Plans are often created to meet contract requirements:1. They are used to keep the client happy and off the Project Managers back,2. They are left in the bottom drawer, 3. Only updated to meet reporting requirements and4. Are not used to manage the project.

Risk AnalysisThe process of planning a project may identify risks and this process may result in a requirement for risk mitigation tasks to be added to the schedule before it is submitted for approval. A Risk Log is usually created and as risks are identified they are added to the Risk Log where they are managed. Risk ManagementThis is the process that should be continued throughout a project’s life. The Risk Log should be regularly reviewed and responses updated if necessary. AS/NZS 4360:2004 is a good guide to managing risks.Stakeholder AnalysisA schedule is not complete unless it has included all the project tasks and all the work that has to be undertaken by people outside the project team. It is important that a stakeholder analysis is undertaken and all stakeholder activities are included A schedule will normally calculate a Criticalundertaken and all stakeholder activities are included. A schedule will normally calculate a Critical Path but this calculation may be incorrect if all the tasks are not included in the schedule. Therefore, tasks such as client review and approval of documents and plans or statutory applications and approvals must be included for the schedule to be completed and calculated correctly. Stakeholder ManagementThis process should be continued throughout the project life and the Communications Plan is the normal method of managing stakeholders.

Many project fail because:- A programme is not created, or- A poor programme is created, or- The programme is not used to manage the project.

Programming tends to be the worst performed project management skill and surveys by companies such as Standish indicate that twice as many project failures can be attributed to poor programming than any other factor.

Many companies keep historical records in document titled Lessons Learned Reports, or End Project Reports or Project Close Out Report. The information for these reports is used to improve the ability of the company to prepare tenders and perform work. These documents are prepared from project reports and other sources such as the Issues Log and Risk Log. It is important that these reports are continued right to the end of the project so the final picture is known.

There is only so much that can be done with a programme, but any changes made to the programme must be agreed to by the stakeholders.-Contingent time must not be reduced without the project managers knowledge-Work should not be programmed in parallel unless it is possible to do the work safely.-Shortening of the durations of activities by increasing resources should only be done if the resources are available and they can all work effectively and safely in the area.-Be careful with long shifts as people quickly become burnt out working long hours.-Changing the method of executing such as changing from cast-in-situ concrete to pre-cast concrete may resolve problems.
