Avoiding the Crash

Reporting Pileup:

Filling out a crash report by hand can already take several minutes. Now consider that the number of pages could increase more than threefold, like in Florida where the short form went from 2 pages to 7 pages in 2011 to com-ply with new Federal requirements1. It’s easy to see how these new requirements could quickly increase the time it takes to complete a report to unsatisfactory levels.

However, there is a cost e! ective solution that cuts down on crash report completion time and increases overall e" ciency. Deploying a next generation electronic crash (e-crash) reporting system can help agencies avoid the collision of small sta! s and increased crash reporting requirements. But that is not all, the next generation so# ware also provides other bene$ ts to agencies such as cost savings, more accurate data and improved of-$ cer safety. As we move forward into a time when there is an increasing demand for information about crashes, adopting an e-crash system is the only way to realisti-cally keep up with all the reporting requirements.

iyeTek is dedicated to providing Law Enforcement Agencies with the best, next generation e-crash report-ing system – iyeCrash. iyeCrash is a complete, % uid sys-tem for obtaining and reporting crash data electroni-cally. iyeTek and iyeCrash have a record of success and provide agencies with the best options available. Read more to see how iyeCrash helps Law Enforcement Agencies avoid the crash reporting pileup.

1. Donahue, & e Technology Craps Shoot: Improving Your Chances of Getting It Right, O" cer.com, 9/7/2010.

Many Law Enforcement Agencies are running lean sta! s and working hard to make every employee as e" cient as possible. Keeping up with current crash reporting requirements already provides a challenge in these cir-cumstances, and with demand for data increasing from both Federal and State Governments, some agencies are headed for a crash reporting pileup.

How It Works

iyeCrash is a state-certi$ ed e-crash reporting system and part of iyeTek’s Law Enforcement So# ware Solu-tions (LESS). & e so# ware, which runs on patrol car lap-tops and handheld devices, launches an electronic crash reporting form that is a replica of the state’s paper-based form, making it easier for the o" cer to switch from the paper-based form to the electronic form. iyeCrash en-ables o" cers to use license plate numbers and driver’s licenses to pull driver and vehicle information from Secretary of State (SOS) and Department of Motor Ve-hicles (DMV) records. While an o" cer completes the rest of the report, iyeCrash inherently validates the data based on state requirements. It will alert the o" cer of any problems, so they can be $ xed before the report is $ nalized. When the report is complete, it is sent through a network connection, or later through a wired option, to the iyeTek Web Administration Portal, various Re-cord Management Systems (RMS) and required state agencies.

Speed, Accuracy, Safety

Adopting iyeCrash increases e" ciency in two key areas, speed and accuracy. Speed is also an important factor in o" cer safety. & e quicker an accident is resolved, the less likely further incidents will occur. Being a major component of iyeTek so# ware, o" cer safety is also im-proved by iyeCrash’s state-of-the-art iyeSpeech, which reads aloud information on the drivers and vehicles, so the o" cer can maintain visuals on the crash scene. & e so# ware will also alert the o" cer if the vehicles or drivers involved in the crash are associated with NCIC or FBI warnings, giving the o" cer potentially life-sav-ing information. iyeCrash comes standard with all the time-saving and safety improving features that might be added costs with other so# ware vendors – or not avail-able at all. & e intuitive so# ware allows an o" cer to complete a crash report in mere minutes.

• Automatically Fill Forms:

A! er driver and vehicle

information is gathered

through an SOS/DMV query,

the o" cer can easily be drag

and drop it into the citation

form, saving a lot of time and

cutting down on errors.

• Required Field Highlights:

All required # elds on a ticket

are highlighted in red, and

optional # elds are highlight-

ed blue. If required informa-

tion is missing, iyeCrash will

alert the o" cer and highlight

the missing information in

yellow. $ e highlights help an

o" cer complete the neces-

sary # elds faster by drawing

attention to requirements

and insuring none are incom-

plete.

Convenient, Green, Cost Effective

Beyond being a great tool to increase e" ciency and safety for o" cers, iyeCrash also has several other bene-$ ts to o! er Law Enforcement Agencies. Eliminating pa-per-based crash reports is a movement toward making an agency green. Doing so is not only good for the envi-ronment, but it also eliminates the cost of paper-based reporting materials and storage. E-crash reports should be available in the Web Administration Portal within 24 hours a# er approval and are stored for 7 years. O" cers can access the reports at any time through the website.

With iyeCrash, iyeTek o! ers its e-commerce component, www.AuthorizeTransaction.com, which is a great boon to Law Enforcement Agencies. Insurance companies, citizens and other interested parties can purchase crash reports 24 hours a day, 7 days a week through the web-site. & is convenient option allows these parties to purchase crash reports without visiting the records di-vision, reducing foot tra" c in the o" ce and time for records employees. However, crash reports can still be purchased at the records division for citizens without access to the Internet. All records employees have to do is access the report through the Web Administration Portal and print it for the customer. Beyond the conve-nience created by the e-commerce component, it also is a source of revenue for the police department. Once the report is approved, the police department does not have to pay anything to maintain the report or access it. However, the police department can still charge its nor-mal fee for distributing the report to citizens, insurance companies and other interested parties.

Why Choose iyeTek

iyeTek has a track record of success in providing Law Enforcement Agencies with so# ware solutions that not only increase e" ciency, but also some that provide in-creased revenue. In a recent acquisition of iyeCrash by

• Integrated Diagramming

Tool: iyeCrash comes stan-

dard with iyeDiagram, a tool

to quickly create a visual

representation of the crash

site and situation. Save time

using iyeDiagram by taking

advantage of intersection

templates. Templates can be

created and loaded for inter-

sections where crashes are

more common, saving the of-

# cer from having to recreate

the intersection every time

there is a crash there.

• Driver Exchange Form:

$ e Driver Exchange Form

allows o" cers to take driver

information on the parties

involved in the crash and

print a copy for each of them.

$ e o" cer can use the infor-

mation to complete the crash

report later, helping to clear

up the crash scene faster.

Orlando Police Department, iyeTek was cited as the only vendor of four that met all the agency’s require-ments for an e-crash upgrade. A major part of iyeTek’s business model is working with police departments to $ nd out exactly what they need and want from so# ware solutions. iyeTek tailors its o! erings based on these re-quests. & e developers at iyeTek know that going to the source, Law Enforcement Agencies themselves, will cre-ate the best, % uid systems for increasing e" ciency. & is plan has paid o! .
