Reports

Budget:

expected and any deviations were discussed at previous meetings.

Carl update (ongoing performance):

Neville reported that she, John Inman, and Alyson Lobert will be attending the TLC-U

conference in Salt Lake City 10/13 thru 10/16. One thing they plan to do is talk to other CarlX

customers who use patron auto-renewal.

Technology Services Update:

Michelini reported that the INKS building is proceeding. BELL Sumpter branch should open in

November, and the new Main library in Jan-Feb. COMM posted their director position.

Unfinished Business

A. TLC/CARL issue progress A. Neville/C. Morse

Morse reported that the change to serial records from chronology and enumeration for certain

items will make them display better with FRBR. In the upgraded test catalog with FRBR title

searching looks better, formats display better, there are some quirks with cover art, and series

are looking pretty good.

Inman is still working to import Overdrive records; some are old and need updating. One click

download for MCLS records is still being worked on.

Carl Connect is working well for libraries using it.

B. Fines/Blocks/User profiles P. Braden Schaaf and the committee continue to work on it. NOVI and WATE are changing their default

user profile and BELL is considering a change.

C. Auto renewal for items from SASUG A. Neville

Neville reported that testing will occur after the first of the year. Depending how things go it

may be possible to have libraries opt out.

D. Auto renewal for patron cards from SASUG A. Neville

Waiting for questions/preferences from SAS libraries. Will be discussed at TLC-U. Lobert will

send an email to SAS libraries soliciting questions/preferences. It’s a system-wide feature.

E. Multiple cards/staff cards E. Rutkowski

The Circ Committee is discussing. Recommendations will be brought to the Steering

Committee.

F. Generator progress – Novi site plan/commission J. Pletz

Pletz reported it should be installed by the end of November.

G. Celia Morse contract review J. Pletz

Pletz will discuss in November. The current contract ends 12/31/19.

H. Billing formula and renewals M. Smith

In light of the change next year to auto-renewal of items, the SAS billing formula was discussed.

McCann distributed a spreadsheet showing the impact of removing renewals from the

circulation calculation used in the formula. After discussion of the potential for uneven swings

in circulation counts due to different numbers of renewals allowed by different libraries, Lenze

moved “The Executive Committee of the Shared Automation System Users Group

recommends to the Shared Automation System Users Group to calculate circulation in the

2020-2021 budget year by counting checkouts only, not counting any renewals.” Motion

seconded by Smith. Motion approved (Yes 8, No 0, Absent 1)

New Business

A. Discussion about last copies P. McCann

McCann wondered if there is value in trying to create a policy about preserving the last copy of

an item in CarlX. Smith mentioned that at REDF weeding is pretty aggressive now and the focus

is on retaining and acquiring items of quality that will circulate. No one was inclined to draft a

policy.

Other Items from Committee members

Lenze shared that Chicago will be going fine free and allowing 15 auto renewals.

Braden motioned to adjourn the meeting at 3:11. Seconded by Rutkowski. Meeting adjourned

(Yes 8, No 0, Absent 1).

Respectfully submitted,

Martin Smith

Next meeting: November 7 at 1:30 pm, Livonia Civic Center Library
