The Room of the Future

The Room of the Future provides a high definition videowall, camera, lighting, audio system and touch screen for room management.

A Room code is required in order for the Presenter to launch the Room.

SESSION NAME

ROOM CODE*

ACCESS TO THE SESSION

Access to the Session

When the session is created the Presenter receives an email with the access link and session details.

Rooms are accessible at all times, regardless of whether there is a session in progress or not. Resources can be prepared before or after a session and Participants can access content made available in the room.

INSERT THE ROOM CODE HERE

Launch the Room

To launch the Room of the Future enter the Room Code. The code is generated in the room creation, previously received via email.

1. Enter the Room Code.2. Click on Start to launch the Room.

END THE SESSION

End the Session

To end the session click on the power off icon.

The Room of the Future will gracefully shut down, leaving it ready for use for the next session.

IMPORTANT!

Do not close session by clicking X on the browser.

MenuMAIN SECTIONS

The main menu allows the Presenter to access to the main sections of the Presenter view:

● Present

Where the Presenter can upload, create and share applications and files to the room.

● Room Chats

Where the Presenter can find the available Chat Channels

● Split into rooms

Where the Presenter can divide the Participants into smaller working rooms

MenuSECONDARY OPTIONS

In this menu the Presenter has also the following options:

● Lower Hands

Lower all Participants raised hands

● Mute All

Mute all Participants as appropriate through the “Mute All” button

● Record Now

See if the session is being recorded, and if this is not the case, activate the recording by clicking on the “Record Now” button

● Online People

See the information about room members

By clicking on the Session users button during the session the Presenter can see:

● If the session has the Assistance/Translation feature enabled*

● The connection status of Room members● The users connected as Remote Presenters*● If the Participants have raised their hands● If the Participants are sharing their screens ● If the Participants have their cameras on/off● If the Participants are talking and using the

microphone button

Online people panelSESSION MODERATION Several control tools are available to moderate

a session for all Participants:

● Disable screen sharing for all Participants● Lower all raised hands ● Block/Unblock all microphones● Mute all microphones

The following controls can be applied individually:

● Lower raised hand

● Enable/disable screen sharing

● Block/Unblock camera

● Block/Unblock microphone

NOTE

It is also possible to block/unblock devices or to enable/disable screen sharing when users are offline.Remember, screen sharing by default is disabled for Participants.

Online people panelINTERVENTION TIMER*

To facilitate the moderation of sessions with several Remote Presenters, the Presenter can activate a timer that indicates the intervention time for each one.

To activate the timer

1. Select the Remote Presenter2. Click on the icon timer3. Assign the corresponding time in minutes4. Click on the Start button

Once the timer is activated, both the Presenter and the Remote Presenter will see in their interface a time bar and a countdown timer that shows the time available for the intervention.

NOTE

This icon indicates the users connected as Remote Presenter(s).

* Available if the organisation has enabled the Remote Presenter feature.

The Presenter has the following control options over theapplication/file selected.

NOTE

By default, anything the Presenter uploads to the room will be hidden from Participants. To make it visible use the “Show” button.

* The Delete process is permanent and can not be undone.

Many types of files can be uploaded from:

● Dropbox● Google Drive● Your Device

The files can be displayed and stored in the room and are available at any time for download.

All files with extension .pdf, .jpg, .png, .bmp, .mp3 and .mp4, as well as all files derived from other platform tools (with above extensions) can be shared within the Room.

NOTE

Some types of files are not recognizable by the system. The file may not be opened however it will be available for download.

Applications and filesUPLOAD FROM GOOGLE DRIVE

The files selected in the Google Drive picker will be imported or copied depending on the type of file.

Imported files

Native Google files* are imported keeping the synchronization with the original file in Google Drive.

● The associated permissions with these types of files will change to ‘Anyone with the link can edit’ to allow collaboration when the file is unlocked

● If the original file is deleted in Drive, it will no longer be available in the room

● If the file is deleted in the room it does not affect the original file in Drive

● Some native Google files can be downloaded from the room in PDF or PNG format, as is the case of Google Docs, Sheets, Slides, Drawings and Jamboards.

Copied files

Other types of files can be copied and stored in the room working as local files not synchronized with Google Drive (images, videos, audios, documents...)

By clicking the “Create” button the Presenter can create the following resources:

● mashme Polls

Native mashme polls integrated within the videowall where results appear in the widget

● Google Apps

Native Google Suite files that are created simultaneously in Google Drive, with full synchronization

● Miro Boards

Online collaborative boards that can be inserted into mashme through the board code

● Mentimeter Presentations

Interactive presentations with live polls, quizzes and word clouds to get real-time input that can be inserted into mashme through the sharing link

● Vevox Polls

Polling and Q&A sessions that can be inserted into mashme through the sharing link

TYPES OF MASHME POLL

Types of mashme Poll

Three different types of mashme Polls are available for selection:

● Open

Everyone can see all live voting, and see the results

● Blind

No one can see the live voting, but the results are open to all

● Anonymous

No one sees the voting at any time

START POLL

Steps to create a mashme Poll

1. Write the question/statement2. Add as many possible answer options as needed.

(Polls can be created prior to the session or ad-hoc, on-the-fly)

3. Select the type of poll4. Select the poll timer5. To launch the poll click the “Start Poll” button6. To end the poll click the “Close Poll” button

Clone mashme Poll

It is possible to clone a poll before it is launched, to repeat it during the session or in a future session within the same room.

