EXECUTIVE SUMMARY

This document has been developed in the framework of WP9 “Promotion, dissemination and exploitation”, specifically under Task 9.1 “Development and track of the dissemination, communication and awareness plan”.

Deliverable 9.1 aims to collect all the related information in order to obtain the highest impact of the project within the previously identified target audience.

First of all, the different objectives and foreseen impact of TRIBE are detailed. To this intend, the different roles of the partners are described, in particular the following bodies will play a key role in dissemination: dissemination manager, promotion board and WP8 & WP9 contributors.

Different tools and templates are provided, including the project branding already implemented as well as the patterns and press kit that may be used by the partner when carrying out any dissemination activity.

Once the previous sections were detailed, different templates have been completed by the partners in order to identify the target audience of the project´ outputs: general public, platforms and associations, policy makers and public bodies, and technical experts and scientific community.

The Dissemination Action Plan has been structured, gathering all the related procedures and activities to execute and track the dissemination actions, among others:

• Tracking and reporting dissemination activities • Publications • Use of EU emblem and acknowledgement • Conference and events • News and media • Project cooperation • Social networks • Pilot showcases

In section 6 a tentative Gantt for dissemination has been included, describing the main foreseen outputs of the project as well as events of high importance:

INTRODUCTION This document is the Dissemination and Awareness Plan prepared under the Project TRIBE EC-GA contract no 649770.

The deliverable 9.1 is under the activities of the following tasks within the DoA of the project TRIBE:

Task 9.1 Development and track of the dissemination, communication and awareness plan

The intended audience of this deliverable is each individual participant of the project consortium.

This document aims to help the partners to perform a unified and effective dissemination of the project´ results, providing among other information:

• Tools and templates • Target groups and stakeholders • Procedures • Guidelines to control the different dissemination activities

The dissemination and awareness plan describes the different responsibilities among the project partners, dissemination goals, tools, targets groups and key stakeholders, dissemination channels and procedures. It provides a regular flow of information in order to raise awareness among the society in an effective manner, since this will contribute to the establishment of recognition and increase the opportunities for publicity.

The impact and scope of the dissemination of the project, and consequently of this deliverable, relies on the results achieved within the different technical WPs since they will provide the content to be disseminated by the consortium.

1 APPROACH

1.1 About TRIBE project TRIBE project (“TRaIning Behaviours towards Energy efficiency: Play it!) aims to contribute to a citizens’ behaviour change towards energy efficiency in public buildings, through their engagement in the experience of playing a social game, linked by ICT to real data collected from 5 pilot buildings hosting around 1,300 regular users (employees, tenants…) and almost 12,000 eventual users (visitors).

The targeted average energy savings in the pilots is 24.8% of the current energy consumption. TRIBE project will carry out serious game aims to engage a great quantity of players by the end of the project, involving users of the targeted pilot facilities and their social networks. As a result of the analysis and developments accomplished using the pilot cases of the TRIBE project, and in addition to the game that will serve to collect all the relevant information, a whole and very broad number of tools and guidelines named TRIBE pack will be set up to be used by public building tenants and owners. The goal is foster the spread of the public building users behaviour change as well as to support the deployment of ICTs for energy efficiency among public building owners and operators. The content of the final TRIBE pack will include:

1. An initial energy audit and diagnosis 2. The development of a virtual pilot in conformity with the image of their real buildings 3. An adapted ICT for energy efficiency deployment plan 4. A funding scheme merging existing instruments with clean web solutions 5. A user engagement campaign addressing the specific behaviour change challenges.

1.2 Dissemination objectives Dissemination of project activities and results is a key subject for the consortium. One of the main objectives of TRIBE is to encourage a change in the users´ behaviour in public buildings, by showing the benefits and opportunities identified during the implementation of the project.

If TRIBE expects to obtain a response from the target audience to some extent, it is needed to achieve the highest possible impact and visibility of the project over the society, both from scientific and general public points of view and ensure a proper spreading of the game and the scientific outcomes generated during the project.

This strategic dissemination plan aims to provide a guide to manage the different activities by answering the:

WHO: target audiences and key stakeholders WHAT: key messages, project branding HOW: communication channels and procedures WHEN: time planner based on the Gantt for dissemination

As per specific objectives:

• To disseminate the project results towards the main stakeholders (public and private) • To raise awareness and promote the technology, economic, environmental and social

aspects of the demonstrated results and their possible applications with potentially interested parties across several user groups.

• To enhance the awareness of the citizens on the use of the EC funds to improve the competiveness of the EU and the wellbeing of its population.

