The Robert Jones and Agnes Hunt Charity raises funds to support patients and staff to ensure we achieve our ambition to deliver world class patient care. This is achieved through fundraising and supporting others to fundraise on our behalf whilst ensuring we have an open and honest approach in line with the fundraising regulations.

We strive to make things better for patients and staff alike and will always use donors’ money wisely and in the interest of both patients and staff.

PLANNING YOUR EVENT & PROMOTING YOUR EVENT

Make sure you have lots of time to plan your event, for a bigger event you need at least 6 months. Think about family, friends and colleagues that could help you. Social media platforms such as Facebook, Twitter and Instagram are extremely popular, easy to set up and manage from home. Think about how these platforms can help spread the word for you.

Posters are also a good tool – think about how to create them, and what you need to put on them. It’s important to ensure they are easily readable and can be read from a distance so don’t put too much information on them. Make sure they offer details about the event that’s important, such as; time, date and place.

Speak to your local media including; newspapers, radio and online channels – they all want current news so create a story about your event. If you’re reaching out to print or online media, include a good quality picture of you with your family or friends that the story relates to. Newspapers or online news platforms are unlikely to use a poster to advertise the event as they get asked to do this all the time. Please contact the team in the Fundraising Office for further support with this.

Please take photos of your event or of you in action and send them over to us so we can share and utilise them.

RAISING MONEY

Use JustGiving (JG) as a tool to raise money from social media; however don’t use it to bank money. If you collect money then you can pay it directly into our bank account and we won’t be charged. You can place offline donations on JG to show how much you have raised in total. People like to read stories on JG so ensure that you use it as a blog or diary and post in there regularly about how your training is going or how your plans are coming along.

Make sure you link your social media pages to your JG page too.

If you are a UK tax player, 25p of every pound comes back to the Charity. Useful tipTo capitalise on your fundraising, consider working on a 10 to 1 ratio.

For example; for every £1,000 you raise, you shouldn’t really be spending more than £100. Ideally get as much as you can for free, so there are little expenses.

ENSURING YOUR EVENT IS SAFE AND LEGAL

You must ensure that your event is safe and legal and bear in mind that with each event there will be some laws and health and safety implications. That could be anything from gaining a music license, through to ensuring there are no violations of copyright. To be on the safe side, you can always contact us in the Fundraising Office.

Health and safety is all about common sense. It’s important to always follow the professional advice of equipment manufacturers and staff supervising any facilities.

RJAH cannot accept liability for any loss, damage or injury suffered by you or anyone else as a result of taking part in an event in aid of RJAH. You must ensure you have your own insurance and that you have completed a Risk Assessment form.

Cash handling guidance: • Please ensure that all donation tins are sealed.• Have two people, which are unrelated, counting money when the tin is opened.• Ensure that you bank the money as quickly as possible and DO NOT keep it at home or in a locked car. The money is your responsibility until it is paid into our account.• You can bring the money into RJAH and pay it in at the Post Office opposite the Fundraising Office in the Main Entrance.• Make sure any electronic or paper record you keep about people involved in a fundraising event complies with the Data Protection Act. DON’T keep information about people any longer than you have to and don’t share information or data about someone without their permission.• Please ensure that you research your local council’s information on lottery and raffle licences. If you are selling books of raffle tickets that have been printed with our charity number, you will require a licence from the council which you will need to pay for.• You can host an event and sell tote tickets, but the raffle MUST be drawn on the night. Again, you must make reference to your local licensing laws to gain all the recommended guidelines. You shouldn’t have to buy raffle prizes, and you don’t need too many. If you would like a letter of authority from us, please get in touch and we can send you a letter outlining your event as evidence that you are fundraising on our behalf.

FUNDRAISING IDEAS

• A fayre – spring, summer, autumn or Christmas. There is never a wrong time to organise a fayre.

• Sweep stakes – Grand National, Strictly Come Dancing, and Guess the Baby Weight are just a couple of ideas.

• Quiz nights – who doesn’t like a quiz? Host them in the local pub, social club or at work. The bigger the better and you can tag on a raffle to top up that fundraising.

• Golf days – nearest the pin, sponsor a hole, how quickly can you get round? Corporate days with a bacon butty on arrival!

• A night in – a Pamper Night or Prosecco Night and ask people to donate rather than bring a bottle. Book clubs are also another night in idea.

• Bag pack – contact your local supermarket, ask if you can do a bag pack in store and get family and friends to help. The more buckets the more money!

• Share you special day – ask for gifts in lieu of RJAH. People are always so generous with gifts, but perhaps offering them to donate to the charity close to your heart.

• Non-uniform day – ask your school to support by not having to go in your uniform - what a treat. It’s so worth £1!

• Cakes – everyone loves a cake. Have a bake sale at work, school or at your local club and ask everyone to bring something in.

• Challenge yourself – a hike, a walk, a run, a cycle, a triathlon or a swim - whichever is the biggest challenge for you. Sign up for a local event and ask your family and friends for sponsorship.

• Christmas - something festive such as; a concert, a show, in lieu of Christmas cards or a reverse advent calendar - put a gift everyday into a hamper and then draw a raffle to win. You could even bring it into RJAH for us to share with the wards.
