Agendas

Nine (9) months prior to the Event, Hotel requires a preliminary program, including updated attendance figuresbased upon history. Six (6) months prior to the event, a tentative program with anticipated attendance figures is

required. At this time, Hotel will release any space that is not designated on a tentative program; except for any spacethe Hotel agrees to hold for unanticipated needs.

BeveragesAll alcoholic beverages to be served on the Hotel's premises (or elsewhere under the Hotel's alcoholic beverage license)for the function must be purchased through the hotel and dispensed only by hotel servers and bartenders. The hotel

reserves the right to ask for proper identification (i.e. photo ID) of any person to verify their age and to refusealcoholic beverage service if the person is either underage or if proper identification cannot be produced. Alcoholic

beverage service may be refused to any person who, in the Hotel's sole judgement, appears intoxicated.

Billing & DepositsWe welcome new accounts, and require that credit be established with our Accounting Office thirty days prior to that

arrival date if you require billing privileges. Credit can only be established for functions over $500.00. Approvedbillings are payable with 15 days of receipt of statement. In the event billing arrangements are not made, full payment

is due immediately upon completion of the function. Advance deposits, when required, are nonrefundable.

Cocktail ReceptionsCocktail Receptions can be planned to suit your particular requirements. We will be happy to advise you on the typeof bar that best suit your needs, whether it is on an hourly or consumption basis, as well as help in the selection of

appropriate hors d'oeuvres and proper quantities.

Engineering, Electrical & Audio-VisualSpecial engineering requirements must be specified to our Catering Department at least three weeks prior to the

function. Charges will be based on labor involved and power drain. A wide selection of audio-visual equipment andservices are available through our in-house supplier on a rental basis. Orders may be placed through the Catering

Department.

Fresh Produce & Food ItemsFresh produce is subject availability and we may substitute certain items to meet our standards of quality. All food

items must be supplied and prepared by the Hotel's Culinary Team.

Guarantee AgreementWe require a confirmation of guaranteed attendance at least 72 business hours in advance of all functions. Your billwill be based on the guaranteed number, plus any over and above. Meals will be prepared for your guaranteed figure;however, if you wish, the room will be set for 5% over your guarantee and our Banquet Kitchen will make every effortto duplicate your menu for additional guests. In the event this cannot be done, a substitute entree will be provided. Inthe event we do not receive a guarantee, we will consider the number of guests indicated as estimated on the catering

contract as the guarantee.

Ice SculpturesWith advance notice, suitable ice sculptures of fish, birds, initials, company logos, etc., can be provided at an

additional fee for decoration.

ParkingThe Hotel is not responsible for the loss or damage toautomobiles or their contents while parked on Hotel

property.

Room & Set-Up FeeFunction rooms are assigned according to the

anticipated guaranteed number of guests. The Hotelreserves the right to assign the banquet function rooms.The Hotel reserves the right to charge a service fee for

the set-up of meeting rooms with extraordinaryrequirements. A room set-up fee will be charged whereapplicable. Any room set-up changes received less than

24 hours prior to event will be subject to reset fees.

SeatingRound tables of 10 are the standard seating for the

banquet meals. Other seating arrangements are availablewhere equipment permits. Please advise if a head table is

required.

Service ChargeAll food, beverages, meeting rooms and audiovisual

prices are subject to +22% service charge as specified onthe contract. All food and beverage functions require a

minimum number of attendees. Any function notmeeting the minimum requirement is subject to asurcharge. Service fees for bartenders, food station

attendants, cashiers and other additional service staff areapplicable.

Shipping & ReceivingShould you be shipping boxes for your meeting, they

must be addressed to the attention of the Sales Managerhandling your function, and marked with the name anddate of your function. Due to limited storage space, werequest that shipments not arrive any earlier than three

(3) days prior to the group's arrival.Notice

Consuming raw or under cooked meats, poultry,seafood, shellfish, or eggs may increase your risk of food

borne illness.

Insurance & IndemnificationThe EMBASSY SUITES BY HILTON NEWARK

WILMINGTON SOUTH and/or the Group each agreeto carry adequate liability and other insurance

protecting itself against any claims arising from anyactivities conducted in the EMBASSY SUITES BY

HILTON NEWARK WILMINGTON SOUTH during anyevent. The EMBASSY SUITES BY HILTON NEWARKWILMINGTON SOUTH will not assume responsibilityfor damage or loss of any merchandise, printed matteror art placed in the EMBASSY SUITES BY HILTON

NEWARK WILMINGTON SOUTH prior to, during orfollowing functions. Client will be responsible for

obtaining security, if required, in exhibit or meetingareas; arrangements may be made through the Hotel

Catering Department.

The performance of the agreement by either party issubject to acts of God, war, government regulations,

disaster, strikes, civil disorder, curtailment of transportation facilities, or any other emergency makinginadvisable, illegal, or impossible to provide facilities or

to hold the conference or exhibit.

LiabilityThe Hotel reserves the right to inspect and control allprivate functions. Liability for damage to the premiseswill be charged accordingly. The Hotel cannot assumeresponsibility for personal property and equipment

brought onto the premises.

Lost & FoundThe Housekeeping Department administers Lost and

Found. The Hotel cannot be responsible for damage orloss of any articles or merchandise le in the Hotel

prior to or following your banquet or meeting. Securityarrangements should be made for all merchandise or

articles set-up prior to the planned event, or leunattended for any time.
