1 AU Examination Procedures
1.1 General Provisions
These procedures are intended for use by examination Invigilators who will supervise and administer examinations on behalf of ASL. The procedures will provide the Invigilator with a complete understanding of the examination delivery process undertaken by ASL. The content identifies standards, specifies procedures, and provides important information necessary for the proper invigilation of examinations so as to fully comply with all of the provisions pertaining to Authorities for which ASL invigilates examinations.
1.2 Use of these Procedures
These procedures will be amended or updated to take into account experiences, legislative changes or new technology, and reissued as required. Any updates will be advised via the Tasman message system or email. The most recent version of these procedures shall always be displayed in Tasman. It should be used as a constant source of reference and authority during the administration of examinations, particularly when abnormal occurrences arise to ensure that recommended courses of action are taken. If there are any queries relating to the contents of these procedures, Invigilators should contact the appropriate Head Office on the freephone or via the Tasman message system.
1.3 Compliance
The proper compliance with all procedures is mandatory. Compliance with the standards and processes will ensure consistency of services worldwide. It is important that examinations are administered in a way that enables candidates to perform at their best, as well as ensuring fairness and consistency regardless of the place or time an examination is undertaken. Compliance with standards may be audited at any time by ASL staff or the regulatory authority. Deviations from the standards contained in these procedures must always, in the first instance, be discussed with ASL Head Office management.

2 Introduction
The Aspeq Group is comprised of two NZ operating companies, Aviation Services Ltd and Assessment Systems Ltd and the Australian operating company Assessment Services Pty Ltd. The organisation has been providing examination services to an expanding customer group since 1992. The services range from: exam question development and maintenance, exam invigilation and delivery and with its own Information Technology platforms to support the services. Aspeq provides the corporate functional groups which include the Chief Executive, Finance, Information Technology, Exam Development, Business Development and Quality Management. Within ASL, the structure includes: the General Manager Operations, the respective sector managers, Customer Service Support group along with our wider group of exam invigilators and other support staff.
2.1 General
The Examination Invigilator is the frontline point of contact between the exam candidates and ASL. At all times the Invigilator is required to maintain a high level of professionalism in the provision of the services. During the conduct of an exam the Invigilator must remain completely impartial and is not permitted to comment, discuss, nor interpret any aspects of the exam questions, including any alleged errors perceived by the candidate.
2.2 Letter of Engagement (LoE)
Invigilators are engaged by ASL as a Casual Employee with the Letter of Engagement (LoE) being the basis document for this. The LoE provides the obligations and responsibilities of both parties (the invigilator and ASL) and is the primary reference for all employment related matters. The Terms and Conditions and Remuneration are contained in the LoE. The LoE should be produced in cases where the Invigilator is required to provide evidence of their appointment and may occur particularly during an external audit. A personal file for each Invigilator will be maintained by ASL and will contain all the personal information relevant to their application and appointment.
2.3 Lead Invigilator
Where appropriate, ASL may appoint a Lead Invigilator for an examination venue. The Lead Invigilator oversees the venue administrative tasks which include:
The general housekeeping and the smooth running of the examination venue including any initial liaison with the property manager, landlord or venue management
Liaising with local suppliers (ADT Security, ShredX, couriers)
Stock management
Maintaining the Invigilator roster
A maximum of 2 hours per week will be paid to Lead Invigilators.

2.4 Types of Examinations
The exam types can be broken into three distinct groups:
Computer delivered exams - the majority of exams are in this group and range from 60 to 210 minutes.
Paper exams - a very small number remain paper based and are all relatively low demand. The papers are couriered to and from the exam Invigilator with the candidate sitting the examination alongside the e-exam candidates.
Aviation Language Proficiency Test - this test is undertaken using a telephone and with a mix of pre-recorded and direct interview questions. Timeframe is no more than 20 minutes.
2.5 Types of Examination Venues
a. Australia: The table below provides an overview of the types of exam venues:
Mobile venue Permanent venue
Lease type Casual daily use Long term lease
Computer types Laptops Desktops or laptops
Internet supply Wifi with router and data stick
Cabled and/or wifi
Exam frequency Laptops move between locations with exams generally held six times a year
Exams are available daily dependant on demand and Invigilator availability
Set-up Laptops are in cases and arrive the day before exam day. The Invigilator is expected to set up the room, unpack and re-pack the laptops on completion
The room remains set-up on a permanent basis or laptops are stored at the venue
Types of exam All All
Cleaning Not applicable The local Invigilator provides the service. Cleaning on the examination day only with a maximum payment of two hours per week being included for this. ASL will also reimburse the cost for agreed cleaning agents/materials
b. International locations: The exam venue options vary and will be agreed with the customer group with the overarching selection criteria being similar to Australia. In New Zealand, ASL has access to its sister company's, ASL (NZ), network of venues and Invigilators.