• To achieve a high repercussion of the game in the social networks.

1.3 Expected impacts The solutions developed within the project are expected to have different types of impacts: environmental impacts, as they are expected to result in energy and GHG emissions savings, and potentially other environmental benefits; economic impacts, as they require investment on the one hand but reduce energy bills on the other hand; and social impacts, because the target groups are likely to change their behaviour, and because the solutions may have an impact on employment in the building sector and ICT monitoring solutions as well. The complexity of an adequate evaluation of these impacts makes necessary a dedicated analysis of the real pilots on the one hand, and of the players of the TRIBE game on the other hand, with the final objective of facilitating replication and implementation of these solutions beyond the project duration.

A preliminary list of events and publications to be addressed by the project is presented below:

At least 50,000 followers in twitter, 10,000 Facebook “likes” and 750,000 Game downloads. At least 6 press releases of which the most important are:

o Monitoring system developed at the pilots o Releasing of the serious game TRIBE

Several workshops and conferences. At least 10 publications in magazines, newspapers, webzines, etc. At least 6 publications in scientific journals. A final explanatory video with the main results, showcases, messages and impacts of the

project.

This list will be updated with the contributions of the partners, and in close cooperation with the exploitation efforts of the project. The dissemination manager will coordinate and manage the dissemination; nevertheless every partner will be responsible to disseminate its own results and activities within the project.

This dissemination aims to achieve the different objectives of the project, among others:

Educate a wide and diverse audience in ways that energy can be saved. Obtain an enjoyable game able to engage the future players. Increase the users´ engagement at the pilots for its energy consumption reduction.

The project will contribute, through the development of a game and a TRIBE replication pack for public buildings owners and managers, to the enhancement of ICT deployment at EU wide level, as

well as to a relevant change in the energy efficiency behaviour of EU citizens. In this context, the general impacts that will be covered are listed below:

Systemic energy consumption and production and emissions reduction between 15% and 30%

TRIBE solutions will be deployed along 5 public buildings (pilots) across Europe, including social/care housing, offices and faculties. The specific ICT deployments to be carried out in each of them, and the following assessment of the collected data, will result in a set of ad hoc recommendations for investing in building refurbishment and equipment upgrading at each pilot. These measures aim to reach a reduction in consumption and emissions between 10 and 20%.

On the other hand, the psychosocial studies to be done, taking the pilot’s users as samples, will provide an accurate picture of their behavioural patterns. These studies will be used to find out a set of measures that will influence the users’ behaviour towards energy efficiency, expecting to contribute with another reduction in consumption and emissions between 5 and 15%.

Therefore the total savings expected, as the addition of these two different contributing factors, will reach the envisaged range of 15 to 30 % in consumption and associated GHG emissions reduction.

Accelerate wide deployment of innovative ICT solutions for energy efficiency

One of the main project tangible results is the TRIBE pack for public building owners and managers. This pack will be offered to EU public authorities so that they could implement TRIBE solutions in their own localities, adapted to their particular challenges and contributing to a wide replication of the project.

It is conceived as a global solution including energy audit and diagnosis, virtual pilot design and an ICT deployment plan among others, which implies a strong strategic commitment for ICT wide implementation in public buildings. The results obtained from TRIBE will serve as a showcase for other EU municipalities which will value positively the cost-effective solutions fostered by the project.

In the same way, the implementation of TRIBE solutions by public authorities will cause a mirror effect on the private sector, which will be responsible of the physical deployment of the solutions, enhancing the acceleration of ICTs for energy efficiency deployment among the whole construction and ICT EU sectors.

Greater consumer understanding and engagement in energy efficiency

The other main tangible result of the project is the game whose name it bears. TRIBE game will run on several platforms and its software, together with a simple virtual pilot creator, will be accessible for everyone at the project’s website free of charges.

An important share of the project’s resources will be employed in the creation of effective user engagement campaigns, aimed to promote TRIBE game and its virtues among the EU citizens.

The real objective under the game dissemination is the adoption by EU consumers of its inherent message fostering energy efficient habits at public buildings. Moreover, the game will lead to a positive reflexion concerning all the possibilities that are in people’s hands to contribute to live in a more efficient Europe.

2 ROLE OF THE TRIBE PARTNERS

2.1 Dissemination manager Key responsibilities of the DM are shown below:

• To ensure effective branding of TRIBE and the dissemination of the key results, targeting all the stakeholders previously identified; e.g. policy makers and public bodies, scientific community, platforms and associations, general public.

• To maximize, develop and coordinate the different potentialities of each pilot site related to the dissemination activities, looking for a spreading effect.

• To compile the most relevant public deliverables of TRIBE for a rapid deployment of the documents across Europe.

• To create and maintain a website for TRIBE project to ensure its visibility and to establish a platform to share all the relevant information resulted.

• To lay the ground for TRIBE continuity beyond the end of the project in order to attain the full potential impact.

• To report to the EC in the way established by the Grant Agreement and by any other requirement according to the EC and Project Coordinator.

The DM, together with the Project Coordinator, will establish the proper contacts with the targeted groups and stakeholders to keep them informed about the public results of the project. Besides the DM, together with the Project Coordinator, will share the responsibilities within the consortium to achieve the objectives of the dissemination.

In addition the DM will develop the supporting materials for an effective dissemination of the project. These materials will be based on the information provided by the Project Coordinator over the results of the project.

Different entities with different profiles and expertise are involved in the project, therefore the cooperation among the consortium is needed to accomplish with the dissemination on an effective manner.

Aiming to plan the dissemination activities, a template has been sent to the partners (Annex A), to show their interest and capacities to support the dissemination of the project.

2.2 Promotion board Due to the need of engagement of a high number of users as players of the serious game developed in the project and the strategic role of social networks for the accomplishment of the TRIBE’s objectives, a body in charge of the promotion of Tribe among both building users and the general audience has been established. All the information concerning the Promotion Board is detailed in deliverable 1.1 “Project Handbook”.

2.2.1 Composition

The promotion board is composed by: the marketing manager, the community manager and the pilots´ leaders.

The Marketing Manager, in charge of the definition and implementation of the marketing strategy as well as the follow up of its results, and the Community Manager, responsible of the interaction with the players and the promotion of the game on the Internet, will be the main responsible. The pilot leaders, being closer to the building users, will aid the Marketing and Community Manager by providing feedback about the effects of the implemented measures on the pilots and suggesting specific actions to achieve a wider impact.

2.3 WP8 & WP9 contribution According to the agreements detailed in deliverable 2.1 “Global specifications, Working teams roadmaps and interdependencies”, a specific working team has been defined aiming to engage the general public to TRIBE (as one of the main target groups).

All the information related to WT5: General public promotion sympathy, is detailed in that document available in the project intranet Emdesk.

All partners participate in both WPs, since one of the key aspects of dissemination is the necessity of the contribution from the whole consortium.

The specific objectives of WP8 & WP9 are detailed in the DoA, nevertheless a brief approach of each WP aims is described below:

WP9: Promotion, dissemination and exploitation

WP9 deals with dissemination, promotion, awareness and marketing activities and strategies. The use of social networks as the link between TRIBE’s game and the players will be of high importance due to their ability to spread messages among wider audiences and because of their engagement potential.

WP8: Recommendation and impact assessment

The solutions developed within the project are expected to have different types of impacts: environmental impacts, as they are expected to result in energy and GHG emissions savings, and potentially other environmental benefits; economic impacts, as they require investment on the one hand but reduce energy bills on the other hand; and social impacts, because the target groups are likely to change their behaviour, and because the solutions may have an impact on employment in the building sector and ICT monitoring solutions as well. The complexity of an adequate evaluation of these impacts makes necessary a dedicated analysis of the real pilots on the one hand, and of the players of the TRIBE game on the other hand, with the final objective of facilitating replication and implementation of these solutions beyond the project duration.

3 DISSEMINATION TOOLS

3.1 Project branding

3.1.1 Project logo

The logo has been designed to represent a core idea of the project: energy efficiency in public buildings.

The acronym of the project is included. Besides taking into account that one of the key targets of the visual identity is to attract the general public to download the videogame that will be

developed, key words have been putted in place at the bottom of the logo with a strong message: TRIBE: Play it!.

The chosen logo is shown in Figure 1:

The logo of TRIBE was selected by the Project Coordinator from a number of proposed designs, considering that it should be easy to incorporate into printouts, project slides, websites and other dissemination material.

A graphic manual has been provided to the consortium and is available in the project intranet Emdesk including the following information:

3.1.3 Website

The website is the main communication tool for the project, where all the dissemination materials will be published in a timely manner. The website is an interactive environment that will give access to all the aspects related to the game development, including a link for its downloading, the status of the monitoring and the final results. It will use interactive elements to gather feedback, such as online questionnaires and polls, and be linked to social media in order to be attractive to the general public and be rapidly accessed by the players and general audience interested in TRIBE.

