StudentInformation EMIS Situations

A Guide to Understanding EMIS Situations


EMIS Situations were created to assist the user in coding students for EMIS reporting. By selecting an EMIS situation, the StudentInformation Student

Profile page uses a series of edit checks to update the field where the value would be known for the situation and then provide assistance to the user for

fields that need manual intervention.

Each EMIS situation is constructed of a series of codes that provide the edit checks for the particular situation. Because of these edit checks, a situation is

pre-coded specific to that attending situation and alterations of codes for the situation on the profile can not be made. If you attempt to change values for a

situation, such as How Received Code and Sent to Reason to something other than what the wizard populates the fields with, you will most likely receive an

error on the profile page when saving because the code values you’ve entered do not match what the situation thinks it should have.

A situation check is made up of the following EMIS fields:

• District of residence IRN

• District Relationship

• How Received Code

• How Received IRN

• FTE

• Sent to 1 Reason Code

• Sent to 1 IRN

• Tuition Type

In the table below is listed each EMIS situation and the values that it checks for. You will also see on the list, a generic situation for three district students.

In a three district situation, the values for any of the five fields can be anything, the situation is very open so that it allows the different values. For the

column values below, for District of Residence IRN and How Received Code, when the table entry refers to Current District or not Current District, Current

District means the district currently in context or the district you are working on. If an IRN must be equal to the Current District, such as a student in any of

the “resident” situations, then the district IRN must be equal to the district you’re working in.

FTE checks are generally provided as a range, 0-99%, 1-100%, etc. This means that any value with in the range will be considered a valid value.

Fields such as How Received Code and Sent to Reason typically have specific values for each situation. If the value can vary depending on the situation,

you’ll see the word “Any” in the table below. This means the user will need to choose the value needed for the specific situation being used.

Note: As a reminder, if you specify a Default JVS IRN on DASL options Scheduling Tab, when a situation is selected for a student indicating that he is

attending a JVS full or part time, the JVS’s IRN will be filled into the Sent to IRN field on the student profile FS Student Standing Record.

If a new EMIS situation is needed, the situation codes will need to be inserted by the StudentInformation Development Team. Please submit a helpdesk

ticket containing the necessary values for each of the fields indicated in the table when submitting your request.
