SAP Easy Document Management supports you to manage your documents. You cancreate, edit, and manage your documents in an environment similar to Microsoft WindowsExplorer, without working directly in the SAP system. You can also connect to SAP ProductLifecycle Management 7.0 (SAP PLM 7.0) and higher versions from SAP Easy DocumentManagement.
You use this component to manage and coordinate documents throughout the lifecycle of aproduct. You can create public and private folders, which are documents in their own right,organize them in hierarchical structures, and save your files in these folders.
SAP Easy Document Management allows you to automate the complete lifecycle of adocument from creation to check-in. You can use its extensive features without havingdetailed knowledge of document management as enabled by SAP GUI. The advantages areas follows: Quick and safe data exchange
Search for documents
Access documents directly that meet the search parameters
Lower costs by reducing access time and the amount of work required for routineactivities
Ensures employees or external partners to receive up-to-date document data forreference or editing
The Document Distribution feature allows you to distribute documents manually orautomatically depending on the processes used in your organization

The system requirements for SAP Easy Document Management are same as of the WindowsOperating System. You need a free capacity of 150MB in the standard program folder forinstalling SAP Easy Document Management. In addition, SAP Easy Document Managementconsumes disk space for storing files in its work directory. The space required by the workdirectory depends on the number and size of the documents that need to be stored.

2.4. Overall Implementation Sequence
You have installed and configured the following:
SAP ERP 2005 system.
SAP PLM 7.0 for PLM Web UI integration.(Required if you are planning PLMIntegration with SAP Easy Document Management)
SAP GUI installed in front end system for SAP GUI integration.
Caution
SAP Easy Document Management can run on SAP ERP releases older thanSAP ERP 2005 but SAP does not provide support for this.
Certain features of SAP Easy Document Management need specific SAP ERP 6.0Enhancement Packages as listed below.
The following features need SAP ERP 6.0 Enhancement Package 4 and higher versions:
1. SAP PLM 7.0 integration
2. Tracking of ACL changes
3. ACC search help
4. Performance improvement during creation of new version and mass deletion of documents.
The following features need SAP ERP 6.0 Enhancement Package 5 and higher versions:
1. Search Help for new object links
2. User choice to copy object links during create new version
3. ABAP Search help exits for classification
4. Resizing of input field dialog and more custom controls on input field dialog.

2.5.1 Display Changes to ACL
You can use the business function Display Changes to ACL
(/PLM_EDM_DISPLAYCHANGESWITHACL) to implement ACL change report for SAP EasyDocument Management. This allows the user to view the changes made in ACL’s for thedocument, as it can be seen for other Meta data’s like object links and so on.
Note
This business function is available as an option to the customer. To enable thisbusiness function SAP ERP 6.0 Enhancement Package 4 and higher versionmust be installed.

3 Installation of SAP Easy DocumentManagement
This chapter guides you through the installation process for SAP Easy DocumentManagement. It provides information for IT administrators and users of SAP Easy DocumentManagement for setting up and configuring SAP Easy Document Management for productiveusage.
Users of document management component (CA-DMS) can use SAP Easy DocumentManagement to manage documents and their structures instead of complete SAP GUI withextensive functions. SAP Easy Document Management’s interface is similar to that of Microsoft Windows Explorer. Explorer functions are mapped to SAP functions.
Note
SAP Easy Document Management is a desktop installation meaning you have
to install the application on each user’s computer.

Integration
SAP Easy Document Management is integrated with the following:
SAP Product Lifecycle Management (SAP PLM)

Centrally Controlled Regist ry
The centrally controlled registry settings can be changed from the default value to the customvalue that matches your business behavior. The settings must be done before installation bychanging the values in the SapEasyDms_Common.xml file under <Installation Folder>/setup

To upgrade from SAP Easy Document Management 6.0 to 7.1, do the following:
1. Check in all checked-out files
2. Clean your working directory
Note
We recommend that you always clear the old files from your working directoryand check in all your files before upgrading.
3.3 Installation
Using the SAP Front-End Installer , install SAP Easy Document Management on every PC onwhich you want to use it.
Note
To resume the installation process after cancellation or interruption, startSapEasyDmsSetup.exe.
Procedure
a. Close all programs, including SAP logon.
b. StartSapEasyDmsSetup.exe from the installation folder.
c. The setup window opens. Choose Next.
d. Select SAP Easy Document Management System (Unicode) orSAP Easy
Document Management System (ANSI) for non-unicode.
e. Choose Reboot if installer prompts.
f. SAP Easy Document Management 7.1 is installed on your PC.
Note
If SAP Easy Document Management 7.0 or higher is already installed in theclient system, the installer detects and choose to upgrade as a default action.Choose Next to upgrade to the higher version. To switch from unicode to non-unicode unselect the currently installed version and choose the new version youneed to install.

3.6 Enhancement Concept in SAP Easy Document
ManagementSAP Easy Document Management can be customized for UI and functional changesincluding adding additional menus, custom tabs in SAP Properties dialog, and custom inputfields.
3.6.1 Custom Context Menu
Users can customize the context menu in Easy Document Management by implementing thefollowing BAdI methods:

3.6.5 Custom Search Help You can add and customize the search help for fields for classification and custom tabs. Thisenables to show customized search help when user chooses search help for these fields.

3.6.6 Business Add-Ins
SAP supplies Business Add-Ins (BAdIs) for SAP Easy Document Management that provideadditional functions. Implementing these BAdIs are optional. The availability of these BadI’sdepend on you SAP system release. For more information, see SAP Note 1368108.
The following BadI methods are used to enhance SAP Easy Document Management:
EASYDMS_MAIN01 (SHOW_ROOTS) - Displays/Hides root folders when user logs in.
You can even configure to set a startup folder for single/multiple users. For moreinformation and sample implementation, see SAP Note 779645.
EASYDMS_MAIN01 (FOLDERCREATESIMPLE) - Allows simplified folder creation.
You can create a new, simpler create mode for folders. The system creates the foldersin the background and sets the description of the folder to changeable. Note
There is no need to reset the RFC cache if notes are implemented whichinvolves only an implementation logic change.
You can reset the RFC cache in following ways

4.3.1 Trace and Log Files
Trace files and log files are essential for analyzing problems and troubleshooting. The entireRFC communication and a large number of internal program flows are logged in the trace file

SAP recommends that you only activate the trace generation to reproduce aspecific error and deactivate it immediately.

To Activate/Deactivate the trace you should use the registry setting “ActivateTrace”(DWORD Value) under HKEY_CURRENT_USER\Software\SAP\EasyDMS\Generalsection. The value 1 indicates ‘Activate Trace’ and 0 indicates ‘Deactivate Trace’.
Choose Traces button in the Logon dialog box.
The Trace Parameters dialog box is displayed.
You select the different trace levels in two selection lists from the dialog boxExtendedTrace. Select the folder where the SAP_EASYDMS.trc trace file is to becreated.
Note
The trace file is locked most of the time since explorer.exe process is running.
You can also select Memory Trace to log objects created and destroyed. The objectcounter is incremented and decremented for the objects created and destroyed. This ishelpful to trace any memory leaks.
To enable advanced trace features added in SAP Easy Document Management tocreate traces for test data and result of document creation, change and searchfunctionality, create the following registry entries under sectionHKEY_CURRENT_USER\Software\SAP\EasyDMS\General.
TraceAddFiles (DWORD type): Creates traces for document creation withadditional files added from third party plug-ins in SAP Easy DocumentManagement.
AddFi leTrace (String Type): Specify trace file name for traces created fordocument creation with additional files added from third party plug-ins and forthe document creation results in SAP Easy Document Management.
If this entry is not maintained then SAP Easy Document Managementapplication will prompt the user with file Save As dialog.
TraceDocumentDetails (DWORD type): Creates detailed Document metadatatraces for Document creation and change.
TraceSearch (DWORD type): Create traces for Search functionality withextended class search.
TraceFile (String Type): Specify trace file name for traces created for detailedDocument metadata traces and for Search functionality with extended classsearch.
If this entry is not maintained then SAP Easy Document Managementapplication will prompt the user with file Save As dialog.

4.3.2 Workload Monitors
To monitor the performance of operations SAP Easy Document Management providesflowing registry settings. The following settings must be activated under sectionHKEY_CURRENT_USER\Software\SAP\EasyDMS\General.
ActivateObjectTrace (DWORD type; 1 =active): Activates the trace entries when youcreate and release objects (such as CShellFolder, CEasyDocument, CSapRfcFunctionand so on)
ActivateParsingMessage (DWORD type; 1 =active): Activates the output of performance measurement while reading the document structure.
ActivateProfiling (DWORD type; 1 =active): Starts logging optionally; gives a list of alllogged functions with the number of calls and the time taken in fileC:\EasyDocMgmt_Profile.txt.Only works if the overall trace is activated("ActivateTrace").
ActivatePropTrace (DWORD type; 1 =active): Activates the trace of the file properties;
before each check in and check out of files, you can save the current file properties(internal name and value) to a text file using a dialog box.
ActivateTimeoutTrace (DWORD type; 1 =active): Activates the trace for the automaticlogoff; a "TimeoutTraceDir" (String type) must be entered.
4.3.3 Other Important Problem Analysis and Monitoring Tools
You can perform runtime analysis on the Business Addins (remote function calls) made bySAP Easy Document Management System using SAT transaction. Using this transaction youcan evaluate performance and SQL tracing.
4.3.4 Interface Monitors
Interface monitors are essential for analyzing problems with interfaces such as RFC, FTPand HTTP (utility programs).
RFC Trace
Logs all the RFC calls.
Use
Using RFC trace, you can do the following:
Track the remote calls of your application or to the SAP system.
Trace the instance the calls were executed
Display and analyze the logged trace records in the trace file.
Features
All RFC calls for a specific user or for a user group are recorded from the beginning to theend of the RFC trace function.

