The Coastal Cruisers Bicycle Club held its regular monthly meeting on May 9, 2011, at the Olde World Restaurant in North Port with 22 members in attendance. President Bob Carroll opened the meeting at 7:00 p.m.

Minutes: The minutes were not read but were accepted as posted on the web site.

Treasurer's Report: In the absence of Frank Lentz, Bob Carroll reported that the club has $5350.15 in its account.

Membership: In the absence of Sandy Lentz, Bob Carroll announced that the club

has about 480 paid members to date. Sunshine: Joanne Slemmer had sent out one card this month to Ron Norvelle

following his accident.

Web Site: Sally Entlich announced that the June rides have been posted as well as photos from the Sunset Social.

Safety: It was reported that the Club had two accidents this past month, one bike-on-bike and the other a result of a tire blowout.

Rides/Events: Wanda Short stated that the ride schedule has been completed to

July 1st. She thanked Ellen Granick for editing the ride schedule this past year. Wanda reminded everyone of the need to adjust and adapt for the heat and humidity and of the need for extra water stops during rides.

Tom Brady informed the group that he and Jim Jones have been working to

standardize routes and maps for the web site for those who might want to pull up directions and distances.

Bob Carroll thanked Wanda Short and Jack Wallick for their superb work as ride coordinators and stated that the club is looking for volunteers to take over this

position on Jan 1, 2012. Old Business: Sally Entlich reviewed the suggested changes to the by-laws. The

revisions written by Peter Huber, Shelly Steifeld, and herself were posted on the web site last month. A motion to accept the changes as presented was made and

seconded. There was no discussion; the motion passed with a vote of twenty-two votes yes, zero no.

Bob Carroll thanked the nominating committee and stated that the new board took seats as of this meeting. He thanked the outgoing secretary and vice-president.

He reminded members that the next club meeting will be in September. New Business: Bob Carroll informed the membership of an issue that had been

brought to the board last month regarding use of a battery-powered, electric-assist

Page 2: COASTAL CRUISERS BICYCLE CLUB MINUTES MAY …Ride Coordinator Charlie Pierce said that he still needs three leaders for October. Charlie will be setting up a club ride for the November

bicycle on club rides. Bob stated that there is no problem as to safety but that the question had been raised as to whether this might change the complexion of the

club. He also stated that the board had voted a one-year trial period approving such bikes but no gas powered bikes. However, some trails do not allow any

motorized vehicles, and the club member involved has been asked not to ride club rides on these trails with this kind of bike. There was some discussion from the floor as to the rules on the trails and as to what constitutes a motorized vehicle.

Wanda Short informed members that there are thirteen rooms left at the Central

Motel for the Withlacoochee event next March. The meeting was adjourned at 7:45. Following the meeting, Steve Christian

introduced two speakers from the Venice Area Beautification Committee. Phil Ellis and Chris Shiparsky presented photos, maps, and information on the history and

current efforts for a master bicycle trail plan that would develop and connect bicycle trails throughout Sarasota County.

COASTAL CRUISERS BICYCLE CLUB BOARD MINUTES Sep 1, 2011

Meeting began at 4:00 p.m. Present were Bob Carroll, Walter Taylor, Frank Lentz.

As four officers are needed for a quorum and we had only three, these minutes constitute a record of ongoing discussions. Specific board votes will be taken on necessary issues as noted below at a later date.

We agreed on following goals for year:

Safety (continue to take it up a notch) Volunteers (From running a major event to assisting a ride leader) Open communications (transparency in our transactions, open to input)

A rich ride menu (routes, speeds, distances that appeal to every member)

We agreed to focus more this year on assisting ride leaders and sweeps. Better communication and guidance Thanks and recognition

Training

We approved a suggestion by Jules Bernstein to provide to ride leaders a very small packet of gauze and adhesive tape protected in a zip lock bag marked with a date.

We discussed the “No one left behind” issue and decided to emphazise these guidelines during training and mentoring sessions. The day after this meeting,

Sandy Lentz made a suggestion to buy whistles and offer them to sweeps. Stellar Sweep Don Slemmer uses one very effectively to alert the rest of the ride of a problem. We decided to pursue this.

Page 3: COASTAL CRUISERS BICYCLE CLUB MINUTES MAY …Ride Coordinator Charlie Pierce said that he still needs three leaders for October. Charlie will be setting up a club ride for the November

We discussed obtaining a computer projector for the club for guest speakers. Peter Huber has been asked to find out how many speakers this year need one. We will

do more research to determine whether to borrow, rent, or buy.

We agreed on two financial issues that will require votes later: We feel we should go with same dues next year as this year ($10 per person). Our

bylaws state the board needs to go to our membership for a vote only for a change to the dues. Therefore we can resolve this at the next board meeting when we have

a quorum of four. The Club in the past has totally underwritten the memorial ride. According to Frank

Lentz our cost for the last memorial ride, when divided by the number of participants, was about $15 per person who attended. It was a great event and well

run, but we feel this was too much of a give-away. Our other big club rides pretty much break even. We all felt it proper to charge everyone $10 and to cover the rest of the costs by the club. We will vote on this next board meeting.

