Welcome We would like to welcome all new members to the North Wales NHS Library Service. We are here to provide you with a comprehensive range of resources that will support your information needs. We also provide a range of services designed to help save you time and make the most of our online resources including:

Location From the Main Entrance to Ysbyty Gwynedd, pass the reception desk and take the flight of stairs to your left. The Library is signposted from this point on. Go through the double doors at the top of the stairs, enter the corridor in front of you and go through a second set of double doors. The Library is on your right, just past the small staff kitchen. Ysbyty Gwynedd Library Staff also visit the unstaffed, reference only library at Llandudno General Hospital.

Out-of-hours access to the Library You can access the library out of hours by passing your BCUHB ID badge over the sensor panel next to the front door of the library. Swipe access is required by all staff who wish to enter the library outside the hours of 8am – 6pm Monday to Friday, weekends and bank holidays. Out of hours access is for reference purposes only.

Location Glan Clwyd Hospital Library is situated on the first floor of the hospital above the Postgraduate Department. The easiest access is via the Education Centre entrance, around the corner from the A&E Department. At the entrance to the Education Centre take the lift to the first floor, turn left and left again down the corridor, the library is on the left. Glan Clwyd Hospital Library staff also visit the unstaffed Ophthalmic Library at Abergele Hospital.

Out-of-hours access to the Library The Medical Institute opens at 6:30am and remains open until midnight every day of the year. Library membership is available for all employees of the Betsi Cadwaladr University Health Board and for all health professionals based in North Wales, including community pharmacists, practice nurses and medical / dental students. If you are unsure as to

whether you are eligible to join, please contact your local library for full details.

To register come into one of the Libraries and fill in a Library Membership form. We will issue you with a North Wales NHS Library Service card that you can use in all 3 Libraries. You are responsible for all of the items on your library membership card and are allowed a maximum of ten items across the North Wales NHS Library Service. For more information please read Your Responsibilities (see page 24).

Induction to the library service Come along to your local library service at Bangor, Glan Clwyd or Wrexham, meet the library staff and find out about the services and facilities we can offer you. Please contact us in advance if you would like to book a group induction session.

Library Catalogue To find specific titles from the library book / journal stock, and to check their availability, search the Library catalogue from work or home and at any time at http://library.cf.ac.uk This catalogue is a joint catalogue of NHS Wales libraries and Cardiff University. You can borrow books from any library listed in the catalogue, through our Inter-library Loans service (see page 12).

Finding a book All books in the three libraries are classified using the National Library of Medicine Classification Scheme, which uses two letters to represent the main topic. For example, WQ represents books on Obstetrics and WR represents books on Dermatology. Each Library has a Subject index at the library counter. You may borrow up to 10 items across the North Wales NHS Library Service at any one time. Some of the library books are marked reference only and some of the books are labelled as 2 week loans. Borrowing items Items may be borrowed for up to a maximum of four weeks, after which time they will be subject to recall unless returned or renewed.

Renewing loans You can renew items by telephone – just quote your library membership card number and book details. You may also renew items yourself by viewing your library account via the Internet at http://library.cf.ac.uk Click on ‘View Your Library Account’. You will then need to enter your library card number, surname and PIN number (ask at the Library counter for more details). You will be able to see all of the items currently issued to you, and renew those which are eligible for renewal. You may also check the status of any outstanding reservations and cancel those which may no longer be required. The maximum number of times you can renew an item over the phone or online is three times. Returning items When the loan period is completed you are responsible for returning items to the library. Items are your responsibility until they are received back at the library. You will be charged for unreturned, damaged or lost items. In addition to the cost of the item(s), a £10 administration charge will be levied.

Reserving items Simply ask at the library counter if you wish to reserve an item. As soon as the reserved item comes into the library, a member of staff will contact you.

Please note that you should not remove any items of library stock which have not been issued to you, as they will trigger the alarms. Security cameras are in operation.

Please also note some stock is intended to be reference only, in the library, and will be marked accordingly.

Print Journals You can see the latest journals displayed alphabetically in Bangor and Wrexham and under their subject category at Glan Clwyd Library. We also keep back issues of journals for fifteen years or longer. There is a printed list of the journals subscribed to by the North Wales NHS Library Service available at each library counter and you may also check for particular titles on the Library catalogue at http://library.cf.ac.uk

e-Journals The North Wales NHS Library Service has a collection of electronic journals, so that you can make the most of our journals from your desktop or home, as well as within the Library. From the library service intranet pages http://nww.bcu.wales.nhs.uk/library click on the e-journals link or on Your Athens homepage choose SwetsWise. For more information on Athens see page 20.

Enquiry Service We are here to answer your questions. No matter if it is a simple request for a telephone number or a complex request for information concerning the care of a patient, we are always happy to help. You can contact us in person, by phone, e-mail or via our ‘Ask a librarian service’ which can be found under the Help and Feedback section of the library website at http://howis.wales.nhs.uk/sitesplus/861/page53326

Literature Searching Service Experienced Librarians are available to help you get the most from the various health information databases, training is offered either at scheduled library training sessions or on a one-to-one basis as required. When you don’t have time to search the literature yourself, simply download a literature search request form at http://howis.wales.nhs.uk/sitesplus/861/page/48929 and we can do the search for you.

Inter-library Loans (ILL) Service If a book or journal article is not available in your local library collection we can obtain it for you through our Inter-library loans (ILL) Service.

If what you want is not held in Wales we will contact our extensive network of national libraries, for example, the British Library, to locate what you require.

How to request an article or book? Requests can be submitted by one of the following: 1. From the library website. 2. E-mail the library you wish to collect the ILL from. If you are sending a list please use this option (see generic e-mails on the back page of the guide). 3. Fill out an Inter-library Loan Request form available in the libraries. 4. Telephone the library you wish to collect the ILL from.

How long will the request take? We will send your request to the supplying library within 24 hours, but it could take from 5 -10 working days before you receive it. We will inform you of any known delays.

Are there any charges? There are no charges to you for inter-library loans, but the Library service has to pay the supplying library for each request. Therefore we ask you to use the ILL service responsibly, and to request only those items you believe will contain substantial information and will be genuinely useful to your work.

What to include in your request? When submitting a request please include the following where possible: Title of journal or book Title of journal article (or book chapter if required) Author of article or book (if chapter please give the editor of the book and the author of the chapter) Year Journal volume Journal issue (if known) Page numbers Book edition Your name (printed) Library membership card number Work address or home address Contact number or bleep number Your email address Your signature if using the Inter-Library Loan Request form. Please tell us is the item required for patient care, research, education or other (please state for example, writing an article for publication). Copyright Declaration All requests for copies of articles from journal or book chapters require a signed Copyright Declaration. If this is not provided when you submit your request we will send you the appropriate form to sign and return to us when we send you the photocopy.

Collecting and returning items you have requested Photocopies Photocopies of articles will be sent via internal mail, unless requested for collection from the library or to be sent to a home address. If the item is to be collected from the library we will inform you of its arrival. Loan items All loan items must be picked up from the library you requested it from and signed for. Uncollected items If a loan item has not been collected by the due date it will be returned to the lending library. Uncollected items will not be renewed. Renewal of loan items Loan items may be renewed once at the discretion of the lending library. If an item is recalled by us please return it as soon as possible. Returning loan items All loan items must be returned to the library by the due date. All items are the responsibility of the borrower until returned to the library. Lost or non-returned items If a loan item is lost or not returned, a charge will be made for its replacement. This is usually the cost of the item plus an administrative fee of £10.

Failed requests Whilst the Library Service will make every effort to obtain requested items this is not always possible. The library will inform you of such a situation. Dyslexia Service Are you dyslexic? We are here to help you. Please speak with a member of staff in confidence to discuss your particular needs. Local Information Service Flick through our ‘New to the area’ folders and local information collections for ideas about leisure activities. Daily newspapers are also available at Glan Clwyd and Wrexham.

Fiction Book Swap Trolley

To provide you with some light reading, we have Book swap trolleys, which hold a collection of fiction books donated by other library members. Books can be borrowed from the trolley and then either returned or passed onto someone else. If you have any fiction books to donate, then bring them along, as we are always looking for new books to add to the collection.

Library training programme Improve your information searching skills by booking yourself on to one of our small group training sessions. After attending one of our sessions you should be quicker at finding relevant articles, and also be more confident that you are finding reliable evidence. Quiet Study areas If you are preparing for exams, we offer different types of study spaces, to suit you. These are available both during and outside staffed opening hours.

Computers Each library has well equipped open access computer rooms that are available outside staffed hours. Across the three sites there are 90 PCs, all with Internet access. Glan Clwyd Library also has Broadband computers that do not require passwords. There are also WYSE terminals, which enable Cardiff University students to access the Cardiff University Network.

Logging onto computers Please use the Username and Password given to you by the IT department on each site. The Library staff can give you the contact details of the IT department if you have any problems logging onto the network.

Hot Desking Our facilities are here for you. If you are travelling between sites, you can ‘hot desk’ at one of the libraries.

Training Rooms Library training is carried out in specially designed training rooms.

Refreshments Library members in Ysbyty Gwynedd can purchase light snacks and refreshments from the WRVS café and shop on the ground floor.

If you need to take a break from studying at Glan Clwyd Library there is a small coffee lounge, with drinks machine, where you can relax at any time.

John Spalding Library members can use The Café, situated on ground floor of Medical Institute, to purchase drinks, snacks and meals. Photocopying & Printing Each library offers photocopying and printing facilities. The charges for printing and photocopying are displayed adjacent to the photocopiers and printers and at the library counters. A copy of the Copyright regulations relating to photocopying is posted near each copier. Please ask the library staff for further information.

Binding & Laminating facilities You can get your thesis, assignments reports etc. bound and your documents and posters laminated. The charges for these services are displayed at each library counter.

HOWIS (Health of Wales Information Service) HOWIS is the NHS Wales Intranet/Internet service provided by the Welsh Government. It provides easy access to information in electronic format for all NHS staff in Wales.

NHS Wales e-Library for health There is a link from HOWIS to the NHS Wales e-Library for Health. This is a collection of electronic information resources for NHS Wales staff - over 200 full-text journals, e-books and a wide variety of databases e.g. Medline & CINAHL. Athens Registration Athens is an access management system, administered by the Library Service, which allows access to the resources on the NHS Wales e-Library for Health from work and home. All NHS Wales staff can have free access to an Athens account. An Athens registration guide is available at each library and can be found on the library website.

UpToDate We have taken out a subscription to the point of care tool UpToDate. It gathers together the best medical and health care evidence on patient care, helping clinicians to find the answers to clinical questions both quickly and easily. EndNote Endnote is reference management software used for publishing and managing bibliographies and references. Our licence allows five concurrent library members to access EndNote across the Health Board.

SPSS SPSS is a software package used for statistical analysis in research. We have purchased a single user licence which allows one library member to access SPSS across the Health Board at any one time.

For further information about any of our electronic resources please ask a member of the library staff.

Library Newsletter We publish a newsletter, which enables us to inform you of new developments, services and issues relating to the library service. If you would like to be added to the mailing list for the newsletter please contact Glan Clwyd Library. The North Wales NHS Library Service seeks to provide a safe, secure and comfortable environment for study in all of its Libraries. We need your active co-operation to facilitate this and ensure the greatest benefit for all our users. Membership and Borrowing • You should register with us, which signifies

acceptance of the Library rules and your responsibilities. We will give you a membership card which you must produce to have items (books, CDs, DVDs etc) issued to you.

• You should not remove any items of library stock

which have not been issued to you. Items are security tagged and will trigger the alarms if removed without authorisation, and security cameras are in operation. Please note some items are intended for reference only in the Library, and will be marked accordingly.

• You are responsible for all items borrowed on your

Library membership card (Maximum of ten items across the North Wales NHS Library Service). If a colleague or friend wants to borrow a book that you have on loan, you should return it to the Library, where it will be discharged from your record and reserved for them. Do not give them an item that is still charged out to you.

• Items will be issued for up to a maximum of four weeks, after which time they will be subject to recall unless returned or renewed. Items maybe renewed up to a maximum of three times by phone, post or e-mail or by self renewal via the Library Catalogue, using the View Your Library Account tab http://library.cf.ac.uk Renewal will be refused if the item has been reserved by another reader.

• Any items sent to you or returned to the Library, using the Internal Mail Service or the Royal Mail (obtain proof of posting/recorded delivery), will be your responsibility until they are received back at the Library. You will be charged for unreturned, damaged or lost items. Failure to return overdue/lost items or pay for them will result in the library notifying the Business Shared Partnership Debtors section to initiate the recovery procedure. In addition to the cost of the item(s) a £10 administration charge will be levied.

• Inter-library loans (loans we obtain for you from another library) should be returned in person to the library that issued them to you and not returned directly to their home library.

• You should notify the Library immediately if you lose your Library membership card, temporary access card or inter-library loan or change your home or work address. A charge of £1 may be made for replacing a lost library membership card.

• Please treat the Library's books, journals, multimedia resources and other equipment with care.

Library IT Facilities • The Library's computing facilities are primarily

provided for work, research or study. All BCU LHB polices should be adhered to, failure to do so may result in disciplinary action by the Health Board. The downloading or installation of software onto any Library PC from any source is not allowed, nor is the alteration of existing settings. Only Health Board approved and encrypted laptops can be plugged in to the BCU LHB network, please check with Library staff.

• Observe copyright regulations. Please refer to the

printed guides or ask a member of the Library staff if you are in any doubt about copyright.

Library Environment • To maintain an atmosphere that is conducive to study,

please work quietly in study areas. In other areas levels of noise should never disrupt other individuals. Please switch off mobile phones or switch to silent.

• Assume responsibility for your belongings and keep

your valuables safe. Unattended items are left at your own risk (including in lockers, if provided).

1. Requests for information and literature searches will be

satisfied within three working days or by negotiation. 2. Appointments for assisted literature searches to be

made at the Library user’s convenience, within the hours that the Library is staffed.

3. Reservations for items of stock that are on loan will be

placed within one working day. 4. Items of stock that are reserved will be recalled the day

following the expiry of the current loan period. 5. Notices for overdue items will be sent to the Library user

within one week of the expiry of the current loan period. 6. Requests for photocopies from stock for Library users or

other libraries will be satisfied within two working days. 7. Request for items not held at the Library (inter- library

loans or journal photocopies) will be actioned by Library staff within one working day.

8. All requests specified as urgent will be actioned

immediately, where possible. 9. If an interlibrary loan request has not been satisfied

within two weeks a report will be sent to the requester informing him/her of progress.

10. Library staff will endeavor to maintain a tidy

environment, conducive to study.
