2 Devices in the Third Sector
Introduction The search for the right device for you and your charity, housing association and social enterprise can be challenging. What type of device will I get? What do all the specs mean? Which device will best cater my needs? The problem is, with the broad collection of form factors now available, and the vast range of prices, there is no ‘one size fits all’ device as every individual has their own needs. For some, a traditional laptop may still be ideal, others may benefit from a hybrid device that offers a tablet with a detachable keyboard, and, in some cases a tablet may be the ideal choice for a primary device.
So how do you select the right device for yourself and colleagues in the office, or which device to recommend to volunteer workers or field staff? We’re going to introduce you to some of our favourite Windows 8 devices across a range of categories and prices*, each selected to assist you in your decision and to match your needs.

Device types
Ultrabooks
Ultrabooks are a high-end variation of a laptop. They have all the performance of a laptop, but possess a lighter and sleeker form factor. Ultrabooks are rarely more than 20mm thick when shut, come in a range of screen sizes, and have great battery life.
Hybrids/Convertibles
Hybrid devices bring you the best of both worlds, with the ability to transform from a laptop into a tablet, when needed, to offer a flexible device to suit your needs. They come in many forms, from swivelling screens to those which completely detach from the keyboard dock, giving you the freedom to choose the best device to suit your working style.
All-in-Ones
With a full-sized (sometimes touch-enabled) screen, All-in-One PCs combine all the internal components of the machine into a single convenient and stylish device, with a smaller footprint than traditional desktop PCs.
Tablets
Tablets (also referred to as slates) are portable, touchscreen devices which fall in-between a laptop and mobile phone. Perfect for on-the-go lifestyles, tablets are lightweight and come in a variety
of sizes. The integrated technology such as the accelerometer (which detects the device’s physical movements), storage drives, touch keyboard and wireless capabilities mean that you can use the device for almost anything, from reading your favourite novel to writing up a piece of work.

Mobility, communication and collaboration are the fundamental clockworks to the running of charities, which often have subsidiaries and offices remotely located in the UK or overseas, and volunteers and field workers delivering charity missions on the move. With donors harder to come by, it’s essential for charity workers to be ahead of the game and be able to engage in work at all times from anywhere. We’ve handpicked a selection of Windows 8 and Windows 8.1 devices that enable mobile working and communication which empower collaboration, no matter where various team members and volunteers are located. These range from devices for on the move to devices for the office.
With this in mind, the following devices would be well suited for this audience:
Toshiba Encore 8”
HP Envy 23-d010ea
Lenovo Yoga 11S

What it can do for you
The Toshiba Encore is a fantastic tool for out-of-office charity volunteers and employees, easily transportable due to its 8” size and light weight and has a battery life that lasts up to 14 hours. For this reason it’s fantastic for one-to-one engagement for volunteers or fundraisers who are using it to take notes when speaking with the public, or as a mobile clip board. The Encore avoids the need for volunteers to duplicate their notes onto a PC and makes it very easy for them to email you their findings. For museums, galleries and street volunteers this would be an ideal device for employees to be able to interact with the general public and take notes, without having to be seated behind a PC.

Ergo As4 All-in-oneTenant welfare and satisfaction are central to housing associations’ missions. The responsibilities of finding affordable housing for people while meeting tenants’ needs require both workers to be able to maintain modern and efficient websites for application submissions, and simultaneously to be able to work flexibly, often on the go. With that in mind, we have selected Windows 8 and Windows 8.1 devices which equip employees with domain-access and the ability to connect to internal servers inside and outside the office, are easy to commute with and which are equipped with accessories malleable to the fluid nature of the job.

What it can do for you
The Lenovo Miix 2 is ideal for the mobile nature of employees’ roles in housing associations. Compatible with Office 365, the tablet will provide field workers with essential communication tools such as Outlook, to keep in touch with their team and tenants at all times whilst on the go. We like the Miix as it enables employees to seamlessly meet tenants in person and build better rapports, while remaining connected to the office. You can also save time duplicating hand-written notes by typing them directly on your tablet with Office apps. It has a wonderful 8 hour battery life and can even function similarly to a laptop, thanks to the AccuType keyboard dock which can be added.

The Surface Pro 2 is an ideal solution for employees who go out to homes to liaise with tenants and landlords, along with more intense analytical, IT-centred tasks. The device comes readily integrated with Windows 8.1 Pro which enables employees to manage and edit internal sites and data with the domain join feature, which has fantastic productivity for a tablet. The real charm of the Surface Pro 2 stems from its hybrid form-factor which combines the productivity power of an ultrabook PC, thanks to its next generation Intel® Core™ i5 processor, yet takes the light, sleek appearance of a tablet which is fantastically convenient for travelling, and has a 10 hour battery life. The click-in keyboard enables rapid note-jotting in meetings.

While tablets and hybrids are ideal for work on the move, content-heavy tasks such as working through housing data, budget sheets and consulting/editing notes and web pages ideally require a bigger screen, especially if long hours are involved. The Ergo As4 is a really cost-effective device for the office with high processing speed for getting through multiple tasks at once, and all-inclusive Windows 8 Pro, providing management of internal data, with domain-join access. The up-to 23.6” touch screen is large enough to comfortably be able to snap Outlook on one side and email tenants, while reviewing their notes snapped on the other side, a funky Windows 8 feature!

The Acer Aspire R7 is an ideal PC for the creative members of Social Enterprises working from home or the office. It’s versatile touch screen can take 4 different positions, adapting from emails and web development to creative product design and branding which can be enhanced with the stylus pen to fashion a precise drawing experience. The generous 15.6” screen provides a spacious canvas which can also be closed like any other laptop, to transport from work to home. The FreshPaint Windows 8.1 app which can be downloaded free on the Windows store would perform fabulously on the R7, particularly with the stylus pen, and equip creators with the perfect tools to mock up sketches, logos and designs.

Software Donations – Since 2006 we have worked with the Technology Trust to provide software donations to eligible UK charities through their tt-exchange service. More than 12,000 charities have benefitted. Not all charities are eligible, but many are. There are some limitations on the total amount of software any organisation can receive within a two year period, and some administration charges are made by Technology Trust which support the running of the program. Microsoft is one of a number of companies to donate technology through this scheme. To find out more and to register with the scheme visit: tt – exchange
Volume Licensing for Charities – For larger charities and, where our donation programs don’t provide what’s needed, Microsoft Volume Licensing may be appropriate. Eligible non profit organisations can acquire multiple software licenses at reduced prices through Volume Licensing.
