"Family Assistance and Client Support - Family Assistance and
Client Services (FACS) is the software used by OKDHS staff to update and
maintain Family Support Services Division (FSSD) case information. The
first version of FACS went to production in December, 1996. The
software is now considered to be a legacy application. FACS is a
client/server based application (which means that it runs from the local
county office server) as opposed to a web based application (which
would run using web technology from one central site). Most new
generation software development is done with web based software
(such as .net (dot net) or C# (C Sharp)). FACS serves as a front end to the
PS2 system. PS2 stands for “Payments and Services 2” It is an arbitrary
name given to the collection of databases, programs, transactions,
modules, and functions that are directly related to Family Support
Services Division benefits and services. The PS2 system is called a
“legacy” system because it’s really, really old. Some of the programming
in the PS2 system goes back to the mid 1980’s

WMIS - Wavier Management
Information System
ADvantage Waiver Management System for Aging Services, WMIS-
Advantage Program. Supports program that allows recipients to receive
care at home. WMIS is an application that supports both the tracking of
administrative and care activities for individuals on Medicaid who have
been qualified for the ADvantage program. Tracking is performed by the
ADvantage Administration Unit (AAU) within Aging Services.
Qualification of OKDHS applicants for the ADvantage waiver is done
through an assessment (Uniform Comprehensive Assessment Tool).
Once that assessment is complete and the individual is eligible, tracking
is completed through WMIS. Services that are tracked and statused
include: adult day health care, case management, consumer directed
personal assistance services and supports, home delivered meals, home
modifications, hospice, occupational therapy, personal care, physical
therapy, prescription drugs, specialized equipment and supplies, speech
therapy, supported restorative assistance. In addition, the AAU handles
questions from the public regarding policies, procedures, programs
available and issues with members and providers. The business value of
WMIS is that it performs the necessary functions to provide data and
compliance with Section 1915(c) of the Social Security Act and it
provides cost-efficient tracking of services to Oklahomans who qualify
for ADvantage. The ADvantage Program of the Home-and Community-
Based Services provides Medicaid services to help people stay at home
instead of going to a nursing home. The program assists frail elders and
adults who have physical disabilities. WMIS is an application that
supports both the tracking of administrative and care activities for

"Adult Protective Services - State Office Adult Protective Services
(SOAPS) computer system inbox. Adult Protective Services (APS) referral
must remain open to appear on this list until warrant is issued. The
system captures allegation, assessment, investigation and remedial
actions related to each allegation. Additionally, metrics are captured to
allow OKDHS to manage case load and meet Federal and State reporting
requirements. OKDHS Family Services Support Division, Adult Protective
Services unit (OKDHS/FSSD/APS) is responsible for managing the
program. The APS application manages and tracks reported allegations
of abuse or neglect of elderly Oklahoma citizens. "

Cross Reference System is a enterprise mainframe legacy application.
This application is unique because the information from it is connected
to the infrastructure of several OKDHS Division legacy mainframe
applications. These division include HRMD, FSSD, DDSD, FOD, OCA ,
OCSS, etc. ALFX is an Alpha Cross Reference System which sets indices of
people known to the agency. It is an Enterprise application used to help
people who use various mainframe systems to find people on the
database. Inquiry may be made by name, SSN, or case number.

AWARE Client Management System Aware offers a comprehensive set of modules and tools grouped by
general function. Case, Financial, and Organizational modules are each
available from the Main Menu (limited, of course, by security access).
The features and procedures in Aware are consistent and standardized
throughout all modules, providing easy navigation and task completion
throughout the system. Developed Based on VR Business Practices and
Federal Requirements
Aware consists of 17 modules, approximately 300 datapages (screens),
more than 350 reports, and a central database with over 330 tables.
From Aware VR, rehabilitation staff can perform all tasks, collect, and
access all data required to do the work of case management.
Aware supports the three primary federal case types – Vocational
Rehabilitation, Independent Living, and Older Blind – and also allows
agencies to set up their own “custom” case types for special or state-
funded programs. Agencies use the flexibility of Aware to manage
Children’s Services cases, TBI cases and other unique programs within
their state