2.6 Conflict of Interest
Examination integrity is crucial to our services and covers varying aspects of the examination delivery. Where a personal or other type relationship exists between an Invigilator and candidate, the Invigilator is to inform ASL immediately. ASL will determine whether or not a conflict of interest exists and if necessary replace the Invigilator in this instance.
2.7 Candidate/Invigilator Ratio
In fitting with examining best practice and in agreement with the Sponsor, ASL applies a ratio of 1:10, that is, 1 supervisor to a maximum of 10 candidates for CASA FCL exams, 1:16 for CASA AME exams and 1:12 for ASIC exams.

5.1 Preparing Computers for Examination Sitting
Turn examination computers on then follow the 'Starting the Exam' Instructions in the LAMP or PEXO Invigilator User Guide, as appropriate.
5.2 Distribute Examination Materials
Lay out the supplied material (workbook, chart, scribble paper etc) at each required workstation. Supplied examination material is listed on the session roll for all subjects being delivered during the session.
5.3 Admit Candidates
Only candidates listed on the session roll are to be permitted entry to the examination room.
Ensure all personal belongings including mobile phones are placed away from candidates (the Mandatory Instructions contain a full list). Items are to be placed at the front of the room or in the container(s) provided.
Show the candidates to their desk and advise them not to click start until instructed to do so. (For LAMP Exams – if a candidate does click start before they should you can exit out of the exam by pressing Ctrl + Esc on the keyboard, enter in the Invigilator Pin, click 'Exit to Desktop' and advise the candidate not to press anything. When you are ready to start again simply re-log the candidate back in).
5.4 Check ID
The Invigilator must take extra care when checking IDs to ensure the name, signature and DOB match the session roll, the photograph is of a good likeness to the candidate and the name matches the name on the computer screen. The ID must also be valid.
If in doubt, Invigilators should call ASL Head Office immediately. Do not start the session until this issue has been resolved, or you're advised to do so by ASL Head Office.
Where a candidate cannot produce suitable identification the candidate is not to be allowed to sit the examination. The Invigilator should advise the candidate to contact ASL Head Office. If the candidate will not leave the room then call ASL immediately and we will speak to the candidate over the telephone. Do not start the session until this issue is resolved.
Where a candidate does not produce a booking confirmation and/or the candidate's name is not on the session roll, it is unlikely that the candidate has been accepted for the sitting.
Candidates that are unable to produce a booking confirmation but are expected at the sitting because their names are on the session roll are not to be turned away from the sitting. In these cases the Invigilator is to take particular care when identifying the candidate.
Only the following identifications are acceptable for examinations (Note: the ID produced must be an original copy and valid, no photocopies can be accepted):
a. Flight Crew Licence identification (PEXO exams only)
b. Aviation Security Identity Card (ASIC - PEXO and AME exams only)
AU Examination Invigilator Procedures 266006

