Executive Summary During the first twelve months since the start of the OPERANDO project, the consortium has defined a comprehensive strategy for the dissemination of the project’s results to the various stakeholders identified. The strategy allowed the identification of several communication/dissemination channels to use for reaching in a timely and effective way the target audiences: the project website, the presence on different social networks, various events and workshop etc.



1 Introduction This document constitutes the first of three yearly reports that will be regularly produced throughout the project in order to summarise the dissemination activities carried out and the status of the open source activities done in the previous year.

The current document is articulated in this sections:

Dissemination tools: it describes the various online channels that the consortium partners have used for disseminating contents;

Dissemination activities: a summary of the dissemination activities performed during the first

reporting period and the materials that the various consortium members have produced.

2 Project Visual Identity

2.1 Consortium Logo

PDI prepared several designs for the OPERANDO Consortium logo. The logo was selected by partners on the occasion of the project kick-off meeting on 2nd June 2015 in Oxford

The concept of the OPERANDO logo is simple but meaningful: the emphasis of the letter P in the acronym of the project wants to underline the importance of the word “Privacy” and the brackets that encase it emphasise the protection that the project will provide.

2.2 Project Templates

Following the definition of the project visual identity, project templates were developed at M3 to ensure that all documents produced by the project are sharing the same design and remain consistent with the project image during the entire project period. PDI in collaboration with OCC has created a set of templates includes templates for Project Deliverables and PowerPoint presentations.

3 Dissemination Tools

3.1 Project website

The project website (www.operando.eu) was initially created and launched at M1 alongside with the deliverable (D9.1), and afterwards it was renewed and reorganized with the actual structure at M6 with the D9.2 (Dissemination Plan) deliverable. The website is constantly updated with the latest project news and will be continuously improved all along the project lifetime.

The website is a key communication tool to increase the project visibility and the impact towards the stakeholders and communities potentially involved in the project. The OPERANDO website contains all relevant information about the project and related topics (information, news, event announcements, public reports, analysis, links to related initiatives). The main objective of the website is to spread the project goals and results as widely as possible. The website development and maintenance is led by PDI.

The website homepage was given special care in order to give direct access to a short introduction of the project, regardless of the used device, and to show the main OPERANDO events and link to the partners’ websites.

The website is fully integrated with the project social media, as both tools are complementary for OPERANDO online presence strategy, the most important one if twitter that is actually integrated in the homepage.

3.2 Website KPIs and Analytics

Close monitoring is based on Google Analytics. An activity of Search Engine Optimisation (SEO) has been used to improve the overall website’s efficiency.

The result of a medium duration of visit under the 2 minutes is mainly due to the early stage of the project content.



3.3 Social Networks

Social media activities contribute to increase the project impact and foster networking & clustering between targeted stakeholders. The project uses social media to share relevant news as widely as possible and engage with identified target groups in Europe and beyond. The project online community development will leverage on interactions with already existing communities, thus legitimating OPERADO in the field.

3.3.1 Twitter

A project Twitter account (@OperandoH2020) was created at M1 and is fully operational since M2. The account is mainly operated by OCC and PDI as stated in D9.2, Twitter analytics tools ensure Social Media Optimisation (SMO).

4 Dissemination Activities

4.1 Publications

Project partners commit to publish technical articles, papers and reports presenting project activities and results in highly reputed journals and magazines to spread knowledge among the identified stakeholders and ensure sustainable exploitation of project outcomes.

4.2.1 NetFutures 2016 Conference

NetFutures is a yearly event organized by the European Commission, which took place 19th April – 21st April in Brussels. The event is a gathering of industry, researchers and policy makers from all over Europe and the world (e.g. Brazil, Japan, Korea, US). European funded – projects, initiatives as well as enterprises get the opportunity to present their results, demos and offerings to the European society. The conference consists of conferences, meetings and exhibition booths. This year, NetFutures counted with the presence of vice-President Andrus Ansip from the European Commission, responsible for Digital Single Market, and Gunther Oettinger, Commissioner for Digital Economy and Society and one of the main promoters of the Free Flow of Data initiative within the Digital Single Market Strategy.

OPERANDO was present in NetFutures due to its participation in the EU Clusters of projects in cloud, namely in the Data Protection, Security and Privacy (DPSP) cluster 1. OPERANDO, represented by TCN, participated in the pre-conference meetings of the DPSP cluster, along with the MUSA project and EC representative Mr. Francisco Medeiros (Deputy Head of Unit of E2, Cloud, Services and Software). In that session, the research challenges for the next workprogramme on security, privacy and data protection were discussed and working groups defined, in order to support the EC in the definition of the upcoming workprogramme. OPERANDO, member of the cluster since beginning of April 2016, is becoming an active member in this task. Furthermore, OPERANDO participated in the exhibition booth that the DPSP cluster had in the conference, as it can be seen in the figure below. An ad-hoc commercial presentation was generated to be displayed on the screen. Finally, the DPSP booth was one the selected booths for Commissioner Oettinger to visit during his stay at NetFutures, where he was explained the goal of the DPSP, the projects participating in it, and the next steps and roadmap of the cluster.

4.3.1 Barnsley Metropolitan Borough Council workshop (21/07/2015)

We started the workshop by reviewing the current process for the provision of support for vulnerable adults. Through this discussion, the current documented process has been updated, to include an extra section representing the work, which the Independent Living At Home Service provides (included in D2.2). This service aims to maximise the independence of individuals to avoid their need for hospital care, and reduce care needs. This addition to the process is important to OPERANDO, as it highlights another stage in the process which could benefit from secure data sharing between organisations, as it involves referrals to social care and health organisations. It is greatly important that the information held about individuals receiving care throughout this process is stored securely and safely.

We also discussed the future for these scenarios using OPERANDO-enabled systems. The practicality of service users joining OPERANDO was a concern, where it was considered that the sign-up process should follow an “opt-out” basis, similar to health care systems used currently in the UK. “Opt-out” would mean that information would be given to patients explaining that their data would be shared with certain organisations and used in a certain way after a specified date if they do not respond - after this date, their agreement would be assumed. If the service user wants to opt out of information sharing, then the action is on the citizen/service user to make this change. For OPERANDO the “opt-out” action would be editing their privacy policy using their dashboard, otherwise the service user would have a default policy set. If the service user wants to opt-out, then OPERANDO can only limit or restrict access to a certain level, rather than stop access to data (due to Information Governance (IG) laws). This is included as a consideration in the legal guidelines for the project in deliverables from WP3.

The workshop highlighted that the main benefits for Barnsley from OPERANDO-enabled systems would be from the ability for organisations to share data and request information about users to improve care given, and inform decision making by social care and health professionals. It was also raised that OPERANDO should facilitate data stored in a standard format, allowing organisations to work more cohesively together.



4.3.2 West London Alliance – Ealing Council workshop (24/07/2015)

This workshop with WLA focused on the use case for a fictional family fleeing domestic violence. The current process for provision of support services was reviewed, and the following key problems were raised:

Transfer of information about a service user is difficult and is not conducive to coordinated care for the victim

Difficulty in setting policies for sharing information between Ealing council and boroughs both inside and outside the WLA

Changes to legislation affecting data storage and data sharing (e.g. CareAct) require updates to policies and processes

Difficulty in updating policies when small changes to the system or process are made

Ease of automated information sharing through brokerage to allow an automated approach (as opposed to current phone-based system)

Difficulty in adding a new sector to the process and the governance of their data sharing policies

Reliance on boroughs to extract data from case management systems, and data from case management systems is not in a standard format

We also discussed the future for OPERANDO, and for WLA, the workshop emphasised the importance that OPERANDO facilitates manageable data sharing policies for OSP’s, which will be provided in the form of a privacy guarantee and need to be updated easily.

4.3.3 G2C – Government to consumer Use Cases (08/09/2015)

The workshop started by reviewing details of the G2C use cases with the group, including The Food Coach platform at Ospedale San Raffaele, ASL Bergamo health services and Istituto Giannina Gaslini patient management.

In addition to these points, this group considered potential protection of vulnerable citizen users. The group discussed gambling addicts apply for help using keywords about gambling. This goes into their browser history and there is then a possibility that addicts could be shown adverts promoting gambling sites. There is a potential for operando to help block this possibility. Similar scenarios can be imagined for other groups such as smokers trying to give up smoking.

4.3.4 Ami Workshops (24/02/2016 and 13/04/2016)

We invited several organisations who run Volunteer Befriending or Good Neighbour Schemes to come and visit us in Oxford at the end of February and mid-April. We hoped they would learn more about Ami and OPERANDO and we would hear their feedback on our ideas. There were representatives from organisations including RVS, Oxfordshire County Council, AgeUK, Volunteer Link Up, Abingdon Good Neighbour Scheme and Community Christmas.

As part of the presentation, we showed some examples of the sort of screen a new volunteer would be able to see on Ami and OPERANDO. It would include details about the people who are looking for help, but not enough to identify them or where they live. It could show their age, gender, interests and an icon to indicate what kind of help they require. The short profile would also show which volunteer agency had assessed their needs.

5 Dissemination plan task update The progress of the main tasks defined in the Dissemination and Communication Plan D9.2 is resumed in this table:

The activity of the update of information on the consortium website has been

regular and smooth during all the period. The most important news were

always been published (i.e. participation in public event) and all the

documentation, from deliverables to publications, has always been updated.

Twitter Update

The twitter feed is the diary of the consortium and it has been always

constantly updated with 3rd parties news and consortium activities, including

media and re-twitting of the most important content from the partners.

Facebook Update

Since we have defined that the OPERANDO Facebook page will be used for

engaging users in one of our test site (FCSR FoodCoach) there is a lack of

activity until the 1st prototype will be released. However in the first 12 months

the Facebook page was used to test the delivery of key messages to the

general public.

Publications

In the first year of project we have released 4 papers in international

conferences and published 2 article on a scientific journal. The activity was

mainly done by our academic partner UPRC.

Events Attended

The consortium has attended 7 events in 7 different countries: TCN has

participated to CyberCamp in Madrid, PDI has participated to ExpoSanità in

Bologna, and UPRC has participated to MSPN in Paris, ESORICS in Vienna and

FOSSCOMM in Piraeus.

We haven’t started to use the LinkedIn platform because the key message to

spread to professionals communities needs at least the 1st prototype to be

ready.

Press Kit

The press kit will be available in the last year of the project in order to have

the final functionalities of the platform and for spreading the results of the

first trials.

Newsletter The newsletter will start after the release of 1st prototype in order to present

the first functionalities and wireframe to the stakeholders.



6 Interaction with Open Source community Even in primary stages, OPERANDO has already started interacting with the OS community. The partners committed to publish their code under an Open Source license, with MIT license2 being the preferred one, and host it on Github3. Depending on their maturity and scope, the source code of some repositories is private to guarantee the advantage of the OPERANDO platform until it is mature enough to be put on public trial. The public github repositories for code produced in the technical work packages are included in the relevant WP4-7 deliverables.

Members of the consortium have already started engaging with the OS community, giving focus to projects and organizations involved into security and privacy such as EFF4, OWASP5 etc.

UPRC hosted the annual FOSSCOMM6 conference, the biggest OS event in Greece where more than 900 people registered. UPRC presented AndroPatchApp, an open source tool for sanitizing Android applications, which disables privacy invasive mobile ad networks. The tool received many good comments and sparkled several discussions about its effectiveness and user acceptance.

7 Conclusion This document presents the D9.4 “Dissemination and open source report Y1” at M12 of the OPERANDO project. The report on dissemination activities describes the results of the strategy previously defined in the project proposal, and its quantitative (KPI) and qualitative assessment over the first period (M1-M12).

As an Innovation Action (IA), OPERANDO needs concrete market outlets for its products. The dissemination and communication strategy has to allow all relevant stakeholders to be informed about the project activities and outputs, to ensure the highest exploitation potential of project outcome by maximizing information received by potential customers and to support European research and innovation in ICT, thus contributing to enhance industry competitiveness in Europe.

This requires, among other things, creating a corporate identity, publishing promotional materials, using online communication, building synergies with related on-going initiatives and participating in high-level events to present the project's progress. The project is making steady progress toward the achievement of these dissemination and communication activities.

The D9.4 “Dissemination and open source report Y1” will be reviewed on an annual basis (next ones on M24 and M36). This review will take into account the envisioned KPIs to assess the efficiency and success of such activities. In case the project fails to achieve its targeted objectives, corrective measures will be implemented with the aim of ensuring the project effective dissemination of its results and ultimately the sustainability of project outputs.
