The Program Committee has some great programs planned for 2011, and the Fall Education Conference Committee has begun to work on the sessions for the next conference scheduled for October 7-8 in Breckenridge. The National Education Conference registration is open for business, and I hope to see many of our Chapter members there. It is always a great time full of education, networking and fun! I am also looking forward to the Honors and Awards Gala on June 28. Please mark your calendars for this wonderful evening event. Your Chapter Board members are reviewing the results of the member- ship survey and will be working to implement ideas that came from the Chapter members. A Chapter Business Plan is also underway and will be shared with members so be on the lookout for that. In addition, Chapter policies and procedures are being finalized, which will complement the National policy and procedures manual. Both of these will be accessible on the Chapter website once they are finalized. Speaking of the website, monthly program materials are now being posted under the Meetings tab. I think that about sums up my comments for this edition of the newsletter, other than I want you all to know that I appreciate everyone’s support of our Chapter and look forward to a terrific year! Greetings! I am looking forward to a great 2011 as your Chapter President. I am excited about the new mentoring program that the Membership Committee has put into place. The program is not just for new members but can also be very beneficial for any member who would like to receive more information on the value of being a part of SGMP. The Membership Committee also held an orientation session prior to the Chapter program on January 25, which was well received. SGMP Joint Leadership Meeting ...continued from the front page Charles Sadler, CGMP, CHSP, CHSC, SGMP’s Executive Director & CEO, reviewed highlights of the SGMP National Strategic Plan/Initiatives and also discussed the Chapter Business Plan template. The National Board liaisons facilitated the sessions where Chapter leaders began to draft the start of their own customized Chapter Business plan. Nine strategic areas that leaders were to focus on were: Membership; Volunteer Leadership; Education, Resources and Networking; Financial Stability; Ethics, Governance and Operations; Communication; Visibility and Marketing; Building on Strengths; and Relationships with National. This year’s National Education Conference Charity was unveiled as the Virginia Wounded Warrior Program, in support of veterans who are Virginia residents and/or family members of veterans and service members. Chapters will be collecting donations and having fund-raisers between now and May to support this very worthwhile cause. SGMP’s goal is to raise between $15,000 -$20,000.

Chapter leaders also worked together to create a two-year education program schedule for their respective Chapter. Before adjourning for the day, staff from SGMP Headquarters reviewed the 2011 National Education Conference schedule. All educational sessions will be at the Marriott and pre-conference sessions will be at the Sheraton. General registration opened on January 26, 2011. Supplier Profile: Mike Medsker, Lodge and Spa at Cordillera

Mike is a native of Colorado, born in Denver and raised in Eagle. He attended Johnson & Wales University, where he graduated in May, 2010 with a bachelor’s degree in Hotel and Lodging Management. After graduation he began his career with the Lodge and Spa at Cordillera, a unique 56-room boutique lodging property located in the Vail Valley. He currently serves as a Conference Sales Manager for The Lodge, where he handles the Colorado government and SMERF market segments, as well as the western region. Outside of work, he enjoys traveling, skiing, fishing, photography, and participating in all of the outdoor activities that the mountains have to offer. As a new member of SGMP, Mike looks forward to having the opportunity to meet a great group of industry professionals and further develop his knowledge of the government meetings industry.

Planner Profile: Amy Ollivier, Colorado Combined Campaign

Amy serves as an Executive Assistant for the Colorado Combined Campaign, the nonprofit campaign for Colorado state employees. Her past positions have included working for the State Senate of Colorado and the Broadmoor Hotel. She is currently working on her degree in Political Science at Metropolitan State College. She is the mother of two boys, ages 9 and 12. In her spare time, she enjoys traveling, music, going to the mountains, and spending time with her family. She is very excited to be a part of SGMP!