c. Aviation Identification (AVID - PEXO exams only)
d. Driver's licence from any Australian State road transport licensing authority that has not expired for more than 2 years from the date of exam sitting
e. Current ID of a serving member of the Australian government (State or federal) public service or statutory body, which must carry either the official Australian Commonwealth or Australian State emblem
f. Current ID of a serving member of the Australian (State or Federal) police or Australian military
g. A current International Passport
h. Australian Passport that has not expired for more than two years from the date of the examination sitting
i. A "Proof of Age" or "Proof of Identity" ID issued by the Australian State or Federal Police or an Australian State or local Government shop front.
5.5 Computer Match Check
The Invigilator is to check that the candidate’s name and subject from the session roll match the computer screen. The Invigilator should also confirm with the candidate at this point that this is correct. Refer to the LAMP or PEXO Invigilator User Guide for a screen shot.
If a candidate claims to have the wrong exam on screen, check the session roll and the candidate's booking confirmation to find the source of the misunderstanding.
Refer the candidate back to ASL Head Office immediately to have the problem rectified. Invigilators are not to make any arrangements with the candidates until after ASL Head Office has made a decision.
5.6 Permitted Material Check
After the ID check the Invigilator must check the permitted material. If there are any disputes or issues with this check please call ASL Head Office immediately. Do not start the session until this has been resolved.
Invigilators must be fully aware that for some of the ASL examinations, candidates are permitted to bring into the examination room certain books and other items of equipment to assist them in answering the questions. The Invigilator does not need to make any subjective judgement as to what material is acceptable should a candidate request acceptance/approval of unspecified material or equipment. If it is not listed on the session roll, then it is not to be accepted.
Ensure candidates only have the permitted material that is specified on the session roll and candidate's booking confirmation.
As the permitted material list can be updated at any time Invigilators are to refer to the session rolls and any messages ASL Head Office have sent for up-to-date information.
AU Examination Invigilator Procedures 266006
Uncontrolled when Printed INTERNAL 21/81
Candidates are not to be permitted to use any paper other than the scribble paper (AUS 004) that is supplied by ASL Head Office. Any extra paper requested by the candidate must be noted on the session roll and collected at the end of the examination.
Candidates are advised, via their booking confirmation, the correct publication or equipment to bring to the examination. This is the candidate's responsibility and should they fail to bring all the requirements, they are to be told that they have the option of completing the examination without the material or abandoning the examination.
If they decide to abandon the examination, they are to be referred to the ASL Head Office for their next course of action as they may forfeit their examination fee.
Under no circumstances are candidates to be permitted to borrow from or share publications or equipment with other candidates in the examination room.
Some Aviation exams allow the use of calculators and these are listed as either Permitted or Supplied material. If bringing their own calculators to the examination centre they must be non-programmable. Some common examples of non-programmable calculators are:
Casio FX82
Casio FX100
Sharp EL531
If the candidate brings a model you are unsure of please ring ASL Head Office immediately to query if their calculator model is non-programmable. ASL Head Office will let you know if you can permit this calculator. Do not start the session until this issue has been resolved. If the candidate does not want to give up their disallowed items then call ASL Head Office immediately and we will speak to the candidate over the phone. Do not start the session until this issue is resolved.
Please refer to Appendix 4 for further examples of permitted calculators.

Candidates are not to press the 'Start' button on their computer screen until the Invigilator has
completed the pre-exam checks and finished reading the Mandatory Instructions.
For LAMP Exams:
If a candidate does press this too soon then the Invigilator is to exit out of the examination on their
behalf. To do this press Ctrl + Esc on their keyboard, entering the Invigilator PIN 86386 (this number
is confidential) in the keypad display box and click the Enter button.
Advise the candidate that the timer has been paused and once you have everyone else started you will come back to them and re-open their exam.
This will take you back out to the ASL Kiosk screen. Once you have completed the pre-exam checks for all candidates and read the Mandatory Instructions you can go back to the candidate that pressed 'Start' too soon and log them back into their exam.

5.10 Commence Examination Sessions
Whatever times are arranged to invigilate examinations, strict adherence to the time specified for the duration of the examination will be maintained by Tasman. Each candidate will have a clock displayed on their screen, showing the time remaining for them to complete their examination. Once the time has expired, the system will automatically upload the examination attempt for marking and result notification. It is the Invigilator’s responsibility to ensure the effective running of each session. Sessions are not to be started before the time stated on the session roll unless all the candidate/s are present and agree. The Invigilator is to read aloud the Mandatory Instructions card (ASP 400). Once the session has started the Invigilator is to (if there is a spare computer) message ASL Head Office via Tasman to inform them that the session has started and if there were any Did Not Sits (DNS). if there is not spare computer, this message can be sent with the completion report at the end of the exam session.
5.11 Late Candidates
Candidates are instructed to arrive at the examination venue 30 minutes prior to their examination start time with 15 minutes allowed for Language exams. If a candidate turns up at any stage after the Invigilator starts reading the Mandatory Instructions (ASP 400) then they are not to be admitted to the examination room. If approval has been given by the ASL Head Office for the candidate to turn up a few minutes late:
Once you have finished reading the Mandatory Instructions and the other candidates have started their exams pass the Mandatory Instructions (ASP 400) card to the late candidate to read silently to him/herself, once they have read that they may then start their exam.
If any late candidates arrive the Invigilator is to advise them that they have arrived too late to start their examination and they must contact ASL Head Office.

6 Examination Session Process (During)
Check the Candidate's desk to ensure that they only have the permitted and supplied material. Although this check is carried out when the session commences Invigilators should also ensure that Candidates do not produce any extra material during the session. It is the Invigilator's responsibility to ensure that Candidates adhere to examination conditions and are not in the process of covertly cheating. Please remain vigilant. Invigilators are to regularly walk throughout the room in a non routine fashion looking for signs of inappropriate examination behaviour. An example of this would be a candidate attempting to hide paper under another document as they sense your approach. Candidates are allowed to scribble or write on any materials supplied to them. These materials will be retrieved once their examination has completed. Workbooks, charts and scribble paper are to be used once only and then securely discarded. Extra scribble paper may be given out if requested by the candidate Any extra scribble paper given must be noted on the session roll and collected at the end of their examination. Only 10 (ten) scribble paper sheets are to be on the desk at any one time. If there are any computer problems during the session see the LAMP or PEXO Troubleshooting section of the LAMP or PEXO Invigilator User Guide.

