PRESIDENT'S MESSAGEKatherine Vaillancourt

It truly has been a year of learning, growing andthriving for the Association of AdministrativeProfessionals! I am truly honoured and humbled toserve AAP and our members in the role of NationalDirector-President. Thank you to all the membersof the National Board for your commitment,passion and drive. It is a true blessing to work withamazing, dedicated and thought provoking leaderswho support and promote AAP’s mission,vision and values. Thank you to all the members ofthe executives at our local branches, our amazingvolunteers, and to our members for continuing tostrive for excellence and professionalism. I am aproud member of the AAP family and look forwardto working with all of you as we move towards anew year of growth and development. As National Director-President, my responsibilitiesinclude representing AAP in all organization-relatedmatters and activities. This includes boardgovernance, communications, corporatereputation, strategic planning, branch support anddevelopment, national sponsorships andpartnerships, and non-profit growth opportunities.

SUMMARY

In October 2019, the National Board conducted aone-day facilitated strategic plan session anddeveloped the key strategic blueprints highlighted intoday’s plan. By taking into consideration the METrecommendations, the market analysis from theCapstone Project, and the vision of both the branchesand the National Board, we have developed astrategic plan that is engaging, inclusive, growth-focused and current in the needs of today’sadministrative professional.A strategy statement has been developed, as well asthree strategic goals that the National Board andbranches will accomplish together. In return, AAP’sengagement levels will improve, and our memberswill reap the benefits of the changes that will beimplemented over the next three years.

Strategic PartnershipsAAP has continued to build its strategic partnership portfolio through relationship building with new sponsors. In 2019-2020, AAP has built newpartnerships with Microsoft, Google, Meeting EncoreLtd., TravelPerk, The International Centre, EvolutionAV, Editors Canada, Broadway Across Canada, BobMinhas, Digital Leads Online, Glynis E. Devine andAlmenta International. We have also continued ourpartnerships with #AdminsRock, APC, Rhonda Scharf,Executive Secretary Magazine, Canadian Meetings &Events Expo, Choice Hotels and Resume Target. TheNational Board will continue building our strategicpartnership portfolio as we move towards the nextphase of our organization’s development.

This year brought so many exciting and significantevents, not only with the Association, but also for meprofessionally. What a memorable year this has been.They said, “third time’s a charm” and indeed, for my3rd year in the position, there has been so manymovements and activities that happened.

Proud to say, the membership continued to grow.This year we passed over 100+ MAL members, anumber I am truly proud of. Some internationalmembers are now landed immigrants. This means,our Association is not only a huge source ofknowledge, competency and skills, it also now attractsattention far and wide. We have members as far asUK, Nigeria and Qatar.  Another significant event happened this year was myretirement. After serving The City of Calgary for 22fruitful years, I said “Sayonara” to my belovedprofession. It was a decision that didn’t come easy.However, since my parents’ passing 8 years ago andmy own health scare of brain aneurysm 4 years ago,I’ve made up my mind since then to opt for my“quality” of life as opposed to “quantity” in life. Today,as I am writing this report, I am a happy, fulfilled anda proud admin retiree at 55! Now I can devote moretime for my passion and in serving my fellow adminswith AAP!

Last year, I helped re-activate the OttawaBranch and this year, I am very happy anddelighted to have helped open a totally brand-new branch, the RedDeer Branch. Combined efforts from National Boardand the enthusiasm of the founding members inRed Deer paved the way for me to make thishappen. On January 25, 2020, National Boardmembers approved the interim operation of thebranch with the leadership of Alison Lemire as theinterim president.

CCAP National Coordinator

The ongoing communication with those currentlyenrolled in the CCAP program and the numerouspotential CCAP program enrollees throughout theprocess of providing CCAP information remains andalways will be the priority of the Registrar. This pastyear saw 36 new enrollments in the program andmany more are in the information gathering/decisivephase. In October 2019 a successful presentation wasmade to the students of College Boreal in Sudbury.The event included students from all their campuses.During the year, two new educational partners havebeen brought on board and several more are inprogress, however, with the current COVID-19situation, schools have had to put these discussionson hold for the time being.2019 has been a year of change and growth not onlyfor our Association but for the CCAP program as well.The focus of this past year has been on expanding ourcertification program to better meet the needs of ourmembers, current and future. The CCAP Committeehas drawn up a new tiered program that maintainsthe integrity of the CCAP designation while offering anew alternative to potential enrollees.

2019-20 has been a productive year, but also a year of change.We voted in our new Executive Team at our AGM in April 2019.We were very excited to welcome three new Executivemembers as follows: Secretary - Susan Tesi, ExecutiveAssistant at McMichael Art Gallery; Membership Chair - SharonCranstone, who is self employed; and Events Coordinator -Sharon Crowe, Board Liaison and Executive Assistant atStevenson Memorial Hospital. I was acclaimed President forthe third consecutive year and the following incumbentsagreed to continue in their roles: Chantalle Freeborough - Vice-President; Brenda Fellows –Treasurer; Gale Belcourt -Newsletter Editor; and Arlene Stone, long time and foundingmember, stayed on as ex-officio and Past President. We didhave some turn around during the year when our Secretaryand Treasurer stepped down for personal reasons andanother member experienced some health issues. ArleneStone graciously agreed to fulfill the vacant Treasurer role untilyear-end. Our remaining Executive members stepped up to fillthe voids and we have persevered as a team, doing whatAdmins Do Best, to ensure everything was covered. So thankyou to my small but dedicated team!

We welcomed a few new members to the Barrie branch thisyear and I am very pleased to say that we now have 29members.

With our small Executive Team, we focused our attention onfour events this year. We hosted a very successful CyberSecurity event in September at Georgian College, facilitated byDeloitte Private. This interactive session was well attended byadmins in the field, IT folks working in the field and studentsfrom the Business Entrepreneurship program at GeorgianCollege. We then hosted our annual Holiday Spa event in lateNovember at Georgian College Spa and Esthetics Clinic. InJanuary we offered a couple of webinars at zero to minimalcost to members. The first one was hosted by National Boardon Social Media and the second was hosted by HamiltonBranch on Resilience. Both provided useful information toAdmins from across the country.

We were very excited to provide our upcoming PD Workshop,that was to take place at Sandbox Centre in Barrie on FridayApril 24th. Unfortunately due to COVID-19 we have had topostpone this event for the safety of our members. This eventwill now be held on Friday September 18th. Our theme isBuilding Your Strengths: Professionally and Personally. We arefeaturing 3 dynamic speakers on Office 365, Understandingthe People you Work With and a registered Dietician speakingabout Eat Smart at Work, Live Smart at Life.

This year has been one to remember as we set the barextremely high for our Executive Board.  We could not bemore proud of our board and our branch as we look backand reflect on a monumental year.  Our board spent anentire day in June 2019 carving out plans and designing theCalgary Branch calendar year at Azuridge Estate Hotel. Wemade a plan and stuck to it with laser vision, created atheme, conceptualized the calendar around that scope andworked incredibly hard to align speakers that resonatedthat message.  We designed our theme based on what wefelt was a shared goal to “Build an Empire, Leave a Legacy”. We changed how we approached our monthly topics andlooked outside the box to find our speakers.  Instead ofplucking content from the speaker’s bureau with hopesthat these individuals would come present to us on aminimal budget, we decided it was time for a freshapproach.  Rather than us seeking out speakers, the doorsbegan to swing open as we got massively involved withinour community.

We kickstarted the fall with four massive volunteer eventsthat involved not only our executive board, but our branchmembers and our students from our educational partners.We began to work harder than ever rekindling ourrelationships with our established educational partners andstarted to involve their students alongside our membersfor the first time.  It was incredible to watch as therelationships organically developed between our membersand the community.  We started to experience growthfaster than we could have ever anticipated, all from makingconnections and nurturing relationships. 

The quality of our content has improved, membership hasgrown 25%, our executive board is engaged more thanever, and our members are bringing friends and colleaguesto events. The essence of what we envisioned for our yearcame to fruition, and we could not be more excited to seewhat the future holds for 2020-2021 with the Association ofAdministrative Professionals - Calgary Branch.

We currently have 82 paid members for the term.The EC hosted eight branch meetings at the Chateau Louis Hoteland Conference Centre. In addition, there was one fun eventheld in December.The EC also convened 10 separate business sessions during theterm. The annual professional development workshop was very wellattended with 158 delegates. Our facilitator, Michelle Cederberg,delivered a presentation on “The Success-Energy Equation:Strategies to Boost Personal and Professional Success.”Our annual June wind-up was a fun PlantNite evening, wheremembers made a personalized planter with succulents. As agiveback to our members, we were able to significantly subsidizethat event.October is when we honour our CCAP graduates. This year nograduates attended; therefore, the celebration portion of ourdinner meeting was cancelled.Our December holiday event was a fun-filled and sold outevening at the Mayfield Dinner Theatre. We enjoyed theproduction “ Class of ‘63: A Rockin’ Reunion ”. Everyone had anenjoyable time listening to the music of past and presentCanadian artists. As a giveback to our members for theircontinued support, we were able to subsidize. The EdmontonBranch will donate $200 to Suit Yourself at the 2020 Conference.Our branch executive actively participated in the June andOctober National Board meetings, as well as the Januaryteleconference.The Edmonton Branch continued to promote our Associationthrough our social media, promotional items and distribution ofour agenda to guests who attended our meetings.

This is my last term as president. I am grateful to be a part of theAAP and thank all of my mentors, both at the branch and nationallevel. Branch highlights for this term included the following:

This presidential year has been a great challenge for not onlyme but the members of my executive team. We began ouryear strong with a full executive team and as the yearunfolded, we had team members resign due to work issues,personal issues, COVID-19 and life in general. This created anadditional load on the remaining team. We remained as strongas we could and continued to host our monthly programs withsuccess. The new venue worked well, and the members enjoyed theprogram content and the social networking of the group. Wealso had several non-members take advantage of registeringfor several presentations. With the outbreak of COVID-19, ourbranch as well as other organizations were faced with a wholenew challenge. We had over 50 registrants who had paid fortheir attendance at our Professional Development Day andthen our Branch had to make that very hard decision to cancelthe event. Without a Treasurer, this role was now part of mine.It took some time but refunds were sent to all registeredparticipants. We do not know the fate of this branch or other branches withthese trying times. With faith and staying the course, ourAssociation will pull through this nightmare and becomestronger for it. Our remaining team has been supportive andit’s been an honour to work with them through this trying year.

The Moncton Branch currently has 24 members for2019-2020.   Our branch met a total of four times face-to-face, had a webinar in January, and a conference callfor our AGM.  Unfortunately, our May meetingwas cancelled but our speaker will be speaking this fall. The 2019-2020 year started out great with committeechairs on board and excitement for the year.  Asthe months came, personal issues arose and we lostsome of our Executive Committee members as they hadto step down. Following that, COVID-19 ended ourprogram year sooner than anticipated. At our meetings, we welcomed returned members, newmembers, students and potential members.  We metchallenges along the way and in the end, realized someunprecedented days (and months).  We are now seeingnew opportunities as we navigate unchartered onlinewaters.  We appreciate the support received fromNational and look forward to an amazing 2020-2021year where we will meet in Charlottetown for theNational AGM & Conference.