Through TRIBE platform website, the project will synthesize its knowledge and present it thematically to readers. Besides, this website will give access to all the aspects regarding the new technologies, best practices and recommendations for energy efficiency gathered from the project development. This way, it will include tips and advices in order to achieve better energy efficient attitudes both in the game and real life, linking game content with project results.

Contributions of the partners are highly important to maintain the project’s website updated, in order to improve the website positioning in search engines and to reflect an active attitude to Internet users.

In addition, partners are asked to link their website and platforms to the website of TRIBE project. In this sense, a SEO positioning analysis will be performed to ensure higher visibility in web browsers.

The project website is included as Milestone 2 of the project, it is already working from month 2.

A detail description of the website with screenshots is included in Annex C, detailing the different sections:

Homepage: brief introduction to TRIBE, including some impressive slides presenting core ideas of the project as well as news and dissemination materials.

About us: ambition, objectives, impact and budget are the different tabs included in this section.

TRIBE “TRaIning Behaviours towards Energy efficiency: Play it!” is an international collaborative project funded by the European Commission under the H2020 programme Topic EE-11-2014 with a total budget of 2 million €.

TRIBE project is in line with the roadmap established by the SET Plan, expecting a 20% reduction in the use of primary energy by improving energy efficiency by 2020. The overall objective of the project is to contribute to a citizens’ behaviour change towards energy efficiency in public buildings, through their engagement in the experience of playing a social game, linked by ICT to real time data collected from 5 pilot buildings (including social housings, schools, faculties and public offices) hosting around 1,300 regular users and almost 12,000 eventual users. The targeted average energy savings in the pilots is 24.8% of the current energy consumption.

To achieve TRIBE goals, the consortium will develop:

1. An attractive game able to engage public buildings users, in which building users will adopt energy efficient attitudes. It will include a simulation engine and real time collection data from

the ICTs installed in the pilots, enabling a dynamic interaction building-consumer and moving towards a change in players’ behaviour.

2. A TRIBE pack for public buildings owners and operators to implement the project solutions at their buildings, fostering ICT deployment. By implementing TRIBE solutions, public building operators and owners will increase their expertise and improve their behaviours, having proven information about the cost-effectiveness of the energy efficiency measures, as well as funding schemes adapted to their institutional challenges and regulatory framework.

Accomplishment of these goals will help TRIBE to foster the spread of the public building users behaviour change as well as to support the deployment of ICTs for energy efficiency among public building owners and operators.

3.1.5 Key messages of the project at a glance

Technology

TRIBE project will complement the existing energy management systems in a cost-efficient deployment of state of the art ICT technologies (wireless sensors, smart meters, smart plugs, etc.), developing a new methodology for its replication in public buildings.

Economy

The cost of the TRIBE pack for a 5.000 square meters building has been estimated around 10.000 €, representing about 10% of a typical ICT deployment associated costs. The average estimated payback of both, the ICT deployment and the TRIBE pack acquisition, installation and adequate maintenance, is 4 years for the pilot sites, being of 2 years in those cases in which the saving potential is greater.

Environment

TRIBE players are expected to end up behaving as they make their avatars behave, resulting in real energy savings. The expected energy saving is between 20% and 30% of the total final energy consumption, leading to some figures:

• 2.2 GWh/y energy savings in the pilots during the project • 1,155 GWh energy saving associated to players behaviour change • 124 ton CO2eq/y reduction within the pilots • 124.16 ton CO2eq/y reduction associated to players behaviour change

3.2 Deliverables and milestones as path for dissemination activities

The main foreground with potential of dissemination is the results achieved along the execution of the project and reflected in the deliverables and milestones of the project.

In order to support this strategy, a template has been developed to gather the dissemination potential of the deliverables (see Annex D “Dissemination potential”). The responsible of each deliverable is asked to fulfil the dissemination potential of the document and send it to the DM and to the project coordinator in order to track and plan the dissemination of the project results.

3.3 Tools and templates

3.3.1 Patterns

In order to provide a homogeneous image of the project different patterns have been built and provided to the partners. The following patterns have been developed:

• Deliverable pattern • Agenda of the meeting pattern • Minutes of the meeting pattern • Presentation template

All these documents have been uploaded in the project intranet Emdesk.

3.3.2 Press kit

In order to allow the project partners to respond efficiently and with a quality and unified message to dissemination requests, a press kit should be developed gradually over the project lifetime and stored in a single folder on the internal website containing:

• Half page “Project summary” • Tweetable facts related to the project • Frequently asked questions • Summary presentation of the project • Free pictures • Previous press releases and notes of any other communication with the press

The elements of the press kit named below has been facilitated to the consortium and uploaded in the project intranet Emdesk_Documents manager_Dissemination material_Press kit, and some of them are included in Annex E of this deliverable as example.

