Manage your Material, Hours and Components

Material are collected in a database that is copied to each project. This will al-low the cost for this project to be maintained for the life of the project. Stored with the materials is any LEED credits for future reporting. Standard Library items for parametric pricing are assembled by inputting hours for site/shop plus components. Shop hours can be stated as a total or by individual labor tasks. Labor tasks will allow Users to produce a comprehensive labor report for each labor task. To complete each Library item the user must merely check off the number of components required to complete each assembly. No programming, just pick the necessary components and the formulas are already associated. This will allow parametric type pricing at the Takeoff screen without having to adjust or add any formulas. Special Library items are assemblies that are too difficult for components and are assembled using a Bill of Materials and site/shop hours. Can be called from each new project.

Overhead, also known as indirect expenses, is the cost to open your doors every day.

Whether your firm works locally or travels around the city, state or country, Us-ers can assemble labor rates for both shop and installation. In addition, rates can be set up by rate expiration date, union, non-union, OCIP, CCIP and more. User can simply input just the final all inclusive rate they determine to be used or input all base rates, benefits, taxes, insurances and workman’s compensation or input rates based on each individual labor task [ie. Machining = $110.00, Sand-ing = $45.00, Assembly = $65.00, etc.] or a combination of the above such as blended rate for everything except machining for $110.00. The ratio can also be varied to suite your requirements with a 1:6 or 1:7 foreman to journeyman ratio. If your rate is not all inclusive then add your percentage of overhead to be added to the rates. Rates should deal only with the cost per hour. Number of hours to complete each task will be addressed in another section. By pre-determining your rates, the estimator will only need to select the rate by Location and category. When bidding a project to-day to be completed in 2013, then select from the pull down menu Location-2013. Leave Location-2012 for projects to be completed this year. This will allow you to bid the project more accurately and exactly as opposed to using other methods such as percentage adjustments. Rates can be breakdown with rate/benefits/taxes or lump sum rate. Overhead can be included here or in Bid summary. Always a couple of ways to achieve results.

Contractor & Vendors This system Address Book will keep all your Contractors and Vendors organ-ized for use by the application for such action as Scope Letters, RFI forms, Schedule of Values, Purchase Orders, Requests for Pricing and more. Your existing Outlook contacts list or any list exported to an xls format can be im-ported into Prime6400. Keep notes on each company recording good guy/bad guy, pays well or of-fers 2% cash discount for payment in 10 days [that’s 24% interest per year on investment]. Categorize each company as Contractor/Client or Vendor/Supplier. When sending a Scope Letter you look only at the Contractors, when issuing a Pur-chase Order view only the Vendors. Small time saving feature that accumu-lates to decrease your estimating time. Product List, when search for Vendors to provide say Melamine board, enter the search and display only Vendors with Melamine. Looking for Lumber, view all Vendors for Lumber. Some Vendors will handle more than 1 prod-uct, so list them all for future searches. Send you request for pricing and keep your bid prices competitive. Or generate cost savings for the project or for your own pockets!

For pricing: Why does no one understand that 4 Wall Cabinets 24” wide cost more to built than 3 of the same at 32”, both make up 8 LF of cabinet? If a Project has 300 LF of Special Counter, enter LF from each Loca-tion and assign average size for length, say 120” or know as the deliverable size. The application will then automatically adjust for quantity and UOM as it populates prices for the balance of the 300 LF. Takeoff Features:

Fast, easy, efficient Takeoff

This Takeoff screen is the Best Tools that an Estimator can have. Looking at the architectural elevation, the estimator will input the Location, ArchRef, Notes and Group that are specific to this identifying Location. Next, each item from the Location/ArchRef is entered line by line. Description field will accept a Standard Library item where as you populate the field it will start to auto fill until you arrive at your selected item or pull down to view a list of all Library items. Upon moving to the UOM field, the balance of the row with populate with the default setting that you the User has establish in the initial Global setup. User can now revise any item to match the requirement of the ArchRef. All this time the Library item keeps updating it’s parametric price. Prices can be displayed or not depending on menu selection. If your Description is not satisfied then what your have entered becomes a Spe-cial item. These will not price parametrically as it has not been defined in the application. The User will simply enter the Takeoff information for pricing later in the process. Our Theory—all items are priced based on “deliverable size” that represents how it is assembled, how it will get into the building, material size restrictions, average size, etc. Regardless of the UOM or the Quantity, the application will calculate the conversions. Also, note that the UOM can be varied to suit your requirements including EA, LF, SQ, M, etc. see magnifying area below for a sample Wall Cabinet W2S2 and the consistent results [small rounding function variation by pennies is ex-pected].

No Project is too large to estimate if you takeoff one Location, one detail at a time.

Special Items Pricing This is the most valued procedure in the entire application. We make easy the input of material, finish labor and shop labor for every Special item that is cre-ated in the Takeoff. Truly a Special item as it will not re-occur on your next projects, simply input the material requirements on the deliverable size. Do the same for the finish labor and shop labor. Then view you pricing on the Summary Tab. Go back if nec-essary to modify or update at anytime.. The Finish and Shop Labor can be input as a total for the item or select a Labor Task category below and add the hours. Note that multiple categories can be combined to complete the Tasks for each item. Ie. Counter + Solid Surface [SSM] Tasks to do a Counter with SSM tops. The input of each individual Labor Task will allow detailed reporting of Labor for each Work Order, Work Order release or for a phase or the entire Project.

Bid Summary—Part 1

Manufacturing TAB: Cost is itemized by category of manu-factured item including casework, counter tops, counters, specials, frames, trim, SSM, paneling and mis-cellaneous then cross referenced by material cost, finish material cost, fin-ishing/shop hours and optional profit. Then Sales Tax as required by State law either based on material cost only or on material and labor. Finally, freight cost is developed by re-view of cubic footage that is tracked in the Takeoff, User then inputs number or loads and cost per load.

Installation TAB: Total installation hours is carried forward from the Takeoff in the top green field area. The balance of green fields contain the unit rates per hours as set up by the User in the Global settings. The column of white fields will allow the User to distrib-ute the Total Install hours and the Supervi-sion/Foreman hours between regular, half and double time to suite project require-ments. Additional fields allow for hour input for identifiable cleanup, unload/distribution and fastener cost.

The informative Bid Summary is the last step to arrive at the final price for your work on this project. Through a series of next 4 Tabs screens consist of Manufacturing, Installation, Sub Trades/General Conditions and Overhead/Profit, the balance of in-formation is input to get to your desired result. The green field areas are data developed by the application and the white field areas require input from the User. The lower buttons allow for Printing to printer or to PDF file. The Bid Price by Line button will Print a Takeoff with tax, freight, overhead and profit include in each line. Grand Total figure will update with each change to the white fields.

Overhead/Profit/Misc. TAB: Each category from the Manufacturing Tab is displayed for input of Overhead/Profit. The default value for Global settings or Project specific settings will auto populate all the white fields. User can then enter different percentages by Labor Task line if desired or leave default percentages. Further input is allowed for AWI-QCP or AWMAC-GIS inspection programs and Bond Cost. Market adjustment and escalators are labels only, User can designate any use for these fields including negative per-centages for discounts.

For all Import functions, data is validated before input. This is important to be sure the application will function properly.
