Meeting called to order at 8:32 a.m. Present: Larry Bertollini, Chris Longe 1 vacancy: City Staff: Joe Valentine, City Manager Lauren Wood, Director of DPS Mike Jurek, Assistant Foreman, Parks and Forestry Joellen Haines, Assistant to the City Manager Discussion on the approval of meeting minutes from the Oct. 14, 2016 meeting. Larry Bertollini wanted it noted that their approval of the intersection at 14 Mile Rd. and Southfield was based on aesthetics and not on the Engineering portion of the intersection. Motion by Bertollini to approve the Oct. 14, 2016 minutes as noted above, seconded by Chris Longe. All were in favor. Mike Jurek presented his plan to soften up the hardscape of the Island at Lincoln and Floyd and the other island at Lincoln and Chester. Jurek said the plan is to remove the concrete while retaining the curb on either side of the 5 ft. walkway and put in planter beds. The perennials he suggested are tolerant of drought and can handle salt that should leach through and be carried away. Jurek said the perennials chosen have a long flowering pattern, from late spring to the end of fall, and it takes at least three years for them to set and get going. Jurek said during the first year of planting, they will send the portable watering tanks out to give them a good start. Chris Longe asked if he had any pictures, and Jurek produced copies of three varieties: Achillea “Moonshine”, Rudbeckia Fulgida Var. Sullivantii “Godsturn”, and Echinacea Sombrero Adobe Orange. Jurek noted that the varieties will not get too tall to obstruct the view, and the plants will be surrounded by mulch to retain moisture. Motion to proceed with the design for the islands as proposed. Motion was made by Longe, seconded by Bertollini; 2 yeas, 0 nays.

The meeting was adjourned at 8:40 a.m. Manager’s Directives Resulting from the Architectural Review Committee Meeting of March 16, 2017:

1. To proceed with the design for the islands at Lincoln and Floyd and Lincoln and

Chester as outlined in the proposal as presented by Mike Jurek.

CONSTRUCTION NOTESThese notes shall apply for all work within this contract:

1. The contractor shall notify MISS DIG 1-800-482-7171 at least 3 workingdays excluding Saturday, Sunday, and Holidays before making anyexcavations and notify the City of Birmingham Engineering Departmenta minimum of 24 hours prior to the start of construction (248-530-1850).

2. Excavation shall not extend greater than 6" below the top of existingroad (median) curb, within three (3) feet of adjacent roadway, withoutprior written consent of City/MDOT.

3. The contractor shall be responsible for damage to existing utilities,pavement, trees, landscaping, gravel, etc., whether located on publicor private property.

4. The contractor shall be responsible for temporarily marking any existingutility access manholes and boxes encountered within work limits, andensuring that none are covered with soil or landscape materials.

5. A permit from the Michigan Department of Transportation shall beapplied for by the City. The contractor shall be responsible for complyingwith all permit requirements.

6. The contractor shall coordinate and cooperate with all other utilitycompanies working in the same area, project related or not, during thesame allotted construction period.

UTILITY NOTE THE LOCATIONS AND ELEVATIONS OF SOME OF THE EXISTINGUNDERGROUND UTILITIES AS SHOWN ON THE SURVEYDRAWING WERE OBTAINED FROM MUNICIPAL AND UTILITYCOMPANY RECORDS AND MAPS. THEREFORE, NOGUARANTEE IS EITHER EXPRESSED OR IMPLIED AS TO THECOMPLETENESS OR ACCURACY THEREOF. 7. MATERIALS TO BE REUSED OR SALVAGED SHALL BE STORED IN AN AREA DESIGNATED BYTHE OWNERS REPRESENTATIVE FOR THAT PURPOSE. ALL SALVAGED MATERIALS SHALLREMAIN THE PROPERTY OF THE OWNER.