The press kit will support the consortium in contacting the media by providing information about the project.

3.3.3 Leaflets and poster

Printed publications are an effective way to disseminate project information and to attract the interest of representatives of the various target groups.

The main objective of the project leaflet is to provide our audience with an attractive and written project overview and a summary of the main project objectives and characteristics. On the other hand, posters can be a successful tool to communicate the main idea of the project and catch the attention of the audience in a workshop or conference.

Other aim of these tools will be to promote the project at selected events providing general information and preliminary results. The leaflet will be available in electronic format and every partner can print as much copies as they need. For its part, an appealing poster containing the logo, partner´s logos, web address and short message will be also designed.

Both leaflet and poster will be uploaded to the website and will be available for download to any visitor of TRIBE web. However, these materials will have a resolution only optimal for internet use, high-quality productions will have to be asked to the DM, since the files´ size will be rather high.

Leaflet

The leaflet will be used during symposiums and will be available in both printed and digital formats. The circulation of the leaflet through e-mail is advised.

It is foreseen to create and provide the following versions of the leaflet:

• General presentation of the project and first results at month 8 • Updated version with interim results and videogame launching (approximately at month

24) • Final version (approximately at month 36)

The DM will print up to 800 leaflets. Partners may ask for shipment of leaflets to the DM. After these 800 leaflets have run out, partners will print leaflets on their own expenses.

Poster

It is foreseen to create and provide the following versions of the poster:

• General presentation of the project and first results at month 8 • Update version with interim results and videogame launching (approximately at month 24) • Final version (approximately at month 36)

These will include generic information of the project evolution and will be suitable to be presented in related events.

More specific poster (i.e. to be submitted in congresses) should be requested by the partners to the DM in order to build it. Any mandatory layout, as well as any scientific information, including graphs, pictures or diagrams should be provided by the interested partner to the DM. The DM will build the poster considering the image of the project and the rules for dissemination of the EC.

The printable versions will be uploaded in the intranet of the project. Any partner may ask to the project coordinator and to the DM for the printable versions. However if any change in the files is required this request should be asked to the project coordinator and to the DM 14 days in advance. Notice that, according to the change requested, it may be needed to be treated as any other publication (see point 5.1.2 publications).

5 DISSEMINATION ACTION PLAN

One of the main objectives of this deliverable is to provide a guide to manage the different dissemination activities in order engage the target audience and gain international visibility. This is a “living document” that may be modified over the project lifetime according to the needs of the dissemination and the suggestions of the consortium. These suggestions for modifications should be sent to CIRCE as project coordinator and DM.

In addition, other dissemination activities and procedures may be suggested by any partner prior notice to CIRCE.

Once the Dissemination and Awareness Plan has been released, all partners should read it carefully and propose the changes they consider necessary.

5.1 Dissemination procedures All dissemination activities must be approved by the consortium according to the provisions set in the Consortium Agreement and the Grant Agreement.

5.1.1 Tracking and reporting of Dissemination activities

According to Article 29.1 of the GA each partner should disseminate its results, taking into account the confidentiality agreements set in the GA and CA:

Unless it goes against their legitimate interests, each beneficiary must — as soon as possible — ‘disseminate’ its results by disclosing them to the public by appropriate means (other than those

resulting from protecting or exploiting the results), including in scientific publications (in any medium).

According to Article 29.1 of the GA any partner that intends to disseminate (participate, launch or host any related activity) foreground of TRIBE shall notice the project coordinator and DM as soon as possible and at least 45 days in advance, including the information that will be disseminated and the forum.

“A beneficiary that intends to disseminate its results must give advance notice to the other beneficiaries of — unless agreed otherwise — at least 45 days, together with sufficient

information on the results it will disseminate.”

Any other partner may object within 30 days of receiving such notification, if it can show that its legitimate interests in relation to the results or background would be significantly harmed. In these cases, the dissemination activity may not take place unless appropriate steps are taken to safeguard these legitimate interests.

5.1.2 Publications

TRIBE partners will publish the results they consider relevant, mainly related to psychosocial sciences (according to the IPR protection strategy and to the GA and the CA) in the scientific literature, dedicated journals and magazines. Results will be also published in partners’ and TRIBE newsletters. Additionally, sectorial platforms and associations will also receive the information.