We had an extended discussion of the following topics, all related to rides. No

changes were made to these ongoing issues: Overall safety record and program; enough different speeds for riders; ride leaders keeping to an announced speed;

website speed notations; possibly changing start times to 8:30 in summer and 9:00 for rest of year; battery powered bikes; orientation program (Ponder); ride and sweep leader training (Jones and others).

We also discussed the possibility of surveying our membership electronically

sometime this year to assess club sentiment on key issues. Idea is to make the survey very simple and easy to fill out. (Our membership meetings only reach at max 20% of our total membership.) Decision was made to hold off until later this

year for a decision on this.

Meeting was adjourned at 5:50. Respectfully submitted,

Bob Carroll

The forms have been distributed to local businesses and public facilities in the area. The form is also available on the web site. Safety had no report of incidents. Walter reminded everyone to have an Accident form with them on rides. Ride Coordinator Charlie Pierce said that he still needs three leaders for October. Julie is looking for a co-coordinator. A letter from Friends of the Legacy Trail was read that thanked Fred Kistler for speaking about the Club at their most recent meeting. Walter said that if the Club wanted to participate in the Rotonda Holiday Parade, someone should volunteer to organize it and get in touch with him to submit the application. Old Business – no items. Restaurant.

Present: Bob Carroll, Peter Huber, Walter Taylor, Frank Lentz, and Janie Gattinger.

Guests: Betty Sue Carroll, Jean Huber, and Art Steed.

PASTA BASH: Frank Lentz reported that the final numbers are not in yet. Bob Carroll stated

that Alan Deckebach will be stepping down and that a new leader will be needed for next year.

The Pasta Bash will continue to be held in November next year. There was some discussion of

moving it to the spring, however, the club does have several spring events already.

END OF YEAR: Bob stressed the importance of having members renew their annual

membership before December 31st in order to finalize the insurance policy for the upcoming

year.

A follow up email will be sent out January 4th

and a final reminder will be made at the January

9th

membership meeting. On January 15th

, Sandy Lentz (membership) will provide Tom Lucas

with a list of those who have not renewed and Tom will send out a message to those members.

On February 1st, Sandy will provide Tom with a final list of members who have not renewed,

Page 7: COASTAL CRUISERS BICYCLE CLUB MINUTES MAY …Ride Coordinator Charlie Pierce said that he still needs three leaders for October. Charlie will be setting up a club ride for the November

and their names will be removed from the membership roster and they will be advised that they

can no longer participate in club sponsored rides.

CLUB ROSTER: The club roster will not be available on the website due to privacy concerns.

Members may request an electronic version of the roster from Sandy Lentz.

INSURANCE FOR 2012: Treasurer Frank Lentz will contact the insurance company and give

them the membership numbers on January 15th

, 2012.

RECRUITING: Bob Carroll reviewed several positions in CCBC that will require new

volunteers including the Pasta Bash, vice president, treasurer, and website.

RIDE TIMES: The board discussed the issue of changing the start time of rides in the winter

months from 8:30 am to 9:00 am. After much discussion, the board was split on the decision and

decided to take it to the membership.

FAST RIDES: There are organized rides by ‘fast’ groups that are not on the CCBC schedule and

are thus considered ‘pick up’ rides, not covered by the CCBC insurance. These rides could be put

on the website and become ‘sanctioned’ club rides as long as they are approved by the ride

organizer Julie Pieretti, have a ride description including length and speed as well as a contact

person and phone number.

SURVEY OF MEMBERS: The board discussed surveying members on various subjects to get

feedback from our growing membership. This could be done through our website and will be

considered over the next year.

NEW JERSEY: The board discussed a request for a new CCBC jersey or line of clothing that

would be of a higher quality and available to small groups of riders. This would be a custom

order and not stocked in CCBC inventory. The board felt that it would not be appropriate at this

time to be involved in orders that were not for the membership as a whole, and that would not be

in the CCBC yellow color. Small groups are free to order their own apparel but we will request

them not use the CCBC logo. Bob Carroll will advise these members of the board’s decision.

Meeting was adjourned at 6:30 pm.

other clubs have not faced this issue, and the Florida Bicycle Association has not taken a

position.

Peter Huber will continue to research whether these battery assisted bicycles are allowed in

BOARD MEETING MINUTES

The board of the CCBC met on Wednesday, February 29, 2012 at 2:30 pm at Bob Carroll’s

home. Present were: Bob Carroll, President; Peter Huber, Vice President; Walter Taylor, Past

President; Frank Lentz, Treasurer; Janie Gattinger, Secretary; and guest Sue Pavlat. 1. New Bike Club Jerseys:

Sue Pavlat presented a design for a new club jersey that would be of better quality and a new

design. She would be willing to take orders with payment in advance and to work with the

graphic artists on a final design. Walter Taylor made a motion to allow Sue to proceed with the

design and to present it to the club at the next meeting. The motion was seconded by Peter

Huber and all board members were in agreement.

