About This Guide

Exclaimer Signature Managerallowsyoutocreategreatlooking,professionalsignaturescentrally(includingcompany branding, legal disclaimers and promotional content) for use in all email messages sent fromMicrosoft Outlook and Microsoft Outlook Web Access.

How does it Work?WithinExclaimerSignatureManager,asignatureisnotjustablockofcontactinformationforthemessagesender.Inthiscontext,asignatureiscomprisedofthreedistinctparts:

• Signature (business card content) • Campaign(sales/promotionalcontent) • Disclaimer(legal/corporatecontent)

Thesepartsaredefinedinseparatepolicieswhicharecombined(whengivencriteriaaremet)toformthefinalOutlooksignature.Apolicycanbethoughtofasasetofruleswhichareusedtocontrolhowsignaturesareappliedtoemailmessages.Itincludes:

• Thepolicy type (signature, campaign or disclaimer) • Thecircumstancesunderwhichthepolicyshouldbetriggered(usingconditions, exceptions, date range and next policyoptions) • Howthesignatureshouldbedeployed(Microsoft Outlook or Microsoft Outlook Web Access) • Signaturecontent(usingtemplates)

Youcancreateasmanypoliciesasrequired - forexample,youmightchoosetoapplydifferentcampaigncontentforeachdepartmentwithinyourorganization.Inthissituationyoucouldcreateonesignatureandonedisclaimerpolicyforallusers,butaseparatecampaignpolicyforeachdepartment.Similarly,someusersmaynotrequireanycampaignmaterial;thereforeyouwoulddefineasignaturewhereonlysignatureanddisclaimercontentareapplied.

When Exclaimer SignatureManager is installed and appropriate deployment options have been set, it isrunninginthebackgroundallofthetime.AnyneworupdatedsignaturesarecopiedtoacentraldeploymentfolderandthendeployedtoOutlookusersautomatically.So,whenauserchoosestocreateanewemailmessage(oriftheychoosetoreplyto/forwardamessage),theywillseeanyapplicablesignaturesintheirmessage.Ifmorethanonesignatureapplies,thelastoneprocessedwillbeusedbutuserscanright-click(onthesignature)toview/selectfromalistofadditionalsignatures.Ifrequired,userscanamendthecontentofa signature within their message.

ExclaimerSignatureManagerincludesalibraryofprofessionallydesignedsignature,campaignanddisclaimertemplateswhichcanbeusedas-is,orasastartpointforcreatingyourownversions.Templatesarecreatedandeditedusinganintuitivetemplateeditor,whichwillbefamiliartoanyonewhohasworkedwithMicrosoftOutlookorMicrosoftWord.

VersionsarecreatedinHTML,RTFandPlainTextformats,withaninstantpreviewfeaturesoyoucanseehowyourtemplatewillbedisplayedinemailmessages,ataglance.Withtheabilitytoincludetables,images,RSSfeedsanddynamicActiveDirectoryfields,youcanbeascreativeasyouwanttobe.

AkeybenefitofusingExclaimer Signature Manager istheabilitytoapplysmart,sophisticatedsignaturesthroughoutyourorganization,helpingtocreateaprofessional,consistentbrandimage.Butwhathappensifusersdefinetheirownsignatureslocally,usingstandardoptionsinMicrosoftOutlook?

Exclaimer Signature Manager allows you to control Outlook mail format settingsforalluserssothateverynew,repliedorforwardedemailcomplieswithyourorganization’shousestyle.ThisisachievedwithOutlook mail formatpolicies;withthistypeofpolicyyoucancontrol:

• Messageformatoptions-controlthedefaultformatformessagecompositionandpreferred

editors to be used.

• Messagefontoptions-enforceyourorganization’shousestylebyspecifyingdefaultfontsettings

tobeusedfornewmessages,togetherwithreplies,forwardedmessagesandplaintextemail.

• GeneralOutlookoptions-choosewhetheranysignaturesorstationerythatausermighthaveset

locallyareretainedoroverwrittenbyExclaimer Signature Manager.

Havingdefinedyourtemplatesandpolicies,there’snoneedtoworryaboutcomplicatedtestingprocesses,since Exclaimer Signature Manager includes an intuitivepolicy testerwhich simulates the generationofsignaturesforgivenOutlookusers,soyoucanquicklyseeifpoliciesaredefinedcorrectly.

OuraimistogetyouworkingwithExclaimersoftwareasquicklyaspossible,withminimalrestrictions.Assuch,wehaveimplementedaflexiblelicensingpolicy.

IfyouhaveinstalledExclaimersoftwareforthefirsttime,youcanuseitforfive days without any form of registration.

Afterfivedays,youwillbepromptedtoregisterinordertocontinuetriallingthesoftwarefreeofchargeforafurther30days.Duringthetrialperiod,allsignaturesareappendedwiththefollowingtext:

The installation wizardinstallsrequiredprogramsandcopiesdatafilestoyoursystem,whilsttheconfiguration wizardstepsthroughsomebasicsetupoptionswhichenableyoutogetstartedwithSignatureManager.

Bothstagesarequickandeasytocomplete,usingafamiliar‘wizard’approachtoguideyouthrougheachprocess,step-by-step.

The installation process also includes the Exclaimer license agreement and copies files to your specifieddestinationfolder.Oncecomplete,the configurationwizard[seepage12]islaunched,soyoucanconfigurebasicsettingswhichwillenableyoutogetstartedassoonasthewizardiscomplete.

