Mail Working Screen
Section Description

Read Email Messages
OneofthefirstactionsyouwilltakeusingtheMailappisreadingemailmessages.Youcanviewanemailmessageinthereadingpaneorinitsownwindow.
Open a Message in the Reading Pane
1. Inthemessagepane,clickonceonthesnippetofanemailmessage.Themessageopensinthereadingpane.
Open a Message in its Own Window
1. Inthemessagepane,doubleclickonthesnippetofanemailmessage.Themessageopensinitsownwindow.
2. Whenyouarefinishedviewingthemessage,closethewindow.
Mark a Message as Unread
1. Tomarkamessageasunread,inthetoolbar,clicktheMorecommands(…)thenchooseMarkasunread.

Filter Messages
Tohelporganizeyourmessages,youcansortinmanywaysusingtheFilterbutton.

Send Email Messages

Write a New Message
Youcancreateanewemailmessageinsteadofreplyingtoorforwardingexistingmessages.
1. ClicktheNewbuttonintheupperleftcornerofthetoolbartobeginanewemailmessage.
2. EntertheemailaddressofarecipientintheToline.Tosendtomorethanonerecipient,typeadditionalemailaddressesafterthefirst.
3. EnteremailaddressesontheCclineifnecessary.
4. TosendtoaBcc,clickthewordBccontherightsideoftheToline.
NOTE:Bychangingthesettings,theBcclinecanalwaysappearinthenewemailwindow.
5. Enterthemessage’ssubjectontheSubjectline.
6. Composetheemailmessage.
NOTE:Thetoolbarwiththeformattingoptionsbelowthebodyoftheemailmessagecanbeusedtoaddinformatting(suchasboldorbulletpoints)toyouremailmessage.
7. Ifared,squigglylineappearsbelowaword,thismeansthewebbrowserflaggedthewordasmisspelled.Toviewoptionsandcorrect,right‐clicktheword.
NOTE:OutlookontheWebdoesnotcontainaspell‐checkingfeature.Thebrowseryouareusingdoesallspellchecking.Toensurethebrowseryouareusinghasaspell‐checkingfeature,readthehelpfilesforthebrowser.
8. Tosendthemessage,clicktheSendbuttonatthetopofthecomposepane.

Discard a Message
Ifyoubegincomposinganewmessageanddecidetodeleteit,youcandiscardthemessage.
1. ClicktheDiscardbuttonatthetopofthecomposepane.
2. Intheconfirmationbox,chooseDiscard.
Save a Message as a Draft
Ifyoubegincomposinganewmessageandmustcompleteatanothertime,youcansaveadraftofthemessage.
1. ClicktheMorecommands(…)buttonatthetopofthecomposepane.
2. Inthemenuthatappears,chooseSavedraft.
3. ThemessagesavestoyourDraftsfolder.

Edit a Draft Message
1. ClickontheDraftsfolderinthenavigationpaneandclickthemessageyouwanttoeditinthemessagepane.
2. FinishcomposingtheemailmessageandthenclicktheSendbuttontosendit.
Attachments

View an Attachment
Messagessenttoyouwithattachmentshaveapaperclipnexttothesender’snameinthemessagepane.
1. Toviewanemailattachment,clickonthemessagewiththeattachmentinthemessagepane.Thiswillopenthemessageinthereadingpane.
2. Theattachment(s)appearinthemessagepanebelowthelistofrecipients.

Edit an Attachment
ManyMicrosoftOfficefiletypes(Word,Excel,PowerPoint)canbeeditedwhiletheyareattachedtoanemail.
1. Withtheemailopen,clickontheattachmentyouwishtoedit.Theattachmentopensontheleftsideofthescreen.
2. Intheattachmentpane,atthetop,clicktheEditandReplybutton.
3. Thefilewillbeopenedintheonlineversionforfurtherediting.Fromhere,youcaneditandmakechangestothefile.Whenyouarefinishedediting,clicktheXatthetoprightsideoftheattachmentpaneandthenclickSendtosendtheemailmessage.
NOTE:Changesmadetotheattachmentwillautomaticallybesaved.

Delete Email
Tokeepyouremailaccountorganizedandtidy,itisrecommendedthatyoudeleteemailmessageswhenyounolongerneedthem.Therearemanywaystodeleteemailmessages.
Delete from the Message Pane
Themessagepaneisoneoftheplacesyoucanusetodeleteemailmessagesyounolongerneed.Thereareseveralwaystodeletemessages.
Todeletefromthemessagepane:
ClicktheDeletebuttoninthetoolbar
RightclickthemessageandchooseDeletefromthemenu.
ClickonamessageinthemessagepanethendraganddropitintotheDeletedItemsfolder.
SelectmultiplecontiguousmessagesusingShift+ClickandthenchooseDeleteinthereadingpaneordraganddropthemessagestotheDeletedItemsfolder.
Selectmultiplenon‐contiguousmessagesusingCtrl+ClickandthenchooseDeleteinthereadingpaneordraganddropthemessagestotheDeletedItemsfolder.
Whenhoveringoveramessage,acheckboxappearsontheleftside,iftheboxischecked,youcandeletethemessagebyrightclickingandchoosingDeleteorclickingontheDelete()iconinthemessagepane.

