Position Title: Deputy Clerk of Council

Employment Status: Full-time

Civil Service Status: Unclassified

This position assists the Assistant Clerk of Council and is responsible for performing administrative and clerical duties. This position also acts as the recording secretary to the various City Boards and Commissions to include Planning Commission, Board of Zoning and Building Appeals and Civil Service Commission.

A high school diploma and a minimum of five (5) years of experience in an

administrative position in a government/legal field; or

Five (5) years’ experience as a City Clerk of Council/Assistant Clerk of Council.

DUTIES MAY INCLUDE, BUT ARE NOT LIMITED TO THE FOLLOWING:

Build and cultivate positive working relationships with co-workers, Board and Commission members, and residents of the municipality.

Interact with City employees and residents in a pleasant manner. Handle daily inquiries in a timely manner. Perform a variety of responsible clerical and administrative duties in a timely, detail-

oriented manner for various Boards and Commissions. Create meeting minutes, agendas and dockets from Council, Board, and Commission

meetings and public hearings. Schedule Civil Service Commission testings for police and fire entrance and promotional

exams, calculate and keep accurate records of testing results and other duties related to testing.

Prepare a variety of documents to include correspondence, reports, memorandum, forms, and charts for presentations; proofread for accuracy, correct form, content, spelling, and proper English usage.

Schedule and arrange for work sessions and special meetings as need. Prepare copies, gather requested materials and research items as requested. Act as an information source for inquiries regarding Boards and Commissions meeting

standards and procedures; refer more complex and/or sensitive concerns to appropriate resource.

Maintain and monitor records, files and dockets for each Board and Commission; follow up on due dates; and perform other monitoring functions to ensure timely completion.

Provide support to City Council and cover necessary Council and/or Council Committee meetings in the absence of the Assistant Clerk of Council or as needed.

Perform related duties as assigned.