6.4 Session Finishes
When the session has been completed (if there are no additional sessions for that day) the Invigilator is to record their ID and name, and sign the session roll as the Invigilator responsible. Invigilators are then to message ASL Head Office via Tasman to advise that the session has finished and has been completed successfully. In this message the Invigilator is also to report any abnormal events that may have occurred during the session. Reports are required to be submitted when one or more of the following events occur: Problems with any of the venue equipment:
a. Problems with Candidates, including disruptive Candidates and suspected cheating.
b. Candidates being turned away.

8 Specialised Examination Sessions
8.1 Special Sittings - CASA FCL and AME
CASA FCL: When a Candidate requires an examination session outside the scheduled exam dates they may apply to ASL for a Special Sitting. Special Sittings are only approved if the computers, exam venue and Invigilator are available and if ASL are advised in enough time to arrange this. ASL will endeavour to give the Invigilator as much notice as possible when a Candidate is requesting a special sitting. Invigilators are to follow the same exam processes as a usual exam day. CASA AME: As part of the contract with CASA, ASL will deliver special sittings for AME Course Candidates outside the scheduled sessions. These sessions may occur on a Saturday. Invigilators are to follow the same exam processes as a usual exam day.
8.2 Paper Based Examinations
The CASA AME e-exams have two exams which are paper based. These are the Weight and Control Exams Part 1 and 2. They are delivered during a scheduled e-exam session with the paperwork being sent to the Invigilator prior to the session by ASL Head Office. The package contains instructions for returning the examination material to CASA on completion of the exam.

Display the signs including the "Do Not Disturb" and/or "Examination in Progress" signs on the examination venue doors or outside the building. Check the venue to ensure that:
Lighting, ventilation and temperature conditions are satisfactory.
All required ASL provided examination material is available.
9.3 Prepare Room for Examination Sitting
Arrange the telephone so that it is positioned on a desk with a chair for the Candidate to sit at.
Connect the telephone and ensure that there is a dial tone.
Check that the telephone line is clear and of good quality.
Place the Prompt Card by the phone. (AUS 044)
9.4 Admit Candidate
As a general rule, candidates should take the ALP in the order in which they appear on the Phone Roll, however, the FLE Part of the assessments are given priority (see following paragraphs for FLE Part 2). If an individual Candidate reports late, it may be possible for the Candidate to sit the ALP after the others have completed. Contact ASL Head Office for advice. All Candidates, other than the one taking the ALP are to wait outside the assessment room until called by the Invigilator. If there are any delays the Invigilator is to notify the ASL Operations Administrator who will re- schedule any affected ALPs to a later time. Unless specifically arranged otherwise, the Interviewer for FLE assessments will be available to conduct the direct interview at the session start time so it is imperative that the Invigilator arranges the session to ensure that the FLE is logged into the phone system at that time. The Candidate will follow the prompts and respond to the recorded questions. A question can be repeated once only by pressing the # key during this section of the test.
After the last question is answered the recorded voice will let the Candidate know that the test has completed and it will disconnect. The Candidate may then hang up the phone.
9.10 Duplicates and Partials
If the phone line is disconnected or an interruption occurs and the Candidate must stop the test, the Invigilator will need to re-dial the phone number and re-key in the Candidate’s ID and PIN.
The Invigilator will be asked if this is a DUPLICATE test and asked to confirm if an override is required by keying in “2”. If this occurs, fill out the Phone Roll accordingly and send it to ASL Head Office.
If a Candidate chooses to end the call without any reason, you must indicate PARTIAL on the Phone Roll.
9.11 Complete Session

