Introduction

Organizations today depend on their enterprise information now more than ever in order to drive smarter business decisions, increase profitability, and maintain their competitive edge. This information has become an organization’s most valuable asset, but it can also pose considerable risk.

Often companies rely on many disparate and legacy information management and governance (IM&G) solutions that inherently create silos of data across the enterprise. It also limits access and visibility to fully manage and extract its value. Lacking a set of integrated applications, information is further siloed. It also reduces efficiency and increases costs with separate data repositories and user interfaces that expand the storage footprint with significant data duplication. It also requires physical movement of data across non-integrated applications and forces users to access multiple systems to manage information.

In this age of Big Data, the volume, variety, and velocity of information are eclipsing the ability for current information management and governance systems to effectively and efficiently scale to address IT, legal, and compliance requirements. Organizations are increasingly adopting cloud-based solutions but many do not offer a global cloud presence that supports local data sovereignty requirements and limits the full benefits of the cloud.

In this new era of data, a new enterprise information management and governance strategy is needed to meet changing business demands, mitigate increasing risk, and control skyrocketing costs. Core to this strategy is a unified information management and governance solution that can proactively manage, control, and derive greater value from enterprise data.

Unified information management and governance framework

To take on these mounting data management challenges, Hewlett Packard Enterprise has introduced a next-generation software as a service (SaaS)-based enterprise information management and governance framework—HPE Verity. The framework comes with a common unified architecture, which integrates information management and governance applications across the enterprise. Thus, organizations can access, govern, search, and manage, centrally as well as virtually, any data source with greater functionality, efficiency, and deeper business insights.

The Verity framework is a next-generation solution that is purpose-built for the cloud. It is a departure from typical point solutions as the data itself is within the core of the framework. This means that the data is not moved around from application to application, but instead it is made available and leveraged for virtually any use case throughout its lifecycle. An array of information management and governance applications including archiving, early case assessment, legacy data cleanup and optimization, endpoint protection, and file sync and share are integrated within a common unified framework of shared services and automation. It also includes analytics, search, user interface, and storage provisioning to manage and extract value from enterprise data.

HPE Verity Information Archiving, built on the next-generation HPE Verity enterprise information management and governance framework, delivers premium, compliance-oriented content archiving and analytics in an approachable, cloud-based environment.

Rather than separate analytics-based applications, Verity offers native, in-place actionable analytics, and insights that are made available directly within the entire framework to any application and across all data. The line of business users can now leverage analytics specific to their job functions.

All this is done within a scalable, high-performance cloud environment with the latest security, which can be deployed globally across a variety of cost-effective public or private cloud infrastructures, including Amazon Web Services (AWS), HPE Helion, and other OpenStack® partners. With a global cloud presence, organizations are no longer constrained by local and regional data sovereignty requirements.

Our SaaS-based approach untethers small organizations to large enterprises from the mechanics of managing and governing data. Hewlett Packard Enterprise also gives them the analytic tools and applications to turn normally dormant information into valuable context to users and job function.

Automated, adaptive data capture and processing

Supporting comprehensive end-to-end information lifecycle management requires the ability to access and manage a wide range of data types from many sources. HPE Verity Information Archiving is able to capture and archive virtually all data formats across enterprise repositories, including email, files, social media, structured data, and audio.

Policy-driven lifecycle automation allows policies to be applied to enterprise information in a uniform manner in accordance with governance requirements while minimizing administrative tasks. Data handling rules, triggers and event-driven processes, and in-place processing provide greater agility in protecting and interrogating data. Upon capture, information undergoes enhanced metadata enrichment and tagging to support analytics and downstream governance, legal, and regulatory use cases. With metadata enrichment, you can discretely classify and take action on information based on relevant policies.

Enhancing the business value of data in context

Often data assets within an organization go left untouched because of their overwhelming volume and variety. Even worse, a large percentage of this information is completely unknown dark data that potentially poses a significant risk to an organization.

Some estimates show that as much as 30 percent7 of an organization’s information is redundant, outdated, or trivial (ROT) and around 50 percent of data has an indeterminate value. Many companies simply are not taking advantage of their information because they lack the technology and systems to expose the value within their data via analytics. According to Gartner, enterprises are only leveraging 25 percent of their unstructured data for insights or decision-making, while knowledge workers spend 26 percent of their time searching, consolidating, and analyzing information.

Improve insight with analytics

Verity Information Archiving addresses these long time data management and governance challenges with in-place Big Data analytics that can leverage data, in context, where it is needed most—in the hands of business users. Analytics and visualizations are deeply integrated and they play an interactive role in the application workflow. Rather than a purely visual graphical output, the analytics and visualizations provide a new dimension in better understanding business information and identifying key trends with a more productive and efficient user experience. Detailed visual dashboards provide clear insight to discover, classify, ingest, store, and manage content for retention, search, and retrieval.

Reduce legal risk

Legal teams looking to identify critical responsive data with improved accuracy and efficiency can easily take advantage of the built-in analytics. The legal department can gain a better understanding of information, its importance to the matter, and clearer insight to the actors involved. Social graphs help categorize and visualize entity relationships while improving identification of responsive data. Legal hold metrics provide detail into legal obligations and root-cause analysis. Costs can be more closely controlled by mitigating over-preservation, reducing data volumes to be reviewed, and repurposing work product across other similar matters.

Focus on the data that matters

The IT department can also take advantage of archiving analytics with increased visibility into the management of data, storage, and surrounding services while reducing administration efforts. The Verity framework also supports IT modernization strategies around cloud migrations, application retirement, data remediation, and infrastructure consolidation. With file analysis and data remediation, organizations can proactively identify ROT and other sensitive data to reduce the data footprint and shine a light on dark data that hide potential risk.

Efficient, self-service implementation

Business agility has become an important priority as organizations seek to maintain profitability and a competitive advantage. Sinking large capital investments in hardware, storage, and infrastructure, while allocating large resources to maintain the mechanics of a solution are no longer viable options for those running a lean, efficient business engine.

Verity Information Archiving brings a new self-service approach that allows organizations to rapidly deploy and provision the solution with a streamlined setup process. Where typical data management solutions require weeks or months of implementation, users can be up and running in hours.

In just a few steps, you setup the capture for most enterprise data sources such as email, files, social media, and other data formats or you can bring your own data and easily drag and drop your enterprise information into the archive. Automated storage provisioning with elastic, scalable resourcing helps keep your IT team focused on your data assets rather than on administrative tasks. A pay-as-you-go metered usage model reduces up-front investment and scales to your business needs on demand while delivering more value at lower total cost of ownership (TCO).

Leverage a global cloud infrastructure

In this global economy, it is critical that companies are able to manage, control, and gain insight into their information irrespective of where the business is taking place. Unfortunately, there are many regional and local data sovereignty laws that create significant challenges for leveraging the cloud for information management and governance including archiving. There are scenarios where information must stay within the borders of a country or where information may not reside in certain regions around the world.

Today’s cloud vendors may be able to tackle some of these requirements in a single region, but struggle to provide effective, seamless service across more than a few regions. Verity Information Archiving breaks away from the typical siloed service offerings with a solution that can be flexibly deployed across the globe on a variety of economical cloud infrastructures including AWS, HPE Helion, and other OpenStack partners. This unprecedented global presence with 35 cloud locations across five continents helps organizations meet local corporate and compliance requirements with virtually no geographical limitations.
