1 Participating in the Pb Analysis Audit Order Form Overview Each year EPA offers to develop Pb Analysis Audits. Participating in the

Pb Analysis Audit Order Form

Overview

Each year EPA offers to develop Pb Analysis Audits. The requirement for these audits can be found in 40

CFR Part 58 Appendix A Section 3.4.6. EPA needs to keep track of the orders for each year, so we are

asking each monitoring organization to supply us with this information to aid in the budgeting and execution

of providing these audits. Your support in this effort is greatly appreciated.

Questionnaire and Website

To help make it easier to obtain and process Pb Analysis Audit information, Battelle has added a section to

its Air Quality Monitoring QA Website, https://www.airqa.org for collection of Pb Audit information. This

site also supports other QA related programs, including:

• PM 2.5 Performance Evaluation Program – used for the National PM 2.5 Performance Evaluation

Program.

• Pb Performance Evaluation Program – used for the Lead (Pb) Performance Evaluation Program

• Protocol Gas Verification Program (AA-PVGP) – used for the Protocol Gas Verification Program.

This document describes use of the Pb Analysis Audit Order Form section of the QA Website including

registering and entering information for Pb Analysis Audits you intend to use this year. To fill out the order

form, you first need to access the site and create a user account (register). Some users may already have an

account for other functions at the site. If you already have an account, you do not need to create a second

account to complete the Pb Audit Order Form.

1. Accessing the Site

Using your web browser, access the Quality Monitoring QA Website (Figure 1) (https://www.airqa.org ).

2. Creating an Account

You will need a login account to access the website. First time users should click on Register at the top left

of the Air Quality Monitoring QA website or center and follow the registration procedures (Section 3). If you

already have a login at the site, click on Log In (Section 4) and click on the Pb Analysis Audit Order Form to

go to that area of the website (Figure 4).

3. Registration Page

You will need to fill out all fields marked with a red arrow and click the Register link on the bottom of the

page. This will cause an e-mail to be sent to Battelle’s AirQA Administrator, who will approve the

registration request and send back an e-mail reply. If you haven’t been approved within 24 hours, please

contact Mike Schlatt ([email protected]). After you have been added to the system, you can now login.

Return to the website and click Log In at the top left.

Once receiving registration approval, enter username and password. Click Login.

Select “Pb Analysis Audit Order Form” (Fig 4).

The screen depicted in Figure 5 will appear. Select “Pb Analysis Audit Order Form.”

7. Pb Analysis Audit Order Forms (Figure 7) – Detailed Instructions

Point of Contact Information Section (all fields in the area must be completed) #1 (Fig 6) Select your Primary Quality Assurance Organization from the drop-down list. The following fields

will be populated:

o Point of Contact Name

o Email Address

o Phone Number

o EPA Region

o State Code

o PQAO - Primary Quality Assurance Organization

o Agency name

Review the contact information. If you need to add or remove reporting organizations, or modify your

contact information, please send an e-mail to [email protected]. There is a link on the website just

below the POC information.

Completing this area is required whether or not you are ordering any analysis audits.

Did you order audits for this PQAO last year? #2 (Fig 6) To retrieve information from last year :

Select “Retrieve last year’s order” and all fields will populated with last year’s Pb analysis audit order

Review to make sure that’s what you’d like to order

If changes are needed, please refer to instructions beginning with “Analyzing Lab” below

If no changes are required select “Save” (bottom or top of screen)

No Audits Required?

#3 Check the box to the right of “No Audits Requested” if you are not requesting audits and select “Save”.

This will save your results and remove you from further receiving reminder emails. This will complete the

process for the year.

NOTE: If you are ordering for the first time or need to change some information in a previous

order, follow the remaining procedure.

Analyzing Lab

Select from the drop list or enter the short name of laboratory used for sample analysis.

NOTE: It is suggested you select from the drop down list so that organizations that may be using

the same laboratory will consistently report the laboratory name, this will help during ordering. If

the lab you use is not in the drop down list, select “Other” and enter a short version of the lab name

and city/state location (i.e., RTI Durham, NC) in the second entry field. Once entered and saved, it

will be added to the drop down list for future use.

POC and Address for Shipment of Analysis Audit

Some monitoring organizations order Pb analysis audits for external laboratories (e.g., contract lab) or for

PQAO laboratories at a different address. In addition, there are times when the PQAO wants to have the

filters sent to a different address than either the PQAO or the analyzing laboratory. We have added the

following buttons to clarify where filters should be shipped:

Analyzing Lab- If the analyzing lab you selected is already in the system, selecting this button will

fill in the information previously based upon the analyzing lab selected above.

PQAO- this information will be filled out for the information already archived for the PQAO

ordering the filters and audits will be sent to the POC and PQAO agency address.

Other- If the filters are to be sent to an organization other than the analyzing lab or PQAO, the

information in purple must be entered.

You can edit the address if needed and it will not affect the “default information” stored on the site.

Analysis Audit Order

NOTE: You can enter multiple types of audits for the same analyzing lab. However if you are ordering for

multiple labs (different lab addresses), you have to create more than one order. If you are shipping them to

the PQAO, then you can order all on one form.

Indicate the number of TSP Audit filters. A year’s supply is 24 (12 low and 12 high concentration)

Indicate the number of PM10 Teflon filters for ICP-MS. A year’s supply is 24 (12 low and 12 high

concentration)

Indicate the number of PM10 Teflon filters for XRF Analysis. A year’s supply is 6 (3 low and 3

high concentration)

Comments Enter any Notes/Comments that you’d like.

Figure 8 represents a completed form. In this case, the POC is ordering each type of filter but only asked for

half a year for TSP (12 instead of 24 filters).

Click Save to enter the information for this PQAO into the website. The following screen (Fig 9) will appear

You cannot order filters for multiple laboratories on one form. If you want to order for another lab for the

same PQAO, click on “Add New” to start a new form. Upon saving, a second row will show up in the report

(see Fig 10)

Pb Audit Order Form List of completed questionnaires If you are responsible for more than one PQAO, please repeat the process for each PQAO. When finished,

click Log Out (top left).

I’ve forgotten my password – From the Log In page (Figure 3) click the Forgotten Password? Enter your

user name (Fig. 10), and press the Send Password link, this will send your password via e-mail to your e-

mail address.