10 General Administration and Policy
10.1 Dealing with Abnormal Behaviour
All Invigilators must report all incidences which occur during the sessions. This could be a minor occurrence or it could one of the following abnormal events:
Session Delayed or Cancelled
Complaints and Disputes
Abusive Behavior
Failure to Follow the Invigilators Instructions
Suspected Cheating
Venue Emergency Evacuation
Incorrect Examination
Failure to Bring Required Material
Security Information Computer Error
10.2 Session Delayed or Cancelled
Due to technical or other reasons beyond the Invigilators control, sessions for the day could be delayed or cancelled.
You will need to contact ASL Head Office and you will be advised:
If the problem can be fixed
How long the session will be delayed
If the session is to be cancelled.
10.3 Complaints and Disputes
From time to time, Invigilators will receive verbal or possibly written complaints about some facet of the examination operation. The Invigilator should first establish whether it is within their power to effectively deal with the complaint on the spot. If this requires a phone call to ASL Head Office, please call 1800 257 725 Invigilator Freephone (keep this number confidential - it is for Invigilators use only). If it is beyond the capability or resources of the Invigilator, the complainant will be asked to contact ASL Head Office directly to establish their next course of action. Invigilators are not to suggest any rectification or alternative action to the complainant in cases that are not able to be dealt with immediately by themselves. It is important that Candidates be made aware that should they have reason for complaint, ASL will act without bias in all situations. If, during the ensuing investigations, ASL is found to be at fault, ASL will make every effort to resolve the matter with the Candidate so that a fair and equitable solution is found.

Uncontrolled when Printed INTERNAL 38/81
10.4 Abusive Behaviour
Under no circumstances are Invigilators to tolerate verbal or physical abuse from Candidates. If such abuse occurs, the matter is to be referred directly to ASL Head Office with an appropriate written explanation outlining the facts. In all cases, appropriate action will be taken to ensure that Invigilators are supported and the status of their position upheld. If Invigilators feel threatened at any time, they will need to contact ASL Head Office immediately or if possible, get assistance.
10.5 Failure to Follow the Invigilators Instructions
Candidates are required to follow all reasonable instruction offered by the Invigilator.
The following process should be followed in the instance where a candidate becomes unruly,
disruptive to other candidates, or threatening towards the Invigilator:
10.6 Suspected Cheating
There are various methods of cheating. Below are some of the methods that have been used
historically:
AU Examination Invigilator Procedures 266006
Uncontrolled when Printed INTERNAL 39/81
Referring to non-permitted material;
Taking notes or copying questions during the examination;
Openly viewing another Candidate's computer screen/exam paper;
Removing, or failing to hand in exam material;
Referring to stored notes/texts;
Concealing notes in pens, pencil case, under caps;
Programs inserted into a calculator;
Notes written on various parts of the body;
Notes written on Navigation Computers;
Notes slipped from one Candidate to another;
Notes left in the toilet;
Exchanging signals between Candidates;
Talking or whispering;
Bags containing notes or books left open near the desk;
Use of mobile phones (bluetooth);
Use of voice or video recorders;
Impersonating an examination Candidate.
If a candidate is committing any of the above offences the Invigilator should approach them and quietly advise them that it is not acceptable. The Invigilator must advise ASL Head Office as soon as possible of any suspected cheating incidents. If this is during a computerised exam session the Invigilator is to send ASL Head Office a message through Tasman to advise what has happened. If it is during an ALP exam session then the Invigilator is to phone ASL Head Office immediately after the examination session to advise of their suspicions.
10.7 Venue Emergency Evacuation
The following procedures are not the prescribed evacuation drills per se for an exam venue.
Evacuation drills for the building in which the exam venue is located must take precedence.
However, judicious observance of these procedures with regard to the prescribed evacuation drills
will help the Invigilator maintain effective and efficient control over the examination situation.
In a calm and clear voice, instruct all candidates to stop work, leave all material as it is on the table, and immediately leave the room. Direct the Candidates to the planned rendezvous point.
Record the time for noting later in your Invigilator report and leave the room. If it is safe to do so log all Candidates out of exams prior to leaving the exam room.
Lock the examination venue once all candidates have exited (ensuring that this does not contravene the building evacuation drills).
Follow the building evacuation plan.
When outside safely, take a roll call of Candidates to ensure everyone is safely accounted for.

Advise Candidates that they may or may not be allowed to resume their examination after the unforeseen abandonment. Candidates will be advised accordingly in due course. PEXO sessions will resume if the disruption is less than one hour. Note down the contact numbers of all Candidates for that session and subsequent sessions (if applicable). Candidates are to be advised that ASL Head Office will contact them to make arrangements for a re-sit. Once this has been done the Candidates may leave.
If an examination has to be abandoned, phone ASL Head Office and then record the details in your Invigilator report, and submit the report as soon as possible.
10.8 Incorrect Examination
If a Candidate claims to have the incorrect examination on screen, check the session roll and the Candidate's booking confirmation to find the source of the misunderstanding. Refer the Candidate back to ASL Head Office immediately to have the problem rectified. Invigilators are not to make any arrangements with the Candidates until after ASL Head Office has made a decision.
10.9 Failure to Bring Required Material
Candidates are advised via their booking confirmation of the correct publication(s) and/or equipment to bring to the examination. This is the Candidate's responsibility and should they fail to bring all the requirements, they are to be told that they have the option of completing the examination without the material or abandoning the examination. Abandoning the examination may result in forfeiture of the exam fees. If they decide to abandon the examination, they are to be referred to ASL Head Office for their next course of action.

