Overview of Automation Console

App Director is a state-of-the-art application management platform. It uses blueprints to describe

the topology and characteristics of components, systems, or entire landscapes for either

deployment of new systems or the registration of existing systems into a management tree. It

allows for cross-tenant orchestration to enhance operational efficiency of managed service

providers. It ensures robust action execution via a sophisticated effector/sensor framework which

also provides the infrastructure for policy based autonomous management that can be leveraged

for application self-healing. It includes super secure credentials management for all managed

applications and operating systems and it presents its automation and monitoring functions in an

easy to use multi-device enabled UI called the Automation Console.

The Automation Console provides extended capabilities for monitoring resource consumption and

managing SAP systems in a multi-tenant xStream environment through the following services:

• Budgeting and Reporting — VM monitoring and consumption reporting through the patented Virtustream micro-VM (µVM), a cloud resource management technology that measures actual vs. peak VM consumption

• Technical Account Management Reporting — service level agreement (SLA) compliance, operations monitoring and reporting, and ticket tracking

• Operations and Administration — tools for daily operation, scheduling, planning, and automation of tasks for support, preventive maintenance, and other customizable project needs for applications and VMs

• Compliance and Security — tools for security, auditing, and compliance reporting, plus risk analysis and vulnerability scanning

These services are provided within a seamless console display navigated within feature-rich

dashboards. In addition to the built-in monitoring and reporting processes, users (self-service

customers, managed services staff, and channel partners) can create both simple and complex

customized processes using available ingredients and recipes.

This document provides descriptions of each service, the features (tiles) included, instructions for

navigating and customizing features, and examples of use cases, as well as a glossary of terms.

Automation Console components

The opening screen of the Automation Console presents a toolbar across the top, a quick-access

search bar, and dashboards of tiles (feature categories). When you type in the search bar, the

Console dynamically filters the tiles that are displayed to match your search results by any

occurrence within the string of the name of the tile(s). Results are not case sensitive and are kept

within their respective dashboards.

The top toolbar (elements A through D) is always visible.

Dashboards

Dashboards are groups, or categories, of related reporting or actionable features. Features (tiles)

are of four types: Budgeting and Reporting, Technical Account Management (TAM), Operations

and Administration, and Compliance and Security. There is a dashboard for each of the feature

types.

Each feature includes search functions pertinent to the tile type to facilitate finding a target quickly.

Tiles

Each tile represents a feature of the xStream® Automation Pack for SAP®. By default, the tile

displays all resources within its category (VMs, applications, or service request).

Dashboard Example Tile Functions

Budgeting and Reporting

μVM | CPU | RAM | Disk Utilization by VM

Displays VM ID, location, host name, IP address, average µVM consumption, current CPU and RAM consumption, plus health status of all of the VMs owned by the customer as filtered by the requester’s search. Specific VMs can be selected to display further details and charts based on real-time monitoring.

Technical Account Management

Service Tickets Displays ticket ID, status, subject, priority, submitted date/time, submitter group, requester, assignee, close date/time, and closer.

Operations and Administration

Critical VMs Displays VM Name, VM RID, Site, Customer, Hostname, IP Address, Current CPU Consumption [MHz], CPU Used Percentage,Current RAM Consumption [MB], and RAM Used Percentage. Each critical VM can be examined in detail with a 30-day history.

Compliance and Security

SAP® Server and Database Licenses

Displays all of the SAP server names, licenses, and service statuses. Specific servers can be selected for a view of details.

Note: Each tile is described in detail within “Automation Console features” on page 14.

General features

Health Indicators

The lists of landscapes and VMs often contain a column showing the health of the system. The

following table serves as a legend for the symbols used to indicate the health of the entity:

Email

Many of the applications of the Automation Console automatically send email to one or more

recipients upon the scheduling or execution of services that affect the SAP system, associated

databases, or the Virtual Machines (VMs) that run them.

Among the tiles that use automatic email notification are:

• Validation Checklists

• Patch SAP Kernel

• Isolate SAP Systems

• Stop | Start | Restart SAP Systems

• Copy SAP System

Navigation features

To launch any application, service, or report, simply click on its tile. (Exception: VMs Using App

Director License is display only.)

