We’re here to help.Your LifeWorks account manager and communication consultant are here to help you plan a communication strategy that builds participation in the LifeWorks health program as a key element in your organization’s health and wellness initiatives. Our goal is the same as yours: to ensure that your organization gets the full value of the program by building awareness and use. We’ll supply you with communication tools for the program’s launch, annual reminder pieces and ongoing promotion pieces to help you keep the program visible to your employees/members and to motivate them to use it.

This guide is designed to help you in your role as the communication point person for the program in your organization. It will help you think about the messages that are likely to resonate with your employees/members, the communication channels and tools available to reach them and ways to link messages about the health program with communication about other health and wellness initiatives to build interest and enthusiasm.

Know the program.To effectively communicate the health program, you’ll want to become familiar with it and the ways it can help employees and benefit your organization.

Skilled health coaches Our health coaches have expertise in nutrition, fitness, exercise, stress, heart health and tobacco addiction and the consultation skills to motivate participants to change behavior. Coaches work with participants to understand what has worked and not worked when making health behavior changes in the past. They help participants set attainable health goals and guide them through the steps to reach those goals.

Telephone and online access to health coaching Health coaching is accessible by phone or online. Participants can use the toll-free number to call and schedule a telephone consultation with a health coach, or register online for telephone consultations. Participants can also choose an online coaching program, which includes reading, interactive exercises and online access to health coaches for questions, support and encouragement.

Healthy change kitsPrograms for weight, fitness and nutrition management; tobacco cessation; heart health and stress management each include a special kit with a workbook and other motivational tools (such as a pedometer, stress ball, quit putty or measuring tape).

Online information and tools Through www.lifeworks.com, participants have online access to educational articles, interactive tools and trackers.

On-site and online seminarsContact your account manager to find out about and schedule Ceridian’s health seminars for your employees.

A culture of wellness.

Build a culture of wellness.LifeWorks health coaching programs get the most use, have the greatest success rates and make the biggest impact when implemented and promoted as part of a larger health and wellness initiative.

Successful health and wellness initiatives aim to build a culture of wellness, where healthy eating and regular exercise are the norm, and where efforts to quit smoking and change unhealthy behaviors are supported and encouraged. Successful health and wellness initiatives are visibly supported from the top of the organization and are promoted by “champions” at all levels. Here are some steps to consider as you strive to get the greatest possible return from your health and wellness initiatives.

Get high-level supportHave top leaders send regular messages to employees explaining the importance of health initiatives and encouraging participation. Get the message across that employee participation matters to the organization.

Form a steering groupIdentify champions of healthy change at different levels of the organization and different functional areas and form them into a steering committee. The steering group’s purpose is to advise on key decisions, generate ideas for building participation and play an active role in program promotion.

Appoint a health coordinator Assign responsibility for coordination of health programs to a single person with the motivation, skills and time to manage communication, schedule meetings for the steering group and follow up on steering group recommendations.

Link separate programs into a larger health and wellness campaign. A culture of wellness grows out of many separate efforts combined to form a more visible campaign. Elements in a comprehensive health and wellness initiative might include, in addition to health coaching:

Talk with your account manager and communication consultant about how Ceridian can contribute to a communication campaign promoting a culture of wellness.

• Healthy meal options in worksite cafeterias

• Discounts to fitness facilities

• Access to exercise facilities at work

• Encouragement of healthy group activities, such as walking groups and sports teams

• On-site or online seminars offering health education and motivation

• No-tobacco policies

• Community gardening at or near work

• Weight-loss initiatives, with team competitions

• Incentives that encourage healthy behaviors

• Encouragement of bicycle commuting

Participation.

Drive participation with assessments, outreach and incentives.

AssessmentsMany organizations drive participation in health coaching by pairing it with a health risk assessment (HRA), life health assessment (LHA) and/or biometric screenings. These health assessments give employees a report on their health, which can often serve as a wake-up call to take action and change health behaviors.

The health assessments ask for information from the employee and use it to generate a personalized health report, indentifying areas of concern. Biometric screenings accomplish the same thing with actual medical tests and measurements. Information from any of the assessments can be used to identify at-risk employees to target for proactive health outreach, encouraging or requiring participation in health coaching.

OutreachResults of health asessments and biometric screenings can be used to trigger outreach and engagement efforts. These are proactive contacts with at-risk employees/members to encourage particpication in health coaching. Outreach can be done by mail, phone, e-mail or using a combination of approaches.

Incentives Incentives can be another effective driver of health program participation. These include incentive management programs that offer rewards for different levels of participation and discounts on insurance premiums for healthy employees and for employees who take steps to improve their health. Without incentives, organizations can generally expect to see less than 20 percent participation in a health assessment, and less than 2 percent participation in health coaching programs. Moderate incentives can double or triple those participation rates, and high incentives can get health assessment participation over 60 percent and health coaching participation rates over 10 percent.

LifeWorks online (www.LifeWorks.com) The home page of LifeWorks Online offers a number of awareness-building opportunities. “This month’s feature” is used to post an online version of the monthly flyers/ e-reminders we send you. A series of rotating messages can be customized to feature aspects of the program of special interest to your organization and employees. Employees can also sign up for monthly newsletters, which provide additional tips and reminders for healthy behavior.

Flyers/e-remindersPromotional flyers/e-reminders are sent to you monthly in electronic form for you to distribute to employees by e-mail or in hard copy. Additional topical flyers/e-reminders are available to promote any aspect of the program of special interest to your organization or your employees. Understand your audience and your organization’s communication channels.Ceridian’s communication tools are created to appeal to a diverse audience and to feature the most valuable and appealing aspects of the program. They are also designed to work with the most common communication channels. That’s based on our experience across a wide range of organizations.

Your employees/members may have some unique characteristics and needs or present special communication challenges. You may have employees/members who are hard to reach by e-mail, for example. You may have people who are on the road or in manufacturing plants, or people with poor reading or English-language skills. Your employees may be dispersed in small offices or working in customers’ offices.

Your account manager can help you create a communication plan to reach all of your employees with messages that highlight those features of the program that will be most valuable to each of them.

Here are some things to consider as you develop and refine your communication plan:

How broad is awareness of the program now? You may know through employee surveys or from anecdotal evidence that awareness is strong among some employee groups but not others.

How might you reach under-aware populations with different kinds of messages and different communication vehicles?

Are in-person presentations important in reaching some groups?

Is there a way to reach employees at home, to let other family members know about the program?

Who do employees pay attention to and trust? Can you get help from those people in building program awareness?

Who in your organization is skilled at crafting messages and creative in using different communication channels? Can you get help from those people in coming up with new communication tactics?

Given the flood of information employees deal with, how might you make your messages stand out?

Are some employees reluctant to use the program because it involves asking for help from a stranger? Are there ways you might make that initial contact more appealing by sharing stories of people who have used the program with positive results?

Do employees know about the program but have a limited understanding of the many ways it can be helpful? How might you change those perceptions so employees see all of the ways in which the program can be valuable?

Which aspects of the program will be of most interest to different groups of employees? The fact that it is free? That it is confidential? That it has a proven record of success in working with thousands of participants? That it is easy to access? That the health coach will tailor the program to each participant’s goals and needs? That there are incentives for participation (if that is the case)?

We encourage you to schedule time with them to discuss any unique communication challenges at your organization.