10.14.2 Confidentiality and Reporting (Whistle-Blowing)
The Company protects staff who report dishonesty.
Any staff who suspects dishonest, illegal, unethical, inappropriate or fraudulent activities will notify their manager in the first instance, and should not attempt to personally conduct investigations or interviews/interrogations related to any suspected fraudulent acts or serious wrongdoing.
Managers who receive information about suspected fraud must report the information to the CEO or CFO immediately.
If staff reasonably believe that their manager is involved in the serious wrongdoing, the staff should notify the manager's manager. If for some reason this is not appropriate, then the matter should be raised with the CEO or CFO.
As required by law (mentioned below and often referred to as the Whistleblower Act), the Company will protect staff from negative impacts and recrimination when raising legitimate or reasonable concerns.
For further information, refer to the Protected Disclosures Act 2000 (for New Zealand staff) or the Public Interest Disclosures Act 1994 (for Canberra staff).
10.14.3 Investigation
Great care must be taken in the investigation of suspected improprieties or wrongdoings so as to avoid mistaken accusations or alerting suspected individuals that an investigation is under way.
The CEO or CFO has the primary responsibility for the investigation of all suspected fraudulent acts. If the investigation substantiates that fraudulent activities have occured, further actions will be taken. Decisions to prosecute or refer the initial investigation results to the appropriate law enforcement and/or regulatory bodies for independent investigation will be made in conjunction with legal counsel and senior management.
Investigation results will not be disclosed or discussed with anyone other than those who have a legitimate need to know. This is important in order to avoid damaging the reputations of persons suspected but subsequently found innocent of wrongful conduct and to protect the Company from potential civil liability.
10.14.4 Prosecution
Where appropriate, all substantiated cases of fraud will be referred to the Police with a view to seeking prosecution of the offender. The CEO has the authority to not seek prosecution if this is in the best interests of the company. However, our starting position is that the Company will seek prosecution unless the relevant circumstances mean this is not the best course of action.

10.15.1 Gifts and Gratuities for Services Rendered
From time to time, satisfied company clients may choose to express their satisfaction by giving to the Company or an individual staff member a gift. Generally, this action should be politely discouraged but where it happens it is permissible for that gift to be received by staff provided it is realised that the gift ultimately belongs to the company.
Where a gift is presented to the Company in recognition of a service, a Company manager should be informed so that a decision can be made as to what will happen to the gift.
Under no circumstances shall any Company function be carried out for the purposes of receiving a gift or gratuity from the client or a training organisation.
Staff are forbidden to solicit a gift or gratuity for a service rendered by the company.
10.15.2 Inappropriate Actions by Exam Clients

For details on how Candidates use the LAMP Exam System please refer to the LAMP Candidate Information Sheet (AUS 403). Laminated copies of this form are available for candidates at the venue and are listed under Supplied Material.
12.3 Finishing the Exam
When the Candidate has completed their examination (either their time has finished or they selected Finish Now) a green screen (as shown below) will display to show that their results have successfully saved.

During this feedback session, the responses already made to questions cannot be changed. If the candidate has finished early they can use their remaining time to add comments. The feedback duration does not time out. Feedback sessions are controlled by the Invigilator and can be managed to allow Candidates time to complete their comments. The Invigilator is to allow an additional five (5) minutes for feedback. If the Candidate does not wish to add any feedback, they can 'Close' the screen to submit their exam for marking.

12.3.1 Invigilator Checks when Finishing the Exam
Once the Candidate has finished their examination they are to put their hand up and the Invigilator is to go to them (as per the Mandatory Instructions). If the Candidate gets up to leave please ask them to stay seated while you conduct the following checks: Check computer screen Check that the Candidate's computer is a green or blue screen or if it has diverted back to the login screen (any of these displays are fine). Ask the Candidate if they pressed 'Finish Now'. If they have not pressed 'Finish Now' then they will need to do this before they leave the examination room. Exit from Exam Screen The Invigilator will need to perform this task at each machine used for an examination. To close the ASL Kiosk:
The Invigilator uses the keyboard to hold down both the 'Ctrl' and 'Esc' buttons.
A keypad is displayed on the screen. Type 86386 (confidential) in the keypad display box and then click on the Enter pad button for the password to be accepted.
Click on the Exit to Desktop then Tasman Admin to complete a session or Shutdown to turn off the computer.