February Chapter Meeting By Chele Clark, CGMP On February 22, 2011, the Chapter welcomed Charles Sadler, CGMP, CHSP, CHSC, SGMP’s Executive Director & CEO and Mike Downard, CGMP, SGMP’s Membership & IT Manager. The presentation was on the ―Ten Excel Secrets Every Planner Should Know.‖ Charles started off the presentation with some antidotes about George Washington and an invitation to all the members to come to his hometown of Norfolk, Virginia, for SGMP’s National Education Conference scheduled for June 8-11, 2011. Mike then presented tips and shortcuts in using Microsoft 2007. He also explained some of the differences between version 2003 and 2007. Both presentations were insightful. The meeting was hosted by the Crowne Plaza DIA. During registration and networking, a number of hors d’oeuvres were passed. They consisted of red skinned baby potatoes filled with blue cheese mousse; blackened beef strip loin on a potato blini; Ahi tuna tar-tar on Chinese spoons; and watermelon and black crusted goat cheese skewers. The main meal began with a romaine heart salad with ricotta salad cheese, fruit compote, candied walnuts with red wine vinaigrette; followed by a pan seared beef tenderloin au-poivre and jumbo shrimp scampi tower, served with four cheese, white truffle polenta cake, asparagus and baby carrots. A chocolate mousse cake served with raspberry sauce mint oil and an SGMP chocolate log atop completed the meal.

An average rating for the program, based on the evaluations, was 3.51. A scale of 1-5 is used, with 5 being the highest rating.

January Chapter Meeting By Chele Clark, CGMP Our first meeting of the year, held on January 25, 2011, brought out the pirates at the Hilton Garden Inn Denver Downtown! The pirate was our speaker, Phil Morgan, CMP, CCM. Phil serves on the SGMP’s Gilmer Institute of Learning (GIL) where his responsibilities include CEU approval and certification development. Phil presented ―Uncovering Norfolk’s Meeting Planning Treasures,‖ a 2011 SGMP National Education Conference primer. This was one of the GIL programs that is required by National for Chapter’s to present.

This interactive program exposed attendees to sample CMP/CGMP exam questions and provided information and trivia on Norfolk, Virginia, the host of the 2011 National Education Conference. The program encouraged networking and team building for attendees. As members arrived, they were treated to antipasto and cucumber slices topped with shrimp salad as well as refreshing beverages. Lunch began with a salad and the entrée included stuffed chicken with provolone and red roasted peppers topped with an herb cream sauce served over mascarpone polenta, accompanied by seasonal vegetables. Apple pie with caramel sauce completed the meal. The average rating for the program, based on the evaluations, was 3.80. A scale of 1-5 is used, with 5 being the highest rating.

The Value of Attending the Meetings Industry Council of Colorado Education Conference & Trade Show By Mary Williams, CGMP I would like to encourage all SGMP Rocky Mountain Chapter members to join the other 12 professional associations that make up MIC of Colorado at the largest annual meetings industry education conference in the Rocky Mountain Region. At the event attendees will be able to network with others in the industry to discuss best practices for meeting planning and office strategies. This event is a great value for the low price of $124 for meeting planners. Non-exhibiting suppliers may attend the event for $150. The fee includes the keynote presentation, breakout sessions, breakfast, lunch, a tradeshow, and giveaways. Planners will be able to find the best venues for their off-site meetings and events during the trade show. There will be a national caliber of speakers including Robin Crow. All of the sessions will address various subject tracks related to meeting planning from contract negotiation to best practices with takeaways that attendees can put to use immediately. Some of the breakout session topics include Meetings Management, Event How To’s, The State of the Economy, Ethics, Technology, Legal Issues, Leadership and Social Media Strategies. As a member of MIC of Colorado, the Chapter will receive revenue for every attendee that registers and marks that they are affiliated with SGMP. The funds received assist the Chapter to provide scholarships, monthly program speaker fees and travel costs, community service projects, as well as fund Chapter operations. The event is scheduled for Wednesday, March 16, 2011, from 7:30 am to 6:00 p.m. at the Colorado Convention Center. To register go to http://www.regonline/2011mic

The Chapter Budget and Expenses By Mary Williams, CGMP As I shared in our last Chapter Newsletter, the Chapter’s projected Income for 2010/2011 is $52,850. The Chapter’s Financial Statement as of 1/31/2011 is: Income: $27,898.93 Expenses: $20,592.58 What’s on the horizon for major expenditures? In addition to funding Chapter educational programs, scholarships are being provided to qualified Chapter members to attend the National Education Conference.