Aspartoftheinstallationprocess,youareaskedtospecifyadestinationfolder,intowhichprogramfileswillbe installed. The default folder is C:\Program Files\Exclaimer Ltd\Signature Manager.

Inadditiontoprogramfiles,anumberofconfigurationfilesarecopiedtoyoursystem.Thelocationofthesefilesvariesaccordingtooperatingsystem,assummarizedbelow:

Additional Setup for DeploymentOncetheinstallationiscomplete,youmayneedtocompleteafewadditionalsteps,dependinguponhowyouwishtodeploysignaturesfromExclaimerSignatureManagertoyourOutlookusers.Therearetwoscenariostoconsider:

• WithinyourorganizationmostuserslogontoyourdomainviaMicrosoft Outlook but some occasionally use Outlook Web Access.Inthissituation,setdeployment(viaa.BAT or a VBSfile)as a logon script or a Group Policy Object (GPO).

• WithinyourorganizationmostuserstypicallyuseOutlook Web Access and rarely log on to your domainviaMicrosoft Outlook.Inthissituation,setdeployment(viaa.BAT or VBSfile)asalogon script or a Group Policy Object (GPO).

This sets ExSync.exefortherelativelyfewuserswhologontoyourdomainandyoushouldthen configureExclaimer Signature ManagerOWAsettingstouseserverupdates.

The SignatureManager installation file is named setup.exe and can be downloaded from the Exclaimer productspage(http://www.exclaimer.co.uk/signature-manager).

Once downloaded, setup.exe should be run on the required Microsoft Exchange Server.

3. Click next tomovetothenextstageandsetadeployment share.Thisfolderisprimarily usedtostoresignatures(asgeneratedbySignatureManager)intheformofazipfile,andfor users to access the ExSyncprogram:

When choosing a deployment shareyoushouldensurethatspecifieddrivehasenoughdisk spacetostoresignaturesforallusersinyourorganization.Signaturesaregenerated according to the update interval and stored in the deployment share.Therefore,ifyouhave a1000users,1000ZIPfileswillbecreatedandstored.

Localpaths(C:\,F:\,etc)arenotsupportedfordeployment.YoumustspecifyaUNCpath(\\servername\networksharedfoldername).

5. Click nexttomovetothenextstageandsetconditionsforyourfirstdisclaimerpolicy.You canupdatethispolicyatanytimeaftertheinstallation,soifyouarenotsurewhattosetat thispoint,simplyacceptdefaultconditionsandcontinue:

6. Click nexttomovetothenextstageandselectatemplatetoassociatewithyourfirstpolicy. Anumberofstandardtemplatesareprovidedbutyoucanupdatethistemplateatany timeaftertheinstallation.Ifyouarenotsurewhattoselectatthispoint,simplyacceptthe defaultandcontinue:

7. Click nexttopreviewtheselectedtemplate,toseehowitwouldbepresentedinthecontext ofanemailmessage:

IftheselectedtemplatecontainsActiveDirectoryfields,thepreviewmightvarydepending onwhichuserisassociatedwiththepolicy(asdeterminedbyconditionssetinstep5]. Ifrequired,youcanselectaspecificuserviathedisplay data from useroptionatthebottom ofthepreviewwindow.

Ifyouwishtoedittheselectedtemplate,clickthe editbuttontoopenthetemplate editor and make required changes.

8. Click nexttoreviewyourconfigurationsettings.

If you are installing SignatureManager onmultiple servers (for example, at different offices in differentlocations),youcancompleteall requiredconfigurationononeserver, thenexport thatconfigurationandimportitatotherlocations.

Tosavetime,youcanperforma‘silent’installationatotherlocations,usingcommandlineoptions.AcommandlineinstallationinstallsExclaimerSignatureManagerwithouttheneedtogothroughtheinstallationwizard (seepage12).

Programsand servicesare installedandwhenSignatureManager is launched, thefirstuse configurationwizard(seepage15)islaunched.Youneedtostepthroughthefirst use configuration wizard but once this is done,youcanimportyouroriginalconfigurationfile.

Required PreparationCommandlineinstallationsarerunusinganMSI installation,ratherthanthestandardsetup.exe. To obtain the required MSIinstallationfile,pleasecontactExclaimersupport (support@exclaimer.com).

Supported Command Line OptionsThefollowingoptionsaresupportedforacommandlineinstallation:

UninstallingSignature Manager

Preparation

Asnotedpreviously,theuninstallprocessdoesnotremoveanyofyourconfiguration,settingsortemplates.Howeverasabackupprecautionyoumaywish toexport your configurationbefore running theuninstallprocess.

Theexportincludesallsettings,policiesandtemplatesforExclaimerSignatureManager.Thesearewrittento an econfigfile,aproprietaryfiletypeforExclaimerproducts.Toexportcurrentsettings,followthestepsbelow:

1. OpentheExclaimer Console.

2. Ensure that Exclaimerisselectedintheconsoletree(i.e.thetopmostbranch)

3. Select export current configuration settings from the actions pane, or from the action menu.

The export configurationwindowisdisplayed.

4. Navigatetotherequireddriveandfolder,towhichtheexportfileshouldbesaved.

5. Specifytherequiredfilenamefortheexportfile.

6. Click savetocompletetheexport.

Running the Uninstall Process

TherearetwowaystostarttheuninstallprocessforSignatureManager:

• Activatetheoriginalsetup.exe or the MSIfileandchoosetheuninstalloption;thenfollowon- screeninstructions

• UseAdd/Remove ProgramsinWindowsServer2003orPrograms and FeaturesinWindowsServer 2008;thenfollowon-screeninstructions.