2. Donation to the Bike/Ped map of Venice has not been sent at present. Frank Lentz is waiting for

information.

3. Transition to New Officers:

The nominating committee will be introduced at the March membership meeting. Voting will

take place at the April meeting and new officers will be installed at the May meeting. The board

discussed ways to ensure a smooth transition and that board duties be clearly outlined.

4. Other Duties:

The board discussed the ride coordinator position for summer and for next fall. The board also

discussed the job description of several club positions. Bob Carroll will circulate a draft of the

responsibilities of various positions. There was discussion of the usefulness of the ride leader

workshops and whether to continue them.

5. Membership meetings:

Peter Huber reviewed the agreement with our current location and whether the board should

investigate alternate meeting locations.

6. Insurance Coverage:

Any ride that is a “club ride” will be covered by our current insurance policy as long as the ride

occurs in the United States. To be a club ride, it must be posted on the CCBC website, adhere to

club safety rules and regulations and be open to all club members. The ride may have a limited

number of participants if there is a reason to do so. For rides away from our area (e.g.

Michigan), this can be a club ride as above but will not include the option of guests. If an “away”

ride is posted and someone wants to invite a guest, he or she should become a member. An

alternative approach to insurance, suggested by Connie Garrison was discussed but not acted

upon. It was also clarified that the current club accident report form is acceptable to our

insurance company.

7. Dropped Riders: The board discussed this and confirmed that we do not wish to leave riders

behind unless it is their desire. We will continue to train the leaders and sweeps to assist riders

who for some reason are lagging behind on a ride.

8. Battery Powered Bikes: The board reviewed information received to date. It was clarified that

the Legacy Trail and the Venetian Waterway as well as the Pinellas Trail prohibit battery

powered bikes. The board agreed to clarify this issue with concerned individuals.

The meeting was adjourned at 5:30 pm.

COASTAL CRUISERS BICYCLE CLUB

On or about March 25, 2012

BOARD MEETING MINUTES

The board of the CCBC was electronically polled by the President and subsequently voted

unanimously to approve an expenditure for inventory of the newly designed and upgraded club

shirts to equal a number double the number currently ordered by members. This was done to

get a significant discount on the shirts. Treasurer Lentz assured us that the money was available.

While this is an expenditure, it really is an investment in an inventory of shirts for which the club

will be reimbursed as the shirts are sold. Because the dollar amount is significant, the President

has elected to take this to the membership for a vote.

Minutes for Membership Meeting Apr 9, 2012

The meeting was called to order by President Bob Carroll at 7 PM.

Minutes were accepted as drafted

Treasurer’s Report: $6718.38

Membership – 10 new members; just over 500.

Website – Sally Entlich outlined a long term strategy and requested support

in the form of a replacement whom she promises to assist.

Frank Lentz gave an after action report for Pat OHearn for the memorial

ride: Cost to Club: $419.32; attendance just over 100.

Upcoming rides: Myakka and Honore Century this next weekend.

Thanks given to Julie Pieretti for ride coordinating; need summer help.

Old business: Shirts:

o Bob discussed how Barry Fluxe manages the classic shirt inventory:

he orders 40 at a time to obtain a price reduction. Club pays Barry for

that inventory.

o Thanks were given to Sue Pavlat for a great job designing and

promoting the new shirts.

o It was announced that the board had approved an expenditure of

$4673.06 for our new shirt inventory which will be refunded

whenever shirts are bought by members. This is done to realize a

significant reduction in price from the vendor; we have ample $ in

treasury.

o Because of size of this expenditure, the board felt it should be

approved by membership. (bylaws are not real clear on this; hence a

judgment call; we decided to be cautious)

o A motion was made, seconded, and approved unanimously to: “invest

$4673.06 to expand our inventory of shirts for purchase by club

members”.

New business: Officer nominations

o Wanda Short, representing the nominating committee, presented a

slate of: President, Peter Huber, Vice President, Bruce Gillum,

Treasurer, Frank Lentz, Secretary, and Janie Gattinger.

o Huber and Gillum each made a few remarks, talking about their

philosophies of leading the club.

Page 15: COASTAL CRUISERS BICYCLE CLUB MINUTES MAY …Ride Coordinator Charlie Pierce said that he still needs three leaders for October. Charlie will be setting up a club ride for the November

o In accordance with the club bylaws, Bob Carroll remains on the board

as Immediate Past President.

o The new slate was approved by a unanimous vote of the membership.

Bob listed and thanked the many club members who have helped in

volunteer positions during his two year tenure.

The formal part of the meeting was adjourned at 7:40 PM.

Connie Garrison and Christian Dumas gave an excellent presentation of their

riding experience in the French Alps.