What has the Fundraising Committee been up to? By Kimberly Forte What has your Fundraising Committee been doing this year to help you, a member of the Rocky Mountain Chapter of SGMP? The Fundraising Committee takes a lot of pride in assisting the Chapter with funds for your educational speakers, scholarships for our members to attend the National Education Conference, scholarships to attend our Fall Education Conference, and scholarships to attend the Meetings Industry Council Conference, and fund various community service projects. The team is comprised of 11 members who work diligently on soliciting for raffle prizes, silent auction items, donations for drawings and the sale of King Soopers gift cards. So far this year we have raised $5,960 in our fundraising efforts. This has already surpassed our budget which was to assist the Chapter in raising $4,250, and the year is not over yet! Below is our goal and actual funds raised to date.

Conferences

SGMP’s National Education Conference (NEC) will take place in Norfolk, Virginia, June 8-11, 2011. Exhibitor registration began on November 1, 2010. Attendee registration opened on January 26, 2011. National anticipates that the host hotels, the exhibition hall, listed sponsorship opportunities, and pre-conference programming will be sold-out prior to June, 2011.

In order for SGMP members to register to exhibit or attend the 29th annual conference, they will need to log into the National SGMP website using their login and password. Go to: www.sgmp.org.

Attendees at the NEC can gain 20 hours of education and earn 2.0 CEUs (10 hours = 1 CEU). There are also additional pre-conference programming opportunities for more CEUs. Be sure to review the pre-conference programming and the agenda before registering. There is limited space available to attend the pre-conference programs, and these multi-day programs run concurrently, so please only register for one of them.

The Rocky Mountain Chapter will provide two scholarships for attendance at the NEC. One for a qualified planner or contract planner and one for a qualified supplier or associate supplier. Please visit the Chapter’s website at www.sgmprockymtn.com under the Awards tab, to download the

Smart Takeaways By Benton Partin Smartmeetings.com / March 2011

Choosing the right turndown or takeaway gift can be tricky, especially if you want to please all your attendees. For me, that often means gender and age-neutral gifts. That being said, there’s still a lot of flexibility in what I give out at our Smart Events.

I find that food items are always a big hit. At our recent Smart Mart in San Francisco, we gave out Godiva chocolates, and there were none left—a true testament to whether or not attendees like something. In the past, we have used items from the Green Teaist, and other gifts like a treasure chest full of cashews, provided by Torn Ranch. You can never go wrong with wine, unless your attendees are under the age of 21 or something. Spa packages are also successful, again, depending on your audience. If you are primarily hosting male attendees, it might not be the case. But then again, it can be a success with them too.

You can always determine how your attendees might respond to a certain gift based on past events. For example, if your attendees drank twice as much coffee than tea at breakfast, you might get them a coffee-related gift instead of a tea one. You can also do pre-event surveys and things like that to determine what your guests might like.

Our takeaways are provided by sponsors, so that’s also something to keep in mind. If one company won’t provide a takeaway, there’s always another one that will. In the end, your at-tendees will appreciate anything you give them. From my experience, it’s definitely the thought that matters, but with a little research, a creative gesture can really go a long way - in other words, return attendees.

New courses are added periodically.

To be eligible to take the course, you must be an SGMP member in good standing for at least six months. The $595 registration fee includes the three-day training, course materials, and the exam, which is administered the morning of the fourth day.

A Planner guest can attend the first meeting complimentary but will be required to pay for

attendance at a second meeting. Supplier guests pay $40 for their first two meetings. Guests, whether a Planner or Supplier, must join the Chapter before attending their third meeting.

Reservations for monthly luncheon meetings must be cancelled by 2 p.m. the Friday before the meeting. We realize that WEATHER happens. If inclement weather is a problem, you must notify the Chapter Board that you cannot attend for this reason and you will not be charged.

All Reservation cancellations must be made by calling (303) 675-6681.

Do not call the hotel directly to cancel. You will still be charged. If you are a no-show and do not cancel within the required time, you will be invoiced for the amount of your registration fee.
