O V E R V I E W A. Desktop Minimum Requirements The Faculty and Staff Self Service application enables you to view your personal, benefits, and payroll information via a web browser. In order to use the application your desktop computer needs to meet the minimum and recommended desktop requirements as listed below.

Hardware Minimum Requirements The PeopleSoft application requires either a Windows or an Apple computer. Listed below are the minimum and recommended specifications for a desktop computer to run the Faculty and Staff Self Service application.

B. Obtaining Access to PeopleSoft

Access to PeopleSoft Columbia University faculty and staff will have access to PeopleSoft. This includes current Officers of Research (who have an appointment), Libraries, and Administration, Support Staff, Members of Collective Bargaining Agreements, Casuals, Work Study, and Temporary employees as well as retirees. Your Sign In UNI and Password All Columbia University employees are automatically assigned a unique University Network ID (UNI) when they are hired. You will use your active UNI and its associated Password to sign in to Faculty and Staff Self Service. The UNI is managed by the Academic Information Services division of the Libraries department. For information on activating your UNI, you can either visit the AcIS UNI web page at http://www.columbia.edu/acis/accounts/create/current.html (see screen shot below) or call their Help Desk at 854-1919.

S T E P - B Y -S T E P P R O C E D U R E S A. Sign In and Out Before you sign in to the application please confirm the following:

Your computer meets the minimum hardware and software requirements.

You have an active University Network ID (UNI). If you do not know whether you have an active UNI, please refer to the Overview-Obtaining Access to Faculty and Staff Self Service section of this guide for information about your UNI.

1. Sign In

Use your University Network ID (UNI) and Password.

a. Open your web browser. Your web browser home page appears.

b. In your Address Bar, enter https://my.columbia.edu . Press the Enter key.

The myColumbia home page appears.

c. Click on the link “Log in with your Columbia UNI”. The Portal Log In page will appear. Enter your UNI and UNI Password, and then press the Login button. You will be logged into myColumbia, a user interface that brings together access to key information and services into one common place.

d. Click on the “Faculty & Staff” tab.

e. In the lower left corner of the page, under Tools, is a link to People@Columbia — Self Service. To understand the new self service features, we recommend that you click on the link to the People@Columbia Guide to Self Service and read it before using the online self services.

f. When you are ready to access the new self services, click on the appropriate link to view your personal, benefits, and pay information.

Note: If you have difficulty logging into myColumbia, you can alternatively access these self services online directly at https://pac.enterprise.columbia.edu/ .

Time Out For security purposes, the PeopleSoft application automatically logs you out of the application after a fifteen-minute period of inactivity. However, two minutes before your session timeout, the system provides a warning that your browser session is about to expire. You then have the option of continuing with your current session by clicking the OK button in the warning message. If you do not respond within two minutes, the session ends and the expired connection page opens. To return to your application, click the Return to PeopleSoft 8 Sign In link. The Sign In page appears and you can sign in to the application.

2. Sign Out While working in PeopleSoft, multiple windows may be opened. When you are done, be sure to sign out and close each open window. This will prevent other people who use the computer from being able to access your information.

a. Click the Sign Out link, which is located in the upper right corner of the PeopleSoft window.

b. Check to see if you have any open PeopleSoft windows; if you do, then close them.

B. Navigating Faculty and Staff Self Service Using the Faculty and Staff Self Service application is similar to browsing web pages, which provides a simple, intuitive way of working with information in a database. There are four types of navigation.

A navigation menu is similar to the Windows Explorer menu found on Windows 95, 2000, and XP computers. It is located on the left side of every page.

A navigation header that is at the top of every page and includes the following navigational tools: Home, Add to Favorites, and Sign Out.

Components contain groups of pages similarly, to how file folders contain groups of pages. Pages display information about a specific topic like your personal information or benefits.

1. Navigation Menu The navigation menu is located on the left side of the window. The menu consists of a folder with three sub-folders that contain pages of information organized by topic. Expanding and collapsing these folders is the primary means of getting around the application. Use the button in the top right corner of the menu to minimize the navigation menu. The refresh button returns the menu to the home state. Use the Search field at the top of the Navigation Menu to search for a page in the application.

2. Folders and Pages Folders consist of sub-folders that contain groups of pages on a specific topic. There are links at the bottom of some pages to move to a related page or a parent page.

Linking to Related Pages You will see pages that have links to related pages like their parent page. The related links often but not always appear at the bottom of the page. For example, you might see the phrase "Go to:" along with the related links at the bottom of a page. This convenience enables you to move easily to related pages to enter data without going through the navigation menu again.

