Basic Functionality 1 Introduction The aim of the InfoDynamics online portal is to provide access to utility usage Information at your fingertips, 24 hours a day, 7 days a week. InfoDynamics has a simple yet flexible user interface which allows you to view data and reports. All generated outputs are automatically saved to the online report repository for a period of 90 days. The following document will provide you with the basic information to get you started using InfoDynamics, with advanced functionality outlined at the end of this document. if you require further information please refer to the comprehensive help section on the website or contact Metering Dynamics on [email protected] 2 Log in When account creation and meter set-up / transfer is complete you will receive your account details via your login email address. Open your internet browser and type www.infodynamics.com.au or www2.infodynamics.com.au into the address bar (your login details will provide you with details for which server to log in to), you will see the following screen. Click on either of the two login buttons, as shown below and enter your login details as provided in your welcome email.

3 View Sites / Meters Once you have successfully logged in you will see the following screen.

Please ensure that the “Generate Reports” tab is selected.

Using the “Expand” buttons you can make sure all of your sites or meters visible.

When you log into InfoDynamics, no sites or meters will be visible until you expand the tree using the expand buttons. Please Note: You can also double click on the node name to expand the tree.

Your meters will be separated depending on utility type and location. In the example to the left the “Demo Commercial” company has electricity meters only - 1 in NSW and an unknown number in VIC. It is unknown how many are in VIC as the node has not been expanded.

Once expanded it shows that VIC has two electricity meters.

4 Meter Tree Search & Filter Functions There are two options for finding data files in the Meter Tree. The search and filter functions can assist in locating specific meters without fully expanding the Meter Tree. These options can be found at the bottom of the Meter Tree pane.

Search Text – enter text in the Search Text: text box and press the associated Go button.

The first Company, Customer and Meter Names that contain that text will be highlighted in the Meter Tree. To find the next match continue to press the Go button. When no more matches can be found the following message will be displayed.

Note: if the Go button is pressed after this message is displayed, the search is restarted again. TIP: the search can be started from any point in the tree, by simply highlighting a Company node, Customer or Meter and pressing the Go button.

Filter Text – the Meter Tree can be filtered by Meter Name, Address and NMI. When a filter is applied, only Meters that contain the Filter Text will be displayed.

In the following example only Meters that contain the word SHOP in the schedule name would be displayed in the Meter tree.

TIP: to clear the filter and change the Filter Type to None and press the Go button. TIP: the Search Text option can also be used in conjunction with the Filter Text to locate meters of interest.

5 Report Types & Report Fact Sheets A list of available reports is available on the right pane of the ‘Reporting’ page. If you would like to know what each report will contain simply highlight and right click the report type name and select ‘Description’ from the menu. A report fact sheet will open in another window explaining the features and benefits of that report.

6 Report Output Types Depending on the chosen report, InfoDynamics will deliver reports in either PDF or csv format. The number of reports you receive per schedule will also vary depending on the particular reports chosen. The report name will allow you to determine if your report will be delivered in csv or PDF format;

All reports that contain csv in the title are csv format All exception alerts are csv format All other reports will be PDF format

The number of reports you will receive per schedule can also be determined by the report name (the extension after the report name);

No extension - 1 report per meter “grouped” - 1 report per group / node “combined” - 1 report for all selected meters

7 Generate a Queued Now Report Queued now reports allow you to run a one off report from InfoDynamics. To generate a queued now report click on “Generate Reports” on the navigation bar. Maximise both the meter and reporting trees. This will display the meters you would like to report on and the available reports. Select the meter you would like to report on and drag and drop to the report you would like to run. The meter should now display under the required report type.

NOTE: You can also Drag and Drop Nodes that contain multiple meters. A maximum of 50 meters can be run off in a single request. Select the date range you require:

Select the ‘QueuedNow’ schedule type:

Select notification type and click run report:

The system will (by default) assign a schedule name of ‘AutoGenerate’. You can change this if you wish by overtyping with your desired schedule name. In the ‘Emails’ field, enter the email address/s of the report recipient/s. Click ‘Continue’.

The system will inform you if your report schedule has been successful.

Once the system has finished running your report, you will find it in the report repository (refer to the section 7 ‘View Reports’).

Reports will be placed in a queue, therefore the lapse between scheduling a report and report receipt will vary based on the load on the system and the number of meters in the report. Generally reports will be received within 5 minutes of being scheduled. 8 View Reports To view any previously run reports click on “View Reports” on the navigation bar

All previously run reports will display in the report repository as shown below. These reports will remain in the system for 90 days after which they will be automatically deleted. Filter and search functions allow you to easily find existing reports in the repository, especially useful when you have more than one page of reports (please see the online help guide for details on filtering and searching for reports).

To view and save an existing report, simply click on the report name required and it will open in a new browser window.

