An outdoor wedding ceremony held in our “cathedral without a ceiling” is heavenly. We designed an extraordinary Wedding Pergola

unequaled for wedding ceremonies. Our Pergola is a raised platform adorned with Natural

Stonework, curved steps laid with beautiful brick pavers, White Pillars and Decorative Archways

and horizontal white latticework above. This altar measures a stately 25 feet wide by 4 feet deep

and is situated on our Signature Private Rose Garden Wedding Terrace, surrounded by lush landscaping, luxurious rose bushes in season all

year round draping both sides of the terrace, adjacent to The Royal Crest Room.

To top it off, this area is its own little romantic oasis, nicely secluded with beautiful, panoramic view of the golf course as the backdrop. The sun sets to

the right, casting a beautiful glow on what is already heavenly!

Outdoor Rose Garden Terrace Featuring Custom Designed Wedding Pergola

A similar, smaller trellis stands at the beginning of the aisle under which guests, the wedding party and, most

importantly, the Bride will be escorted into the Wedding Ceremony. This trellis is adorned with natural stonework, white pillars and decorative archway as well. The aisle is a perfect length—about 70 feet—leading the bride to her

groom!

The Royal Crest Room (TRCR) is not responsible for complications or delays due to inclement weather, rain, wind, traffic, or acts of God or war. TRCR is not liable for

the failure to complete this contract due to strikes, accidents, interruption in utilities, or other causes beyond its control. TRCR reserves the right to modify or cancel its obligations under this Contract in the event that occurrences beyond control of TRCR (public emergency, acts of God) reduce its capacity to provide banquet

facilities or catering services. TRCR shall not be liable for any consequent damages for its breach of this Contract.

TRCR cannot be responsible for the weather as it may affect any part off the event held outdoors. Any event planned for outdoors is done so at the Host’s own risk. Should a delay occur for any reason outside of the control of TRCR the Host is responsible for the cost of adding more time at the end, subject to approval of

TRCR Should the weather be inclement the day of the Wedding, the Ceremony, if applicable, will be held in the Ballroom with the same room setup as for the

Reception. No financial refund shall be issued.

TRCR also reserves the right to terminate this agreement prior to the function date if Host fails to make payments when due or if Host fails to meet deadlines imposed by

this Contract.

Any additions/changes to your Event may be acceptable provided TRCR is able to secure services/items requested. TRCR shall not bear liability to the Host or any Event participant for any third party modification or cancellation of this Contract

resulting from such occurrences. Events may generally be contracted no more than 20 months in advance.

L R E Q U I R E D M I N I M U M S L

All Weddings are required to meet a contracted food & beverage minimum expenditure to book the desired date. This minimum does not include the Ceremony

or Reception Fees, audio visual, bartender fee, service charge, tax or any other miscellaneous charges. Food & Beverage Minimums are determined by the day of week and month. Food & Beverage Minimums are as follows for Feb, Mar, Apr, May, Sep, Oct, Nov, Dec: Sat Eve … $4,000.00; Fri/Sun Eve and Sat Morn… $3,000.00; All other … $2,000.00. For Jan, Jun, Jul, Aug: Sat eve…$3,000.00;

Fri/Sun Eve and Sat Morn…$2,000.00; All other $1,000.00.

L E V E N T G U A R A N T E E O F A T T E N D A N C E L

To ensure excellent service and ample food preparation, we require a minimum guarantee of guests to our Event Manager no later than ten (10) days prior to Event (date specified above). Once your guarantee is received, it may be increased, but

not decreased. If actual attendance falls below the guarantee, you will be financially responsible for the number guaranteed. If attendance is higher than the guarantee, it is your responsibility to pay for the additional meals. TRCR Culinary

Staff will make all reasonable attempts to accommodate additional guests, up to 3% over the guaranteed count. Should a guarantee not be received, the Chef will

prepare the minimum number indicated on the Event Blueprint. Final charges will be based on your guarantee or the actual attendance; whichever is greater. When actual attendance surpasses the guaranteed guest count, payment is required

before close of Event.

To secure TRCR and your date, the Contract is to be signed and returned with a non-refundable and non-transferable deposit of $1,000.00. This deposit is for this date only. If you book your Event in the time period between Six Months and 91

days before your Wedding Date, the initial deposit will instead need to be 25% of your Estimated Event Total. If you book your Event within 90 days of your Wedding Date, the initial deposit will be 50% of your Estimated Event Total. The initial deposit,

the signed Contract, once received, will secure your reservations for the function. Please be advised that space will be released if we do not receive the signed

Contract and deposit by the indicated date.

All deposit payments are non-refundable and non-transferable. Deposits will be applied towards the total charges on your final bill. Six months prior to the Event

date, a deposit payment equivalent to 25% of the Estimated Event Total will be due. Ninety (90) days prior to the Event date, another 25% deposit payment (again equivalent to 25% of the Estimated Event Total) will be due. Fourteen (14) days

prior to the Event date, a final deposit payment for the remaining balance will be

due. If payment is not received at any of the required due dates, TRCR maintains the right to cancel the Event.

