User Guide
Welcome to Employee Self Service (ESS) &Document Self Service (DSS)
During this year’s Open Enrollment period, Monday, November 9, 2015
through Friday, November 27, 2015, all employees will be required to
review/update/enroll the following items:
Personal Data Information
Dependent Data Information
Spouse Medical Coverage Information
Self-Identify Disabilities
Elect/Waive Benefit Coverage
Delivery Method of W2’s & 1095-C Form
Failure to complete these items may result in you or your
dependents being terminated from the medical coverage.
Please review the instructions and screensthat follow for information on how to accessthe Lawson Employee Self Service (ESS) andDocument Self Service (DSS) system thatgives employees secure access toPersonal/Benefit/Payroll information andElectronic Delivery of tax documents.
The current version of Lawson Employee Self Service supportsInternet Explorer versions up to and including version 9 (No otherbrowsers are supported at this time). If you see this error messagewhen accessing the Employee Self Service application, it means thatLawson ESS does not support your version of Internet Explorerwithout making some changes to your settings:
To make these changes to allow your Internet Explorer to work withESS, go to the “Tools” drop-down menu at the top of the screen:
Then choose “Compatibility View Settings”
You will see the URL for ESS already populated in the “Add this website:”field. Click the “Add” button:
Then click the “Close” button.Then the Lawson Employee Self Service application will load.
Open Enrollment Requirements Spouse Employment/Coverage:
Employee must attest whether their spouse is
employed or not and if their spouse has medical
coverage available through their employer or former
employer.
Dependents:
Employees must provide social security numbers for
all dependents if they are or are not listed on the medical
plan as a requirement under the Affordable Care Act
“ACA”
Open Enrollment Requirements Disability Self Report:
Employees need to review and complete. The name
field has limited space, so you can use your initials if
needed.
Beneficiary:
Please assign a beneficiary for life insurance plan
that you are enrolled in. “Distribution Type” needs to be
percent “Amount” will be 100 if you only have one
beneficiary. You may also add a Contingent beneficiary if
needed.
Open Enrollment Requirements Employee Form 1095-C & W2
Employees will need to elect if they wish to receive
these forms electronically through ESS/DSS or a
paper copy.
Benefit Enrollment:
Part-time employees will be given the option to
purchase or waive coverage.
Casual, Per Diem and Seasonal Employees will be given
the option to purchase medical insurance at full cost or
choose to waive coverage.

How To Access ESS/DSS From Home
The Employee Portal Link will take you to the “St. Mary’s Employee Portal
page where you will click the “ESS” link:
Logging In To ESS/DSS:
At the User Name prompt in the Lawson login screen, enter your User Name and Password:
User Name:This User Name will be the same as your SMMC Network User ID, or Soarian User Id(Please see your Manager for your user name if you need to)
Password: (Upper Case) {First initial + Last Initial + Last 4 of your SSN} such as: AB1234).
Logging In To ESS/DSS:
If you see this message, just choose OK(will sometimes appear upon first login):
After you log in successfully you will needto answer at least 3 security questions sothat you will be able to reset your ESSpassword in the event you forget it: (thisscreen will appear each time you log in untilyou answer these questions)
Navigating ESS:
You will see “Employee Self Service” on the left side menu whereyou can find you Document Self Service, Benefits, Pay and PersonalInformation.

The first bookmark you will want to click on is Personal Information

You will then individually click on each of the following tabs and updateeach screen. Once you have completed all the tabs click the Parent Menu taband it will take you back to the home screen of Employee Self Service.

Clicking on “Benefits” will bring you to the Benefits page where you would selecteach tab individually to review and update.
Navigating ESS: Beneficiary Tab: You will need to assign your
beneficiaries for the Life Insurance plans that you haveelected.
Current Benefits Tab: Will show your current benefit
elections.
Benefits Enrollment Tab: Will walk you throughbenefits open enrollment process. If you need

To go Back, you would click the“Parent Menu” link under the Benefitstab.
To view Pay information, click the“Pay” link: Then Click “Pay Checks” as
shown:

Clicking on the Payment Date
will show you the detail of eachPay:
Clicking on “Printable Pay Stub”will open a printer-friendlywindow:

To Print the Page, Choose“File” and “Print” From thedrop-down menus at the topof the page:
Navigating DSS1095-C and W-2 Authorization Election Steps
In order to receive your 1095-C and W-2 via oursecure company website www.st-marys.org click onthe Employee Portal Link which will direct you to theEmployee Portal then select the ESS icon.
From the intranet you would click on the EmployeePortal link.
Navigating DSSHow do I authorize to receive my 1095-C and W-2
electronically?
Click the Authorization Required link in the left menu.
Read W-2 Authorization/1095-C message displayedon screen.
Print a Test page by clicking Print Test button.
Click Tax Document in PDF Format/1095-CDocument in PDF Format link in the Print Testwindow to verify you can open.
Navigating DSS Print the sample W-2 PDF/1095-C file via Adobe Reader.
After successfully printing the sample W-2/1095-C, clickYES in the Print Test window.
Click I Agree button to accept the authorization messagedisplayed on the screen.
Choose YES for Web Delivery to indicate you would liketo receive your W-2/1095-C electronically (if it is notalready selected). NOTE: You will be prompted to entera secondary email address if the primary email addressis blank.
Navigating DSS Choose NO for Paper Delivery.
IMPORTANT: Click Submit to submit yourselections. You will not be fully authorized if you skipthis step. NOTE: If you complete all of the stepsabove, you will see a green checkmark next to theword “Authorized” in the left menu indicating that youhave completed the authorization steps.
Password Management
The “Password Management” Link will allow you to change yourpassword, or reset it in case you have forgotten it (once you haveanswered at least 3 security questions):
It is strongly recommended that you change your password when youaccess the ESS system the first time.
Logout Please be sure to Logout when you are finished viewing your
information to keep it secure:
