California Managed Schools Back To School Packet Directions 2017-2018 Back-to-School Packet Directions for Families What is the Back to School Packet? It is an online form completed annually at the start of each school year. The state of California requires the school to collect this information every year to ensure that it is accurate, and it also allows California Managed Schools to apply for additional funds. You will be sent an e-mail invite from your school with the subject line, “School Registration Process.” Please be sure to access your Back to School Packet directly from the link found in the e-mail invite. It is best to complete this online form on a computer, not on a mobile device such as a tablet or smartphone. Step 1 – Log In Click on the link in the email to begin. (Your unique link will be towards the bottom of the e-mail under your given username). It will look similar to this: Pressing “click here” will take you to a website specific to your student’s school where you will create a password, OR login with the email and password you created (if you’ve set up a password in the past). When a password is successfully created and you have logged in, you will see a green box and the page will automatically reload to the Reg-Online landing page. For returning users: Upon logging in, you will see the main Household Dashboard screen as shown below. To enter the Back to School Packet, click on “Jump to REG-Online.”

Back-to-School Packet Directions for Families What is the Back to School Packet? It is an online form completed annually at the start of each school year. The state of California requires the school to collect this information every year to ensure that it is accurate, and it also allows California Managed Schools to apply for additional funds. You will be sent an e-mail invite from your school with the subject line, “School Registration Process.” Please be sure to access your Back to School Packet directly from the link found in the e-mail invite. It is best to complete this online form on a computer, not on a mobile device such as a tablet or smartphone.

Step 1 – Log In Click on the link in the email to begin. (Your unique link will be towards the bottom of the e-mail under your given username). It will look similar to this:

Pressing “click here” will take you to a website specific to your student’s school where you will create a password, OR login with the email and password you created (if you’ve set up a password in the past).

When a password is successfully created and you have logged in, you will see a green box and the page will automatically reload to the Reg-Online landing page.

For returning users: Upon logging in, you will see the main Household Dashboard screen as shown below. To enter the Back to School Packet, click on “Jump to REG-Online.”

Step 2 – Create a Household 1. Click on the “2: Household” step at the top of the page.

Provide Household information. Starred fields are required; all others are optional. The fields may already be completed with the information on file.

2. Once you press “Save Household Info” a green confirmation will appear and you may move onto Step 3: Application.

Step 3 – Application: Add your students to your household 1. If you do not see your student’s name in your view of the window below, click “Find My Student.”

(If you do see your student’s name already listed in Step 3, proceed to direction #5 below)

2. Enter your student’s student identification number and last name in the fields provided, thenclick Find Student. (The student I.D. can be provided by your homeroom teacher. If a messagepops up that the student cannot be found, it can sometimes be due to a hyphen, space, ornumerals included in the name. If you still are unable to add your student after doublechecking its format, please click here BTSP Support Request Ticket to get help.

3. Next, click on the Add Student button next to your student’s name.

4. You should now see your student with either a red x or a white paper icon with a red check.5. Press “Show Student Information” to the right of the student’s name if a red x or white paper

icon appears on this button.

6. A field entitled “Student Registration Form” will open with several questions to answer. The fields witha red * are required.

At the bottom of the form, press “Save Student Record.”

Important: Directly underneath the “Save Student Record” button is a Delete button. Please only type “CONFIRM” and Delete if you are removing a withdrawn student or an incorrectly attached student. Otherwise, please do not press Delete.

7. Next, click on the “Student Documents” button.

Verify the information in the document is accurate (this is the information you entered as part of the registration process in step 5 above), and then scroll to the bottom of the page. Sign your name using your mouse in the white signature box. Then, type your name in the text box below the signature box. Click Submit Agreement when done.

9. Health Care Information: Download the flyer by pressing “click here”

and press “Sign” to acknowledge your receipt.

10. Click on the Sign button next to NSLP agreement.a. Enter Household Size (number of people living in the household) and gross annual

income. Important: Please enter the income to the nearest dollar; Do not include adecimal point and cents. This information is not saved in the program. It is used tocalculate eligibility for school related programs.

b. Select Assistance Programs from the drop down menu if applicable. You will beprompted to enter your case #.

c. Sign name in signature box, type name in text box, and click Submit button.

11. Parent/Student Handbook: Download the handbook by pressing “click here” under the heading.

Press “Sign” to insert signature and typed name of both the guardian and student.

12. Special Education Agreement: If you answered “No” to having a student who has ever been inSpecial Education or has a 504 Plan, a red x will appear for you to sign the Special EducationAgreement. If you answered “Yes” to this question, the Special Education Agreement will notappear, and you will not need to sign it.

13. If you have another student, click on the Find My Student box at the bottom of the page.Repeat steps 5-12 for each additional student.

