the system opens up to. When on this tab, Section 2 displays all staff for your agency that has accounts.

Create Distribution List Allows you to create distribution lists if you have email creation rights.

Section 2

Tab Description

Employees Search feature – allows you to search for any employee at your agency. Below the search feature you will find a listing of all employees who have an account in the system.

My Profile This tab will take you, as the administrator, to your own user account profile. You have the ability to edit your own profile from this page.

Section 3

Tab Description

Account Information The information for the person you have highlighted in Section 2 will appear in this area. This section shows the basic user information. You have the ability to manipulate the information for this account by using the “MANAGE” or “EDIT” icons found on the right hand corner of this section.

Email Distribution Groups Allows you to see what Email distribution groups this user is a part of.

Editing User Profiles

By default the system will open up to the “AGENCY ACCOUNTS” tab with the “EMPLOYEES” tab selected in Section 2. To edit an existing account, see the following:

1 Search for the existing staff member using the search box provided. (Note: Do not delete the * in the search box.)

2 The user name will be highlighted by default and their

information will appear in Section 3.

5 Complete the fields that need to be updated. All fields with

“Select from List” have a drop down menu that appears when you click on the small triangle at the right of the field.

6 When you have completed updating all the required fields, click

the button. This will take you back to the main “AGENCY ACCOUNTS” page.

7 Search for the next staff person whose account you must update or edit.

Linking Users to a Manager

To link users to their manager follow the directions below. Note: Agencies who are creating all user accounts from scratch should create manager accounts first in order to have a list to choose from to assign to staff.

1 To find the account you need to update with the manager name, following steps 1-4 above

2 From the pop up box, click on the green plus sign to see a listing of available staff to choose from.

3 Another pop up box will appear, select the appropriate name.

Click . This will take you back to the employees account profile with the chosen manager name completed in the “MANAGER” field.

Creating a New User Account

Note: Ensure all managers are set up with accounts first, so they can be linked properly to staff accounts. Get new user information, including desired password, from the user via the “Account Management System Input” Form that has been provided. See PRE-IMPLEMENTATION PROCESS FOR MORE DETAILS. To create a New User accounts follow these steps.

1 Log onto the AMS system following the steps found under “Logging into the AMS.”

2 Click on “Account Creation” from Section 1

4 As you type in the FIRST and LAST name field, the FULL NAME &

USER LOGON NAME automatically populate. Please DO NOT insert an initial in the INITIALS field.

5 Assign the New account the password (PASSWORD ONLY EFFECTS THE AIM SYSTEM AT THIS TIME) the user selected from the input form and check off “Password never expires”.

6 Complete all the fields in the ADDITIONAL ACCOUNT

INFORMATION section.

Field Definitions

Field Name Definition

First Name Enter staff first name

Initials DO NOT ENTER MIDDLE INITIALS!

Last Name Enter staff’s last name

Display Name Will automatically populate as you type in the first and last name from those fields. This MUST match exactly, the username used in the current Learning Center.

Job Name Select the job title that best reflects your primary role in the agency. Be sure to change it if you change jobs. There is a list of titles and descriptions to assist you in selecting the best title.

Manager Choose the supervisor / manager of the employee from the available list (in some cases this will simply be a role for the person who manages training in your agency). If manager name is not showing on the list, make sure an account has been created in the AMS.

Agency Name This field will be pre-populated by the system.

Email Enter the staff person’s email address. This can be any type of account including yahoo, Gmail, etc.

User Code Choose from drop down menu – Full Time, Part Time, or Temporary

User Status Choose from the drop down menu – Active, Inactive, On Leave, Retired, Terminated without Access.

Birth date Enter staff’s date of birth

Gender Choose from the drop down menu – Male, Female

Start Date Enter the date the employee started working at your agency

Mail Store A secure location where an Agency’s email is kept. There are only two available choices and National IT will designate which applies to your agency:

Reset Password This function may not be used often as the passwords that are created do not expire and are created by the user and provided to the admin. RESETTING PASSWORDS AFFECTS THE USERS ABILITY TO ACCESS AIM.

Disable Account Removes the user’s ability to access any of the systems the AMS supports (AIM, Learning Center, etc.). The user’s record and history still exists. For the Learning Center, LOGON DISABLED must also be chosen so eliminate access.

Disabling Pop-Up Blockers

Internet Explorer

If you are currently running a current Microsoft operating system (Windows 7, Vista, etc.), Internet Explorer will enable its pop-up blocker by default.

To disable the Internet Explorer pop-up blocker:

Click the Tools menu in Internet Explorer.

Select the second menu item “Pop-up Blocker”.

From the fly-out menu, click “Turn off Pop-up Blocker”. (If it says “Turn on Pop-up Blocker, the blocker is already disabled.)

Hidden Pop-Up Blockers

It is possible that your pop-up blocker will not be visible. Some toolbars (Yahoo!, Google, Panicware) can be blocking pop-ups but not be displayed in Internet Explorer. Before proceeding with the instructions on disabling the Toolbar based pop-up blockers listed below, follow these steps to make sure you are seeing all possible pop-up blockers.

Click the View menu in Internet Explorer. Select the first menu item “Toolbars”. From the fly-out menu, make sure there is a checkmark next to each

toolbar you have installed (Google, Yahoo!, etc.). This will make the toolbars visible in Internet Explorer.

It is also possible that while the pop-up blocker’s toolbar is visible, you cannot access all the icons because it is compressed (sharing space with other toolbars). You can view the entire toolbar by unlocking the Toolbars and resizing the toolbar:

Click the View menu in Internet Explorer. Select the first menu item “Toolbars”. From the fly-out menu, uncheck “Lock the Toolbars”. (If it is currently

unchecked, leave it as such.) You can now click and drag the edge of the toolbar to view the full

contents of the toolbar.

Yahoo Toolbar To disable the Yahoo! Toolbar pop-up blocker:

Click on the popup blocker icon on the Yahoo! Toolbar. The first item on the drop down is “Enable Pop-Up Blocker”, uncheck

it.
