Summary of PostTo ensure the delivery of a comprehensive and proactive HR service across KCLSU, providing guidance to all departments on all aspects of employment and people management practices. To provide coaching, support and challenge to line managers in the application of HR policies and procedures. To work with the senior management team to develop and implement an HR strategy, which supports the current and future needs of the organisation. This role is a member of the Departmental Leadership Team and is required to work strategically with the SLT to meet current and future needs as well drive the culture of the organisation.

Areas of work include: Leadership of HR department Employee Relations Staff engagement and communications Equality and Diversity Policies and Procedures Management Support and Development Organisational Culture Budget Management

Overall responsibility for the following areas of work through the line management of your team

Payroll Learning and Development Recruitment

Main Tasks Mange the People and Development budget, being responsible for the

resources that are allocated to the department and ensuring these are effectively managed and controlled.

Develop, implement and monitor HR policies and procedures, ensuring they meet both current legislation and HR best practices.

Monitor key HR metrics, identifying trends and making recommendations to address any identified issues.

Oversee the effective operation of staff feedback mechanisms for salaried and student staff including an annual staff survey.

Work with the marketing team to promote effective internal communications, championing the sharing of information to build awareness and understanding of key activities, new developments and celebrating success.

Be responsible for co-ordinating HR events, including recruitment days, staff development days, leaving parities and student staff events.

Work with the Senior Leadership Team to develop and implement an HR strategy that is aligned to KCLSU’s wider organisational plans for growth and development.

Work with the Senior Leadership Team to support strategic and operational business change.

Act as the Secretary for the HR Sub Committee, providing agenda’s and papers for meetings; and contributing to monthly operating reports and relevant reports for the Trustee Board.

Contribute to the development of KCLSU’s strategic and annual operating plans, working in conjunction with relevant departments across the organisation to achieve agreed objectives.

Work with external providers as when needed, e.g. solicitors on sensitive employee relation issues; or external trainers when booking training courses.

Develop a proactive culture within the team, ensuring agreed objectives and targets are delivered, whilst promoting a collaborative approach to working with internal departments.

Provide timely and effective advice to line managers on all HR related matters, ensuring compliance with current policy and legislation. Support line managers in the effective management and resolution of performance, capability and absence management issues.

Attend and minute performance review, disciplinary and grievance meetings as required, supporting line managers with regard to legislation and best practice.

Manage recruitment and selection for both salaried staff and student staff; working with line managers to develop job descriptions, recruitment packs, advertising copy and interview processes and participating in recruitment events and interview panels as required.

Manage KCLSU’s reward strategy, providing support and guidance to managers carrying out pay reviews and ensuring salary and benefit benchmarking reviews and market valuations are completed as required.

Maintain an up to date knowledge in employment law and HR best practice briefing colleagues on relevant changes as required. Promote awareness and monitor best practice in relation to equality and diversity.

Ensure that the relevant administration systems are in place to support the HR and payroll function, ensuring that all employee data held by KCLSU is accurate and complies with the Data Protection Act and tax regulation.

Work with line and senior managers to ensure the effective provision of appropriate learning and development activity, for all KCLSU staff, trustees and elected officers.

Manage KCLSU’s appraisal process, ensuring appraisal meetings are carried out in a timely and effective manner, providing support and guidance to all staff throughout the process.

Work with line and senior managers to develop and action personal development plans, identifying appropriate learning and development solutions which meet organisational needs.

Be responsible for the provision of effective induction and exit processes for all KCLSU staff members. This may include Officers and Trustees as required.

Develop and deliver training sessions as required including induction, health and safety, customer service and briefings on all aspects of HR management as required

Other Tasks Maintain an up-to-date knowledge of developments within the College, and other students’ unions and universities.

Provide general support to elected representatives, trustees and involved students.

Attend meetings and training events as required. Operate in accordance with health and safety practices and regulations at all

times. Operate in accordance with KCLSU governance documentation, policy and

guidance at all times. Operate in accordance with KCLSU environmental policies and procedures at

all times. Adopt a teamwork approach to work across all KCLSU departments and

activities. Undertake any other task appropriate for the grade and responsibilities of the

post that may from time to time be reasonably requested.Working Hours The minimum working week is 35 hours. However, actual working hours may

exceed this total and may on occasion involve some evening or weekend work. This is considered part of the contract and reflected in the grading for the post.

Additional Information

The job description is current at November 2016 and should be reviewed annually. It outlines the main duties of the position and is designed for the benefit of both the post holder and KCLSU in understanding the prime functions of the post. It should not be regarded as exclusive or exhaustive. In particular, given the grading and nature of the post, the responsibilities of, the post holder may well change from time to time. The post-holder may, from time to time, be required to be based at and/or work from any King’s College London site.