Any changes, extensions, cash bar bill, etc. occurring within the fourteen (14) days or at the time of the Event must be paid within three (3) days following the Event.

More frequent payments are welcome. L P A Y M E N T L

All payments can be made in the form of cashier’s check, personal check, credit card or cash. Failure to make final payment at the required times may result in cancellation of the Event. TRCR reserves the right to refuse a check and require another form of payment at any time. Personal credit card information must be

submitted to TRCR for any incidentals that may arise at the Event.

L S E R V I C E CH A R G E A N D TA X L

All food & beverage is subject to a 21% taxable service charge and the current Florida sales tax. Special request for early setup will be billed at $75.00 per hour per attendant. We reserve the right to add labor charges for extra setup required

to adjust Event space in accordance to fluctuations in attendance or change requests

L F O O D & B E V E R A G E L All food & beverage is to be purchased solely through TRCR with the exception of Celebration cakes. No food or beverage may be brought into TRCR. Absolutely

no outside beer, wine or liquor can be brought into TRCR. Furthermore, if it discovered that any of your guests including Bridal Party have brought in outside

alcohol, we will be forced to confiscate the outside alcohol immediately (as discreetly as possible). We ask for your cooperation in monitoring this. It is our responsibility to ensure the safety of all of our guests as well as to protect our

Liquor License with the State of Florida. The State of Florida has also required that no food or beverage is allowed to

leave the property as well, with the exception of a Celebration Cake. Menu prices are subject to change without a signed contract. All prices quoted

are exclusive of service charge and tax (unless otherwise noted).

In the event that your group requires a split menu, entrée selections are limited to a maximum of three (3) selections. One price is charged for this service; the highest entrée is the price charged. TRCR requires place cards or tickets identifying the particular entrée selected by each guest and that the guarantee of attendance includes a breakdown for each entrée is due 14 business days prior to event.

L M E N U S E L E C T I O N L

Menu selections are requested three (3) weeks prior to Event Date. Special dietary substitutions are available and can be made in advance. Plated menus

are designed for a single entrée selection. Any secondary entrée selection will be charged a service fee. The catering and culinary staffs will be happy to design a

specific menu to suit your special needs.

.L F U N C T I O N T I M E L

The times indicated on the Event Blueprint are the times TRCR has been reserved. If special setup or tear down times are needed, please contact your Event

Manager. Morning/afternoon functions are requested to conclude no later than 3:00 p.m. Evening functions may begin at 5:30 p.m. Rehearsal space is not

guaranteed until 30 days prior to your event.

L R O O M R E N T A L A N D S E T U P F E E S L

If Event includes an Outdoor Cocktail Reception, The Royal Crest Room reserves the right to assign the space according to the anticipated guaranteed number of

guests at the time of booking. The Royal Crest Room also reserves the right to charge an additional service fee for a setup with extraordinary requirements

and/or last minute changes.

The Royal Crest Room, as a responsible vendor, adheres to all laws and regulation to service and sale of alcoholic beverage. Alcoholic beverage service will be

denied to a guest who appears intoxicated, is under age or cannot provide proof of age. Providing alcoholic beverages by any guest to a minor is against the law and strictly prohibited. The Royal Crest Room requires that all alcoholic beverages

be consumed on premises.

L D E C O R A T I O N S L Client should provide their own cake cutting knife and serving utensil. All table

centerpieces and other decorations must meet fire and safety codes and regulations. Guests and outside vendors are not permitted to affix decorations to the walls, ceilings, furniture, fixtures, furnishings, carpeting or any other property without prior approval of TRCR. Please consult with us as all signs, displays or decorations

and setup of your outside vendors shall be subject to prior approval of TRCR in accordance with local fire codes and to prevent damage to the Ballroom. No rice,

confetti, birdseed, or glitter inside or out. Bubbles, releasing of butterflies, flower petals (natural only) and sparklers are allowed outside only. Candles are allowed in a container. Any decorations/cake equipment left after Event will be disposed of

unless we are notified otherwise.

L O U T S I D E V E N D O R S L

We will be happy to recommend vendors for your floral, décor and entertainment needs. TRCR reserves the right to approve all vendors prior to the event. A list of

vendors should be submitted to TRCR for review and approval prior to the date of the event. If you wish to use a third party vendor(s) to provide a specific service or

services not available through TRCR, you agree to use vendor(s) that meet the insurance requirements established by TRCR. TRCR has a list of recommended

vendors, available upon request. TRCR reserves the right to reject any proposed vendors in its sole discretion. We reserve the right to limit the volume of musical

entertainment. Entertainment enhancing machinery must be approved prior to the event. Pyrotechnics of any kind are strictly prohibited. Any third party vendors hired

or otherwise utilized by the Client shall be deemed agents of the Client and not TRCR. TRCR will not be liable for any claims of this nature made by such agents, and Client shall indemnity and hold TRCR harmless from the claims of any such

agents. If Host chooses to use outside vendor for ceremony audio, TRCR will not be held responsible.

L D I S P L A Y R I G H T S L The Royal Crest Room reserves the right to use photos from your Event for

promotion, display, advertisement, Internet, publication, etc. If the hired photographer and The Royal Crest Room enter into an agreement to use the

professional photographs, the Host shall be informed by The Royal Crest Room as a courtesy.