Search

Most screens in the Automation Console contain one or more search fields and they all work the

same way though sometimes on different data. In general, they are case insensitive and work on

substrings. Search results are displayed in the form of list filtering beginning with the first

character typed. As you type additional characters, the search becomes more restrictive and the

number of matches diminishes. At some point you will see no matches in the list – simply

backspace or clear the search string to begin again.

Symbol Meaning

Entity is healthy and there are no problems with it (i.e. VM, SAP System, etc. are up and running as expected).

Entity is not healthy and is in a state of error (e.g. some essential processes on the SAP System is not running).

Entity is in a stopped state (i.e. VM, SAP System, etc. has been shut down and is not running).

Entity is transitioning between states (i.e. starting up or shutting down).

Page 9: App Director Console UG - Private, Public, and Hybrid ... · Running Processes of SAP Components ... App Director is a state-of-the-art ... (Exception: VMs Using App Director License

Virtustream User Guide | 7

To clear the contents of a search field, click the button at the right end of the field.

Here is a simple example that illustrates both case insensitivity and substring matching:

The search string contains mixed case characters; the found results contain the search string as a

substring even though the case does not match.

Filter

In addition to the Search box, many applications provide Filters to narrow the results further. Filters

differ from searches in that the selections are constrained. In the example below, the Site filter

dropdown button is clicked to show the list of available choices. Make selections by clicking the

checkboxes next to your choices. The list is filtered accordingly.

To remove a selection from the filter, click the button to the right of the selection.

Tip: Even after searching and filtering, you may need to click More at the bottom of the screen to view additional items.

Select

On any page that lists landscapes or virtual machines, there are checkboxes that allow you to

individually select these items. To select an item, click in the checkbox next to the item. Checked

items are selected. Click on a checked item to deselect it.

At the top of the checkbox column there is a master checkbox that allows you to select all items in

the list. When the master checkbox is checked, all items in the list are selected. If the master

checkbox is checked, it can be clicked again to deselect all items in the list.

When multiple landscapes or virtual machines have been selected, the details of only one can be

shown. When you click the Show Details button at the bottom right of the console window, the

details of the first selected item are shown. However, all selected items are kept in a list for

viewing. To view other items:

A – Click the menu button in the upper left corner of the console (just below the Home button)

to open the list of selected landscapes or VMs.

B – Select an item from the list or click the back button to return to the previous list to make

other selections.

C – Click anywhere outside the list to close the list.

Expand and collapse

When you view the details of a landscape, you may find it necessary to expand a System or

Infrastructure node in order to see all of the items listed. Click the button to expand a node.

Click the button to collapse a node.

Scheduling

Several of the Automation tools allow for scheduling a job to be run at a future date and time.

These jobs can be run immediately by selecting the Run Now option. If desired to run the job in

the future, select either the Schedule Later option or, if offered, the Schedule Recurrence option.

When a job is scheduled, email is sent to the creator as well as the Backup Team. In addition to

the cron expression, the emails contain the start date and the end date.

In the case of a job that is scheduled once (See “Schedule later” on page 9.), the start and end

dates specified in the email are not relevant. The cron expression is the actual date and time of

execution.

In the case of a job that is scheduled for recurrence (See “Schedule recurrence” on page 10.), the

start date is the first day on which the expression is valid, although the job might not execute on

that day. The end date is the last day on which the expression is valid. Again, the job might not

execute on that day. The time given with the start and end dates specified in the email is not

relevant. The cron expression gives the actual detail on when the executions (within start and end

dates) will happen; in other words, the recurrence pattern.

Schedule later

This option allows you to schedule the one-time execution of a job.

Page 12: App Director Console UG - Private, Public, and Hybrid ... · Running Processes of SAP Components ... App Director is a state-of-the-art ... (Exception: VMs Using App Director License

Virtustream User Guide | 10

The date and time may be entered directly into the date and time fields from the keyboard or you

can click the calendar or clock to open UI widgets. The current month, year, and time (in

UTC) are displayed.

Click the Month or Year to select a different one then select the day (even if it is already selected)

to dismiss the calendar. Click in the Hours or Minutes column and drag to select a different time.

Schedule recurrence

This option allows you to schedule the recurring execution of a job.