Moreover, the new concept and developments expected in TRIBE can derive in the consecution of new patents. The patents are also public knowledge published in the international databases.

The task leaders and deliverable responsible are asked to take into account the date of publication of the deliverables in order to generate a publishable version of the corresponding deliverable.

Publications must follow the following provisions according to the statements included in the CA and GA:

• Prior notice of any planned publication shall be given to the other partners at least 45 calendar days before the publication.

• Any objection to the planned publication shall be made in accordance with the Grant Agreement in writing to the Coordinator and to the Party or Parties proposing the dissemination within 30 calendar days after receipt of the notice. If no objection is made within the time limit stated above, the publication is permitted.

• Any objection is justified if:

o The protection of the objecting party's results or background would be adversely affected.

o The objecting party's legitimate academic or commercial interests in relation to the results or background would be significantly harmed.

o The proposed publication includes confidential information of the objecting party.

If an objection is raised, it has to include a precise request for necessary modifications.

If an objection has been raised the involved parties shall discuss how to overcome the justified grounds for the objection on a timely basis (for example by amendment to the planned publication and/or by protecting information before publication) and the objecting party shall not unreasonably continue the opposition if appropriate measures are taken following the discussion.

The objecting Party can request a publication delay of not more than 90 calendar days from the time it raises such an objection. After 90 calendar days the publication is permitted, provided that confidential information of the objecting party has been removed from the publication as indicated by the objecting party.

Each party must ensure open access (free of charge online access for any user) to all peer-reviewed scientific publications relating to its results. Each party shall:

• as soon as possible and at the latest on publication, deposit a machine-readable electronic copy of the published version or final peer-reviewed manuscript accepted for publication in a repository for scientific publications;

Moreover, the beneficiary must aim to deposit at the same time the research data needed to validate the results presented in the deposited scientific publications.

• ensure open access to the deposited publication — via the repository — at the latest: o on publication, if an electronic version is available for free via the publisher, or o within six months of publication (twelve months for publications in the social

sciences and humanities) in any other case. • ensure open access — via the repository — to the bibliographic metadata that identify the

The bibliographic metadata must be in a standard format and must include all of the following:

the terms “European Union (EU)” and “Horizon 2020”; the name of the action, acronym and grant number; the publication date, and length of embargo period if applicable, and a persistent identifier.

5.1.2.1 Dissemination of another party´s unpublished results or background

A party shall not include in any dissemination activity another party's results or background without obtaining the owning party's prior written approval, unless they are already published.

5.1.2.2 Cooperation obligations

The parties undertake to cooperate to allow the timely submission, examination, publication and defence of any dissertation or thesis for a degree which includes their results or background subject to the confidentiality and publication provisions agreed in the Consortium Agreement.

5.1.2.3 Use of names, logos or trademarks

Any to use in advertising, publicity or otherwise of the name of the parties or any of their logos or trademarks is not permitted without their prior written approval.

5.1.3 Use of EU emblem and acknowledgement

Any dissemination of project´ results must include certain references and statements, in particular (Article 29.4 of the GA):

- display the EU emblem and

- include the following text:

“This project has received funding from the European Union’s Horizon 2020 research and innovation programme under grant agreement No 649770”.

When displayed together with another logo, the EU emblem must have appropriate prominence.

5.1.4 Conference and events

TRIBE will be presented in a number of relevant international forums and events such as conferences, exhibition fairs, etc. Regarding the European forums, TRIBE will take advantage of the existing relation of its partners, tackling those forums, associations and platforms in which the consortium has an active role.

Contacts with target groups will also take the form of workshops, set up by the project on different locations across EU. The objective is to discuss specific research results and receive inputs from outside, as well as to trigger new replication projects as well as to disseminate both the recommendations developed during the project and the preliminary results to the targeted beneficiaries of the TRIBE project. TRIBE project will organize several open workshops or conferences (dedicated one or in collaboration with larger initiatives) in which the results will be delivered.

At the conclusion of the project, the consortium will organize a conference where results will be announced together with a discussion of lessons learned and opportunities for further extension of the project’s results.

In case a partner decide to present project´ results at an event, it must follow the dissemination procedures accordingly to carry out such presentation.

5.1.5.1 Website

In order to improve the website visibility, preliminary analyses of its positioning on search engines will be performed, as well as study on the traffic through the different contents of the site. From the results obtained, measures to improve both, the positioning and operability will be taken into consideration, evaluating their implementation.

Contributions of the partners will be highly important to maintain the project´s website updated, in order to improve the website positioning in search engines and to reflect an active attitude to internet users.

