    SIMPLEKEY WEB HOW DOES IT WORK?proven, simple and reliable

    SimpleKey Web is a proven, simple and reliable method of managing and administering access into residential housing blocks. It works with all types of door entry equipment, whether existing or new.

    Each housing block has a SimpleKey door controller installed, which controls the communal local doors, gates etc. and holds its own memory of which tokens are allowed through these entrances. The SimpleKey door controller in most cases then communicates via wireless GPRS (similar to the way a smart phone works) back to dedicated servers via the internet. If there is broadband available within the block, then this can also be used to connect to the KMS Servers.

    The overall system database is held on a “cloud database” which can be administered from any web enabled device (PC, tablet, smart phone etc.) with the correct authority, allowing resident, staff or contractor tokens to be added, disabled or changed. Any changes to the system and all events at the blocks are communicated using the internet link effectively giving real time communications, updates and reports.

    InstallationThe Panel Mount reader is designed to be mounted within metal panels, no thicker than 2.0mm with a 40mm square cut-out for the front of the reader. Dimensions: 55mm × 55mm square × 11mm deep.

    The Vandal Resistant can be fixed to any non-metallic surface using, the supplied, vandal resistant screws. Dimensions: 100mm × 100mm square × 13mm deep.

    The SimpleKey 4 door extension kits allow additional doors to be controlled when connected to a SimpleKey 4 system controller.Available in one or two door versions, in a DIN rail format with simple connections to the free topography KMS Bus.

    The SimpleKey 4 door extension kits, come in 1 or 2 door versions. Each unit has all the connections necessary for; The Lock, The Legacy (or Wiegand) reader(s), RTE, Door Contacts, Emergency Overrides which can also be specifically programmed for different uses as required. KMS BUS connection is either via a plug-in RJ45 socket or standard terminal connectors, whilst power for both the PCBs and lock output is supplied via a separate 12v input. Each kit has the doors it is controlling clearly identified and each pcb has a unique QR code which identifies the component on the BUS and can be used to give more detailed information. Up to 14 additional doors can be added to a single SimpleKey 4 System Controller.

    SIMPLEKEY 4

    SYSTEM CONTROLLER DOOR EXTENSION KITThe SimpleKey 4 system controller is the central component of the latest generation of the SimpleKey platform. Incorporating a number of innovative features enabling simpler installation, expansion and management. The SimpleKey 4 system controller has a built in GPRS modem for communicationsand connections for controlling the first two doors. The system can be easily expanded on a door by door basis using additional SimpleKey 4 extension kits on a free topography wiring bus.

    • Control for up to two doors, with lock outputs, door monitoring, emergency overrides and trades button control.

    • Multiple system controllers can be connected together and used at one location.

    • Real time GPRS communications with built in modem and pre-configured roaming SIM.

    The ChallengeWith over 800 blocks, Cardiff Council (CC) recognised that their communal door access systems were out of date and was proving to be a drain on both time and money for the council. Their original communal door access system required CC to instruct a contractor to visit a housing block every time a fob needed adding or deleting. The council realised they needed to make the decision to change to a more cost effective solution.

    The RequirementCC identified the key requirements of a new system, these included:• Cloud based system• Remove the need for staff or contractors to visit a block to add

    or delete a fob• Ensure all Housing officers could manage their own blocks• Reduce costs to manage the communal doors access

    ResultsCC researched the various systems available and KMS Ltd with their strong track record in social housing and their market leading Simplekey Web system was confirmed as the solution to be installed across all blocks. Importantly, the system is cloud based, meaning all managers and system administrators can add or delete fobs as well as monitor usage from any web enabled device.

    Since confirming KMS as the supplier, CC have been able to upgrade the communal door access solutions in all their blocks. Now, every housing officer is able to add and delete fobs instantly, the saving in time and money has been significant. In addition, CC now have access to detailed management information ensuring they can monitor usage at all times.

    The ChallengeNorthampton Partnership Homes (NPH) are the management organisation running all housing services for Northampton Borough Council. Since 2015 their work has included the repairs and maintenance for all housing as well as housing management. As part of this role they have been looking to upgrade their communal door access systems, primarily to improve the security across their housing stock. The existing communal door access control systems they inherited, were basic old KMS dial-up system for fob administration. They had three different systems operating, meaning it was very time consuming for housing managers to administer the system including adding or deleting fobs. Having been contacted by KMS when they launched their latest version of SimpleKey Web - the cloud-based version of their access control solution - NPH also started to look into upgrading all of their communal doors and door entry equipment.

    The RequirementThe NPH have over 850 housing blocks and key to the NPH requirements was the need to deliver a complete solution that not only included the latest cloud-based technology for the communal door access control, but to upgrade the communal doors & door entry equipment. This would make sure that security for their housing blocks was at the highest level and administration of the system was cost effective. NPH also needed to make sure that suppliers could meet a strict roll out programme and work effectively together.

    Results

    NPH selected the UK’s leading communal door manufacturer, Bamford Engineering and Entrotec who were their existing supplier for the Door Entry equipment, along with KMS SimpleKey Web access control. Bamfords have project managed the process with Baydale Control Systems chosen as the installation company for the new communal doors and associated door entry and access control equipment.

