HISTORY OF THE COMPANY

Roots Industries India Limited at Coimbatore was promoted by Mr.K.Ramasamy , a

Master Degree Holder in Automobile Engineering from Lincoln Technical Institute, USA. He

established his reputation as a designer, inventor and innovator. Roots have been a dominant

player for the last 10 years in India. The Auto products has 60% of replacement market.

Roots are the first horn manufacturer to get ISI Approval for its horns. They are the first

horn company to get ISO/TS 16949, QS 9000 and VDA 6.1 Certification. Since its establishment

in 1970, Roots had a vision and commitment to produce and deliver quality products adhering to

International Standards. With a strong innovative base and commitment to quality, Roots

Industries India Ltd has occupied a key position in both international and domestic markets as

Roots single minded pursuit of enhancing the quality of life has led to many other

SCOPE OF THE STUDY

The organization study at Roots Industries India Limited aims at getting accustomed to

the business environment for a period of one month. The study was conducted to understand the

structure, function and process of various departments and their interdependence.

Roots Cast Private Limited was established in 1984 to meet the captive requirements of

the Roots group. With its ever probing eye on the needs of the market, the company in the late

80s expanded its operations to manufacturer high pressure die cast aluminum and zinc

components to the exacting needs of various customers in automobile and textile industries with

a high degree of quality and perfection. RCPL, now has established itself as a major player in the

die cast component manufacturing. The expertise built the core activities like tool design, tool

making and pressure die cast component manufacturing.

There were difficulties in obtaining data from executives and managers due to their busy

work schedule.

An in-depth study of the company could not be carried out due to shortage of time.

The reliability of study largely depends upon the information given by the company

executives.

FINANCE DEPARTMENT

Finance is the blood of every business. Finance is that activities which is concerned with

acquisition and conversion of capital funds in meeting the financial needs and overall objectives

of business enterprises. The main function of finance department is referred to the process of

raising the funds and utilities of funds or provides finance to various departments as per the

requirements.

A finance department is the heart of the company. Finance is required as day to day

affairs of the concern. Any business cannot be started without finance. Maintaining of accounts

and finance is important and risky affair. This department has overall responsibility for financial

department all purchases and sales activated are connected with the new techniques in preparing

new accounts. In this department all the activities like finance, accounts and secretarial functions

are carried out. The finance department is working efficiently in the concern. The records

maintained in the company are cash book, petty cash book, bills receivable book, bills payable

book, pass book and other general books.

Roots Industries deals with almost advanced banks. So that they can take loans like short

term or long term, whenever they face immediate finance. If they want to raise immediate funds,

they receive letter of invitation from every banks regarding the terms and conditions of loans, so

To purchase raw materials, components, salary to staffs, payment to creditors, payment

of taxes for the funds are maintained.

Budgeting

It is made every year in the month of January or February. It is prepared by comparing

previous years record. The demand and various other factors are stored according to cost

incurred and profit obtained.

Payment to vendors

It is an important activity of finance department. Company maintains a standard period

of 60 days from date of bill passing and 30 days in case of some special occasions. They make

payment through cheque. The company also has a grace period of 5 days in case of default in

payment.

Debtors Collection

Like creditor payment, debtors are also allowed a period of 60 days from date of passing

of bill to make payments. The company also offers special cash discounts to parties who makes

payments faster. The customers who play immediate payment are allowed 2.5% cash discount

and if a party pays within 20 days he/she is allowed 2 % cash discount and if party defaults in

paying debt will be charged 18% overdue on bills.

Preparation of BRS

A Bank Reconciliation is a process that explains the difference between the bank balance

shown in an organization bank statement, as supplied by the bank and the corresponding amount

shown in the organization own accounting records at a particular point of time. BRS is written in

cheque when issued in our book but it will take time in the bank. BRS is an important report in

finance statement.

Preparing MIS reports

Management Information System records every month management of profit and loss

account, creditors and debtors payment, and budget analysis. In MIS creditors account will take

60 days. If it goes above 90 days, it will have to face questioning. Debtors are also similar to

creditors. MIS report also support decision making and it helps to integrate the decision maker

and the quantitative model being used.