L SM O K I N G P O L I C Y L In accordance with the Osceola County Ordinances, smoking is prohibited in The

Royal Crest Room with the exception of the outdoor veranda.

L L I A B I L I T Y L

The Royal Crest Room cannot assume responsibility for personal property, damages or loss of any articles of merchandise left at The Royal Crest Room (in the Ballroom,

Bridal Suite, Locker Rooms, Golf Carts, or Outdoor Wedding Area) prior to or following your Event. Security arrangements should be made for all merchandise or

articles set up or prior to the planned Event or left unattended for any time. Furthermore, The Royal Crest Room does not assume liability for any injury, illness, or

death that may occur to any guests at this Event.

L T H E F T , L O S S O R D A M A G E S L TRCR reserves the right to inspect and control all private functions. TRCR cannot assume responsibility for personal property, damages or loss of any articles of

merchandise left at TRCR (in the Ballroom, Bridal Suite, Locker Rooms, Golf Carts, or Rose Garden Terrace) prior to, during or following your Event. Security

arrangements should be made for all merchandise or articles set up or prior to the planned Event or left unattended for any time. Furthermore, TRCR does not assume

liability for any injury, illness, or death that may occur to any guests at

this Event. You are responsible for the conduct of your guests, attendees and

vendors and all injuries or damages arising from or related to their actions. The Host agrees to be responsible (and will be liable to TRCR) for theft or damage to TRCR property caused by the Host, any guests, attendees or agents of Client.

TRCR shall not be liable to Client for the theft or damage to any personal property of Client or Client's guests, except as may be directly attributable to the

negligence of TRCR. It is recommended that someone be assigned to coordinate the gathering of gifts and all leftover favors, decorations, etc., upon

departure. TRCR is not responsible for lost or damaged gifts.

L I N D E M N I F I C A T I O N B Y C L I E N T L By entering into this contract, each person signing agrees, jointly and severally if more than one person signing, to indemnify, defend, discharge and hold TRCR and Royal St. Cloud Golf Links harmless from any claims or causes of action arising from or related to the negligence, acts or omissions of your guests,

attendees and vendors.

L S E C U R I T Y L TRCR reserves the right to hire outside security for any Event that we deem

necessary with the cost being your full responsibility.

L C A N C E L L A T I O N / R E S C H E D U L E P O L I C Y L By Definition, “cancellation” means the Event is canceled and will not be held at TRCR. “Reschedule,” for purposes of this Contract, means originally scheduled

Event will be rescheduled either earlier or later, but a new date has been determined, agreed upon and all applicable deposits have been paid.

“Postponement,” again, for purposes of this contract, will apply to situations when a new date is not determined immediately, for whatever reasons.

However, in this case, in order for all previously made deposits and payments to be applied to future Event, a new date must be scheduled with TRCR within 365 days of original Event date. If no new date is ever arrived upon for this period of

time, then Event is essentially canceled. Any requests to cancel, reschedule or postpone an Event must be made in writing to TRCR Monday through Friday, 9

a.m. to 5 p.m., by persons who entered into the contract. Notice left on a voicemail or via a telephone conversation is not acceptable. A

cancellation/reschedule/postponement shall only be effective upon its acknowledged receipt by TRCR. In the event of cancellation of this Contract—through no fault of TRCR---any deposits or monies paid made to date are non-

refundable and non-transferable. In the event that this agreement is canceled by the Host, the Host agrees that TRCR shall be entitled to retain the entire

deposit(s) as partial compensation for the loss of business sustained by TRCR. In addition, cancellation fees will apply (based on the total remaining anticipated

event cost). Should it be necessary for you to reschedule or postpone your Event due to reasons other than forces of nature or verifiable Military service reasons, a Rescheduling Fee will be added to your costs based on timing considerations

(see below). Because a rescheduled event has the same potential negative impact on TRCR as does a canceled event (meaning, the original Event date will

most likely go unsold if notice is given within a certain window of time), a Rescheduling/Postponement Fee will be incurred. This is in addition to the

Estimated Cost of your Event and is not applicable to the outstanding balance. TRCR will work with you to find a new date. Before any new date will be made

available to you, TRCR will require that you are up-to-date with all expected payments based on original payment schedule. To secure your new date, a

Reschedule Addendum to the original Contract is to be signed and returned with a new non-refundable and non-transferable deposit of $750.00. Rescheduling

will only be allowed one time and must be rescheduled within 365 days of original Event Date.

L D I S P U T E S / A T T O R N E Y S F E E S L Exclusive venue for any litigation arising out of or related to enforcement of the

terms of this Agreement shall be in Orange County, Florida. The prevailing party in any litigation shall be entitled to recover reasonable attorneys’ fees and costs

from the non-prevailing party.

L T E R M S O F CO N T R A C T L

This contract represents the full and complete understanding of the parties and supersedes any and all prior agreements, verbal or written. The terms of this

contract can only be altered by written agreement signed by both parties. No oral modifications to this contract shall be recognized or effective.