A general schedule has been established so as every partner will have the chance to contribute to the website update twice along the project life, see Annex F Schedule for partners. In this sense, every partner a partner will be pointed to send a piece of news of this own organisation. Table 5: Main topics of the news expected has been defined with the aim of helping partners in the identification of news that can be posted in the website.

5.1.5.3 Publications

TRIBE partners will publish the results they consider relevant (according to the Grant Agreement and Consortium Agreement) in the scientific literature, dedicated journals and magazines.

The task leaders and deliverable responsible are asked to take into consideration the date of publication of the deliverables in order to generate a publishable version of the corresponding document. In order to enhance and track the dissemination of the deliverable a “dissemination potential” section is included in the deliverable template available in the intranet. This section is included is Annex D. Each deliverable responsible will fill this table.

Should a partner decide to publish any type of article/paper related to the project, it will be compulsory to follow the proceedings described at section 5.1.2 Publications.

5.1.6 Related project cooperation

The consortium will identify European projects related to energy efficiency in buildings and more specifically to serious games for energy efficiency, such as the GREEN@Hospital, Smart Campus, SMARTSPACES or EnergyTIC projects, in order to find synergies and collaboration opportunities.

Additionally, any partner participating or cooperating in national or international project related to the lines and impacts of TRIBE is encouraged to notify it to the Project Coordinator and to the Dissemination manager. This will allow finding synergies with other projects to establish cluster participation in events and publications, as well as to multiply the dissemination potential of the public web-site by sharing news and links.

NEED4B

Summary

An EU-FP7 collaborative project that will demonstrate cost-effective and energy efficient technologies and methods for the design and construction of very low energy new buildings. A series of pilots located in different European climates will show how to achieve a primary energy consumption lower than 60 kWh/m2 year in the buildings.

Aiming to ensure replicability of project results, NEED4B will also deliver an open methodology for designing, constructing and operating very low energy new buildings, laying the ground for a large market uptake.

BRICKER aims to develop a retrofitting solution package for existing public-owned non-residential buildings in order to achieve a drastic reduction of the energy consumption (beyond 50%) and GHG emissions in this sector.

FIESTA

Summary

European consumers need to be supported to adopt more sustainable consumption behaviour in their daily life. FIESTA aims to lead families with children to save energy at home, acting both on their energy consumption behaviour and on their purchasing decisions. As the need for cooling is a growing issue to be faced urgently, the project focuses on cooling and heating solutions which offer significant domestic saving potential. With the support of 19 partners (5 technical partners and 14 municipalities), FIESTA involves 5 countries with a Mediterranean climate that require extensive use of air conditioning systems such as Italy, Spain, Bulgaria, Croatia, Cyprus. CELSIUS project

Summary

District heating is the technology that can utilise this resource. But district heating will not only use waste heat to secure heating as the global energy demand increases, it will also be a part in solving problems with oil dependency, air quality and greenhouse gas emissions. Because of this the EU is co-funding CELSIUS, so that more cities in Europe can learn about district heating as well as district cooling and plan, implement and optimise smart infrastructure solutions for heat and cooling. 5.1.7 Social and professional networking

TRIBE game will be embedded in social networks for the players to create communities for challenging in competitions as well as for the avatar’s exchange between friends. In this sense, social networks are key for the TRIBE spread, and a special task is devoted to that purpose.

On the other hand, networking opportunities allow project partners to learn from each other, discuss common issues and get feedback on their work. These kind of meetings also provide a great chance to carry out an effective dissemination of the project inside and outside the consortium. Apart from using an own account for the project, it is worth to disseminate the project’s features from the project members accounts, benefiting from the popularity of these entities and then, enhancing the project’s image.

In this sense, the partners will evaluate new routes for dissemination using social and professional networks, such as LinkedIn, Twitter, Facebook, or YouTube, to create discussion, solve doubts and detect future investors from other cities in Europe.

5.1.7.1 Facebook

Since it is the world´s most used social network, its potential as dissemination channel is rather high, and represents an excellent opportunity to spread the news of the project among followers that are already interested in topics regarding every partner´s activities.

This network will help to correlate the profile of the pilots’ users with the profile of players. Facebook should be able to integrate all the game features and provide a framework in which user behaviour can be tracked.

The main objectives of using Facebook for the project purposes are:

• Educate a wide and diverse audience in ways that energy can be saved. • Support an enjoyable game able to engage future players. • Increase the users´ engagement at the pilots. • Disseminate activities of awareness related to TRIBE.

The pilot buildings will be used for dissemination and training of the project achievements.

Showcase programs will be defined by each of the pilot leaders to set the basis for the exhibition activities. The visits will be published in the website and will be organized after the deployment and validation of the monitoring systems to show the TRIBE results.

Finally, an explanatory video will be issued with the main results, messages and impacts of TRIBE and the public will be invited to try playing the game, joining the community of players that will be already learning energy efficient behaviours.

5.2 Dissemination activities after the project´s end The main tools and actions that will remain after the completion of the project´s activities are expected to be the following ones:

• Website maintenance: The project´s website and its public deliverables are foreseen to be maintained for 2 years after the finalization of TRIBE project. This will be the main repository of information for the consortium and its maintenance will be responsibility of CIRCE, as coordinator for the dissemination activities.

• Final conference: CIRCE will manage a final conference which will include paths to disseminate the results of the project after the end of the project, as well as core ideas for future projects and research lines.

• Gathering and dissemination of publications coming from the project.

In the previous Gantt is shown the tentative and expected key milestones for dissemination. This Gantt will be updated according to the needs and evolution of the project.

The dissemination of the project is tracked according the deliverables of the project. To this intend a specific template has been built (Annex D) for the description of the dissemination potential of the deliverable which should be fulfilled by the DLV responsible.

7 CONCLUSIONS

The Dissemination and Awareness Plan has a key role helping to reach different objectives foreseen for TRIBE project. Apart from the different technical solutions to be studied over the project lifetime, one of the main aim is to influence the society to change their behaviour towards a more energy efficiency attitude.

A respond from the target audience is requested, therefore great efforts will be placed in order to raise awareness and using the most powerful results of TRIBE: the videogame and the TRIBE pack.

To this intend this document aims to give the consortium the proper tools and channels so that all partners give a unified message and contribute to the dissemination of the project. Target groups and stakeholders are identified, together with the description of the different procedures that should be followed when disseminating results of the project.

This is a living document which will be uploaded according to the partners´ suggestions and project´ needs. All partners are committed to disseminate the project outputs according to the procedures and guidelines described in this deliverable.

What is the basis of using a videogame to change the users´ energy behaviour? Videogames are undergoing a significant growth since the appearance of better mobile phones, tablets and laptops, which allow the players an easy and quick access to the games wherever they are. In addition, these types of games provide an immediate action, enabling users to play when they have a few minutes, for example at a bus stop, waiting room, etc. It is a simple, funny and quick method to access to a learning tool and increase your knowledge without realizing that you are actually “studying”. The social component is quite important, since the possibility to interact with friends or other people and the idea of taking part into an international ranking or competition, can encourage players to take more seriously the game. With all these, players can exchange and discuss their actions into the game and reflect them on their daily life.

How will be the interaction between real and virtual buildings and users established? TRIBE is a simulation tool fed with real information obtained from 5 buildings by means of ICTs systems, so players will interact with real data of energy performances. The project will analyse the profiles of public building users, developing different avatars to include in the game, with different behaviours and attitudes.

With all this, players will experiment how the different behaviours conduct to different energy performances and how the energy efficiency measures established can increase those performances on a real building.

What sort of energy efficiency measures are going to be analyzed? The project will evaluate a set of 250 energy efficiency measures that can be adopted at public buildings. The range of typology covers from simple actions that can be carried out by any user, such as close windows and doors when HVAC systems are operating or turning off common equipment at the end of the day, to more technical measures that require significant investments, having to be carried out consequently by the buildings promoters and owners. Some of these measures are installation of efficient windows, replacement of diesel and fuel oil per natural gas or installation of heat recover in the condensers of the air conditioning system.

How will the energy savings be achieved at the pilots?

The energy savings achieved will come from two different sources:

On the one hand the game will involve the public building users, and it is expected that the interaction with the videogame will make them adopt more energy efficient attitudes.

On the other hand, the TRIBE pack for public building owners and operators will allow them to know the energy performance of their buildings. With this information they will be able to incorporate energy efficiency measures, which have already been proved at the simulation energy, and their cost-effectiveness has been calculated.

What will the TRIBE pack consist on?

A global solution will be packed to foster the creation of an IT ecosystem that, when combined with group behaviour changes, will result in a global willing of living in a more efficient society. This pack will be made available for the public authorities interested in improving their buildings performance, and will include:

An initial energy audit and diagnosis The development of a virtual pilot according to the real building An adapted ICT for energy efficiency deployment plan A funding scheme merging existing instruments with “Cleanweb” solutions

A user engagement campaign addressing the specific behaviour change challenges.