NOTE

When a poll is closed it automatically becomes a resource of the room.

Applications and filesEXTERNAL APPS. MIRO, MENTIMETER, VEVOX

To insert these types of files within mashme.io, files must be previously created within Miro, Mentimeter or Vevox, hence users will need to be registered with the associated application(s).

Steps to insert external files

1. Click on the "Create" button2. Select the type of application:

Miro, Mentimeter or Vevox3. Assign a name and paste the sharing link/code4. Confirm the creation by clicking on "Create"

Sharing link/code

You can find the sharing link/code by opening the original file and clicking on the share/export button. Specific instructions are available in the interface by clicking on the “More info” button (bottom left corner of the screen).

The Screen Share tool allows the Presenter to share their desktop or any external application to the session Participants.

Steps to share screen

1. Click on the screen share button in the Present section

2. Choose one of the 3 sharing options offered:

LOCK/UNLOCK BUTTON

The applications/files that allow the interaction or collaboration have a lock/unlock button. To allow the interaction (or stop it), click on the button. The users will see an indicator in their interface that shows the unlock status of an open file.

By default, any files the Presenter opens in the room will be locked.

NOTE

When the application/file is open by another user (Remote Presenter*), by default, is locked.

* Applicable if the organisation has enabled the Remote Presenter feature.

Once Google files are uploaded to the room, allow real-time collaboration. In this instance, Participants can edit files directly within the room.

● Google Docs● Google Sheets● Google Slides● Google Drawings● Google Maps

NOTE

Some types of Google files as Forms or Scripts can be uploaded into the room but not allow real-time collaboration.

Chat channelsROOM CHAT

ROOM CHAT

CLEAR CHAT HISTORY

The Room Chat allows the Presenter to interact with all the users in the session. The Presenter can send messages by typing in the text box, add links to resources, or send emojis by clicking the emojis icon.

The Presenter is able to:

● Mention a user personally by using “@”● Clear the chat history by clicking on the clear history

button in the top right hand corner (icon)

The Private Presenter-Participant Chat allows the Presenter(s) to interact privately with the Participants.

Open a new chat

1. There are two ways to open a new chat:○ Click on the “+” button and select the Participant

from the list ○ Click on the Participant’s avatar in the room chat

2. The new “chat” conversation will appear in the left hand tab

At any time, the Presenter can:● Clear chat history, this action will also affect all the

Presenters and the Participant● Close chat (history is maintained)

Split into RoomsGENERAL OPTIONS

Split into Rooms menu allows the Presenter to divide the Participants into smaller working rooms. There are 3 possible choices for the division: Random Split, Custom Split or Poll Based Split.

Generate a Room Split in advance

Splits can be created dynamically or in advance andsaved. To generate a Room Split in advance, set the parameters and save by clicking on “Save and close” button. All saved splits will be stored in the “Saved Splits” panel.

Stop a Split in progress*

Once a Room Split is in progress the Presenter can stop the split time by clicking the “Stop Split” button. This action end the split session and automatically send all the Participants back to the main room.

NOTES

● More than 6 participants in a split room, may result in a lower video quality experience.

● Please note, it is not possible to create a split room with more than 15 participants.

● The “Stop Split” option is not available during the first 5 minutes of the split.

Split into RoomsRANDOM SPLIT

The Random split will group Participants randomly.

Steps to create a Random split

1. Select the Random split type.2. Insert the discussion time in minutes.3. Insert the number of participants per split room.4. An automatic split preview will appear.5. Launch by clicking on “Split now” button.

Split into RoomsCUSTOM SPLIT

The Custom split allows the Presenter to manually create the split rooms.

Steps to create a Custom split

1. Select the Custom split type.2. Insert the discussion time in minutes.3. Insert the number of Participants per split room. 4. Select each Participant by clicking on each in the

right hand column and placing in the space within the split room on the left.

5. When all Participants are allocated to a split room launch by clicking on “Split now” button.

Split into RoomsPOLL BASED SPLIT

The Poll-based split allows the Presenter to group Participants based on how they respond to a poll. Participants in each group will have, where possible, opposing answers.

Steps for create a Poll based split

1. Select the Poll-Based split type. 2. Insert the discussion time, in minutes.3. An automatic split preview will appear.4. Launch by clicking on “Split now” button.

NOTE

This split option requires that at least one poll to have been actioned within the session. It does not need to be active at the time of the split. If several polls are present in the room the last one will be used.

All Participants see this view when connecting to a session. Participants may action the following:

● Turn on /off their video camera● Raise their hand to ask a question● Push to talk microphone button, or lock the

microphone open● Expand their videos to full screen● Collaborate on the active application (only when the

session moderator unlocks it)● Screen share (only when the session moderator

enables it)● Open/close the chat panel● Participate in room chat and presenter chat (private

with the presenter)● Download available material● See information about room members