Creating an RFC trace
It is necessary to generate a trace file during troubleshooting. User can select the type andlevel of trace in the Trace Parameter dialog. To set this dialog box, select Traces from theLogon dialog box. Select Create RFC Trace from the Trace Parameter dialog box. The tracefiles with names rfc*_*.trc contains the data which the external programs exchanges withSAP. The trace directory can be changed using the environment variable‘RFC_TRACE_DIR’.

In the Trace Parameter dialog, you can also create trace files for utility programs
"SAPFTP" (File name of the trace: "dev_ftp") and "SAPHTTP" (File name of the trace:"dev_http"). You have to select the corresponding field to enable this utility.
4.3.5 Debug ABAP Function Modules in SAP System
To debug the ABAP function modules or RFC calls in SAP system, do the following:
1. Logon to SAP Easy Document Management System.
2. Check Traces button in the Logon dialog box.
3. Check Start ABAP Debugger on every RFC function call in Trace Parameters dialog
4. Choose OK.
Now the application enables the debug when you logon.
To disable the ABAP debug, deselect the Start ABAP debugger on every RFC function callcheck box on the Trace Parameter dialog.
4.4 Management of SAP Easy Document Management
4.4.1 User ManagementSAP Easy Document Management is a client-side program. There is no need to create usersseparately for the application as they are already created in the SAP system. However SAPEasy Document Management provides powerful user management objects like User Groups,
ACL, ACM (PLM Document Types).
4.4.1.1 Access Control Lists (ACL)
In SAP Easy Document Management, you can define object-related authorizations (AccessControl Lists (ACLs)) for documents and folders. The authorization holder types includeusers, user groups, and roles.
You use ACLs to manage all permitted and non permitted activities for an object of a specificgroup. The system manages the hierarchy of the different activities (ACLs). SAP EasyDocument Management also checks for authorization objects in document management inthe SAP system.

The version of the SAP ERP base application must be 6.20 or higher.

The authorizations created in SAP Easy Document Management are also valid for documentmanagement in the SAP system.
As of SAP ERP 4.7, it is possible to implement ACLs and, as of SAP ERP 2005, all ACLs areautomatically available in SAP Easy Document Management and the SAP system. For moreinformation, see SAP Note 798504.
To use ACLs, the document must have initial administrator authorization. When a documentis created or versioned, the user who creates the document does not receive administratorauthorization by default. The registry value AutoInheritedAuth must be set to 1 to receiveadministrator authorization by default. The user cannot delete his or her own administratorauthorizations.
As of SAP ERP 6.0 Enhancement Package 4, you can track changes made to an ACL. Todisplay the changes made to an ACL, you must activate the Display Changes to ACL
business function in the SAP system.
You use the authorization object ACO_SUPER to give certain users, such as systemadministrators, authorization to override the ACLs.
Authorization Object S_RFC is required for a SAP Easy Document Management user, asSAP Easy Document Management communicates through RFC.
This authorization object contains the following three fields:
RFC_TYPE: Type of RFC object that is protected. Currently, this field can take thevalue FUGR (function group).
RFC_NAME: Name of RFC object that is protected. Currently, this field contains thenames of function groups. The maximum characters to this field is 18.
ACTVT: Activity. Currently, this field can take the value 16 (Execute).
Every authorization check is done independently and in a certain order. In documentmanagement, the levels of the authorization check are as follows:
Transaction code
C_DRAW_BGR
C_DRAW_TCD
C_DRAW_TCS USER
Authorization object C_DRAW_BGR can be used to restrict access to individual documents.It works like a simple on/off switch. If the C_DRAW_BGR check does not find anything, theuser's authorization can be further restricted by checking C_DRAW_TCD (checks thedocument type) or C_DRAW_TCS (checks the combination of document type and status).From SAP ERP 6.0 onwards, the ACL checks are part of the level-five checks. At the fifthlevel there is a BAdI called DOCUMENT_AUTH01, which you can use to design your ownauthorization check (for releases prior to SAP ERP 6.0, integrate the ACL checks here).