12.4 LAMP Troubleshooting
12.4.1 Candidate presses Start button too soon
Candidates are not to press the 'Start' button on their computer screen until the Invigilator has completed the pre-exam checks and finished reading the Mandatory Instructions. If they do press this too soon then the Invigilator is to press Ctrl + Esc on their keyboard and enter the Invigilator's PIN 86386 (confidential) in the keypad display box and click on the Enter button.
Advise the Candidate that the timer has been paused and once everyone else has started their exam will be re-opened. Once the Invigilator has completed the pre-exam checks for all Candidates and read the Mandatory Instructions the Candidate that pressed 'Start' too soon can be logged back into their exam.
12.4.2 Problems During the Exam
12.4.2.1 General LAMP Problems During An Exam
If there are any problems with the computer during a Candidate’s examination sitting, the Invigilator can exit from the examination by pressing CTRL-ESC and keying in 86386 (to be kept confidential). Click 'Exit to Desktop' Double Click on 'ASL Kiosk' Select Start Exam, load in the Candidate’s details and the exam will “resume”. Ask the candidate to check that their answers are finalised and to continue with the exam machine. They can do this by checking:
a. If the question ID is green, the response has been made and recorded for all time.
b. If the question is not green, it may be because either the question has not been responded to, but may also indicate that prior reponses may not have been recorded. Please check.
AU Examination Invigilator Procedures 266006
Uncontrolled when Printed INTERNAL 53/81
c. If the question is light grey, it may still have response details in it, but needs to be passed over once more to ‘reactivate the response’ by changing the color of the question back to green.
d. If the question is dark grey, it has not been responded to.
If the problem persists, either reboot the computer or move the candidate to another computer and sign them back into their examination. If the problem still persists, message the ASL Head Office via Tasman and advise. Continue to try the first three steps above. You wil receive a response and further instructions within 10 - 15 minutes.
12.4.2.2 Blue Screen During An Exam
A "blue" background around the examination screen indicates that the computer has lost the
internet connection. This may also happen at the time the Candidate finishes their
examination if the computer is unable to connect to the server for any reason.
As the entire examination is downloaded to the local computer, the Candidate is able to
continue with the examination without the internet connection. Please advise the Candidate
to continue as normal.
The delivery system saves the responses every time a change is made or every 20 seconds.
If there is no internet connection, the save will be carried out locally. The system will continue
to try to save back to the server and will therefore detect if the internet connection is restored
and will save the candidate’s responses.
12.4.2.3 Shockwave Movie Error
Sometimes, when the internet connection is lost, the following message may appear on screen:
Press 'Yes' to continue. DO NOT press 'No' because shockwave needs to be able to send logged data to the computer. Once ‘Yes’ has been clicked the message will disappear and the candidate can continue with their exam.
12.4.2.4 Candidate presses Finish Now too soon
Candidates are meant to press 'Finish Now' when they are satisfied that they have completed all questions. The computer will then ask them to confirm that they wish to finish the exam. However, occasionally Candidates do not realise this and press 'Finish Now' after only answering one question.
AU Examination Invigilator Procedures 266006
Uncontrolled when Printed INTERNAL 54/81
As an Invigilator you will likely notice this if the Candidate calls you over as their exam would have exited out to the either the green/blue screen or the login screen. Here are the steps you should follow:
Ask the Candidate if they clicked the finish now button. If they did ask them if there was another screen that asked them to confirm that they would like to finish.
Try logging them back into the computer.
If logging them in works then they have not pressed 'Finish Now' so they may continue with their exam.
If logging in does not work then you are to advise them that unfortunately they have clicked 'Finish Now' and confirmed that they would like to finish the exam and that we cannot retrieve their examination. They will need to leave the examination room and contact ASL Head Office.
The Invigilator is then to message ASL via Tasman to advise of the incident. Please include the Candidate's name and Client ID in your message and any further details about the situation that you found out from the Candidate.
12.4.3 Problems at the end of the Exam
Once all the Candidates have finished, the session needs to be completed. This action releases the Candidates’ results for the session. Note: This action must be completed as soon as the last Candidate has left the exam room and prior to starting any more exam sessions. The Invigilator is to complete this on the Invigilator computer or an exam computer unless prior consent is given from ASL to complete the session elsewhere. For instructions on how to complete a session please see the Tasman Invigilator User Guide. Always try completing the exam session first and if this does not work then call ASL Head Office for further instructions.
12.4.3.1 Blue Screen At The End Of The Exam/Perform Late Save
At the conclusion of the examination, if there is a problem with the internet connection, the system will display the blue screen with an appropriate message (‘Network connection unavailable’ or ‘Unable to complete save’).
AU Examination Invigilator Procedures 266006
Uncontrolled when Printed INTERNAL 55/81
Please record the message in case it is needed for further trouble-shooting. Restore the internet connection by trying to unplug the router, wait for a few seconds then plug it back in again. You can also try moving the router to another place in the room. Once the internet connection is restored (ie. you can login to Tasman) try completing the session. If you receive any error messages please ring ASL Head Office immediately. If ASL advises you to complete a late save for a particular Candidate’s exam you will need to follow the steps below. DO NOT complete a late save unless ASL have advised you to do so.
Use the keyboard to hold down both the 'CTRL' and 'ESC' buttons.
Type 86386 (to be kept confidential) in the keypad displayed on screen, and then click
Enter.
Click on 'Perform Late Save'.
You will then see either of the following 'Late Submission' screens, note down what
this screen displays:

13.3 PEXO Permitted Examination Material
Alternative to AIP CASA permits the use of Jeppesen as an alternative document to CASA AIP, with this advice:
As provided under CAR 233(1)(h), on a Candidate's own preference, the JEPPESEN AIRWAY MANUAL may be used as the examination reference in place of AIP, but if any differences between AIP and JEPPESEN documents result in the selection of incorrect answer(s), CASA will NOT accept this consequence as a basis for re-mark.
Either an AIP or Jeppesen documents may be used, but NOT both. This is inclusive of maps, charts and other Air Services produced documents such as the ERSA, etc.
What Constitutes ERSA? The document ERSA (En Route Supplement Australia) is taken to include all CASA produced Pilot Aid inserts.

13.6 PEXO Troubleshooting
13.6.1 Restarting an Interrupted Examination
If an examination sitting is interrupted due to technical problems, e.g. loss of internet connection or loss of power to the computer, the Candidate can easily restart the exam on the same or any other computer at that centre on the same day. To verify that the correct Candidate is restarting their exam, it is necessary that an Invigilator confirms the new logon.
NOTE: If an exam is interrupted for any reason, the Candidate MUST NOT leave the exam venue, except for a toilet break if appropriate, in the time between the interruption of their exam and the re-commencement of that same exam. This is due to the fact that they could use this opportunity to determine the answers to questions they know to be in their particular exam.
AU Examination Invigilator Procedures 266006
Uncontrolled when Printed INTERNAL 68/81
If it is not possible for the Candidate to complete their exam on the same day, then a restart on another day is NOT possible, and this exam will be an INCOMPLETE exam with no result recorded. It is necessary that they re-book the exam for a future date. There is no CASA charge for an incomplete exam. It is important, that the existing sitting was not finished by having pressed and confirmed the red, ‘End’ (of examination) button from the examination window.
To restart an interrupted examination:
Start PEXO again, this may be on the same or another computer.
Let the Candidate logon again using the same details as on the ‘Place Card’.
PEXO recognizes an interrupted session and will present the Security Check dialog for the Invigilators account.
The Invigilator is to verify with their login and password.
Press ‘Acknowledge’.
Now the Candidate can continue the exam session without having lost any time. Some may lose the answer from the question they were on when the exam was interupted.

13.6.2 Script Errors
Script errors – If a script error message appears, simply select YES and continue with the exam. This will have no impact on the Candidate’s exam. Even if they select No, they will still be able to continue with their exam without any impact.
13.6.3 Questions/Answers Failing to Display
If a question and/or answer doesn’t load correctly onto the screen, e.g. some/all of the text of the question/answer is missing, have the Candidate press the ‘F5’ key as this refreshes the screen. The question and answers should then be correctly displayed on the screen.
13.6.4 Loss of Internet or Computer Failure
If the internet connection is lost during an examination, or the exam is interrupted for any reason,
the Candidate may login again on the same or even a different computer, and resume the exam
from the same point (with their answers and time remaining)
Refer to Restarting an Interrupted Examination for the process to log the candidate in again.

To look out for:
Firstly, if you can find the PRGM button or buttons like P1, P2, P3, P4 indicating Program 1, Program2,
Program3, etc.
A calculator with graphing capabilities is most likely going to be programmable! The easy way to tell
if the calculator has graphing capabilities (and is therefore programmable) is by the larger screen
than would be found on a scientific calculator.
One notable thing is that CASIO has their programmable calculators indicated by a 'P' (eg: FX-700P
etc.)
Calculators that are NOT programmable:
For the most part, this is what a non-programmable calculator looks like.
