KPETS Guidelines for Orientation Leaders, Group Evaluation Leaders,

Group Evaluation Assistants, And Visit Evaluators

Thank you for your interest in assisting others in becoming registered therapy teams and for helping

KPETS continue to expand and serve the public while ensuring the safety of the clients, volunteers and

pets. There are four different roles you may fill in building KPETS teams; Orientation Leader, Group

Evaluation Leader, Group Evaluation Assistant, and Visit Evaluator. Each role has prerequisites, training

requirements and responsibilities so you may serve in the way that is most comfortable for you. We

look forward to assisting you on your journey and having you as a part of the KPETS volunteer training

team.

What you can expect from KPETS: To provide the tools, support, and training you need to perform your duties as an Orientation

Leader, Group Evaluation Leader/Assistant, and/or Visit Evaluator

What KPETS expects of you: To commit to serving in your role for a minimum of 1 year upon completion of the training

process

All candidates must be active KPETS volunteers in good standing.

ORIENTATION LEADER

Roles and Responsibilities Be the “face of KPETS” – you may be the first KPETS representative the applicant meets

Remain current on KPETS policies and procedures through participation in the KPETS training

leader e-mail list and attending applicable training opportunities

Have a clear understanding of the KPETS Orientation Manual

Obtain Orientation Packets from KPETS Office

Forward all registration forms and payments to KPETS office

Provide each attendee an Orientation Packet

Present orientation material in a clear and concise manner utilizing KPETS’ guidelines

o Scripted Notes

o Videos

o Handouts

Encourage group discussion and interaction while maintaining control and keeping the program

on time

Demonstrate the KPETS “Volunteer in Progress” website

Answer questions or provide follow-up as appropriate

Review Next Steps

o Forms to be completed

o Group Evaluation

o Visit Evaluations

Mentor candidates for KPETS leadership roles

o Provide feedback

o Complete/sign off on Training Tracking Form when appropriate skills are demonstrated

o Complete Leadership Role Feedback Form

Prerequisites Upon review of the application the Registration Standards Committee (RSC) has the authority to waive

KPETS activity prerequisites based on the experience, skills, and knowledge of the applicant.

KPETS volunteer – minimum one year

Provide two Letters of Reference (insert Link) Reference examples:

o Professional or personal reference who can speak to presentation abilities

o Active KPETS member/evaluator

o Supervisor/key contact of facilities visited through KPETS

dog sport or show events, attending multiple training classes)

Training Requirements: Training requirements are based upon applicant’s experience level as approved by the Registration

Standards Committee (RSC). See Training Requirements Table for a summary of training requirements

and associated experience levels for each training leader role.

Roles and Responsibilities Coordinate with facility, registrar and other leaders as needed to schedule evaluations

Conduct Group Evaluations following KPETS’ guidelines

Provide friendly and supportive feedback on appropriate behavior to potential teams

Provide constructive instruction/criticism in a positive manner to promote growth and

understanding

Oversee Group Evaluation Assistants

Complete therapy team evaluation forms

o Returned to handler

o Post team evaluation results online (insert Link)

Remain current on KPETS policies and procedures through participation on the KPETS training

leader e-mail list and attending applicable training opportunities

Mentor candidates for KPETS leadership roles

o Coordinate observations at Group Evaluations

GROUP EVALUATION ASSISTANT

Roles and Responsibilities Provide assistance and perform duties as requested by the Group Evaluation Leader

Remain current on KPETS policies and procedures through participation on the KPETS training

leader e-mail list and attending applicable training opportunities

Group Evaluation Leader/Visit Evaluator in training provide assistance based upon experience

level

o Intermediate Level or Advanced – all duties

o Minimum Level - observe at 2 Group Evaluations before helping with paperwork to

promote learning of animal and handler behaviors and interactions

VISIT EVALUATOR

Roles and Responsibilities Coordinate evaluation visits with facility

Provide KPETS office with contact information to be posted on website - include preference for

contacting (i.e. e-mail, text, or call)

Respond to requests by therapy teams in a timely fashion to schedule evaluations

Providing information about the process and directions to the facility

Conduct Visit Evaluations following KPETS’ guidelines

Provide guidance/instruction to the potential team in a friendly and supportive manner, while

evaluating them for safety and appropriate behavior

Provide friendly and supportive feedback on appropriate behavior to potential teams

Provide constructive instruction/criticism in a positive manner to promote growth and

understanding

Complete therapy team evaluation form

o Return to handler

o Post team evaluation results online (insert link)

Minimum:

o Active KPETS Volunteer – minimum one year

Training Requirement Definitions The required number of Observations and Supervised Sessions is determined by experience level

(See Training Requirement Table) and at the discretion of the RSC and mentors

Observation/Participation

Orientation Leader – Observe Orientation Leader and participate in completing paperwork at

the end of the session (may greet and interact with attendees as appropriate). Discuss session

afterwards if time permits.

o Mentor Leader will complete/sign off on Training Tracking Form

Group Evaluation Leader and Assistant – Participate in greeting handlers and dogs, observe

teams performing exercises and provide assistance with evaluation paperwork and as otherwise

requested by the mentor leader. Discuss session afterward if time permits.

o Ideally observations should be done with more than one group evaluation leader if

available.

o Trainees with minimum experience should observe for the first two sessions without the

responsibility of assisting with paperwork to tallow the trainee to focus on observing

dog (and handler) behavior and body language.

o Mentor Leaders will complete/sign off on Training Tracking Form

Visit Evaluator – Observe therapy team and participate in completing the therapy team

evaluation form and discussion at the end of the evaluation

o Observations to be completed with at least two different mentor evaluators.

o Mentor Leaders will complete/sign off on Training Tracking Form

Supervised Sessions/Visits

Orientation Leader – Trainee conducts orientation session and completes orientation

paperwork for submission to the KPETS office. Mentor leaders will provide assistance as needed

and feedback as part of the training process.

o Mentor leader will complete the paper evaluation for the trainee, post results online

and complete/sign off on Training Tracking and Feedback and Suggestion Forms

Group Evaluation Leader - Trainee conducts group evaluation. Mentor leaders will provide

assistance as needed and feedback as part of the training process.

o Trainee will complete online reporting in collaboration with mentor (both names should

be included in the notes)

o Mentor leaders will complete the paper evaluation for the trainee, post results online

and complete/sign off on Training Tracking and Feedback and Suggestion Forms

Group Evaluation Assistant – Supervised sessions are not required unless Assistant wants to

advance to a leader role

support from the mentor evaluator.

o Trainee will complete online reporting in collaboration with mentor (both names should

and complete/sign off on Training Tracking and Feedback and Suggestion Forms

Additional supervised sessions/evaluations may be required at the discretion