Using Buttons and Keyboard Shortcuts There are many useful buttons and keyboard shortcuts to help you process transactions. If the action is truly an action, such as save or edit, it appears as a button. In general, if the action to be performed is related to navigation, it appears as a link, which you can click to move to another page. The section below outlines the most common buttons and keyboard shortcuts.

Buttons The following buttons are used for processing your data transactions.

Click to add new data.

Click to edit existing data.

Click to save your data. If you attempt to leave the page without saving by clicking another folder from the navigation menu a save warning appears. Click OK to return to the page to save your changes. Click Cancel to exit the page without saving. There are, however, other ways to exit a page. In these cases, the system issues no save warning: Clicking the Back button in the browser menu. In some browsers, you can return to the page with your edits intact by clicking the Forward button. Closing the browser session.

Click to cancel the data you entered.

Click to delete the data that you entered.

Keyboard Shortcuts There are a few keyboard navigation alternatives to using the mouse. When the keyboard shortcut is pressed, the designated actions occur. The following lists the button and hot keys most commonly used in the application.

3. Navigation Header The navigation header is located at the top of each page and contains three links.

Navigation Header Link Description Home Click on the home link to return to your homepage.

Sign Out To sign out of the application, click the sign out link in

the top right corner of the window, you will be returned to the Sign In page. Important! For security purposes, it is important that you sign out when you are finished with your PeopleSoft session rather than simply closing the browser window. Other users may be able to access your cached homepage if you do not sign out properly.

4. Page Bar Just below the navigation header sits the Page Bar, which is a series of links and buttons. Not all options may be available for each component.

Page Bar Item Description New Window Opens a new browser window.

Help Opens the online PeopleBooks help for the specific

transaction page that is displayed. Customize Page Enables you to control the initial display of the page.

Opens the Page Customization page where you can do the following: Select the initial page to be displayed. Customize the page field tabbing order.

http Copies the current page URL to the clipboard so that it is available for pasting in emails or other applications.

C. Printing

1. From a Web Browser Sometimes you may need to modify your web browser page setup margins to be able to print wide pages properly (see Pay Statement below) or to switch the print orientation to landscape.

a. Go to your web browser’s File menu and click on Page Setup.

b. The Page Setup page appears.

2. Pay Statement The Pay Statement is a wide page so print it out on a single 8.5 by 11 sheet, you will need to change your web browser page setup margins to the following values: left .5, right .5, top .5, bottom .5. Alternatively, you can minimize your Navigation Menu and it should print fine with out making the margin changes.

You can edit your addresses, phone numbers, and emergency contact information. Other personal information such as name, marital status, and email address are view only.

1. Addresses a. In the Addresses section, you can verify/change your addresses.

Your Home Address indicates where your W-2 statements will be mailed. If your new Home Address reflects a move in/out of New York City or Yonkers, or a change in Home State, you may need to complete new Tax Forms. See your Departmental Administrator after submitting any changes.

Mail Do not add a Mailing Address if it is the same as your Home Address. Enter a Mailing Address, ONLY if you want mail to be sent to a different address than your Home.

Office (CU Office) This is your primary work location.

Office #2 (CU Office #2) Use this field if you have a second work location.

Helpful Hint: If you are also a Student at Columbia and you are changing your home and/or mailing address, please make sure you visit Student Services online to make your changes in their system as well. Also, if you are an International Student claiming tax-treaty benefits, use the Home address to indicate your non-US address and use the Mail address type to indicate your local US address. All US tax forms will be sent to your Mail address.

e. To edit an existing address, click on the Edit button next to the address that you want to update.

a department/school email address but it is at the address below that you will receive all official communications from Columbia University.

To forward your email go to http://www.columbia.edu/acis/email/delivery/, click the change my forward settings button and follow the AcIS online instructions.

C. Payroll Information You can use the Payroll Information self-service pages to view your pay and compensation history, and view and update your W-4 tax information.

Paycheck Your paycheck includes earnings and deduction descriptions and segmentation of paycheck items, such as pre and post tax deductions and employer-paid benefits. You are able to view and print all of your paycheck information including pay stubs for direct deposits and checks.

W-4 You are able to directly enter tax allowances in to the system making these updates go into effect for your next pay cycle.

New Pay Statement Fields Description

Employee ID This is your new automatically assigned, unique identification in the HRMS application. It is not you social security number.

Business Unit This field will always be CUBUS. This code is the high-level organization identifier for all of Columbia University.

Pay Group Grouping of employee populations for payroll purposes.

Job Title This is the general title for your position. It is not your unique Columbia title.
