Abstract:
The EuCARD project has been using various databases to store scientific and contractual
information, as well as working documents. This report documents the methods used during
the life of the project and the strategy chosen to archive the technical and administrative
material after the project completion. Special care is given to provide easy and open access for
the foreground produced, especially for the EuCARD-2 community at large, including its
network partners worldwide.

1. EXECUTIVE SUMMARY
The scope of the deliverable is to be in line with the project website. Therefore this
deliverable documents where and how the technical and administrative documents relevant
for the Work Package are archived and how the know-how will be taken over by EuCARD-2.
The document is structured around the main tools used during the project: Public website,
Intranet, EDMS, CDS and the new EuCARD-2 project website.
2. INTRODUCTION
During the course of the project the scope of the deliverable is to be in line with the project
website. The HFM website has become a subset of the public website and the Intranet
collaborative workspace.
3. EUCARD TECHNICAL AND ADMINISTRATIVE DATABASES
The EuCARD project and its work packages have been using web pages, shared workspaces,
as well as information depositories available at CERN for the management of project
information and publications.
3.1. PUBLIC EUCARD WEBSITE
The list of the deliverables and reports of the HFM Work Package has been made available 1)
under the About EuCARD/ Results tab and also 2) on the public HFM website: Accelerator
R&D/ Magnets. The EuCARD website will be archived with the end of the project and the
domain will be redirected to the EuCARD-2 website. See Section 4.1.

3.2. INTRANET
The Intranet is a password-protected collaborative workspace available to all EuCARD
members. It allows the coordination office to disseminate information, and also allows
members to contribute to the site via discussion lists per work package. The Intranet has been
the main entry point for the deliverables and milestones of the work package, as well as the
WP events, announcements.

3.3. EDMS
All contractual information (periodic and interim reports, deliverable reports, milestone
reports where relevant) are collected and archived by WP in the database of CERN EDMS
(http://cern.ch/edms) under the category of EuCARD. EDMS stands for Electronic Data
Management System. It is the standard CERN management tool for project-oriented
information. It allows document versioning and several other project management
instruments.

3.4. CDS
The publications are collected and archived by WP in the database of CERN CDS
(http://cern.ch/cds ), widely used by the HEP and accelerator community, under the category
of EuCARD. The CERN Document Server contains all collections of publications (books,
conference papers, academic dissertations, notes, presentation, journal publication, scientific
reports) that are made available to search engines at CERN and worldwide.

4. STRATEGY FOR TRANSMISSION OF THE EUCARD FOREGROUND AND LEGACY
The strategy foreseen takes best advantage of the EuCARD-2 project, which will be the main
client for EuCARD information and from the sustainability of the databases that have been
used during the project lifetime.
4.1. TRANSMISSION OF THE WEB SITE
To enhance synergies between the EuCARD and the follow-up project, EuCARD-2, the
results of the EuCARD project are now seamlessly integrated with the new EuCARD-2
website1.

In case of the HFM work package, the know-how is preserved (including technical reports)
under WP10 Future Magnets2 in EuCARD-2.

The EuCARD website will be archived with the end of the project and visitors of the
EuCARD domain will be redirected to the EuCARD-2 website. The results of the project will
be further accessible under “EuCARD” tab on the EuCARD-2 website. A brief summary will
be visible on the most important results and know-how taken from EuCARD, additionally for
more information the EuCARD website will be available under http://cern.ch/eucard-old.

4.2. EUCARD HFM INTRANET
This workspace will be kept alive for another ~2 years until Fresca2 has been completed.
4.3. EDMS
The EuCARD Steering Committee agreed to transfer the contractual information stored in
EDMS to CDS.
4.4. CDS
All the EuCARD collections as well as the information transferred from EDMS (contractual
reports to the European Commission) will remain alive in the CDS repository and accessible
via the librarian search engines to the HEP and accelerator community and beyond.
5. CONCLUSIONS
The EuCARD project selected standard instruments for data handling. Some customization
(CDS) had been requested and carried out to fulfil requirements specific to EC projects and
reviewing strategies. They are presently used by other EC projects coordinated by CERN.
EuCARD-2 intends to follow the same data handling. The transmission of the EuCARD
legacy is thus straightforward and guarantees a sustainable access by the public to the project
results and by the experts to the working documents.