PURCHASE DEPARTMENT

Proper buying of material and merchandise are of great importance in any business. If the

raw material is not of requisite quality, the cost of production would rise, profit will decline,

quality of finished products may go down etc. If raw materials are purchased in excessing

requirement there is an unnecessary tie-up of working capital with loan of interest, inaccuring

of storing and safe guarding expenses, the risk of obsolescence and deterioration of the raw

material is more. Hence Roots Industries Ltd takes careful steps in purchasing the materials at

the right time with adequate quality.

The purchase order shall contain a clear description of the products, drawing number,

quality, rate, delivery, schedules, terms payment, mode of dispatch and other relevant data.

There are five primary 5S phases:

Seiri (sort):

Remove unnecessary items and dispose of them properly

Make work easier by eliminating obstacles

Reduce chance of being disturbed with unnecessary items

Prevent accumulation of unnecessary items

Evaluate necessary items with regard to cost or other factors.

Seiton (straighten or streamline):

Arrange all necessary items in order so they can be easily picked for use

Prevent loss and waste of time

Make it easy to find and pick up necessary items

Ensure first-come-first-serve basis

Make workflow smooth and easy

Can also be translated as "set in order"

Seiso (shine):

Clean your workplace completely

Use cleaning as inspection

Prevent machinery and equipment deterioration

Seiketsu (standardize):

Maintain high standards of housekeeping and workplace organization at all times

Maintain cleanliness and orderliness

Additional S's:

Safety:

The phase, "Safety", is sometimes added. There is debate over whether including this sixth "S"

promotes safety by stating this value explicitly, or if a comprehensive safety program is

undermined when it is relegated to a single item in an efficiency-focused business methodology.

Security:

The phase, "Security", can also be added. To leverage security as an investment rather than an

expense, the seventh "S" identifies and addresses risks to key business categories including fixed

assets (PP&E), material, human capital, brand equity, intellectual property, information

technology, assets-in-transit and the extended supply chain. Techniques adapted from those

detailed in Total security management (TSM) or the business practice of developing and

implementing comprehensive risk management and security practices for a firm’s entire value

chain.

ENGINEERING RESEARCH CENTRE (ERC)

It is involved in the continuous improvement and enhancement of design to increase

performance and reliability. The ERC functioning under three distinct heads cater to the needs of

Roots Industries, Roots Multiclean and Roots Auto Products.

Roots Industries India Ltd focus on 3 kinds of market for their products namely,

In the replacement market the major role is played by the mechanics. The mechanics word

of mouth is very important for the selling of the products to the customers. But to those

customers who are loyal to the products of the company, it doesn’t get affected at all, the

particular companies product prescribed by the mechanics determines the selling of the products

in the replacement market.The main aim of the company is to enhance the value and convenience

of the existing products and thereby attracting new customer and retain the existing customer.

From the company the distribution it is termed as the primary sales. Since it is the direct

sales.

From the distribution to the dealer it is termed as the secondary sales, from these sales

It is widely developed in country which has greater impact in company also. The

company adopts SAP ERP package. It is being used in company for more than 6 years. SAP

plays a vital role in establishing an inter-network connection between various branches of

concern.

Process using SAP:

Log in to SAP by giving ID and password which is provided.

Select the required modules from available modules.

Perform function required.

Save the process and log out from SAP.

FICO (Financing and controlling)

Main activity carried out are the entry recording relating to sales, production and all

payments. Journal entries are automatically posted in module. The external report generation

account receivable, account payable, general ledger were also done in module.

Completely integrated system for supporting the planning and control of personnel

activities.

Materials Management (MM)

The complete inventory maintenance is performed by this module, purchase order,

quotation etc are made through this module.

CONCLUSION

I feel very proud to think that I had a chance to do my internship programme at ROOTS

INDUSTRIES INDIA LIMITED which is one of the largest concerns in India. It helped me to

familiarize with organization structure and its functioning with various activities in different

departments.

In the concern every unskilled worker is given proper training to work effectively. All the

staff is well trained with computer knowledge. All the machineries are well planned and arranged

and so manual operation is less.

The internship programme helped in improving practical knowledge. I learnt about day to day

activities of the accounts and finance department. The company helps me to learn about the group

of companies in the organization. The finance department’s function efficiently brings the company

into leading position. The company gives information which would be truthful in all terms and

helped me to gain confidence and awareness.