Advanced Functionality 9 Scheduling Scheduling options vary depending on account and user privileges. Users who have access to scheduling options other than QueuedNow, have the ability to set-up reports to run automatically at predefined intervals (daily, weekly, monthly). These reports can (depending on account and user privileges), be automatically set-up so they are delivered straight to your inbox. This allows users to monitor consumption at particular sites on an on-going basis without having to manually run the report from the InfoDynamics website. 9.1 Create an ongoing schedule To generate a schedule click on “Generate Reports” on the navigation bar and maximise both the meter and reporting trees. Drag and Drop the meter into report type you would like to schedule. The meter should now display under the required report type.

NOTE: You can also Drag and Drop Nodes that contain multiple meters. A maximum of 50 meters can be run off in a single request. Select the date range required for the FIRST instance of the report (Note: the following example describes the process for setting up a monthly schedule)

The system will NOT automatically assign a schedule name when ongoing schedules are created. Enter your desired schedule name, then click continue.

Schedule names can only contain the below characters, with no spaces. A schedule name that doesn’t meet the below criteria will receive the following message.

Select the date and time you would like to receive the FIRST instance of your report

The system will inform you if your report schedule has been successful.

Note: Schedule names must be unique. If you attempt to create a schedule with the same name, an error message will appear.

The last line of the error message will display the schedule name that was entered. In this instance there is a space in the name which is not valid

Note: it is recommended that you schedule your report a couple of days after the last day of the reporting period. This will ensure all the required data has loaded into the system and reduce instances of substitute data. Alternatively, the next section of this document details how to configure a report schedule to “delay” the report until data is finalised

This report will now be generated every Month on the third, containing data for the previous month. The below table shows examples of on-going schedules and the way they are incremented; Schedule Type

03/02/2012 The system will automatically run a report on the 3rd of each month for the previous calendar month. NOTE: you must select the last day of the calendar month when setting the schedule up for the incrementing to function correctly.

Weekly 01/01/2012 to 07/01/2012

10/01/2012 (Tuesday)

The system will automatically run a report every Tuesday for the previous week (Mon – Sun) NOTE: you do not have to select reporting periods of a calendar week, the report will just increment weekly

Daily 01/01/2012 to 01/01/2012

03/01/2012 The system will automatically produce a report every day for two days prior.

9.1.1 Delay report until data is finalised To delay report generation until the data for the selected meters in finalised, tick the “Hold report until data finalised” box on the “Select date and time” pop up box.

A system email will be received if your report schedule was put on hold due to finalised data. Once run the report or link will be received via email as normal. NOTE: Schedules with “no email” option select and where the username is not a valid email address will not receive a system notification.

9.2 View schedule status The status of your schedule/s can be viewed through the generate reports page. Maximise the scheduled reports to see what schedules are set-up.

Right click on ‘scheduled reports and select ‘status’

A window will open detailing the status of all current schedules

Note: This user account only has one MONTHLY schedule set-up.

Note: This recipient’s cell displays all email recipients for this schedule. This is especially useful when schedules are set-up to be sent to additional recipients. Where a schedule is set-up with no email recipient, recipient details are listed as “none”.

9.3 Cancel a schedule Unwanted schedules can be cancelled by right clicking on the schedule that requires deletion and selecting cancel. Click OK to confirm the deletion

The system will confirm the deletion of the schedule and remove the schedule from the reporting tree

10 Favourites Favourites folders can be used to group meters according to your reporting needs (e.g. location, size, usage). These folders can then be used to run and schedule reports in InfoDynamics. This reduces the need to individually drag meters across to the reporting tree, as the folder containing all of the grouped meters can be used instead. 10.1 Create a favourites folder To create a new favourites folder right click on the favourites icon and select ‘create’

Enter the required folder name and select OK

NOTE: You MUST select save current view to save the changes to favourites

The system will confirm the creation of the folder and the new folder will appear in the tree

10.2 Add meters to a favourites folder Meters can be added to favourites folders the same way meters are added to reports. Select the meters you desire (one by one) in the meter tree and drop and drag under the desired favourites folder.

When you have all the required meters in your folder remember to “Save Current View” so that these meters remain configured as favourites in future sessions.

10.3 Run a report using favourites Favourites folders can be used to run reports by simply selecting and dragging the favourites folder to the required report. All meters that belong to that favourite group will be configured, without the need to individually select each meter.

Run the required report as normal.

11 Emailing to alternate recipients QueuedNow or scheduled reports can be configured to be sent to an email address other than the one used to log into InfoDynamics. By default, reports which require email delivery will automatically be sent to the login email address. InfoDynamics has the capacity to assign alternate or additional email addresses for report delivery; this must be configured when the report schedule is requested through the InfoDynamics website. Configure your report as normal, selecting either the “link only’ or the “Report & Link” delivery options, and click run report.

To add an additional recipient simply add the additional email address/s after the default address, ensuring they are separated with a semi colon and the last address is closed off with a semi colon.

NOTE: there can be a maximum of 10 email addresses added against an individual schedule.

To change the recipient simply delete the default email address and enter the required recipient (ensuring there is a semi colon at the end of the address);

Once the email recipients are correct click “continue” as per normal. 12 Online Help Select online help by selecting this “Help” tab in the menu bar.
