By Aimee Adams, Payroll Administrator We are excited to announce some changes to our payroll software, that will allow for Friday availability of direct deposit funds, in the coming months! We are transitioning our payroll to a new payroll provider, APS, to make this important change and to provide other exciting options to employees such as online employee access to w2s, paystubs and more. Making this change must be done in a series of steps, starting with changing our current work week and payroll schedule. Because first class letters take 2-3 business days to deliver within the state, changing the work week and postmark deadline dates will pave the way for direct deposit to be available on Fridays. Our work week will run from Saturday - Friday (replacing the current Sunday -Saturday), with a required postmark date of Saturday each week (or dropped off by 9:00 a.m. on Monday of each week). The new work week will take effect on 03/10/18. Paycheck date 03/16/18 will pay Sunday, 02/25/18 – Friday, 03/09/18 and paycheck date 3/30/18 will pay Saturday, 03/10/18 – Friday, 03/23/18. This impacts those of you working Saturday hours (Friday overnights included) for 03/16’s paycheck only. For week ending, Friday, 03/16/18 (the pay week of Saturday, 03/10/18 Friday, 03/16/18), your paperwork must be postmarked on or before Saturday, 03/17/18. As soon as we complete the transition from our current payroll software to APS software this summer, we will be able to meet the goal of Friday availability of direct deposit funds and will notify you of our new direct deposit schedule! Thank you to all of you who have been patiently waiting for this change. I will be mailing each staff member a copy of the announcement changes, along with a revised time sheet and updated pay week schedule reflecting the pay week schedule of Saturdays – Fridays. Important Payroll Announcement –

Exciting Changes to Come!

We are excited to announce some changes to our payroll software, that will allow for Friday availability of direct deposit funds, in the coming months! Aspire: Brenda has been working as a Behavioral Health Professional and Community Support Worker for Aspire Behavioral Health and Counseling since November of 2016. Her many years of experience in the behavioral health field is displayed by the confidence that she portrays in all she does for her clients and her peers. She is an active participant in group supervision and provides assistance and feedback to her peers while showcasing her positive can-do attitude. “I find the work that I do with clients is very rewarding! I joined the Mental Health team at Aspire Behavioral Health in December of 2017 as a Clinician.

I have a BA in Criminal Justice from Franklin Pierce University and a Master’s in Social Work from the University of New England. I have many years of experience as a clinical social worker in both home and community treatment. I most recently come from my position as a violence prevention educator with Sexual Assault Prevention & Response Services. I am excited to be here with Aspire Behavioral Health and look forward to growing our programs and serving the consumers in our communities. Thanks to everyone for such a warm welcome!

Shannon Rosato ~ Staffing Coordinator

I joined Home, Hope and Healing in November of 2017 as the new staffing coordinator for the Northern Region. I’m excited to join the Scheduling Team and work with all the wonderful staff and clients. I recently came from Maine General Health Care as a PSR. Before that I owned my own pet grooming business for 11 years and loved every minute. I went to college at KVCC and got my Associate degree in Business Administration. I am a huge animal lover and love spending my time outside as much as possible gardening, hiking and walking with my dogs.

I recently joined the Aspire Behavioral Health in December as a Behavioral Health specialist coordinator was truly blessed and thankful for the opportunity. I look forward to being part of a company that makes an impact in the community and families. I recently moved up from Long Island, New York where I am originally from. I come from a back-ground working in medical and dance. I graduated from the Hartford Conservatory in 2003 as a double major in Dance Performance and Dance Pedagogy. My hobbies include spending time with my dogs, family, friends, dance, sports, reading and cooking.

Nicole has been working as a CSW for Aspire Behavioral Health since October of 2017. She is flexible with her schedule and provides activities that interest her client and allows goals to be worked on while providing the family with an understanding the client’s goals.

January:

Misty began working as a Community Support Worker for Aspire Behavioral Health in November of 2017. She is very professional when working with her families and clients. She seeks out activities and methods to make her work with her client interesting and uses her free time to enhance her skills and knowledge about the work she does.

With a plan modification to include a great company match in 2018, there is no better time than now to participate in the HHH 401(k) plan or to increase your participation!

On the first day of a calendar quarter (January 1st , April 1st, July 1st, October 1st), current 401(k) plan participants can make modifications to deferral elections, newly eligible participants can finally enroll, and anyone who previously was eligible to enroll but never did can enroll on the quarter! The next 401(k) quarterly entry date is April 1, 2018. The deadline for changes or enrollments to be sent to HR is 3/27/18 so that it can be sent in time for the first paycheck date in April.

If you are currently participating please notify Linda Milligan at [email protected] if you’d like to receive an Employee Information Change Form to change your deferral amounts. Staff who have attained one year of service, and 1,000 hours, and attainment of age 21 as of the 1st quarter of this year will be mailed an enrollment packet and an invitation to participate in the Home, Hope and Healing Retirement Plan. And, if you previously became eligible to participate but waived participation, now is your chance to enroll – contact Linda HR for updated enrollment materials.

IMPORTANT BENEFIT REMINDER: regardless of whether or not you are eligible to participate in the retirement plan right now, all of our staff can still take advantage of a free consultation meeting with Michael Rodrigue, of Roderigue Financial Services to assist you with navigating options for rollovers from prior retirement plans, discuss options when you are eligible to enroll in our plan or help walk you through the enrollment packet. Many of you may be aware or you participated in our annual skills fair. This year we provided a questionnaire which you filled out at the fair or mailed in with your training.

We have audited the first question which was: “You picked our agency to work for—Can you tell us what inspired you about the agency?”... There were 72 different answers, some were duplicates such as “it is run by two RNs”. or “the opportunity to work 1 on 1 with the client”.

Great reports form other employees regarding this agency. This is a small sampling:

1. I worked for HHH from 2006-2009 and loved working for this company. I returned in 2017 knowing I would be proud to work for HHH in the area of nursing.

2. I was previously employed with the agency, much appreciation for the agency’s actions and integrity.

3. The constant changing and progression into different areas.

4. The attributes & philosophy and goals of the agency.

5. Ability to work with kids and especially the special circumstance nursing.

6. This company walks the walk and talks the talk.

7. Seems like a family business and more personal than a bigger agency. Really stepped up for me when I had an issue with the job.

8. Maine owned.

9. I love the agency like family and I love working with children.

10. Honest to goodness true caring, huge heart, down to earth. Truly care about their client’s and staff. Amazing agency.

Thank you for all who participated we will be reviewing all of the questions but wanted to give you some feed back to this particular one.

I will be coming to visit various homes in the future to introduce myself as an owner and to meet new families and nurses. Let me know if you would like to have lunch sometime. In this update, we’ll highlight a few key areas with Physician Orders.

Complete Demographic and Physician Info: Please remember to be thorough and complete all lines of the client and physician info areas on the order form.

Pharmacy Rx Numbers: Orders that are transcribed from a pharmacy label and include the script number do not need to be sent to the physician for signature. This has proven to be supportive in reducing output to already busy physician office environments. It certainly is appreciated when

applicable!

Signature Lines: All signatures should be legible and include your first name, last name and discipline.

Note: In cases where a physician signature is required, we have 30 days from the date you sign the order to obtain. Thanks in advance for sending orders to us in a timely manner!

Remember the Quality of everything we do reflects not only on each of us but also on Home, Hope

and Healing and Aspire Behavioral Health and Counseling.

Scheduling Reminder:

*This is a friendly reminder of why it is important to please communicate all schedule changes with your Staffing Coordinator:

If a Staffing Coordinator is not notified of a change that you made in your schedule or if we are notified after you have already worked the changed schedule, then Maine Care rules do not allow us to bill for those changes. Schedules are checked with actual hours worked and if there are any discrepancies, we cannot bill for those changed hours. Maine Care mandates the agency to have “Prior Authorization” for any and all changes, and so they will not authorize additional hours - or changes - in the schedules retroactively. Therefore, please understand that the agency will not be able to be paid for a change that you made in your schedule, even a small change, without us getting prior authorization from Maine Care. We have implemented a new computer software system which will help the Scheduling Office and other offices to be more efficient in our work. It will be especially important in this transition that any type of shift or time change is reported to the office so that there are no discrepancies on your timesheets or on the calendar in our system. Please remember we can only bill out in 15-minute increments! Thank you!

Smithfield Building Addition Update!!

As was announced in our last Newsletter, we are making an addition to our Admin.

Building so we can finally have all our office staff in one building! So far we

have it framed in, the roof is on, we’re in the process of replacing siding/the roof on the existing building, and rooms are

being framed in—And it’s looking like we will be moved in in just a few short

months! (See pictures below!)

For Christmas 2017, the staff of Home, Hope & Healing and Aspire BHC participated in “Families for Christmas” through

the Smithfield Town Office. We gathered over

35 different presents that were on local

children’s Christmas list’s to help families in need!