Select the frequency of occurrence Each recurrence pattern provides a different set of options.

Select the time of day that execution will take place for every scheduled day. Then select the date

range during which the recurring job will be executed.

Note: The scheduled time is always in UTC.

Customization tools

The following features provide the ability to customize your Automation Console experience:

• Enable/disable customization

• Add a custom tile

Customizing the Automation Console

On the Home page at bottom right is a floating button that enables customization of the tiles and/or

groups. Click the edit button to open the Customize Dashboard window.

When the View tab is selected you can choose which tiles are displayed in each dashboard.

Uncheck tiles you wish to hide from a dashboard. When the Edit tab is selected, you can click

the button to remove custom tiles you have created.

Adding a custom tile

The My Home dashboard is a convenient place to keep tiles you have customized to meet your

workflow needs because it is always positioned at the top of the console. Custom tiles can be

created by clicking Save As Tile to save a subset of resources (VMs/Apps) in a new tile so that

you don't have to filter each time you open a page. Tiles are easily added or removed, as

situations change.

Example 1

If you want a tile for reporting on virtual machines with “Brooklyn” in the name:

1. Click on the VMs Running tile.

Page 14: App Director Console UG - Private, Public, and Hybrid ... · Running Processes of SAP Components ... App Director is a state-of-the-art ... (Exception: VMs Using App Director License

Virtustream User Guide | 12

2. In the Virtual Machines search field, type “broo” – the list of virtual machines is filtered as you

type resulting in only VMs with names containing that string.

3. Click the checkbox next to VM Name to select all of the displayed VMs.

4. In the lower right corner of the page, click the Save as Tile button.

5. In the Save as Tile dialog, you may change the Title, enter a Subtitle (which will display in the

tile below the Title), and select the Group (Dashboard) to which the tile will be added (normally

the My Home dashboard). Click OK.

6. Click OK in the Success dialog. Your custom tile is displayed in the dashboard you selected.

Automation Console features

Features of Automation Console are displayed as Tiles that contain monitoring reports of VMs in

the Cloud, application landscapes, and TAM reports and requests. When opened, they provide

overall views, details, and charts, many of which provide additional details per item.

Visibility and use of features are limited to the type (customer or channel partner) and level of

access granted to the user. For example, a customer will have access only to reports on items in

their own environment and a user may not be able to see or execute some functions.

Some features provide search functions to filter for specific items or time; others allow drilling

down to details of items; still others enable interaction by the user, such as Power Off or Change

Password.

Features are described below in their respective dashboards, with a detailed description of each,

and brief, step-by-step instructions for use and/or performance of tasks. For detailed navigation

and search instructions, refer to “Navigation features” on page 6.

Select the dashboard you want to explore from the list of links above.

Isolate SAP Systems

The Isolate SAP Systems application provides the SAP Basis Administrator full E2E ability to

gracefully and consistently prepare a full shutdown with minimal risk of error (potentially in mass)

for maintenance of any type of infrastructure, OS, DB, or Application. Doing so reduces overall

downtime, especially when working across multiple landscapes at one time. Additionally, this

feature increases end-user maintenance transparency. Isolate SAP Systems accelerates

maintenance of SAP systems by creating a system message, temporarily suspending SAP jobs,

locking the system against login (optionally forcing active users to log off), and notifying the person

who triggered the isolate via email.

Stop | Start | Restart SAP Systems

The Stop | Start | Restart SAP systems application provides SAP Basis Administrators with the

ability to operate SAP NetWeaver systems and databases via an OpenUI 5-based user interface.

This feature allows you to choose one or more SAP systems to stop, start, or restart, either now or

at a scheduled time or at a recurring instance (daily, monthly, yearly). For example, regularly

stopping the systems during known non-working hours such as weekends can greatly decrease

operating costs. You can choose to stop, start, or restart the SAP system only, leaving the DB

running, or choose to include the DB also.

This tile also provides access to landscape Infrastructure where the health of supporting host

systems is displayed.

1. From the Operations and Administration dashboard, click the Stop | Start | Restart SAP

systems tile.

2. Select desired landscape(s), and then click Go to Details.

3. In the resulting list of systems and components, select the Landscape, SAP system, SAP

instance, Database Instance, or Infrastructure Host, and then select either Start, Stop, or

Restart.

