1. INTRODUCTION & BACKROUND to SWOP

Sex Workers Outreach Project (SWOP) operates throughout NSW and is Australia’s largest and longest established community-based, peer education sex worker organisation focused on HIV, STI and hepatitis C prevention, education and health promotion for sex workers in NSW.

A key element in the success of SWOP’s work is the building of strategic, collaborative and multidisciplinary working relationships with sex workers, other key health, government and non-government organisations, and advocating for an equitable and holistic approach to services provided to sex workers.

We are a small, highly motivated and efficient team dedicated to SWOP’s mission is to achieve the same access for sex workers in New South Wales to

• Health • Safety • Human Rights, and • Workplace Protections

as is enjoyed by non-sex workers in Australia.

In any one year Sex Workers Outreach Project interacted with over 5000 sex workers, 500 of whom are new to sex work, we also interact annually another 1500 people connected with sex industry. We visit over 500 sex service premises and over 50 regional and rural town and we run a minimum of 12 workshops and 11 safer sex campaigns for sex workers each year. Most years we also train over 50 other organisations on working with sex workers and we sit on 30-40 government, health and community committees/interagency. SWOP runs two Facebook pages and two Twitter stream and a We Chat group for sex workers and last year we produced 10 targeted and culturally appropriate resources and distributed over 60,000 resources in hard and soft copy.

2. APPLICATIONS for the POSITION Sex Workers Outreach Project (SWOP) is a peer education sex worker organisation and offers a safe space for sex workers accessing the organisation. SWOP recognises and supports other marginalised communities and recognises their intersections with sex work. Persons who are Indigenous, who are migrants, living with disabilities, living with mental health issues, living with HIV, who use drugs or who identify a gay, lesbian, bi-sexual, trans, queer, intersex or asexual and who have lived experience of sex work are particularly encouraged to apply. To be successful, you will have highly developed organisational and time management skills with the capacity to plan and prioritise work within competing deadlines. Strong computer and keyboard skills covering word processing, file management, database management and accounting systems are required. Excellent analytical skills with a strong interest in problem solving, quality assurance and corporate governance will be an advantage as will a love of numbers and balanced books. 4. The POSITION DESCRIPTION

a. Position Overview

Ensure all SWOP’s financial transactions are correctly recorded and coded and are supported by the correct documentation and the organisations financial procedures are followed and statutory requirements are discharged.

b. Position Detail Position Title: Bookkeeper and Finance Support Officer Classification: Fixed Term Contract of 1 (One) year from date of commencement of the contract Rate of Pay: SCHADS Award Level 3; Salary Packaging is Available for this position. Reports to: Chief Executive Officer, SWOP in their absence SWOP’s Community Services Manager Reported to by; No other SWOP staff report to the Bookkeeper and Finance Support Officer Location: 414 Elizabeth St, Surry Hills, NSW

c. Position Objectives

To keep SWOP’s financial records in an accurate, transparent and timely manner; and also to act as Finance Support Officer for SWOP; contributing to the effective financial management of the organisation and ensuring the organisation meets all financial audit and incorporation requirements.

d. Main Position Activities

a. Undertake Accounts Payable functions including relevant data entry and processing of creditor payments using online banking

b. Undertake Accounts Receivable functions including banking, invoicing and relevant data entry into SWOP’s accounting system.

c. Ensure that correct stock and inventory records are kept of items sold in the SWOPshop.

d. Process month end journals, adjustments and depreciation entries as required.

e. Process transactions for payroll journals, Fringe Benefits Tax and other returns including GST/BAS, PAYG and IAS Payments and provide relevant information to external parties in a timely, accurate and efficient manner.

f. Prepare and maintain accounting files, reports and summaries, including but not limited to banking reports and statements.

g. Prepare the monthly financial reports and annual statutory reports

h. Undertake reconciliation of Bank Accounts, corporate Credit Cards and Cab Charge account.

i. Assist the CEO and Outreach and Community Services Manager on preparation of budgets and grant applications and acquittals.

j. Perform other duties to assist with the work of the unit as requested

e. NOTES on Main Position Activities

SWOP uses XERO as our base accounting program due to its location in the Cloud and its easy entry and learning curve. XERO and the other programs we use Are easy to use and handle almost all accounting and bookkeeping functions automatically.

The number of financial transactions required to support the operation of SWOP is relatively low. The majority of transactions are generated by our working bank account and our corporate credit card account. The total number of transactions generated rarely exceeds 20 per week.

In addition SWOP uses a data extraction program (currently ReceiptBank) to automate the entry of financial transactions data and scanned original support documentation into our accounting program (XERO).

Our e-commerce programs (Vend and BigCommerce) handle most of the stock and inventory records automatically.

However there is some manual data entry to do plus human oversight is required to ensure the automated functions and workflows operate correctly.

f. Working for Home or Offsite

Please state in your application if you wish to work offsite (ie not in the SWOP office). This position is ideally suited to someone resident in NSW who prefers to work off site.

Working off-site will be subject to certain pre-conditions and continuing conditions including a suitability inspection of the offsite workplace, security of data offsite and attendance (in person or teleconference) at monthly SWOP General Staff Meetings .

You must also be available in person at the SWOP offices in Surry Hills NSW for initial orientation (see Training below) and annual or any other audit purposes.

g. Training will be Available

The successful applicant will participate in orientation to the organisation and the work required and will receive orientation as to the role.

SWOP will provide opportunities for training and mentoring in Financial Administration during the period of employment. The successful applicant will gain skills and competencies used in financial administration.

5. Key Performance Indicators Associated with the Position Your work performance will be judged on your ability to

a. enter all SWOP’s financial transactions promptly accurately

b. produce end of the month reports for the CEO by the last working day before the second Thursday of the next month

c. Produce accurate and complete BAS and IAS statements before their due dates and lodge online

d. Produce accurate and complete Superannuation Contribution Reports and lodge online

e. Send Invoices to Customers promptly and ensure payment is made within terms

f. Reconcile SWOP bank accounts, cash account and credit card account are reconciled weekly

g. Ensure all General Ledger account transactions have been entered as required

h. Report to the CEO any Accounts Payable that are over term

i. Provide any other information re the SWOP accounts that is required by the CEO

6. SELECTION CRITERIA

h. Essential Criteria

Lived experience as a sex worker and knowledge of the sex industry with an understanding of sex worker issues.

Experience in and a passion for organisation & efficiency

Basic Windows computer skills including file storage

Basic understanding of accounting procedures.

Ability to multi-task and prioritise workload to meet goals

An understanding of and commitment to social justice

Ability to work collaboratively with a diverse team but also to work autonomously.

Ability to work independently with minimal direction and to meet deadlines without compromising accuracy.

Excellent communication skills, written and verbal

i. Desirable Criteria

Experience with accounting programs such Xero/MYOB, and ReceiptBank.

Experience with e-commerce programs and point of sales programs

Experience with Microsoft Office programs

Understanding of Governance systems and structures

Understanding and interpretation of financial reports

Sound analytical skills and an understanding of program evaluation and policy planning techniques and processes.

Experience in the development and implementation of policy and procedure

Current NSW Driver’s License

j. Additional Information

This is a part time fixed contract position: one day per week (7 hours/week). The term of the contract will be one year from the date the contract commences.

The position of Administration and Office Support Office (4 days per week) can be combined with the position of Bookkeeper and Finance Support Officer (1 day per week) as these positions are being concurrently advertised.

The hourly rate paid will at Level 3 – Pay Point 1 or above (Social, Community, Home Care and Disability Services Industry Award 2010) plus Superannuation and annual leave.

Salary packaging is available for employees.
