Creating NHS Athens accounts for all staff members using data from HR, rather than relying on staff members to self-register.

e. Explain what makes this different.For innovations why is it innovative?

Usual practice is to publicise Athens to staff and tell them how to self-register for an account. This works well with certain staff groups who are keen on library and knowledge services anyway, and with those who come to the library in person for training. However, there are barriers to Athens and resource access for many staff – for example, because they are unaware of Athens and the resources it gives them access to, or are not very confident using IT.

We used HR data to create Athens accounts for everyone in the Trust at band 3 and above through the Athens bulk upload functions. Publicising the project widely made staff members who otherwise would not have known about it aware of the resources they can access through Athens.

It also helped reinforce the image of library and knowledge services as being proactive, and raised awareness of our work and resources across the organisation.

this has had above, we have overcome a major barrier to access to electronic clinical resources for many staff. It has also allowed us to track down IT issues with Athens resources being mistakenly blocked. We have raised the number of Athens users in our Trust from roughly 2,000 to over 5,000.

The sheer scale of the project meant that additional admin support was crucial. Through our good working relationship with the practice improvement/senior nurse team we were able to secure this support: one of their administrators worked with us on the project during her phased return to work. Going forward, we plan to use the same process on the monthly HR lists of new starters to create Athens accounts for all new staff members joining NELFT.

We have also raised awareness of library and information services, and of Athens in general, across the Trust. It is too early to see changes in the level of Athens logins and online resource usage, especially as the project took place during the quiet summer period, but early statistics look promising, and anecdotal evidence suggests that staff groups and teams that previously had had no contact with the library have become aware of the services available to them – there was a sharp increase in requests for training and evidence searches during the Athens project.

Athens usage statistics from across the HENCEL (Health Education North Central and East London) area show us at fifth position behind four large acute trusts who historically have more resource usage than mental health/community trusts, which is encouraging.

Submitted as evidence are three articles from the NELFT Trust-wide Weekly Update: the two announcements about the project, and the one that appeared after the project was completed. In addition, we are submitting the HENCEL Athens usage statistics for May and July 2013 (our trust’s Athens organisation ID is nhsnel17) and a spreadsheet tracking the number of accounts in nhsnel17 over the last two years.
