What is bconnect

bConnect is an enhanced document delivery solution especially designed for use with ERP software.

bConnect is used by more than 30 customers in India, UK, Middle East, Africa and New Zealand. First introduced in 2011, it generates more than 2500 emails daily including invoices to customers, payment reminders,

statements and reports. It has helped saved our customers hundreds of man hours by automating their routine communication with their business partners and employees. It has also helped customers in improving their

Basic Details

Basic DetailsProvide basic details, like title, description, type of rule (could be Email or SMS or File), folder in which to store, source type (could be Crystal Report or SQL Query).

SourceSource is used to generate the output. This could be either a Crystal Report or SQL Query. This report / query will be executed and output will be sent to the destination. Values returned by parameters query will be used in execution of source.

ScheduleYou can set schedule as per your requirement. It could be every 5 minutes, every hour, daily morning, daily evening, once a week, once every 15 day, once a month or anything you require. You can also set a start and end date for the rule.

OptionsYou have options of updating some field in the database or running some query after email is successfully sent. You also have the option to run the rule for newly created or modified records only. For sending emails, you can choose between Outlook and SMTP server.

DATABASESbConnect can connect to multiple databases or SAP B1 companies simultaneously. You can also connect to other SQL Databases.

RULESRules are the basic building blocks of bConnect. Each rule define the source and destination and various other options for generating emails.SCHEDULESYou can pre-define schedules and reuse them in rules. Schedules could be daily, weekly, fortnightly, monthly, quarterly, etc.

p General TabThis tab defines the basic settings of the rule, like Title, Description, Source Type, etc.Source DatabaseSelects the database on which this rule would be executed. bConnect can connect to multiple databases simultaneously and run rules on them.Rule TypeRule type could be Email – for sending emails to recipients, SMS – for sending text message on mobile phones, or FTP/File – for saving output on File Server / FTP Server.

Source TypeSource Type could be either Crystal Report or SQL Query. Output from the source will be used to generate the content of the email.

p Report TabHere you select the crystal report or SQL query source.

Report From SAP B1If you are using SAP B1, you can

select a report which is already imported in SAP B1. This could be a report or a layout.

Crystal Report FileYou can also select a crystal report

file stored on the server. This report should be connected to the appropriate database.

SQL QueryIf the source type is SQL Query - you can specify a query for generating the output.

p Parameters TabParameters are passed to the crystal reports or SQL query source.

Query from SAP B1You can use a query saved in B1 by

selecting the same here.

SQL QueryYou can type a query directly. The values returned by the query are passed as parameters in the same order as returned by query. These values can also be used in subject, recipient addresses, etc.

p Email TabSpecify the recipient address and other options for email.

To / Cc / BccSpecify the email address or select the field which contains the email address.

SubjectSpecify the subject of the email. You can include fields returned by Parameters Query.

Message Format & TextSpecify if the output should be

embedded in the message body or attached to the email. Also select if the email should be sent using Outlook or SMTP server.

p FTP/File TabDetail the options for saving output on FTP / File Server.

Server & PathSpecify the server or the file path where the output should be saved. Also specify username / password as required.

File NameSpecify the name of the file to be used. You can use fields from Parameters Query in the file name.

p Format TabFormatting options for Email / FTP Rules.

Message FormatOutput could be formatted as HTML, Rich Text, PDF, Excel, Word, CSV or XML.

OptionsSpecify date format and text formatting options if you are outputting to CSV or XML file.

p Schedule TabSchedule of the rule determines when it will be executed.

One TimeIf rule is set for One Time – it will be executed only once at the specified date and time.

RecurringYou can select pre-defined recurring schedule or define your own as per the requirements. This could be daily, multiple times daily, weekly, fortnightly, monthly, quarterly, or anything else as you need.

p Options TabOptions determine steps after successful execution.

Update Field / QueryYou can update a field back in the

database or run a query after the successful execution of the rule.

Process RecordsYou can specify if the rule will be executed for all records, or for records which have been added or modified since the last execution.
