Look Up ChartField Number
Introduction
This business process provides hiring managers and recruiters a way to look up
ChartField codes. The Crosswalk is designed to help translate the account and
subcode from FRS into the PeopleSoft equivalent ChartFields and vice versa.
Assumptions
You have an FRS department number which must be translated into a
PeopleSoft number.
You have a PeopleSoft department number which must be translated into an
FRS number.

Required Field(s) Comments
SetID The SetID for Howard University should always be HU001.
Account Fields This field requires you to enter either the PeopleSoft
Department number or the FRS Department Number in order
to locate the missing ChartField number.
Advanced Lookup The advanced lookup field is used for more search options.
Description Field This field is used to enter key words/phrases to assist you in
the advanced lookup.

SetID Shows the Howard University SetID in PeopleSoft.
Account Fields This field allows you to enter either the FRS Number or the
PeopleSoft Number in order to locate the missing ChartField
number.
Advanced Lookup This field provides more search options for a department
number.
Description Field This field allows you to enter a description/phrase to assist you
in looking up either a FRS Department Number or a PeopleSoft
Department Number.

Procedure
This topic is designed to help translate the FRS account numbers into the
PeopleSoft equivalent ChartFields and vice versa.
Step Action
1.
Use the Crosswalk Lookup to find the information.
Click the Crosswalk Lookup link.

The Crosswalk Lookup page, similar to the page below, will display.

Verify that the SetID for Howard University (HU0001) appears.
Click the button.

The Crosswalk Lookup – Search Results page, similar to the page below, will

If you want to know the PeopleSoft equivalent numbers for FRS accounts,
enter the FRS number into the FRS account field.
Enter the desired information into the Account field. Enter "525232".

The Crosswalk Lookup page, similar to the page below, will display.

A list appears containing all of the values that match the specified criteria.
For all FRS accounts that begin with a "5" or "6", a Responsible
Department will be displayed in the last column. This is the PeopleSoft
number for the department responsible for the administration of that grant
or discretionary account. All positions related to that grant or discretionary
account will be administered by the Responsible Department.
If the FRS account number begins with a "2", the Department number will
be displayed in the Department column and not in the Responsible
Department column. All positions related to this type of account will be
administered by the Department that is displayed.

To look up FRS values that correspond to a PeopleSoft ChartField, enter
information in the PeopleSoft section. First, clear the search fields to enter
the new information.

blank.

Enter the PeopleSoft Department or Project Number to find the related
FRS number.
Click the Look up Department button.

If you don't know the department number, you can search for the
department by name.
Click the Advanced Lookup link.

You can change the operator to search for any part of the department name.
Click the Description drop down button to activate the menu.

To look for a part of the department name that does not appear at the
beginning, use the contains operator.
Click an entry in the list.