Managing Folders
Tohelpyouorganizeyourmail,youcanmoveemailmessagesintofolders.
Create a Folder
1. Inthenavigationpane,hoverthemousepointeronyourname;thisisyourmailbox.IfyouhaveFavoritesinthenavigationpane,theFavoriteswillappearatthetopandyournamewillbeunderthatsection.
2. Clicktheplussymbol(+)thatappearsnexttoyourname.
3. Ablankboxappearsatthebottomofyourfolderlist.TypethenameofthefolderintheboxandpressEnter.
4. Thenewfolderappearsinyourfolderlist.
NOTE:Tocreateasubfolder,rightclickonthefolderyouwanttouseasthetop‐levelfolderandchooseCreatenewsubfolder.Followthesamestepsasabovetonamethefolder.MakesureyouarenotintheFavoritessectionofthenavigationpane;youcanonlycreateasubfolderinyourmailbox.
Move Mail to a Folder
Onceyoucreatedafolder,youcanmovemessagestothefolder.
1. Inthemessagepane,locatethemessageyouwanttomovetoafolder.
2. ClicktheMovetobuttoninthetoolbar.
3. ChooseafolderfromthemenuorclickMovetoadifferentfolder.
a. ChooseafolderfromthelistandclicktheMovebutton.
4. Themessagemovestothefolder.

Moving multiple emails
Youcanalsomovemessagestoafolderbydragginganddropping.
1. ClickonamessageinthemessagepaneorselectmultiplemessagesinthemessagepanebyusingShift+ClickorCtrl+Click.
2. Clickandholdthemousebuttondownontheselectedmessageagain(orifmultiplemessagesareselected,clickandholdontheselectedmessages).
3. Whilestillholdingthemousebuttondown,dragoverthenameofthefolderyouwantthemessage(s)togoin.Noticethatthenumberofmessagesyouaremovingappearsoverthefoldername.
Add a Folder to Favorites
Ifyouhavemanyemailfolders,youcanaddcommonlyusedfolderstoyourFavoritessothattheywillalwaysbeatthetopofthenavigationpane.
1. Hoverthepointeroverthefolderyouwishtoaddtoyourfavorites.Astariconwillappearnexttothenameofthefolder.
2. Clickonthestariconanditwillbefilled.
3. ThefoldernowappearsintheFavoritescategorynearthetopofthenavigationpain.Notethatthefolderdidnotmove,butalinktoitisintheFavoritescategory.
NOTE:ToremoveafolderfromtheFavoritescategory,clickthestariconagain.ItwillberemovedfromtheFavoritescategory.
Delete a Folder
Ifyounolongerneedanemailfolder,youcandeleteit.However,ifyouneedmessagesinthefolderyouareabouttodelete,youshouldmovethemessagestoanotherfolderfirst.
1. Rightclickonthefolderyouwanttodelete.
2. Fromthemenu,chooseDelete.
3. Thiswillbringupapromptindicatingyouareabouttodeleteafolderanditscontents.ClickOKtoconfirmthedeletion.

Share Folders and Shared Mailboxes
Youcanshareanyemailfolderinyouraccountwithotherusers.Thismaybeforcollaboratingonaprojectortomakesurethatemailsareansweredwhenyouareaway.Folderssharedtoyouappearinyournavigationpane.
YoucanalsouseOutlookontheWebtoaccessagroupaccountbyusingasharedmailbox.Groupaccountsareemailaddressesthatbelongtoaprogram,departmentorworkgroupratherthananindividual.Multiplepeoplecanaccessandmanagethisemailaccount.Sharedmailboxescanbeaccessedbyopeningtheaccountinanothertab.
Set Up Your Mailbox for Sharing
Beforeyoucanshareanemailfolder,youmustsetupyourmailboxsoitcanshareemailfolders.Ifyoudonotdothis,anyfoldersyoushareareinaccessible.Thisisdonebygrantingfoldervisiblepermissionstothedefaultuser.
1. Inthenavigationpane,rightclickonyourmailbox(yourname)andchoosePermissions…
2. Inthepermissionsdialogbox,clickontheDefaultuseratthetop.
3. Inthepermissionssection,locatetheOthersectionandchecktheboxnexttoFoldervisible.
4. ClickOKtoclosethepermissionsdialogbox.Yourmailboxisnowsetforyoutoshareemailfolders.
Nowthatyourmailboxissetuptoallowuserstoaccesssharedfolders,youcansetuppermissionsonindividualfolders.

Send Email from Shared Folders
Ifyouhavepermissionstosendemailfromasharedfolder,youneedtochangethesender’snameorthemessageswillhaveyournameasthesender.Whenyouaresendingemailasanotheruser,thesentmailwillonlyappearinyourSentItemsfolder.TheownerofthefolderwillnotseethemessageintheirSentItemsfolder.AnyitemsdeletedinasharedfolderwillmovetoyourDeletedItemsfolderandtheownerofthefolderwillnotseethemessageintheirDeletedItemsfolder.
1. ClicktheNewmailbuttontobeginanewemailmessage.
2. Inthereadingpane,clicktheMorecommands(…)button.Fromthemenu,chooseShowFrom.
3. IntheFromline,selectyouremailaddressandpresstheDeletekeyonthekeyboard.
4. IntheFromline,typetheemailaddressofthepersonwhoownsthesharedfolder.
5. CompletetherestofthemessageandthenclickSend.
Open a Shared Mailbox
Youcanaccessagroupaccountbyopeningasharedmailboxthatappearsinanewtabinthebrowserwindow.Whilegroupaccountscanbesetupasasharedfolder,itisrecommendedthatyoudonotasanysentordeletedmailwillgoinyourfoldersandnotthefoldersofthesharedmailbox.
Openingthesharedmailboxinanewtabalsosimplifiestheprocessofsendingemailasyoudonothavetochangethenameofthesenderbecauseyouaresendingemailsdirectlyfromthegroupaccount.AllmailsentfromthesharedmailboxwillgointheSentItemsfolderforthegroupaccountandalldeleteditemswillgointheDeletedItemsfolderforthegroupaccount.Forthisreason,itisrecommendedthatyouopenasharedmailboxtoaccessagroupaccount.
1. Totherightofthepaneofapps,youwillseeapersoniconoryourphoto.Clicktheiconorphoto.
2. Inthemenu,chooseOpenanothermailbox...
3. IntheOpenanothermailboxdialogbox,typeintheemailaddressofthegroupaccount.
4. ClicktheOpenbutton.
5. Thesharedmailboxwillopeninanewbrowsertab.Fromhere,youcanworkwiththegroupaccountinthesamewaythatyouwoulduseyourownemailaccount.

Categories
Categoriesareanotherwaytoorganizeyouremailmessages.Youcanassigncolor‐codedcategoriesorcreateyourownandthensearchtoseeallmessagesthathavethesamecategory.Categoriesarealsosearchable.
Assign a Category to a Message
Toaddacategorytoamessageyoucanuseeitherthemessagepaneorthereadingpane.
1. Chooseamessagethatyouwanttocategorizebyfirstclickingonthemessageinthereadingpane,thenclickingtheCategoriesbuttoninthetoolbar.Selectacategoryfromthemenu.
2. Onceyouchooseacategory,thecolorassignedtothecategoryappearsintheemailinthemessagepaneandthereadingpane.
Create a Category
Inadditiontousingthepre‐madecolorcategories,youcancreatecustomcategorynamesandassigncustomcolors.
1. Whenassigningacategoryusingthemessagepane,rightclickthemessage,clicktheCategoriesbuttoninthetoolbarandthenchooseManagecategories….
2. Intheboxthatappears,clickAddnewcategory.Anewwindowwillopen.
3. Assignanewcolortothecategorybyclickingonthedownarrownexttothetextbox.Chooseacolorfromthepalettethatappears.

Remove Categories
Ifyounolongerwantanemailcategorized,youcanremoveacategoryfromamessage.
1. ClickontheCategoriesbuttoninthetoolbar.
2. ClickoneitherthecheckmarkedcategoryorClearcategories.Thelatterwillclearallcategoriesassociatedwiththeselectedemail.
Search for Messages
Thesearchbaratthetopofthenavigationpanewillallowyoutosearchyourmailboxforspecificitems.
1. Tobeginageneralsearchofallyourmail,clickintheSearchMailandPeoplebarabovethenavigationpane.
2. Asyoutype,optionswillappearbothbelowthesearchboxandinthenavigationpane.Usingthoseoptions,youcannarrowdownyoursearch.

3. Formorespecificsearching,youcanuseaprefixfollowedbyacolon(:).Forexample,typingintothesearchboxsubject:training.Thiswillreturnmessagesthathavetheword“training”inthesubjectline.Thetablebelowhasmoresearchprefixes:
