SECTION A: BACKGROUND TO IEMA

1. Introduction

Thank you for your interest in joining IEMA’s network of Training Centres. This document has been designed

to provide all the information that potential Training Partners will need to become an IEMA Training Centre.

2. About IEMA

The Institute of Environmental Management & Assessment (IEMA) is the professional home of over 15,000

environment and sustainability professionals from around the globe. IEMA’s role is to support individuals and

organisations to set, recognise and achieve global sustainability standards and practice.

IEMA members are equipped to collaborate, lead and deliver sustainability in their organisations, using IEMA

standards as their foundation. They improve environmental performance and drive competitiveness,

productivity, resilience and growth.

As an organisation IEMA are independent and international, gathering members’ views and experiences to

deliver evidence to Governments, information to business, inspiration to employers and great stories to the

media that demonstrate how to transform the world to sustainability.

3. About IEMA Training

IEMA Training creates and supplies, through partnerships with training partners, environment and

sustainability skills to global employers. IEMA Training sets the standard for the content and delivery of

environment and sustainability training through robust quality assurance processes and provides professional

development support in line with the IEMA Environmental Skills Map.

SECTION B: IEMA TRAINING CENTRE AND COURSE INFORMATION

To join our network, you will need to first become an IEMA Training Centre and thereafter gain approval for

one or more IEMA courses. This section provides an introduction to what becoming a Training Centre means

and the different courses that you can gain approval for, with further detail on the actual processes provided in

Section C.

Pricing can be found in Annex 2.

5. Centre Approval

All training partners are required to become an IEMA Training Centre in order to deliver an IEMA Certified or

Approved course. The Centre Approval process looks at Centre’s overall management, policies and systems

(such as equal opportunities, trainer recruitment and development, data protection etc.) to ensure that the

Centre is set up effectively for high quality course provision.

IEMA Training Centre status is valid for one year and will be renewed on an annual basis subject to meeting

Quality Assurance requirements (detailed in Section C).

6. Course Approval

IEMA approves two types of courses along with the trainers that deliver them:

1. IEMA Certified Course

These are courses which have a prescribed specification developed by IEMA that includes details

such as the course title, duration, entry requirements, learning syllabus, assessment method and

trainer requirements. Some IEMA Certified courses require training centres to develop their own

materials in line with the specification whilst others have course materials provided as part of the

course approval.

IEMA Certified Courses, based on IEMA Specifications which require IEMA Training Centres to

develop their own materials comprise of:

� IEMA Foundation Certificate in Environmental Management

� IEMA Associate Certificate in Environmental Management

� IEMA Diploma in Sustainable Business Practice

� Foundation Course in Environmental Auditing

� Internal EMS Auditor

� Lead Environmental Auditor

� EMS Implementation

� Carbon, GHG footprinting, accounting and management

IEMA Certified Courses which include training materials provided by IEMA comprise of:

� Making the Transition to ISO 14001:2015

� Working with Environmental Sustainability

� Managing with Environmental Sustainability

� Leading with Environmental Sustainability

Following completion of IEMA Certified courses, learners gain an IEMA and IEMA Training Centre co-

branded certificate (see Annex 1 for further details).

2. IEMA Approved Course

IEMA can approve any training course which falls within the scope of the IEMA Environmental Skills

Map and can aid the Continuing Professional Development of an Environmental/Sustainability

Professional.

IEMA certification, whilst not mandatory for IEMA Approved courses is considered a valuable benefit

and can be arranged on request (see Annex 1 for further details).

Course Approval is valid for one year and can be renewed on an annual basis at the same time as Centre

Renewal subject to meeting Quality Assurance requirements (detailed in Section C).

7. Trainer Approval

To provide high standards of quality assurance, IEMA Certified or Approved Courses must be delivered by

IEMA Registered Trainers. When applying for Course Approval all trainers that will deliver the course(s) are

required to complete a Registered Trainer Application Form.

Up to 3 trainer approvals are included at the time of application within each course price along with trainer

packs where applicable (courses with IEMA training materials provided). After initial approval has been

attained, if additional trainers are required for approval or changes to trainers made, administration charges

will be incurred. Trainer registration is renewed every year at the time of Centre renewal.

