Mini Data Management Group

5th April 2017

1

Agenda

2

Introductions and objectives

IDR2 fallout and plans for future communication of fallout

Follow up from previous mini-DMG - including queries that were followed up after the DMG, any new issues

emerging, and working session focusing on any issues that arise (excluding those to be discussed separately

below)

Overlapping meters - discuss examples, working session on how to address this issue

Completeness of portfolio reconciliation - working session to identify actions on MPRNs which shippers

believe are missing from the portfolio reconciliation

AOB - other issues that participants wish to resolve

Round table of participants present.

3

Introductions and objectives

Recap - objectives

1) Understand why iGT data is not consistent between shipper, iGT, and Xoserve data extract

2) Develop resolutions for what can be fixed

3) Consider mitigations for what cannot be fixed

4) Consider materiality – if there is an issue what is the impact

1) Customer’s ability to switch

2) Other customer service

3) Billing, settlement, or AQ calculation

Approach

1) More detailed discussion of reason why differences can occur

2) Exploration of these differences using actual MPRNs and meter asset details between

shippers, iGTs and Xoserve

Conclusion

The main reason for differences is timing between of extracts and work lists between parties.

Work performed by iGTs to resolve issues should flow through future Portfolio Reconciliation

reports. The follow up to this activity is today - 5th April 2017 - to confirm this assertion.

4

Objectives (prior Mini-DMG)

Actions for today’s Mini-DMG

1) Between 8 March and today, have queries been resolved or are there new issues to

discuss

2) Discussion of any new issues.

Other topics discussed

1) IDL files – testing of daily update files (IDL) from Xoserve to iGTs encountered a further

defect and a separate working group has been established to resolve any remaining issues

and build confidence in this key update file.

2) Market Domain Data – some meter asset data (both GT and iGT sites) is not consistent

with MDD standards (for example an incorrect combination of meter type and meter asset

manufacturer). Xoserve described how, as agreed, meter assets with inconsistent MDD

data will be migrated and validation rules will allow data (such as meter readings and meter

removals) to flow through to these meters. There is a concern that this has not been tested

during market trials, although there have been opportunities to flow data to non-MDD

compliant meter assets. Raised also at RIAG, but appears to be a concern from one larger

shipper – no further action proposed.

5

Objectives (prior Mini-DMG)

IDR2 fallout and plans for future

communication of fallout

Data Executive Summary

• All Data sources planned in IDR2 were completed and all performed to plan (some within plan variance)

• Validation has been completed for all sources and very well managed throughout cycle.

• Defects and fallout were experienced as anticipated. Assessment and progression of defects was controlled

in line with the criticality matrix and Fallout Management Process. Fix windows within IDR2 plan were used

to resolve impactful defects within IDR2.

• Defects were resolved on a priority basis, seeking to resolve all AAQ/MDS affecting defects. A number of

defects remain open from these cycles (“Parked”) and are now fixed, in progress or planned to be fixed.

• iGT Data load performed very well and to plan, quality better than anticipated.

• Delta Defects were higher than anticipated, however a number of them were addressed within cycle itself

and the remaining have a rectification plan in place

• The majority of defects were low in volume, and those ‘parked’ were generally in the low priority quadrant

• NED window is a fixed allotment of time which was maximised to fix priority defects for other sources during

IDR2, however a number remain open to action/close defects pre and during IDR3.

• New discovery of read related mismatches in Delta 1 has been analysed and 17 defects have since been

recorded. Reads are a voluminous data item in UKLP central database, so we’ve seen defects that need

more work. Further analysis is ongoing to understand impact in parallel with fix resolution.

• Approach has been adopted for fixing the majority of the defects before IDR3 in a priority order.

• IDR 2 has been very successful in proving the delivery of all data sources during the implementation period,

testing control process and providing indication of fix capacity. Focus is now on understanding and closing

open defects and refining Fallout Management Process.

Potential Fallout Management with Industry IDR2: Advise post IDR2

IDR3: Practice processes in IDR3

Where a defect cannot be resolved in cycle , or is decided to ‘migrate as is’, this is ‘fallout’

Fallout will either be migrated ‘as is’, or will be targeted for fix post IDR or cutover

Participants will be informed of the fallout impacting their portfolios at appropriate points

8

Fallout/Defect Management within data cycles in IDR2

Following IDR2 Data loads, the validation undertaken as part of the cycles has uncovered a number of

defects and mismatches which were plotted in the Xoserve Data Acceptance 4X4 criticality matrix to

establish priorities for analysis and fix activities.

The DM team then fixed certain defects on this priority basis, seeking to resolve all AAQ/MDS affecting

defects. A number of defects and staging activities still remain open from these cycles (“Parked”)

Notes: 1. Delta 1 Observations (primarily Meter Reads 20) have been evaluated post IDR2 and 17 have been found to require a

Code fix

2. 4 more defects (parked from IDR2 Delta Prep) were attempted as part of Week 1 in IDR2 and 3 passed as resolved and

1 is being resolved pre IDR3

* 13 of these Delta “Parked” Pre IDR3 defects are in a fixed state 9