4. Depending on the component and operation selected, displayed options vary:

• Include the SAP System Database - Ensure this box is checked if you want to include the database in the Stop or Restart.

• Include Virtual Machines - Ensure this box is checked if you want to Stop or Restart the VMs also.

• Hard shutdown - This option is only available when stopping a VM. Normally VM shutdown is soft (graceful). Restart always invokes a graceful shutdown.

• SAP Priority Level - Instances are started from lowest to highest priority and stopped vice versa. All instances with the same priority level are started/stopped in parallel. Once all instances of a level are fully started/stopped, the system start/stop continues with the next level.

• Wait Timeout - Specifies a timeout in seconds to wait for the SAP system to start. In case the system doesn't start within the specified period, the operation will fail. In case of landscape start/restart, this is the period of time to wait for each individual SAP system to start. The value should be 300 seconds or larger.

• Soft Timeout - This is the time allowed for a soft (graceful) shutdown (default is 300 seconds). This allows SAP NetWeaver systems to gracefully shutdown as per SAP's soft shutdown procedure. Set the value to 0 (zero) if you want an immediate shutdown. At the end of the escalation timeout the system shuts down regardless of running transactions.

• Number of retries - Specifies the number of times a shutdown will be attempted if previous attempts fail.

Note: When a Stop or Restart of a Landscape is scheduled, notification email is sent to the Backup Team if a DB or VM is affected and that entity is backup enabled.

Copy SAP System

The Copy SAP System application provides the SAP Basis Administrator:

• Cost savings by accelerating the typical complexities of activities required for projects, upgrades, and testing

• Enhanced ability to perform consistent upkeep of security and application updates on a mass scale with minimal disruption to business continuity

• Provides client with a simplified and less disruptive means of adhering to both the application and security compliance and best practice recommendations

Copy SAP System takes place in five stages:

1. SAP source system preparation and export

2. Create target SAP HANA system

3. Restore database backup from source system to target

4. Change SID of target SAP System on HANA database

5. ABAP post-processing of target SAP system

Note: The Copy SAP System application is ONLY for SAP Homogeneous System Copy with the following limitations:

– SID of the HANA database will not be changed and remains the same as the source system.

– Instance Number of the HANA System will always be “00”.

This feature automates the non-distributed copy of any SAP System based on SAP NetWeaver

ABAP running on RHEL with ASE database. It also automates the distributed copy of any SAP

System based on SAP NetWeaver ABAP running on RHEL with HANA database.

Prerequisites for System copy of SAP System with ASE database:

• File share: CIFS based software fileshare where the installation media can be found and NFS based file share for storing the backup files of source SAP system

• CIFS mount requires the file share user and password to be entered as input in the UI when starting the System Copy recipe

• SAP SWPM SP18 is required for setup of target SAP system and SID change

• Other installation binaries required are:

– Database: ASE– SAP Netweaver 7.4– SAP Kernel

Prerequisites for System copy of SAP System with HANA database.

• File share: CIFS and NFS supported for installation and backup

• SAP SWPM SP18 is required for setup of target SAP system and SID change

• Installation binaries:

– HANA SP12– NW_742 installation and kernel

The target VM should be deployed with the disk and file system should be prepared the same as

that of source system following the SAP recommendations. Ensure that the disk size is sufficient

for the database restore from the source system. The hostname should be that of target system.

The target VM should be installed with App Director OS framework and should be registered in the

Tenant Orchestration VM.

In the case of SAP Systems with HANA database there should be 3 target VMs created, OS

framework installed, and registered in the Tenant Orchestration VM. The three target VMs are

required for installation of SAP Shared Central Services, SAP Primary Application, and SAP

HANA database.

Note: This application supports actions on vSphere, RHEL, SAP ASE, SAP HANA, and SAP NetWeaver ABAP only. For additional details, go to the Compliance and Security dashboard, click the App Director Documentation tile, and follow the link to the Release Notes for this product.

Note: The recipe performs the file system creation differently for ASE and HANA.

Note: If Groovy lib is restarted during execution of any of the steps then the current running step will fail. Even after failure of the step it is possible that the last triggered operation may still be running.