SECTION C: HOW TO BECOME AN IEMA TRAINING CENTRE

This section outlines the processes for joining IEMA as a Training Centre as well as ongoing quality

assurance. They are designed to be applicable for all sizes of training centres – from micro-organisations to

large organisations. If you are unsure about any of the processes, please do not hesitate to contact us.

8. New Training Centre and Course Approval Process

We have developed a simple approval process to enable you to become an IEMA Training Centre and start

delivering IEMA Certified and/or Approved courses as easily as possible whilst still maintaining our high

standards of quality:

If you are interested in becoming an IEMA Training Centre and start delivering IEMA Certified and/or

Approved courses please e-mail us on [email protected].

Discussion

Within 2 business days of your enquiry a member of the IEMA Training team will give you a call to

discuss the options available, the approval process and fees. If you are happy to proceed we will send

you the documents required for completion.

Centre, Course and Trainer Approval Application with Payment

You will need to complete the necessary forms with supporting documentation to gain both Centre and

Course approval along with registering Trainer(s) for that course. Guidance on completion will be

provided and an IEMA Training team member will be happy to assist you with any queries.

Quality Assurance Check

Once you have completed the forms these need to be sent to us along with payment to

[email protected]. Your application will be logged and checked through by IEMA who may contact you

to request further information. This will be processed within 4 working weeks of payment receipt.

Welcome

If your application meets our requirements you

will be granted IEMA Training Centre status

and Course approval which is valid for one

year, subject to adhering to IEMA Training

policies.

You will be issued with a Centre Certificate

and Welcome Pack which contains all the

information you will need to start delivering

courses along with marketing support. A

quality assurance visit (including observation

of teaching) will also take place within the first

year of approval.

Improvement Actions

If your application does not meet our

requirements, we will highlight areas of

concern/improvement for you to address.

Once complete, please send through the

revised materials and application form.

Depending on the level of changes

required this may incur further charges.

Upon receipt, the IEMA Training team will

carry out a quality assurance check, from

which there are two possible outcomes.

9. Gaining approval for further courses

IEMA Training Centres who wish to deliver further courses should follow the same steps outlined above (8.

New Training Centre and Course Approvals Process).

As an existing IEMA Training Centre, only the Course and Trainer Approval application forms will need to be

completed and submitted.

Once approved, your initial course approval will be pro-rated to align with your Centre Renewal date.

10. Centre and Course Quality Assurance and Renewal Process

IEMA Training Centres, courses and trainers are renewed together on an annual basis. Quality assurance is

taken very seriously at IEMA and therefore centre, course and trainer renewal is linked to satisfactory

completion and checking of our quality assurance (QA) self-assessment form by training centres.

These forms are designed to help Centres ensure their Centre and Course policies, materials and

training/subject expertise remain up-to-date and effective and can also be utilised for a

Training Centre’s internal quality assurance check as well. Please note that delays in completion of the

process or payment may result in Registered Centre suspension and penalty charges.

Quality Assurance Self-Assessment Form Completion & Submission

16 weeks before your Centre and Course renewal date: you will be sent a notice of upcoming renewal

and the QA self-assessment form completion request. The completed form (which includes the renewal

agreement) needs to be submitted within 6 weeks – no other documentation will be required for

submission at this stage. If you need any guidance to complete this or have any queries do not hesitate

to contact the IEMA Training team who would be more than happy to help.

IEMA Training Quality Assurance Check

10 weeks before your Centre and Course renewal date: Your QA self-assessment form MUST have

been submitted by this date. The IEMA Training team will now check through the forms to ensure

satisfactory completion. These checks will be carried out within 10 working days.

Please note that if you have not submitted your form by this date without prior agreement with IEMA,

suspension and penalty charges will be applicable along with potential non-renewal of IEMA Training

Centre status.

After this checking stage there are three possible routes:

Remember to complete and send in your completed QA Self-

Assessment forms to [email protected] within this 6 week period.

Invoice, Payment and Renewal 30 days before your Centre and Course renewal date: An invoice will be sent for renewal payment. Once payment has been received, updated Centre certificates will be sent out. Please note late payments will incur penalty charges.

Satisfactory Completion & no further documentary evidence requested

Further documentary evidence requested. IEMA may request certain documentation to be sent for evidence. This may be requested as part of a random sampling activity or due to inconsistencies in/ incomplete form submission. Training Centres will have 10 working days to submit any required evidence. Upon receipt of improvements, the IEMA Training team will check through these to ensure satisfactory completion. From this there are two possible outcomes:

Improvement Plan If renewal is suspended, areas of concern/improvement will be sent for the Centre to address. This process may incur administration and/or reinstatement charges. ANNEX 1: POLICY MANUAL

TRAINER REQUIREMENTS

1. IEMA Registered Trainer Criteria

IEMA Registered Trainers (excluding universities) are required to:

1. Have training/teaching experience and/or a relevant teaching qualification.

If trainers do not have a teaching qualification (level 3 teaching qualification or higher) they must

demonstrate suitable training/teaching experience. International teaching qualifications deemed

at the equivalent level will be accepted.

2. Be a member of IEMA at a professional membership level.

By the trainer’s IEMA Training Centre renewal date in 2016 they should be at a professional

membership level (Associate, Full or a member of an IEMA Specialist Register).

3. Abide by the IEMA Code of Practice at all times.

4. Have practical experience relevant to the course being delivered and maintain subject and

training expertise through Continuing Professional Development.

5. Have a DBS (Disclosure and Barring Service formerly called CRB) Enhanced check which is

reviewed every 3 years when working wholly or mainly with children, vulnerable or young adults.

6. Meet the requirements of individual IEMA course specifications that they are seeking approval to

deliver (see individual course specifications for further details).

Please note if individual IEMA course specifications have higher membership, experience and/or teaching

requirements than the Policy Manual, the course specification requirements supersede the Policy Manual.

All trainers (excluding universities) must be approved by IEMA.

2. IEMA Registered Trainers Approval Process and Adding/Changing Trainers

All trainers that deliver IEMA Certified/Approved courses (excluding universities) must be registered with IEMA

through completion of the Trainer Registration Form.

Up to 3 trainers can be approved during initial course approval. Thereafter any additional trainers requiring

approval (including trainer changes) will be charged an administration fee (see Annex 2 for pricing).

Once approved, no additional fees will be required and trainers will remain on the IEMA Registered Trainer

database, subject to continuing to meet the IEMA trainer criteria.

IEMA Registered Trainers can only deliver the IEMA Certified/Approved courses that they have successfully

applied and registered for. If trainers wish to deliver additional courses they must complete the trainer

application process. More than one IEMA Certified/Approved course registration can be applied for within one

form but all course requirements must be met.

Additional trainer application forms can be submitted at any time.

10 working days must be allowed for the trainer application to be checked.

Certain courses may require attendance at a trainer induction session or shadowing of delivery prior to the

trainer being registered to deliver the course. This requirement will be stated within individual course

specifications.

PRICING AND COURSE DELIVERY

3. Pricing and Refunds

Pricing is detailed in Annex 2. All prices exclude VAT which will be applied where applicable. IEMA operate a

no refund policy.

Pricing will be reviewed annually. Training partners will be provided with at least 8 working weeks’ notice of

changes to pricing.

4. Number of Learners per Trainer

A maximum of 16 learners per trainer are allowed in a classroom taught course (excluding university courses).

Where a course is being delivered via e-learning/blended learning/applied learning or as part of a wider

university course, trainers must have adequate time to support the learner activities and facilitate group

activity but can support greater numbers of learners than for classroom taught courses.

5. Sub-Contracting of Training Provision

In general, all training is expected to be delivered by IEMA Training Centres and Trainers (with the exception

of universities where registered trainers are not required). If IEMA Training Centres use other non-registered

centres to deliver training, the following requirements must be met:

• IEMA must be notified and reserve the right to reject a Centre

• The centre delivering the training on behalf of the IEMA Training Centre must follow the IEMA Training

Centre policies and procedures.

• All communications and administrative requirements to and from IEMA will go through the IEMA Training

Centre only

• All trainers delivering the course must be approved and registered with IEMA regardless of the Centre

they work for

• Learners attending the course must be made aware that the training is being delivered through the IEMA

Training Centre

• Certificates will remain dual-branded with the IEMA Training Centre only

6. Extension of Course to E-learning/Blended Learning/Applied Learning

If an IEMA Training Centre wishes to extend the provision of their course to an e-learning, blended learning or

applied learning format this will have to go through course approval and thereafter an annual e-learning

charge will be added (see Pricing in Annex 2).

7. Course Delivery Length

IEMA Certified Course Specifications state required Guided Learning Hours (GLH) with a maximum of 8 GLH

allowed per day of training.

A Guided Learning Hour is the contact time required to support learners in achieving the learning outcomes

for the course. Guided learning hours (based on classroom taught courses) includes contact time (excluding

induction), lectures, tutorials and supervised study, one to one tutorials, facilitated workshops, trainer-guided

research, guided homework, group work and the assessment of work-based learning, but not marking of

assignments when the learner is not present. Breaks are excluded from Guided Learning Hours. For other

forms of learning (e.g. e-learning), or in courses where translation is required/learners are studying in a

second language, further Guided Learning Hours than the course specification requires may be needed to

ensure suitable coverage of the course learning outcomes.

Delivery of courses may be split over a reasonable period rather than consecutive days e.g. one day a week

for three weeks, with IEMA approval. Delivery may also need to be adapted/changed due to cultural norms

(e.g. working days, number of working hours may vary in different countries). In requesting approval for this

type of structure, the training Centre must consult with the IEMA to ensure adequate:

• coverage of the course syllabus

• learner continuous assessment

• continuity between teaching days

• control procedures

E-learning/work-based learning courses must also ensure appropriate time-limits are provided for course

completion.

Please also refer to individual IEMA Certified Course Specifications and guidelines as time-limits may be

applicable for specific courses, which, where applicable supersede the Policy Manual.

8. Tailoring Delivery of the Course

IEMA recognise that Training Centres will need to tailor courses for particular clients or learners. Tailoring of

the course is encouraged providing that the learning outcomes of the course are still met. It is recommended

that tailoring of the course is through case studies and case examples. Training courses may go beyond the

minimum requirements set out in the learning outcomes; this should be supported by additional time to deliver

the course and to suit the particular needs of the audience.

9. Certification

IEMA Certificates (with the option of IEMA Training Centre co-branding) must be provided to learners who

successfully complete IEMA Certified courses. These certificates are produced by IEMA with security features

that ensure quality, consistency and recognition. As these certificates are registered with IEMA, they can be

validated/re-issued in the future. For certification charges see the pricing structure in Annex 2.

IEMA certification, whilst not mandatory for IEMA Approved courses is considered a valuable benefit and can

be arranged on request.

Details regarding the Certification Process will be issued to IEMA Training Centres upon approval.

INTERNATIONAL

All IEMA guidelines, application forms and course syllabi are based on UK regulations and requirements and

therefore there may be sections of this that are not applicable or relevant to international delivery.

IEMA are developing further detailed guidance for international delivery but if there are specific queries please

contact IEMA directly.

BRANDING, MARKETING AND COPYRIGHT

All IEMA Training Centres and Trainers must abide by IEMA Training’s Branding Guidelines - see Annex 4.

10. Copyright and Intellectual Property Rights

IEMA is the owner/licensee of all intellectual property rights and copyright related to text and images whether

electronic or other format that has been provided by IEMA (e.g. logos, training course materials and

specifications). These works are protected by copyright laws and treaties around the world. All such rights are

reserved. Use of all IEMA copyright material must be done so in accordance with our guidelines.

CENTRE RESPONSIBILITIES

11. Change in Centre Details and Main Contact

It is the responsibility of the IEMA Training Centre to inform IEMA of any changes in Centre Details (e.g.

address, company name, main contact) as soon as they occur to ensure we have the most up to date

information. Changes should be sent via recorded post or email ([email protected]). Failure to update IEMA

may result in the Centre missing important updates, delays in approval or certification, penalty/administration

charges being applied or Training Centre status being suspended/removed.

If there are personnel changes within the IEMA Training Centre, it is the responsibility of the Centre to carry

out a comprehensive handover with new personnel and ensure they are properly trained to adhere with IEMA

requirements.

12. Data Protection

All Centres must comply with the Data Protection Act 1998.

As an IEMA Training Centre delivering IEMA Certified and/or Approved courses, certain learner information is

required to be submitted to IEMA who may use this data in the following ways:

• Retain a record of the learner’s successful course completion for future reference and validation

purposes if required

• Undertake quality administration in relation to the course and/or qualification for which the learner is

registered including providing the learner with a certificate on successful completion of the course

and/or qualification

• Contact the learner directly in relation to IEMA quality control purposes for the course that the learner

is registered

• Inform the learner of products or services offered by IEMA

• Administer requests of reasonable adjustments where applicable

• Carry out statistical analysis (on an anonymised basis) which may be carried out by IEMA or selected

third parties; and:

• To monitor (on an anonymised basis) equal opportunities relating to ethnicity or disability or other

such monitoring purposes

IEMA Training Centres must ensure that learners are aware of what personal data is being collected and how

it will be used which can be fulfilled through a data protection notice. This notice must be accurate and

compliant with relevant legislation and IEMA requirements.

13. Retention of Documents

All documents must be stored securely and in accordance with the Data Protection Act 1998 and/or other

relevant data protection laws where applicable.

The table below details the minimum retention times for different documentation that an IEMA Training Centre

must meet. All documentation must be available for audit at any time.

14. Safeguarding

Safeguarding applies for IEMA Training Centres that deliver training to children (anyone under 18 years of

age) or vulnerable adults. Vulnerable adults are defined as people aged 18 or over, who are receiving or may

need community care services because of learning, physical or mental disability, age or illness, and who may

or may not be able to take care of him or herself, or unable to protect him or herself against significant harm or

exploitation.

IEMA Registered Trainers who deliver courses wholly or mainly with children, vulnerable or young adults must

have a Disclosure and Barring Service (DBS) Check carried out (formerly called CRB check) and this should

be renewed every 3 years. In addition, the Centre must have effective Safeguarding processes in place.

15. Other Centre Responsibilities towards Learners

IEMA Training Centres are responsible for delivering courses for learners who have registered and paid for a

course with them as well as any related potential liabilities, therefore should ensure that they have relevant

insurance (e.g. Public Liability Insurance) and contingency mechanisms (e.g. back-up Trainers or refund

procedures) in place.

IEMA does not take any responsibility or liability for any learner who has registered with an IEMA Training

Centre.

QUALITY ASSURANCE

16. Annual Quality Assurance Self-Assessment

Annual centre, course and trainer renewal is linked to satisfactory completion and checking of our Quality

Assurance (QA) Self-Assessment form by training centres. The Quality Assurance Self-Assessment forms are

designed to help Centres ensure their Centre and Course policies, materials and training/subject expertise

remain up-to-date and effective and can also be utilised for a Training Centre’s internal quality assurance

check as well. See Section C.

17. Quality Assurance Visits

The purpose of Quality Assurance visits is to carry out observation of teaching and learning and to complete a

check of relevant documentation and records. The frequency of the Quality Assurance Visits will be

determined using a risk-based model taking into account a variety of factors including how long the Centre

has been approved with IEMA, number of courses delivered, course results, feedback and/or complaints,

completion of the self-assessment etc.

For IEMA Training Centres that are based outside the UK, Centres will be asked to video record training

delivery and send this to IEMA for quality assurance purposes.

18. Learner Surveys

IEMA will periodically contact learners who have attended IEMA Certified/Approved courses directly to

ascertain their views on the quality of the courses and training delivery. These surveys will be carried out

electronically or via telephone. The findings of these surveys will be used for continued quality assurance and

may be communicated to IEMA Training Centres where applicable e.g. if used within a complaints

investigation. Please note no learner names or personal details will be used within findings unless permission

has been granted.

19. Complaints

IEMA Training Centres should operate a Complaints Procedure which ensures that any complaints are dealt

with effectively by an independent and objective person/panel (as appropriate), resolved in a timely manner

with all records retained in accordance with the document retention policies.

Learners can also contact IEMA regarding any complaints related to IEMA Training Centres. These will be

investigated through the IEMA Complaints Procedure and/or IEMA Malpractice Policy depending on the

nature of the complaint.

20. Complaints against IEMA Training

IEMA strives to establish and maintain working relationships with both our training partners and subsequent

IEMA learners and we do everything we can to make sure we provide the best possible service.

However, should a need arise we have procedures in place to allow you to complain effectively.

21. Improvement Actions Process

IEMA Training Centres/Trainers may be asked to carry out improvement actions by IEMA in the following

situations:

- A Complaints or Malpractice investigation

- Non-compliances found in Quality Assurance Self-Assessment Form / during Quality Assurance Visits

- Poor course results

- Learner Survey results

- Non-adherence to requirements set out within the IEMA Training Policy Manual (e.g. using non-IEMA

registered trainers, incorrect use of the IEMA logo)

In these situations, the areas of concern will be detailed by IEMA to the Centre/Trainer who will need to

identify and carry out actions to address these.

If it is deemed that a large proportion of time will be required to review improvements, this may incur extra

charges which will be set at the Standard Assessor Day Rate plus related expenses if applicable (see pricing

in Annex 2).

If the results from the above situation are found to be above a certain threshold of severity, a Centre/Trainer

may be suspended or removed from IEMA registration.

22. Suspension or Removal of Centre/Course/Trainer Registration

If an IEMA Training Centre, Course or Trainer is suspended, they cannot advertise or deliver all/specific IEMA

Certified/Approved courses until certain criteria are fulfilled.

If an IEMA Training Centre/Course/Trainer’s Registration is removed, they are not allowed to advertise or

deliver all/specified IEMA Certified/Approved courses at all. In order to regain registration where it has been

removed a Centre or Trainer will have to go through the relevant Approval process as a new application.

Suspension or removal of Centre/Course/Trainer registration can occur due to all the following situations:

- A Complaints or Malpractice investigation

- Non-compliances found in Quality Assurance Self-Assessment Form / during Quality Assurance Visits

- Poor course results

- Learner Survey results

- Non-adherence to requirements set out within the IEMA Training Policy Manual (e.g. using non-IEMA

registered trainers, incorrect use of the IEMA logo)

- Non-completion of Quality Assurance Self-Assessment Forms

- Non-payment of renewal or certification fees within the required timeframe

- Non-completion or poor completion of an IEMA Improvement Plan

Depending on the nature of the issue, IEMA will first try to resolve the matter through improvement plans, but

if the situation is found to be above a certain threshold of severity, a Centre/Course/Trainer may be

suspended or removed from IEMA Training registration.

23. Non-Renewal of IEMA Training Centre/Course

If an IEMA Training Centre does not wish to renew the partnership or a particular course, sufficient notice prior

to the centre renewal date must be provided to ensure the following:

- Learners on existing courses (including e-learning/work-based learning) have the opportunity to complete

the course and re-sit the assessment if required at least once before the centre/course renewal date

- Learners booked on courses starting after the centre/course renewal date are made aware that the

course is no longer an IEMA Certified/Approved course and are provided with the opportunity to cancel

their booking

IEMA certification will not be provided to any learner who completes a course after the centre/course renewal

date has passed (which will be the date of cancellation). The only potential exemptions to this rule are

undergraduate/postgraduate university degree programmes – training centres delivering these courses need

to contact IEMA to discuss arrangements for learners.

IEMA Training Centres must ensure that all IEMA related branding is removed from all promotional materials

following non-renewal of the centre/course.

GENERAL PROCEDURES FOR EXAMINATIONS AND ASSESSMENTS The following guidelines should be followed for all IEMA Certified/Approved courses where applicable. IEMA

Training Centres delivering the Associate Certificate in Environmental Management should refer to the ‘IEMA

Associate Entry Examination: Examination Handbook’.

24. Venue

The IEMA Training Centre should ensure that a suitable venue has been chosen for the examination ensuring

the following:

- Attention has been paid to health, safety and welfare matters such as heating, lighting, ventilation and the

level of extraneous noise

- The seating arrangements are such to prevent candidates from overlooking, intentionally or otherwise,

the work of any other candidates. All candidates should face the same direction and, where possible,

have a separate desk/table of sufficient size to accommodate the examination paper(s).

- All candidates are able to see a reliable clock and a board stating the start and finish times of the

examination

- At least one sign stating ‘Quiet Please – Examination in Progress’ has been placed on the exterior of the

examination room

- The room is clear of any display materials that may be helpful to candidates

- All electronic devices including mobile telephones are switched off (unless allowed in an open-book exam

in which case electronic devices must be switched on silent and not used for communication purposes)

25. Invigilation

Exams must be invigilated at all times with at least one invigilator present for every 20 candidates. Each

learner in the examination room must be in sight of the invigilator at all times. Where only one invigilator is

present he/she must be able to summon assistance easily without disturbing the candidates (e.g. a learner

needing to take a comfort break).