15. Once there are no more red x’s on Step 3, you may move on to Step 4: Family

Step 4 – Family: Complete Family Information

1. Click on Update Information next to the parent/Guardian name.2. Ensure the required information is correct and add any additional information as needed.3. Click Save Guardian Record when completed.4. If you’d like to add information for any other adults, click the Add Parent/Guardian button and

complete the form for the additional adult.

Step 5 – Done! On this page, you have the option to print a confirmation of the registration. You may also choose to save the pdf to your desktop for your records. This is an optional step.

Below are common troubleshooting questions. Please review the content below to see if your inquiry is

addressed.

I did not see the Back to School Packet link yet. When/Where will I get it? The BTSP link will be sent to the primary legal guardian’s e-mail address that we have on file. Links are e-

mailed on a weekly basis. You can submit BTSP Support Request Ticket if you have not received your link after the first week past your starting enrollment date.

: What if I need my Back to School Packet sent to a new e-mail address that is not on file? Please notify your teacher to help make sure it is updated in the system. It will take a few days for it to

process and a new invite will be sent.

: I received my Back to School Packet invite, and I clicked on the link, but it takes me to a screen requesting for me to enter my e-mail address only, indicating I would receive a confirmation shortly after. However, there is no follow-up in my inbox, and I do not have access to the Back to School Packet.

There have been reported incidents from users with a Comcast e-mail domain. It may be due to Comcast

blocking our web link. If this is the case please submit a Support ticket to be helped on an individual basis.

: Can I use a mobile device to complete the BTSP? What browsers are most compatible? Make sure to use a computer, not a mobile device. It is recommended to use Firefox, Google Chrome, or

Safari as compatible browsers.

: My student’s I.D. is not listed correctly under the I.D. column in the Student Portal table. The Back to School Packet displays the student’s Local I.D., which is a different number than your student’s

K12 Student I.D. The number you typed in Step 3 to “Find My Student” is the K12 Student I.D. As long as you were able to attach your correct student using this number, you can disregard the local I.D. number listed on the form. Another way to check is to look at the student’s listed grade level in Step 3 “Student Information.” If it is the correct grade level, the form should be fine. If you see the incorrect grade level, it is possible your student’s old record is attached, and the new one needs to be added. For further help in correcting the student grade level

and record, please submit a BTSP Support Request Ticket.

In Step 3, I signed my “Student Documents,” but I cannot proceed to Step 4. Double check if “Student Information” has a red x or white paper icon. If it does, please review and ensure

all required fields have been filled out and that “Save Student Record” has been pressed. Once both “Student Information” and “Student Documents” have green checks, you can then click on Step 4 up above.

: I am in Step 3 of the BTSP, and when I press, “Find my Student,” a message appears: “A student record was found that was already linked to another household. For assistance please contact your homeroom teacher.” What do I do?

First, check if your student(s) is/are already listed in Step 3. If they are, make sure there is no remaining red

x to the left of your student’s name. If there is a red check on top of a white paper icon next to your student’s name, press “Show Student Information” and go through the form to ensure all questions have been answered. Press “Save Student Record” at the bottom right side of the form. Press “Student Documents” to sign any documents that have a red x to the left of them. *Please be sure to press “Student Information” and to save that portion first before signing the “StudentDocuments.”

If NO students are listed yet, and you received the message: “A student record was found that was already linked to another household, it is also possible you have two different accounts created, and your student is already existing in another account. You can either request for your username/password from your original account, or the accounts may either need to be merged, or the extra one may need to be deleted. Please send

a BTSP Support Request Ticket for additional help with this.

: I have a student who has been in Special Education or who currently has a 504 Plan, but it is showing that I need to sign the Special Education Agreement.

Press “Student Information” to the right of the student’s name and answer the question, “Has your student

ever been in Special Education or has a 504 plan?” Make sure to save the student record. If you answered, “Yes,” you will not need to sign the Special Education Agreement.

In Step 3, I accidentally deleted my student after typing “CONFIRM” next to the Delete button. How do I add my student back on?

Press “Find My Student” and type in your student’s information to add your student back in the Step.

: I notice my address is listed incorrectly and I am not able to change the field. There are certain fields that are “locked” and cannot be changed if it was once reported with a specific

answer in the past. If it is an old address filtering in the form, it most likely is information entered in the past. We do not pull the address from the Back to School Packet, as the address information is updated in our main file. To double check if the correct address is on file, you may ask your teacher and go through the steps to change it in our main system.

For questions regarding other fields, please submit a BTSP Support Request Ticket.

: I completed the information, but somehow the website won’t allow me to move on to the next step even if there are green checks.

Try logging out and logging back in again to allow the information to “refresh” and load into the system.