4.4.1.2 User Groups
You can group multiple users together to form a user group. You can assign differentauthorizations to all users who can manage a user group.
4.4.1.3 Access Control Management (ACM)
This solution is primarily addressed to customers working with document structures incombination with SAP PLM 7 ACM. It allows shifting from managing authorization on singledocument level to folder level.You can use access control management (ACM) to administeraccess authorizations granted by access control contexts (ACCs) and access control lists(ACLs).
If you are a user with administrative roles, ACM offers you the following features:
You can control access to a set of objects by assigning them to access controlcontexts. On the access control context screens, you can create, display, change, anddelete access control contexts.
You can administer context roles. These context roles grant users who are assigned tothem access authorizations for contexts and their objects.
You can transfer the ownership of objects from an access control context to anothercontext or assign objects to other contexts.
You can add users to user groups. These user groups help in managing authorizationsin bulk when you use them with context roles. On the user group screens, you cancreate, display, change, and delete user groups.
You can maintain exceptions to access authorizations at the level of individual objectsby using access control lists. On the object screens, you can create, display, change,and delete ACLs.

Before giving access to a selected object, the system can take authorizations grantedby ACCs and ACLs into account.
You can display and analyze access authorizations of other users.
The system writes change documents when you change authorizations granted byACCs or ACLs.
You can archive authorizations granted by ACCs and ACLs.
To assign access control contexts (ACCs) to documents, these documents must have a PLMdocument type. This concept is called access control management (ACM).
4.5 Software Change Management
Software Change Management standardizes and automates software distribution,maintenance, and testing procedures for complex software landscapes and multiple softwaredevelopment platforms. These functions support your project teams, development teams, andapplication support teams.
The goal of Software Change Management is to establish consistent, solution-wide changemanagement that allows for specific maintenance procedures, global rollouts (includinglocalizations), and open integration with third-party products.
This section provides additional information about the most important software components.
4.5.1 Transport and Change Management
All support packages or upgrades are provided on the SAP Service Marketplace and followthe upgrade and installation information detailed in this document.

4.6 Troubleshooting
Logon Failure
If your logon fails, check the following:
Correct logon data, including the system and user.
Check if you can logon from the same client and user, if SAP GUI is installed.
RFC authorization for the system for that particular user.
For the list of authorization objects required for RFC connection, refer section AccessControl Lists (ACL).

SAP system dumps using ST22 transaction.
Public folder not visible in SAP Easy Document Management System
All the users should have access to public root folder. If the folder is not visible check userhas below authorizations on the public root folder.
C_DRAW_BGR: This authorization object allows you to limit access to individualdocuments / folders
C_DRAW_TCD: This object controls which users can process which document inforecords based on document type
C_DRAW_TCS: This object controls which users can process which document inforecords, based on a combination document type and status.
Missing Authorization Tab
For SAP ERP 2005 and higher versions, the user is provided with the option to hide the
Authorizations tab in SAP GUI. This can be done using the transaction DCSWITCH.Depending on the ACL FLAG, SAP Easy Document Management will show Authorizationstab in SAP Properties dialog during creation/display/change of documents.
Note
The authorizations on the document will not be affected if the tab is hidden butconfiguration must be done before hiding the tab.
Missing options synchronize Latest Version/Released/Work Offline in the contextmenu
Some of the functionalities cannot be performed in WTS/Citrix and are not visible in thecontext menu if the SAP Easy Document Management application is launched through
WTS/Citrix.
Systems added in SAP Logon (pad) are not di splayed in SAP Easy DocumentManagement
SAP Easy Document Management reads environment variable SAPLOGON_INI_FILE to getsaplogon.ini or equivalent. The value should be full path including the filename andextension. If this is not set, SAP Easy Document Management uses saplogon.ini in thewindows directory to load the SAP Logon (pad) related entries. For more information, seeSAP Note 1495193.
PLM Web UI screen is locked after launching from SAP Easy Document Management.
This is due to incompatible java version used for PLM Web UI. For more information, see
SAP Note 1305974.
SAP Logon (pad) pops up on SAP Easy Document Management logon
If you set USE_SAPUI to 1 or 2, the popup appears due to mapping of sapgui.exe to SAPLogon (pad). To disable this behavior you need to set registry key "NoDelegate"(DWORDtype) under HKEY_LOCAL_MACHINE\SOFTWARE\SAP\SAPGUI to 1. For moreinformation, see SAP Note 844095.
Explorer crashes on displaying recursive folder
This can happen in Vista and above operating systems with default Configurations enabled. To configure Windows explorer to display recursive folder properly you need to navigate tothe registry key