The invigilator should inform learners about relevant health and safety information prior to the examination

e.g. fire exits, assembly points (if this has not been stated already), and that in the event of a fire alarm/drill,

learners must not discuss the contents of their examination paper so that, wherever possible, the examination

can be re-started and that any lost time will be added to the end of the examination.

26. Examination Papers

Examination papers should meet the requirements set out within the specific Course Specification. A

minimum of two different examination papers should be developed to allow for re-sits to take place.

To ensure exam security, candidates should not be allowed to take examination papers away from the venue

with them or take photographs/images of the examination papers.

27. Examination Re-Sits

If a learner fails an assessment, the opportunity to re-sit the assessment should be provided. Re-sits should

be taken at least two weeks after the initial assessment using a different examination paper/assessment

activity to ensure assessment integrity.

28. Assessment Marking and Standardisation

All assessments (examination and coursework) must have related marking scheme(s) developed. In addition,

IEMA Training Centres must have robust processes in place to ensure assessment standardisation e.g.

second independent marking of assessments, periodic meetings checking through a selection of

assessments etc.

Where assessments are carried out in languages other than English and require translation prior to

marking/for quality assurance purposes, the translation needs to accurately reflect the source quality. If the

source language is poor or terminology appears wrong (allowing for inherent differences between the source

language and English), the language must NOT be “improved” as it is important that the English examiner(s)

can accurately see the true standard of the learner’s submission.

29. Timeframes for Marking and Issuing Results

Course assessments must be marked within a suitable timeframe after course completion – it is expected that

courses with simple assessments (e.g. multiple choice) will be marked within one week of course completion

and those with longer assessments (e.g. essay style) within three weeks of course completion (including any

standardisation procedures).

For IEMA Certified courses, as soon as marking is complete, Training Centres must send learner details

regarding certification to IEMA and once certificates are received, post out certificates to learners within two

working days. This will ensure learners receive their results in a timely manner. Learners who have been

unsuccessful should receive their results at the same time as those who have passed.

30. Equal Opportunities & Reasonable Adjustment

IEMA Training Centres must be committed to providing all learners with an equal opportunity to attend and

complete an IEMA Certified/Approved course through effective policies, procedures and systems.

Learners may require reasonable adjustments to be made related to the course and/or assessment for a

number of reasons including:

- a permanent (long-term) or temporary disability or medical condition;

- communication and interaction needs;

- where English is an additional language.

As part of their general responsibilities, Centres should:

- Have robust pre-course procedures which can help:

� decide whether potential learners are capable of meeting the requirements of the course

� identify any specific learner requirements which may affect their ability to successfully

complete the course (with evidence where applicable e.g. medical document)

� discuss requirements with learner(s) and make any required changes (using specialist advice

where necessary) ensuring these are suitable

- Allow reasonable adjustments within the assessment process ensuring that these:

� Do not invalidate the assessment requirements set out in the specification for the course

� Reflect the current needs of the individual learners and, as far as is reasonable possible, their

usual methods of working

� Do not give the learners an unfair advantage compared to learners for whom reasonable

adjustments are not being made

� Maintain the relevance, validity, reliability, comparability and integrity of the assessment

All relevant equal opportunities legislation must be complied with.

31. Special Consideration

Special consideration involves procedures that may result in an adjustment to the marks of learners who have

not been able to demonstrate attainment because of exceptional circumstances during the examination /

assessment itself.

IEMA Training Centres must have procedures in place for Special Consideration which includes requesting,

recording and analysing evidence submitted in support of Special Consideration and recording the decision

made. The maximum allowance should be no more than 5% of the total raw marks available in the

assessment.

32. Appeals

All learners on an IEMA Certified or Approved course have the right to enquire about their result and appeal

against the outcome of that enquiry. The IEMA Training Centre must have in place, policies to deal with result

enquiries and appeals thoroughly and fairly.

33. Malpractice

Any attempt to gain unfair advantage in an examination/assessment for oneself or for another constitutes

malpractice, as does any infringement of examination rules. Examples of malpractice include:

- two or more candidates collaborating to answer the examination questions;

- an invigilator or trainer revealing the questions in an examination to candidates before the time of the

examination.

- plagiarism, which is defined by the Oxford English Dictionary as ‘the practice of taking someone else’s

work or ideas and passing them off as your own’. Examples of plagiarism include:

� copying or paraphrasing very closely another candidate’s work in an examination

� copying or paraphrasing very closely, statistics, diagrams, facts or text from any source (e.g.

internet, books, lectures, tutorials, videos) without crediting where the information has come

from

All IEMA Training Centres must have policies/procedures in place to deal with malpractice within IEMA

Certified/Approved courses. Where a trainer or invigilator is involved in malpractice, the IEMA Training Centre

must report this to the Learning Manager at IEMA Training for investigation and resolution.

IEMA will investigate every suspected case of malpractice where this relates to an IEMA Training Centre

and/or its trainers. Should an IEMA Training Centre fail to co-operate with investigations, IEMA may suspend

the Centre’s approval.

Where malpractice is proven, IEMA may disqualify a trainer for delivering IEMA Certified/Approved courses or

terminate the contract with the Training Centre.

Anyone found by IEMA to be guilty of malpractice may appeal against the outcome following the IEMA

Appeals Policy.

5. IEMA Certification

Certification applies to all IEMA Certified courses. All learners completing an IEMA Certified Course will be

issued with a uniquely identified Certificate. All Certificates are personalised and can be dual branded.

6. IEMA Training Website

The IEMA website is a public facing tool to promote IEMA Certified and IEMA Approved courses to both

existing IEMA Members and Non-Members. This site has been designed to recognise the partnerships we

have with our Training Partners as Training Centres.

Training Centres are encouraged to use this facility to promote and market your course dates.

7. Improper Use the Branding

• Use of the logo where only non-IEMA approved courses are advertised by an IEMA Training Centre

• No distinction between IEMA Certified/Approved and Non-Approved courses in promotional material,

potentially misleading to learners selecting courses

• Positioning the logo in such a way as to infer that non-IEMA Certified/Approved courses are IEMA

Certified/Approved

• Sizing the logo to dominate the entire advertisement; the IEMA Training Centre logo should be at

least 25% smaller than the Centre’s company logo

8. Permitted Wording

The wording that IEMA Training Centres may use in the advertisement or promotion of IEMA

Certified/Approved Courses is set out below. Please note that IEMA Training Centres may not use IEMA

Assessment Reports either to take extracts from, or as a whole, for promotional purposes.

IEMA Training Centres must only use the wording set out below when advertising or promoting their courses.

Failure to adhere to this may result in the suspension or withdrawal of IEMA Training Centre approval. The

courses must be listed as follows:

‘IEMA Certified/Approved [IEMA Course Title] ([Country of Delivery])’

Only the specific IEMA Certified Course Title may be used (except for IEMA Approved Courses, as deemed

appropriate by IEMA, which will have the wording approved prior to approval). Examples of acceptable

wording:

A Lead Environmental Auditor Course being delivered in Hong Kong would be advertised as:

9. Misuse of the IEMA Logos

The IEMA Training Centre is required to exercise proper control over its use of the IEMA name and logo, in

accordance with these guidelines. Incorrect references to IEMA approval of a course or misleading

statements found in advertisements, catalogues, certificates and on websites serve to undermine the

reputation of IEMA. IEMA actions in such circumstances include corrective action, withdrawal of

Centre/Course registration and, if necessary, legal action. Persistent misuse will result in the Training

Centre’s status being suspended or removed.

The logo should be used in such a way that it is clear which course(s) being delivered has been

Approved/Certified by IEMA and no other courses, products, activities or services. If potential misuse of the

IEMA name or logo is identified, IEMA should be contacted so that appropriate action can be taken. In this

instance, IEMA will contact the organisation concerned and set out the corrective actions required and specify

timeframes for this to be corrected.

ANNEX 6: IEMA CODE OF PRACTICE

As a condition for admittance to membership of IEMA, individual members

are required to declare a commitment to the IEMA Code of Practice. IEMA reserves the right to withdraw membership of any signatories whose actions
