How to make an exchangeprogram proposal?

• Once you have received confirmation from Barbara

Dergent or Suzanne Steijleman that you have been

nominated for your destination and you have received

more information form the university itself with details

on available courses

• If you applied for a scholarship/grant and your deadline

is earlier, you can base yourself on the information on

your destination in our tool and compose a programme

using that information

When to start

1. Go to the online Erasmus application tool and select the correct

file under "My dossiers": it starts with 'Registration on…' . Then

in the menu on the left, select "Program Proposal“

2. Select all the courses you will take during academic year 20-21

(1st + 2nd semester) and save

3. Select “Exchange program” in the menu on the left

4. Match foreign courses to your KU Leuven courses: use correct

course name + add info on the course + add link to all the

available courses abroad

5. If you filled out the information for all courses, submit your

proposed exchange program.

For each course please provide a course description either via Url or description in

pdf of word. When you’re done filling out all the required fields for a course, click on

“Save”. Important to doublecheck what you input as this will be used to enter your

courses and corresponding grades later.

When you’re done, click on “Submit Exchange

Program”. A pop-up confirmation screen will

appear. The moment you click “OK”, you will not be

able to change anything anymore yourself, as it will

be submitted for review to your program advisor.

• Total KU Leuven ECTS ≤ foreign ECTS (always! – max 2 ECTS

difference)

• Credits per course can differ (see examples in next slides)

• For an exchange semester 30 ECTS is advised

but min. 24 ECTS and max. 36 ECTS is possible

• Courses you failed this year cannot be a part of your exchange

programme.

• You can only exchange first semester obligatory courses but first

and second semester optional courses are also allowed. (For an

exception contact me)

the course abroad again. Then you need to retake the

Learning Agreement (LA) + possible changes to your LA

• After your exchange program has been approved by the

program director you can download your LA from the home

page in the tool and have it signed at your host university +

upload it in the tool.

• Once you are at your host university, you can only make

changes to your program in case of force majeure (e.g. time

overlap of lectures or exams; cancelled class) and these

changes should be reported immediately to your program

advisor and evidenced by an official email from the host

university. You also need to download the a new LA and

have it signed by the host university and upload it in the tool.

What not to ask…

• I’m going on an exchange to France to improve my French

but I can only find French courses, are there English

courses available?

• I want to take the major Marketing at KU Leuven but I’m

interested in the Supply Chain Management course there,

can I still take the major Marketing?

• I sent you an email yesterday and I haven’t gotten an

answer yet.

• Once you receive your exam results from your host

university, you should upload them in the Erasmus

tool.

• The conversion of your exam results abroad will be

done when we receive the official transcript of

records from all of our students who are at the

same destination. Conversion table is available on

our website. When your results can be seen in KU

Loket will depend on the date when we receive the

official results from the host university.