    The new communal doors are state of the art, supported by the leading cloud-based communal door access system, SimpleKey Web. Administration is now from any internet connected device and allows the housing managers to add or delete fobs instantly. In addition, NPH are also able to see real-time fob management information, enabling them to monitor usage for abscondees, contractors and others. This makes sure that security and levels of service for the tenants has vastly improved.

    The ChallengeMosscare Housing is a not-for-profit housing association, which owns and manages nearly 5000 homes in Manchester and the surrounding areas. With thousands of tenants and contractors entering their premises they were having issues tracking and managing the keys and fobs used for accessing their communal doors. Every year, Mosscare would have keys and fobs go missing with tenants and contractors misplacing and/or forgetting to return them when they vacated their premises.

    Management of the keys and fobs had become a significant issue for Mosscare and was costing them thousands of pounds in time and money. With employees having to attend sites to meet contractors and tenants to hand over their replacements, the disruption and costs were continuing to increase. Secondary costs such as travel expenses and time away from doing their core job were also contributing to the escalating cost and Mosscare needed to find a way they could reduce this.

    The RequirementMosscare realised that they needed to tightly manage the administration process to their communal door entry systems, ultimately looking to remove keys based entry from their premises. To achieve this, they would need to find a way to track access fobs and find a less time consuming way to administer the system and issue replacements.

    Following a detailed assessment process, Mosscare identified the KMS Simplekey Web platform as the right solution. The KMS designed service offered them an access management system that would help them reduce “time and cost” in managing the communal door entry to all their premises and not just from their office but from any web enabled device.

    ResultsSince implementing Simplekey Web Mosscare has developed more time and cost effective ways of managing their communal door entry systems. They are now in the process of upgrading all their key based door entry systems and replacing them with fob based systems. By adopting the KMS Simplekey Web solution Mosscare has benefited from a reduction

    in the number of site visits (by staff) to give contractors access to premises. In addition, all access management is now completed remotely from any device with internet access. Fobs can now be mailed to a new resident and once they have received their fob, Mosscare can then activate it remotely. If a tenant loses their fob Mosscare can delete their door entry fob within minutes of receiving a call.

    Simplekey Web has allowed Mosscare to establish a set of door access rules which allows them to set specific time periods for contractors to gain access to premises, as well as suspend access all together.

    The overall impact has been impressive, saving time and money for Mosscare as well as giving them greater control and flexibility over their door entry systems.

    The ChallengeYour Homes Newcastle (YHN) is the ALMO responsible for managing council homes on behalf of Newcastle City Council. Set up in 2004 to manage council properties, YHN is tasked with meeting the Government’s Decent Homes standard and to provide a range of support services for Newcastle City Council.

    YHN needed to change the way they managed their residential communal access, as this was out-of-date and inefficient. YHN approached KMS and following discussions with them and their associates, Bamford Doors & Entrotec Door Entry, between them recommended a complete communal door access solution. This provided a more efficient and easy to manage door access system.

    The RequirementYHN currently manage 26,700 council homes on behalf of Newcastle City Council and over 400 homes on behalf of Leazes Homes and recognised that many of the properties needed their communal doors replacing, as they were old and in many cases too heavy for people to use. In addition, the communal door access systems were obsolete or failing and had to be controlled on site, meaning to add or delete fobs, someone had to travel to the site and physically do the addition or deletion.

    The impact was significant with the time taken to travel to different properties to add or delete fobs being a drain on the YHN team.

    As a result, YHN made the decision that all their communal door entry systems should be replaced with the KMS Simplekey Web, whist they were replacing all the communal doors.

    ResultsSince 2012, YHN has begun the roll out of the new communal doors and access control solution and has currently replaced approximately 70 complete solutions, with plans to continue the roll out across their other properties.

    The results were immediate with the YHN team saving upto 2 hours every time a new fob was needed or deleted. The resulting impact on the productivity of the team has been massive.

    In addition to the productivity, the new Simplekey Web system has enabled YHN to help prevent anti-social behaviour by monitoring the movements of people if required.

    The ChallengeWith a large portfolio of residential properties, Fortis Living face many challenges in delivering high quality accommodation, including managing access to all of their properties.

    In 2011, their communal door access solution was based on KMS’ dial up system, Simplekey. At the time, this gave the best solution and enabled fobs to be added or deleted remotely. However, running costs relating to phone bills for the dial up system was high, due to the amount of properties they were controlling.

    The Requirement

    Fortis Living needed some significant changes to:

    • Reduce running costs• Improve time for fob administration, ensuring staff have immediate

    access to properties.• Improve reporting on movements of staff and contractors

    As with most organisations, Fortis Living are always looking to improve efficiencies and look for solutions needed to reduce time and costs involved in managing the communal door access systems.

    Having had a strong working relationship with KMS, the solution was simple, KMS’ new cloud based system, Simplekey Web, would deliver all the new requirements and more.

    Results

    Fortis Living have now completed the transition and all their properties are now using Simplekey Web 4. The benefits are significant:
